There is no single best business VoIP system. RingCentral is the strongest broad platform for growing companies, Zoom Phone is a practical value for existing Zoom customers, Dialpad leads for AI-assisted calling, 8×8 is the best starting point for international operations, and Ooma Office suits small offices that still want desk phones. Nextiva, Vonage and Microsoft Teams Phone can be better choices when support, customization or an existing Microsoft 365 investment drives the decision.
This guide treats “VoIP phone system” as a cloud business service—not merely a virtual number. Prices and inclusions change by country, plan, billing term, usage and contract. The commercial signals below were reviewed in August 2026; they should not be read as prices that applied throughout 2025.

Voice over Internet Protocol sends calls over an IP network instead of a traditional telephone connection. A modern service may be used through desktop and mobile apps, a browser, an IP desk phone, or an analog adapter. The label covers several different products:
#1 Best Overall
- Quick and easy installation: Connect the main console to analog lines via RJ11; cordless handsets/desksets pair wirelessly with one-touch DECT 6.0 technology—no professional wiring or assistance needed for fast small office setup.
- Expandable to 10 stations: Grow your 4-line small business phone system seamlessly by adding up to 9 cordless handsets or desksets—ideal for scaling operations without replacing equipment.
- Professional auto attendant per line: Automatically answers calls on each of the 4 lines, offers company directory access, routes to extensions, and records voicemail for efficient, polished call management.
- Reliable digital answering system: Captures up to 180 shared minutes of incoming messages, announcements, and memos—ensuring no important calls are missed during busy hours.
- Enhanced productivity features: Full-duplex speakerphone for natural conversations, extra-large display, caller ID/call waiting, 100-name phonebook, 32 speed dials, cordless headset support, intercom, and customizable music-on-hold via 2.5mm jack.
- Virtual phone service: a number, voicemail, forwarding and simple menus.
- Cloud PBX: extensions, auto attendants, queues, transfers, recordings and administration.
- Unified communications (UCaaS): phone plus chat, meetings, presence, SMS, files and integrations.
- Contact center: skills-based routing, supervisor monitoring, quality management, analytics, dialers and omnichannel support.
- Communications API: developer tools for embedding voice or messaging in software.
Compare products within the same category. A five-person office needing an auto attendant does not need the same platform as a support center requiring queue analytics.
Our top picks
RingCentral RingEX — best overall for growing businesses
RingEX combines calling, messaging, meetings, fax, auto attendants, analytics and a broad integration ecosystem. RingCentral says its platform supports more than 330 integrations across over 200 companies and provides APIs for voice, messaging, video, fax and administration; that is a vendor claim, not an independent quality rating. Its published trial supports up to 20 phone lines for 14 days, and its FAQ describes unlimited external calling in the US and Canada, with international plans or bundles handled separately.
The trade-off is complexity. Add-ons such as Business SMS Booster, Call Queues Booster, AI Receptionist and Conversational Intelligence are shown at $25, $35, $39 and $60 respectively on the current page. Confirm recording limits, SMS, international rates, hardware, minimum users and post-trial pricing at RingCentral’s pricing page. RingCentral advertises 99.999% reliability; treat that as a supplier commitment, not independently measured uptime.
Nextiva — best bundled SMB service
Nextiva targets businesses that prefer one provider for phone service, collaboration, analytics and customer-experience tools. It is a sensible shortlist candidate when guided deployment and support matter more than assembling separate applications. Verify plan-by-plan texting, fax, video, recording and AI inclusions, along with user minimums, annual versus monthly rates and cancellation language. Start with Nextiva’s business phone page and its VoIP cost guide.
Zoom Phone — best value for existing Zoom users
Zoom Phone fits companies already standardized on Zoom Meetings or Zoom Workplace. The familiar interface and reported low entry prices can reduce application sprawl. Do not assume a Meetings license includes phone service. Check whether your plan is metered or unlimited, what toll-free minutes and SMS include, which international destinations are covered, and whether contact-center functions are separate. Product details are at Zoom Phone.
Rank #2
- Ooma has been rated the top phone service by Consumer Reports.
Dialpad — best for AI calling workflows
Dialpad emphasizes transcription, summaries, action items, conversation intelligence and coaching for sales and service teams. Its current pricing page focuses on broader AI Agent and conversation products instead of a simple static Connect rate. Confirm the basic phone plan, retention, supported languages and country availability. AI-agent credits are consumed when the agent retrieves information or takes an action such as routing, scheduling or looking up an order, so usage is not equivalent to ordinary per-user licensing. See Dialpad pricing.
8×8 Work — best candidate for international operations
8×8 combines UCaaS and contact-center capabilities with international calling options and Teams integrations. Verify every country, number type, emergency-service capability, fair-use rule and tax before signing; “unlimited international” is never universal. Pricing is often quote-based and administration can be heavier than a small-business app. Review the 8×8 business phone service page and its Teams and Operator Connect documentation.

Ooma provides extensions, ring groups, auto attendant, mobile and desktop access, and physical-phone support with a small-office orientation. Compare tiers, device costs, taxes, number fees and international rates. Large or global organizations may need deeper analytics, compliance controls or contact-center features. See Ooma Office and the TechRadar review.
Vonage Business — best for customization
Vonage offers mobile and desktop apps, domestic calling, SMS/MMS, voicemail, integrations and add-ons. Its US pricing page excludes taxes and fees, states that new accounts require a one-year contract, and warns that early-termination fees may apply. A promotion displayed there was stated to expire January 31, 2026, so do not treat it as an August 2026 offer. Request a written quote showing the post-promotion rate, hardware, add-ons and cancellation exposure at Vonage pricing.
Microsoft Teams Phone — best for Microsoft 365 organizations
Teams Phone keeps calling inside Teams and can simplify identity, directory and meeting administration. It is not Teams with a free phone number: you must select Microsoft Calling Plans, Operator Connect or Direct Routing, and pay for Microsoft licensing plus connectivity. Verify emergency calling, portability, recording, compliance and geographic support. Compare licensing at Microsoft 365 business plans.

