Best Virtual Business Phone Service Options for Remote Teams

By TheFinanceBase Team 12 min read

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For most growing remote teams, RingCentral RingEX is the best all-around choice; Zoom Phone is the better fit for companies already using Zoom, Dialpad stands out for AI call intelligence, and Quo (formerly OpenPhone) is the strongest lightweight option for small teams. The right choice depends on whether you need a simple professional number, a full cloud phone system, a unified communications platform, or a contact center.

That distinction matters to your budget. A low advertised price can become expensive after annual-billing commitments, extra numbers, SMS charges, AI usage, international calling, implementation, taxes, and premium features. Use the comparisons below to match the system to your actual workflow before signing a contract.

Quick recommendations

Best for Recommended service Why it stands out
Growing distributed companies RingCentral RingEX Broad phone, messaging, meetings, integrations, administration, analytics, and multi-location support.
Existing Zoom customers Zoom Phone Adds business calling to a familiar Zoom environment.
AI call intelligence Dialpad Connect Strong transcription, summaries, coaching, and conversation-intelligence features.
Small and midsize businesses Nextiva Combines business calling with messaging and broader customer-communication tools.
International teams 8×8 Work Worth evaluating for geographic coverage, international calling, compliance, and enterprise administration.
Small teams wanting shared numbers Quo, formerly OpenPhone Simple shared numbers, calling, texting, voicemail transcription, collaboration, and API access.
Solo owners and tiny businesses Grasshopper Lightweight virtual-number service for forwarding, voicemail, greetings, and business texting.
Sales or customer support Aircall, CloudTalk, or JustCall CRM-centered dialing, SMS, queue, monitoring, and agent workflows.

These are use-case recommendations, not independent hands-on call-quality test results. Prices, features, availability, and plan names can change by country and billing term.

First decide what kind of phone service you need

“Virtual business phone service” describes several different products. Comparing them in one undifferentiated list can lead you to buy far more—or far less—than your team needs.

Virtual-number service

A virtual-number service gives your business a number that forwards to personal or existing phones. Typical features include call forwarding, business voicemail, texting, greetings, extensions, and mobile or desktop apps.

This is usually enough for a solo professional, freelancer, or very small team that needs a professional identity but not a complex phone system. Grasshopper and Quo are examples.

Cloud PBX

A cloud PBX replaces an office-based private branch exchange with an internet-based system. It adds auto-attendants, ring groups, queues, transfers, extensions, business-hours rules, recording, administration, desk-phone support, and number porting.

RingCentral, Nextiva, 8×8, and Zoom Phone fit this category.

Unified communications as a service

UCaaS combines calling with features such as team messaging, video meetings, presence, directories, analytics, and workplace integrations. RingCentral, Dialpad, Zoom Phone, Nextiva, and 8×8 all extend beyond basic calling in this direction.

Contact-center or sales-dialer platform

Contact-center products are built around high-volume customer conversations. They may include power or predictive dialing, agent queues, call monitoring, coaching, disposition codes, workforce management, CRM workflows, and advanced reporting.

A 10-person consultancy with one shared line does not automatically need a contact center. Aircall, CloudTalk, JustCall, Dialpad Sell or Support, RingCentral Contact Center, and 8×8 Contact Center are better suited to sales or support operations.

Detailed provider guide

RingCentral RingEX: best overall for a growing remote company

Choose RingCentral when administrative control, integrations, routing, analytics, and future scale matter more than having the simplest possible plan.

RingEX brings phone, messaging, meetings, fax, collaboration, softphone and desk-phone support, multi-location administration, role controls, analytics, and an integration marketplace into one platform. RingCentral says its offering includes more than 330 integrations and APIs, along with desktop and mobile apps and US/Canada unlimited external calling on applicable plans. Features and limits vary by plan and geography; see the current plan details.

The pricing page advertises up to 33% savings with annual billing, a 14-day trial, and add-ons including AI Receptionist, Conversation Intelligence, Call Queues Booster, and Business SMS Booster. It lists starting signals of $39 for AI Receptionist, $60 for Conversational Intelligence, $35 for Call Queues Booster, and $25 for Business SMS Booster. Treat these as vendor-displayed starting figures, not a complete quote.

Best fit: roughly five to 100 employees, multi-location businesses, and teams that expect their phone system to grow.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Poor fit: solo users or teams that only need one shared number and basic forwarding.

Check before buying: which tier includes recording, analytics, queues, SMS, and AI; how occasional users are billed; international destinations; and porting, cancellation, and renewal terms.

