The right corporate card platform is the one that fits your money movement and control requirements—not the one with the most attractive rewards headline. Define which workflows you need (cards, reimbursements, accounts payable, travel, procurement, or several), then compare repayment obligations, pre-purchase controls, expense-to-ledger automation, geographic eligibility, integrations, and total contract cost.
Use the process below to turn those requirements into a shortlist, validate vendor claims in a live demo, and avoid taking on a card whose cash-flow or administrative demands do not fit your business.

Start by defining the spending problem
“Corporate card” can describe a card account, while “spend management platform” can include budgeting, approvals, expense reports, accounts payable (AP), travel booking, reimbursements, procurement, and accounting synchronization. Products overlap, but they are not interchangeable. Write down the workflows you want to replace before looking at vendors.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteList the payment methods you actually need
- Employee cards: recurring operating purchases, travel, client meetings, or field spending.
- Virtual cards: software subscriptions, advertising, one-time vendors, and cards that can be shut off without replacing plastic.
- Reimbursements: employee-paid expenses that cannot or should not go on a company card.
- AP and bill pay: invoices, purchase orders, approval chains, and vendor payments.
- Travel and procurement: booking rules, preferred suppliers, purchase requests, and budget checks before an order.
If you need only a few cards, a full platform may add unnecessary process. If you need cards plus reimbursements, AP, travel, and multi-entity reporting, a card-only product may leave finance staff re-keying data in several systems.

Document your current close process
Trace one transaction from request to bank settlement and the general ledger (GL). Record who approves it, where a receipt is stored, which dimensions are coded (department, project, location, or entity), how exceptions are handled, and how the transaction reaches your accounting system. Your future platform should remove specific steps or errors, not merely add another dashboard.
Compare the card and funding model first
The repayment model determines your cash-flow obligation and may matter more than rewards. Ask for the card agreement, issuer identity, underwriting criteria, statement cycle, payment date, fees, and treatment of late or returned payments before opening an account.
Credit cards
A credit card generally permits a revolving balance subject to a credit limit and interest terms. Confirm whether your product has a personal guarantee, a business guarantee, or neither; the marketing page alone may not answer that question. Ask how utilization, payment history, and credit reporting are handled.

Charge cards
A charge card normally requires the balance to be paid in full on the statement schedule rather than carried as revolving debt. That can make budgeting predictable, but it creates a hard cash requirement every cycle. Ramp describes its Ramp Card as a corporate charge card powered by Visa. BILL says its Divvy Card is a charge card and may be issued by one of Divvy Pay, LLC’s bank partners; the specific lender and repayment terms are in the card agreement. Treat those descriptions as provider information and verify the contract you will sign.
Prepaid cards
Prepaid cards draw from funds loaded in advance. They can limit exposure, but unused balances, reload rules, and acceptance constraints may affect operations. Ask whether funds are held in an account, how quickly they can be moved, and what happens if a transaction exceeds the loaded amount.
Questions to put in writing
- Is payment due in full, or can balances revolve?
- What is the exact statement and debit date, and can it change?
- Which entity is the lender or issuing bank?
- Are there annual, account, foreign-exchange, expedited-card, or payment fees?
- What underwriting documents, minimum cash balances, or guarantees apply?
- What happens when an employee leaves or a card is frozen?
Evaluate controls before a transaction happens
Controls are valuable only when they can stop an out-of-policy purchase before money leaves the account. During a demo, create a test employee, vendor, project, and recurring subscription rather than accepting a feature checklist.
Budget and amount limits
Test daily, monthly, per-transaction, and project limits. Check whether unused budget rolls over, whether limits can be changed instantly, and whether an approver can authorize a one-time exception without granting permanent capacity.

Merchant and category restrictions
Ask whether administrators can allow or block merchant names, merchant-category codes, countries, transaction channels, and recurring charges. Brex describes category and merchant controls; Ramp describes restrictions by user, vendor, project, or recurring expense; BILL describes enforceable budgets and card limits. These are vendor claims, so verify the exact rule behavior with a live authorization test.
Virtual, physical, and disposable cards
Physical cards suit travel and locations where card-present acceptance is necessary. Virtual cards are easier to issue, limit, and cancel for online purchases. Determine whether a virtual card can be locked to one vendor, whether a replacement preserves subscriptions, and whether card numbers are exposed to employees or only to a controlled checkout.
Approval routing and changes
Map approval rules to your organization: amount thresholds, departments, entities, projects, and emergency purchases. Confirm whether routing is sequential or parallel, what happens when an approver is absent, and whether a change to a budget is logged. A control that silently falls back to an administrator can create a gap that is not visible in a summary report.
Follow the expense from receipt to ledger
The most important demonstration is not card issuance; it is the month-end close. Give each finalist a sample transaction set containing a receipt, a missing receipt, a split project charge, a foreign-currency purchase, a refund, and a disputed transaction.
Windows Errors? Fix Them Before They Spread

Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteReceipt capture and matching
Check whether employees can submit receipts by mobile app, email, or web, and whether the system matches them to the correct transaction. Ask how duplicates, unreadable images, partial receipts, and receipts submitted after the statement close are handled. Brex says its cards automatically collect itemized receipts, generate memos, and categorize transactions to the appropriate GL or project, including at international entities. That is Brex’s product statement, not an independent compliance test; ask how the feature performs for your merchants and tax jurisdictions.
Coding and exceptions
Test suggested GL accounts, tax treatment, departments, projects, classes, locations, and entities. Require a human review for low-confidence coding or policy exceptions. Find out whether an employee can edit a coded field after approval and whether that edit reopens the approval trail.
Reimbursements and non-card spend
Employees will still incur expenses that cannot go on a card. Confirm mileage, per diem, foreign-currency conversion, manager approval, reimbursement timing, and the bank file or payment method used. A platform that automates card transactions but leaves reimbursements in email has not solved the entire expense process.

Close, audit, and retention
Ask how exports identify original transaction IDs, refunds, credits, and adjustments. Verify retention periods, role-based access, audit logs, and the ability to retrieve the underlying receipt. Have your controller test a period close and a transaction-level audit before signing.
Validate accounting and ERP integrations
“Integrates with accounting” can mean a one-way CSV export or a maintained two-way connection. Confirm the direction and timing of every data object: chart of accounts, vendors, employees, dimensions, bills, payments, journal entries, and approval status.
Named integrations and what to test
BILL lists two-way integrations with NetSuite, Sage Intacct, QuickBooks, Microsoft, and Xero. Ramp and Brex also describe accounting or ERP integrations. Availability, synchronization depth, and plan eligibility can differ, so select your exact accounting edition and entity structure in the demo.
- Connect a sandbox or test company, not your live ledger.
- Map the chart of accounts, classes, departments, projects, tax codes, and locations.
- Post a card purchase, a reimbursement, a refund, and a split transaction.
- Change a coding field in the accounting system and observe whether the platform updates—or creates a duplicate.
- Run a reconciliation and confirm that totals, dates, currencies, and transaction IDs agree.
Require written documentation for sync frequency, error handling, rate limits, supported entities, and what happens when an employee or account is deactivated.
Check geography, legal entities, and currencies
Eligibility is often narrower than a product’s global marketing language. Confirm the country where the contracting business is registered, the countries where employees live, the currency in which transactions settle, and whether subsidiaries can share policies or need separate accounts.

Brex says local-currency cards are available in more than 50 countries. Confirm that the countries and currencies you need are included for your legal entity and plan; “available” may not mean the same underwriting, settlement, or support experience everywhere.
Entity and plan restrictions
Brex’s pricing materials distinguish entity capabilities by tier. Ask whether each subsidiary needs its own subscription, bank account, approval policy, and accounting connection. Ramp describes multi-entity management; verify how intercompany transactions, consolidated reporting, and local approvers work in practice.