How much does business VoIP cost?
Entry-level business VoIP commonly signals roughly $10–$25 per user per month before taxes and add-ons. That range is not an apples-to-apples quote: some figures are annual-billing or promotional, while others are metered, per-extension or usage-based. Build the comparison from this worksheet:
Recommended Free Tools
- Users and base licenses
- Local, toll-free and additional numbers
- Domestic and international usage
- SMS/MMS, fax, recording and storage
- AI, analytics and contact-center seats
- Desk phones, headsets and adapters
- Implementation, porting, taxes and regulatory fees
- Promotion end date, renewal price, minimum users and early-termination cost
RingCentral’s current page advertises annual savings but does not expose one universal base rate. Vonage separates promotional and standard pricing and requires a one-year contract for new accounts. Dialpad’s AI-agent model can charge by credits or actions. These differences are why a low headline price is not the same as a low first-year or post-promotion cost.
How to choose the right system
| Business profile | Weight most heavily | Likely shortlist |
|---|---|---|
| 1–10 users | Price, setup, support and desk phones | Ooma, Zoom Phone, Dialpad or Nextiva |
| 10–50 users | Routing, CRM, mobile apps and administration | Nextiva, RingCentral, Zoom Phone, Dialpad or Vonage |
| 50+ users | Identity, analytics, reliability and scalability | RingCentral, 8×8, Teams Phone or Nextiva |
| International | Country-level numbers, rates, taxes and emergency service | 8×8 first; verify RingCentral or Teams alternatives |
| Microsoft-first | Directory, PSTN model and Teams administration | Teams Phone, with RingCentral or 8×8 as alternatives |
| AI-first sales/support | CRM, recording, coaching and AI governance | Dialpad, RingCentral or a dedicated contact center |
A practical scoring model is core calling 20%, reliability and support 15%, total cost 15%, administration 10%, integrations 10%, mobile/remote work 10%, messaging 5%, AI 5%, international capability 5% and security/compliance 5%. Increase price and desk-phone weight for a small office; increase routing, recording and supervisor controls for customer service.
VoIP versus a traditional PBX
| Factor | Cloud VoIP | Traditional PBX |
|---|---|---|
| Upfront hardware | Usually lower; apps and optional phones | On-site equipment and cabling |
| Remote work | Native mobile, desktop and browser access | Often requires VPN or additional systems |
| Scaling | Add users and numbers through administration | Capacity may require hardware work |
| Dependency | Internet, provider and local network | Local power, hardware and carrier |
| Control | Convenient but vendor-dependent | More direct ownership, more maintenance |
| Emergency calling | Requires registered locations and nomadic-user controls | Usually tied to fixed premises |
Risks to resolve before signing
Network and outage behavior
Pilot the service on the actual office Wi-Fi, VPN, switches, headsets and home-office connections. Ask what happens when the primary internet link fails, whether calls forward to mobiles, and who supplies outage support.
Emergency calling
Confirm E911 coverage, multiple locations, mobile-user address updates, callback numbers and behavior when internet or power is unavailable. Do not assume a softphone has the same emergency behavior as a fixed line.

Frequently asked questions
Is VoIP reliable for a small business?
It can be, provided broadband, Wi-Fi, power and router configuration are dependable. A provider’s SLA does not eliminate local network failures, so test failover and mobile forwarding.
Do I need desk phones?
No. Apps and browsers are sufficient for many users. Receptionists, warehouses, retail counters and shared workspaces may still benefit from physical phones. Confirm whether devices are included, purchased, rented, leased, auto-provisioned or limited to approved models.
Can I keep my existing number?
Usually, if the number is portable in its service area and account records match. Obtain porting credentials and keep the old carrier active until testing is complete.

Is business SMS included?
Not necessarily. SMS/MMS may be limited by plan, registration rules, country or usage. Ask for included numbers, message limits and fees.
Can VoIP support 911?
Many US services support E911, but configuration and nomadic-user behavior differ. Verify addresses, callback routing, multiple sites and outage procedures with the provider.
What happens if I cancel?
You may owe remaining contract charges, lose promotional pricing or pay early-termination fees. Export numbers, recordings and configuration data before cancellation and confirm the port-out process.

Frequently Asked Questions
How much does a business VoIP system cost for five, 25 or 100 users?
Use the quoted per-user licenses plus numbers, usage, taxes, hardware, add-ons and implementation. A headline $10–$25 signal cannot predict the total for any of those team sizes because plans, minimums and contract terms differ.
Is Microsoft Teams Phone cheaper than RingCentral or Zoom Phone?
Not automatically. Teams Phone requires Microsoft licensing and a PSTN connectivity model, while RingCentral and Zoom bundle different calling and collaboration components. Compare equivalent features and first-year totals.
What is the difference between VoIP, UCaaS and a contact center?
VoIP is the transport and calling service; UCaaS adds chat, meetings and collaboration; a contact center adds queues, skills routing, monitoring, quality management and advanced analytics.