Rank #2
The VoIP Lounge Handset for Polycom VVX 300 400 500 600 Series IP Phone
  • New - Individually Boxed
  • NOT compatible with models VVX 250 / 350 / 450
  • NOT compatible with Polycom Soundpoint IP Phones 300 301 331 430 500 501 600 601
  • Compatible only with the models of business phones listed in the title and description. This is NOT a universal handset.

Zoom Phone: best for teams already using Zoom

Zoom Phone is most compelling when your organization already pays for Zoom Workplace and employees use Zoom meetings, chat, and identity tools every day. Adding phone service can be simpler than introducing a separate collaboration ecosystem.

Validate domestic calling, SMS, toll-free service, recording, AI features, device options, and country availability against the current Zoom Phone offering. Secondary 2026 coverage has reported a starting price of $15 per user per month for a US/Canada unlimited plan, but that figure should be confirmed on Zoom’s live pricing page, including whether annual billing or an existing Workplace subscription is required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Best fit: remote companies standardized on Zoom.

Poor fit: organizations that do not use Zoom, need unusually deep traditional PBX controls, or require complex global-carrier arrangements without country-by-country validation.

Ask whether phone users can be administered separately from meeting users, how calling behaves during a broader Zoom outage, and what international minutes or number fees are included.

Dialpad Connect: best for AI call intelligence

Dialpad is a strong candidate for sales, recruiting, support, and management teams that want calls converted into searchable business information.

Its AI-oriented features can include transcription, summaries, action items, conversation intelligence, coaching, live guidance, and CRM or productivity integrations. The current pricing page presents Dialpad as an AI communications platform and separately highlights Connect, Sell, Support, and AI Agent products.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not compare AI-agent pricing with ordinary phone-seat pricing. Conversation transcription, summaries, coaching, and AI agents are different capabilities and may have different limits, retention policies, or usage charges.

Best fit: teams where call notes, coaching, searchable conversations, or sales intelligence produce measurable value.

Poor fit: businesses that do not want transcription or AI, or buyers who need highly predictable costs for heavy AI usage.

Before committing, ask how long transcripts are retained, who can access them, whether recording notifications are configurable, and whether AI-agent credits are separate from phone seats.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Nextiva: best for communications plus customer engagement

Nextiva suits small and midsize businesses that want business calling and messaging alongside customer-communication or CRM-oriented tools.

The small-business VoIP offering presents a path from business phone service toward broader customer engagement. Nextiva also advertises 99.999% uptime in its comparison material. That is a vendor claim, not an independent performance measurement.

Best fit: businesses seeking one provider for phone service and customer communications.

Rank #3
Ooma Telo Air VoIP Free Internet Home Phone Service and HD3 Handset
  • Ooma has been rated the top phone service by Consumer Reports.
  • Built-in wireless connectivity to place your Ooma Telo anywhere in your home. Works only in the US.
  • Crystal-clear nationwide calling for free and low international rates. Pay only monthly applicable taxes and fees.
  • Take your home phone on the go with the easy-to-use Ooma Home Phone mobile app
  • Includes unlimited calling in the US, voicemail, caller-ID, call-waiting, 911 calling and text alerts.

Poor fit: buyers seeking the cheapest basic number, or international organizations that have not confirmed exact country coverage and terms.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check which tier includes recording, analytics, CRM integrations, advanced routing, support, and AI. Also compare monthly and annual commitments and understand what happens when an employee leaves.

8×8 Work: best for international or operationally complex teams

8×8 deserves a serious evaluation when your team operates across countries and needs international calling, geographic coverage, compliance support, and enterprise administration.

It is generally a more sales-led, quote-oriented purchase than a simple self-serve number service. Request a written quote that states included countries, local-number availability, minutes, SMS, overage rates, support, implementation, emergency calling, and contract terms. Start with 8×8 Work’s voice information.

Best fit: international or compliance-conscious organizations that can tolerate a formal buying process.

Free tools Windows power users keep installed

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Poor fit: a tiny team wanting immediate transparent pricing for basic forwarding.

Confirm whether you need 8×8 Work, 8×8 Contact Center, or both. “Global” may refer to international calling, local numbers, support coverage, data residency, or simply the ability to dial overseas; those are not interchangeable.

Quo, formerly OpenPhone: best lightweight option for small remote teams

Quo is the current name of OpenPhone, so searchers may encounter both names. It is a strong fit for small distributed teams that want shared numbers, business texting, voicemail transcription, transfers, menus, and collaboration without a full enterprise PBX rollout.