US requirements for BILL’s card
BILL says applicants for the Divvy Card need a registered US business, a US business bank account, and an employer identification number (EIN). Do not apply those requirements to other providers or assume a non-US subsidiary qualifies. Ask each vendor for current legal-entity, beneficial-owner, and bank-account requirements.
Compare platform scope without assuming products are identical
| Platform | Published scope or claim | Questions to verify |
|---|---|---|
| Ramp | Describes corporate cards, expense management, AP, travel, banking, procurement, budgets, reporting, security, multi-entity management, and integrations. Its Help Center describes a Visa-powered corporate charge card, controls, receipt workflows, reimbursements, and accounting connections. | Which modules and entities are included in your quote? What are the card repayment terms, underwriting requirements, and integration limits? |
| Brex | Describes merchant and category controls, automatic receipt collection, transaction categorization, and real-time expense visibility. Its card page says local-currency cards are available in 50-plus countries. | Does your country, currency, entity, and plan qualify? | BILL Spend & Expense | Describes company cards, expense tracking, budgets, limits, approval workflows, receipt capture, categorization, and accounting integrations. BILL identifies the Divvy Card as a charge card. | What lender and repayment terms appear in your agreement? Which card, payment, service, and integration costs apply to your configuration? |
The table records provider descriptions, not an independent ranking. A broad module list is useful only if the workflows share data and your staff can administer them.
Understand current pricing and total cost
Price a complete operating model rather than comparing a single user fee. Include cardholders, administrators, approvers, entities, implementation, support, payment methods, integrations, foreign exchange, expedited cards, and any required banking services.
Published Brex tiers
Brex currently lists Essentials at $0 per user per month and Premium at $12 per user per month. It lists Enterprise and Smart Card at custom pricing. Brex’s published Essentials inclusions include accounting integrations, reporting, reimbursements, bill pay, and travel; Premium adds items such as multiple expense policies, dynamic review chains, more advanced approvals, multi-entity features, and customizable ERP/HRIS integrations. Prices and inclusions can change, so obtain a dated quote and contract.
BILL pricing language
BILL’s current page copy describes its platform as free to use. That statement does not establish that every card, payment method, service level, implementation, or related product is free. Request a schedule of all fees, including costs that arise from payment type, expedited service, foreign transactions, or optional modules.
Calculate administrative cost
Estimate monthly hours for receipt chasing, coding, exception review, reconciliation, card administration, and employee support. Multiply by the loaded cost of the people doing the work. Then add the cost of errors, late close, duplicate payments, and unused cards. A higher subscription can be economical if it removes manual work you can measure; a free headline price is not automatically cheaper.

- Expense: receipt channels, matching, coding, reimbursements, exceptions, audit trail.

- Geography: eligible legal entities, countries, currencies, local support, tax handling.
- Operations: implementation plan, migration, user provisioning, support response, reporting.
- Commercial terms: seat definitions, minimums, renewal, termination, data export, fee changes.
Assign weights based on risk. For a cash-constrained company, repayment timing may outrank rewards. For a multinational, entity and currency support may outrank a modest per-user price difference. Record the evidence for every score so a sales promise does not become an undocumented assumption.
Run a controlled pilot before committing
- Choose representative users: include a frequent traveler, a subscription owner, a project manager, an approver, and a finance close owner.
- Load realistic policies: use your actual departments, projects, entities, limits, and approval thresholds.
- Process edge cases: test refunds, split charges, foreign currency, missing receipts, declined transactions, employee termination, and a disputed purchase.
- Close one period: reconcile the platform to the bank and accounting system, then measure unresolved exceptions and staff time.
- Review controls: confirm that a restricted merchant is declined, a limit change is logged, and a terminated user cannot transact.
- Negotiate from evidence: ask for written commitments on integrations, support, implementation, and pricing based on the pilot configuration.
Do not make the pilot artificially simple. A system that works for ten identical software subscriptions may fail when twenty entities, multiple currencies, and irregular reimbursements enter the close.
Common failure modes and how to prevent them
Choosing on rewards alone
Rewards do not compensate for a charge-card payment obligation your cash balance cannot meet, or for hours of manual reconciliation. Evaluate economics after fees, acceptance, foreign exchange, and administrative labor.
Assuming “AI” means no review
Receipt matching and coding suggestions can reduce work, but low-confidence transactions, tax treatment, and unusual vendors still require controls. Define who reviews exceptions and what evidence is retained.
Buying features your plan does not include
Multi-entity controls, advanced approvals, customizable ERP or HRIS connections, and service levels may be tier-dependent. Put each required feature and its plan in the order form.
Ignoring acceptance and operational continuity
Test card-present and online acceptance in the countries and merchant categories your staff uses. Keep a documented fallback for a declined card, a service outage, or a delayed bank transfer.
Failing to plan the exit
Ask how to export transactions, receipts, policies, and audit logs if you leave. Confirm card cancellation timing, pending transactions, refunds after closure, and data-retention obligations.
A decision rule for the final shortlist
Select the platform that satisfies every non-negotiable requirement and has the lowest verified total cost for your workflow. If two products are close, prefer the one with clearer repayment terms, stronger pre-transaction controls, a tested accounting sync, and less manual exception handling. Keep rewards as a tiebreaker after those risks are understood.
Before signing, have finance, operations, IT, and legal review the same documents: card agreement, pricing schedule, data-processing terms, integration specification, implementation plan, and service commitments. That final review turns a promising demo into a defensible business decision.