As displayed on the vendor’s pricing page on August 16, 2026, Quo listed:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Starter: $19 per user per month monthly, or $15 per user per month with annual billing.
  • Business: $33 monthly, or $23 per user per month annually.
  • Scale: $47 monthly, or $35 per user per month annually.

The page also showed a seven-day trial, one new or ported local or toll-free number per user, US and Canadian calling and messaging subject to fair-use terms, voicemail transcripts, and API access. Business-tier features included AI call summaries, group calling, transfers, HubSpot and Salesforce integrations, phone menus, analytics, and automatic call recording. Sona AI-agent credits were included, with additional usage priced separately. See Quo’s current pricing for any changes.

Applicable taxes and fees are added at checkout. The annual prices may require annual prepayment or commitment, so do not multiply the monthly equivalent without checking the payment terms.

Best fit: small teams that need one or several shared business identities, simple administration, and modern apps.

Poor fit: large enterprises, sophisticated contact centers, or teams with extensive international requirements.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Grasshopper: best for solo owners and very small businesses

Grasshopper focuses on the professional-number problem rather than replacing a full cloud PBX. It offers virtual numbers, forwarding, greetings, extensions, voicemail, business texting, and mobile or desktop access.

The official pricing page currently advertises pricing starting at $14 per month in its page title, but the complete live plan table should be verified at checkout. Grasshopper states that its service is available only in the United States and Canada.

Best fit: a solo professional or tiny business that wants callers to reach a company number without exposing a personal number.

Poor fit: teams needing advanced queues, analytics, deep integrations, international operations, or contact-center controls.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Other options worth considering

  • Google Voice: a logical option for organizations already invested in Google Workspace, although it may not match larger platforms for advanced routing, analytics, international operations, or contact-center workflows.
  • GoTo Connect: worth considering for flexible call flows and established SMB phone deployments. Check current pricing and feature packaging carefully.
  • Ooma Office: a small-business phone system with cloud features. Evaluate mobile-app quality, integrations, international calling, and remote administration rather than relying on the product label.
  • Aircall: strongest when sales and support teams live in a CRM; often excessive for ordinary internal calling.
  • CloudTalk: suited to outbound sales, international calling, and contact-center workflows rather than a basic office phone.
  • JustCall: useful for CRM-led sales teams needing calling, SMS, power dialing, and integrations.

What remote teams should compare

Remote usability

Look beyond the existence of a mobile app. Test desktop apps on Windows and macOS, iOS and Android behavior, headset compatibility, call handoff between devices, Wi-Fi and mobile-data calling, business caller ID, presence indicators, and app behavior when a laptop sleeps or a phone restricts background activity.

Employees should be able to call from a personal phone without exposing their personal number. The business should own the number, control recordings and contacts, and revoke access during offboarding.

Routing and coverage

Most teams need some combination of simultaneous ringing, call forwarding, auto-attendants, ring groups, queues, transfers, shared voicemail, time-zone-aware business hours, holiday schedules, and rotating on-call rules. Test daylight-saving changes and after-hours routing rather than assuming the settings will behave as expected.

Administration and integrations

Important controls include SSO, MFA, role-based permissions, audit logs, user provisioning, remote logout, number ownership, service-status visibility, and administrator recovery. Verify actual integrations—not merely a logo—for Salesforce, HubSpot, Microsoft Teams, Google Workspace, Slack, Zendesk, ServiceNow, calendars, webhooks, APIs, and identity providers.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

AI and recording

Separate transcription, summaries, action-item extraction, live coaching, automated tagging, AI receptionists, and AI agents. Ask what is included, what is capped, whether usage is metered, and how accurate or editable the output is.

Also check recording notifications, consent controls, transcript retention, access permissions, deletion and export tools, and whether customer data is used to train models. Recording and transcription laws differ by state and country.

Reliability and failover

Call quality depends on Wi-Fi congestion, packet loss, jitter, VPN routing, firewalls, codecs, headsets, and local connectivity. No short demo call can prove performance for every home office.

Prefer a provider with a public status page, clear incident communications, documented failover, and the ability to route calls to a cellular or PSTN destination. Bookmark the status page and test calls from more than one network and country.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Security, compliance, and emergency calling

Evaluate encryption, SOC 2 or equivalent attestations, SSO, access controls, audit logs, retention, regional data requirements, and any HIPAA or business-associate agreement support relevant to your organization. A vendor’s compliance offering does not automatically make every customer configuration compliant.

The VoIP Lounge Handset Receiver for Cisco 7800 and 8800 Series IP Phone
  • Brand New
  • Charcoal Gray Color
  • Individually Boxed
  • NOT compatible with Cisco 9800 series IP phones.

For remote workers, emergency calling requires special attention. Confirm registered emergency addresses, procedures for employees who move, nomadic calling limitations, and the difference between softphone, direct-number, and mobile-fallback calls. Requirements vary by provider and jurisdiction; do not reduce this question to a generic “VoIP supports 911” claim.

Calculate the real cost

Start with two separate counts:

  • Users or seats: people who need to place or receive calls.
  • Numbers: main lines, direct numbers, local numbers, toll-free numbers, and department lines.

Five employees may need only one shared number. Conversely, three employees may need a main line, sales line, support line, and toll-free number. Extensions and shared numbers may not require separate paid seats, but each provider packages them differently.

Quo example

Using the Quo prices displayed on August 16, 2026, three users on Starter would be $57 per month when paid monthly, or an effective $45 per month on annual billing before taxes and fees. Ten users would be $190 monthly or an effective $150 per month annually. Fifty users would be $950 monthly or an effective $750 per month annually.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Those are illustrative seat calculations, not final invoices. They exclude taxes, fees, possible usage limits, and any additional AI credits or other paid services. The annual figures may be charged upfront.

What to add to every quote

  • Extra local, direct, and toll-free numbers.
  • International calling and international numbers.
  • SMS registration, verification, and message usage.
  • AI transcription, AI agents, or AI receptionists.
  • Recording storage and advanced analytics.
  • Contact-center or queue modules.
  • Desk phones, headsets, and replacement hardware.
  • Implementation, training, and premium support.
  • Taxes, regulatory fees, emergency-service charges, and carrier fees.
  • Minimum seats, annual prepayment, auto-renewal, and cancellation terms.

Do not compare a flat-rate virtual-number service with a per-user UCaaS platform until you normalize users, numbers, features, and payment commitments.

Remote deployment checklist

  1. Create the administrator account with a role-based company email rather than one employee’s personal address.
  2. Enable SSO and MFA, then create separate admin and ordinary-user roles.
  3. Buy or port the main number and document who owns the account.
  4. Collect porting information: carrier account number, service address, recent bill, authorized-user details, and the exact numbers to port.
  5. Map the existing call flow before changing it: greetings, departments, schedules, queues, voicemail, and emergency paths.
  6. Create users, extensions, shared numbers, ring groups, and queues.
  7. Set business hours, holidays, individual time zones, daylight-saving behavior, and on-call schedules.
  8. Register emergency locations and create a process for employees who change address.
  9. Configure recording, transcription, retention, access, and consent notices.
  10. Complete SMS brand, campaign, consent, opt-out, or toll-free verification requirements where applicable.
  11. Test inbound and outbound calls, caller ID, transfers, warm transfers, voicemail, SMS, device switching, and cellular or PSTN failover.
  12. Test from wired broadband, Wi-Fi, a mobile hotspot, and at least one additional geographic location.
  13. Train staff on transfers, recording notices, business caller ID, headset troubleshooting, and personal-device privacy.
  14. Keep the old carrier active until porting is complete and every important call flow has been tested. Zoom’s number-porting guidance illustrates the kind of documentation and timing requirements to verify with your chosen provider.
  15. During offboarding, revoke sessions, remove app access, reassign numbers and voicemail, and confirm that business contacts and recordings remain under company control.

Which service should you choose?

Choose RingCentral if you need the broadest administrative, integration, routing, analytics, and multi-location toolkit and expect the system to scale.

Choose Zoom Phone if your team already works in Zoom and adding phone service to that environment will reduce tool sprawl.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose Dialpad if searchable transcripts, summaries, coaching, and conversation intelligence are central to sales, recruiting, support, or management.

Choose Nextiva if you want a small-business communications platform with customer-engagement options from the same provider.

Choose 8×8 if international coverage, compliance considerations, and enterprise communications justify a quote-led evaluation.

Choose Quo if a small remote team wants shared business numbers, messaging, voicemail transcription, and simple administration without a full enterprise deployment.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Choose Grasshopper only when your main need is a professional number, forwarding, voicemail, greetings, and basic texting.

Choose Aircall, CloudTalk, or JustCall when sales or support workflows—not ordinary employee calling—drive the purchase.
