Odoo Inventory is the best overall choice if you need serious warehouse and replenishment workflows. For other businesses, the right free option depends on how you sell: ERPNext for open-source ERP, Square for retail and payments, Zoho Inventory for low-volume ecommerce, Loyverse for small shops and cafés, and Sortly for visual equipment and asset tracking.
“Free” does not always mean zero total cost. A free POS may still charge payment-processing fees, while open-source software may require paid hosting, maintenance, backups, and technical support.

What counts as free inventory software?
Free inventory products fall into four different categories:
#1 Best Overall
- Larger battery enables longer continuous usage and twice the stand-by time. With the unique battery indicator light showing the remaining battery level, no more Low Battery Anxiety.
- The curved handle is extended and widened. With specially designed smooth and flat trigger for a better grip.
- The orange anti shock silicone protective cover can prevent scratches and friction even when dropped from up to 6.56 feet. IP54 technology protects the wireless barcode scanner from dust.
- Plug and play with the USB receiver or the USB cable, no driver installation needed. Easy and quick to set up. Wireless transmission distance reaches up to 328 ft. in barrier free environment.
- Supports almost all 1D Barcodes: Febraban Bank Code, Codabar, Code 11, Code93, MSI, Code 128, EAN-128, Code 39, EAN-8, EAN-13, UPC-A, ISBN, Industrial 25, Interleaved 25, Standard 25, Matrix. Reads damaged, fuzzy, reflective and smudged barcodes.
- Free-forever SaaS: A cloud plan with no recurring software charge, usually restricted by users, orders, products, locations, storage, or features.
- Free POS inventory: Inventory is included in a free point-of-sale system, but card payments, hardware, and premium retail tools may cost money.
- Open-source software: The license can be free, but you remain responsible for hosting, upgrades, security, backups, and administration.
- Free trials: Temporary access to paid software. A trial is not a free inventory system.
For example, ERPNext can be free to license when self-hosted, but operating it still requires infrastructure and technical work. Square’s basic software may have no monthly subscription, but accepting payments can generate transaction fees.
What free inventory software should include
At a minimum, look for:
- Product names, SKUs, variants, suppliers, and costs.
- Quantity-on-hand tracking.
- Stock adjustments and an inventory history or audit trail.
- Low-stock alerts or reorder thresholds.
- Basic reports and data export.
- Import tools so you are not forced to enter every item manually.
- Mobile access or barcode support when your operation needs it.
More advanced businesses may also need purchase orders, receiving, transfers between locations, bundles, batch and serial-number tracking, inventory valuation, role-based permissions, manufacturing bills of materials, and integrations with accounting, ecommerce, marketplaces, or POS systems.
1. Odoo Inventory: best overall for flexibility
Best for: Warehouses, distributors, wholesalers, and growing businesses that need configurable inventory workflows.
Crashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteWindows Errors? Fix Them Before They Spread
Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallOdoo is the strongest general-purpose option on this list when inventory involves more than counting products. Its feature set includes warehouse operations, receiving, picking, putaway, transfers, routing, barcode support, replenishment, traceability, and multi-warehouse workflows. See the current comparison context at TechRepublic.
Odoo’s hosted free route is generally based on using one Odoo application. Choosing Inventory does not mean that every Odoo application is free; adding other apps can move the account into a paid plan. A separate self-hosted Community edition requires technical administration.
Why choose it: It can grow from basic stock tracking into a more structured warehouse and replenishment system.
Main limitations: Configuration is substantially more involved than with Square, Loyverse, or Sortly. Self-hosting also transfers responsibility for uptime, backups, security, updates, and troubleshooting to the business. Customization can create implementation and maintenance costs.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Upgrade signal: Consider paid hosting, implementation, or additional apps when the business needs integrated accounting, ecommerce, manufacturing, advanced roles, or professional support. Conversely, choose something simpler if avoiding setup work matters more than flexibility.
Verdict: The best overall free starting point for a business willing to configure its system and accept that “free” depends on the hosted plan or technical cost of self-hosting.

2. ERPNext: best fully open-source option
Best for: Manufacturers, distributors, and organizations that want an open-source ERP with inventory, purchasing, sales, accounting, and production capabilities.
ERPNext is a broad open-source ERP rather than a lightweight stock-counting app. Its scope includes stock, purchasing, sales, accounting, manufacturing, and asset management. The project describes itself as open source, and its code is available on GitHub. Product information is available from Frappe.
Recommended Free Tools
Free model: The self-hosted software has no licensing fee. You still need a server, storage, backups, monitoring, security updates, and someone who can administer the deployment. Managed hosting is paid; Frappe’s pricing page has listed hosting from $5 per month for a site plan, with higher options available. Verify current pricing at Frappe’s pricing page.
Why choose it: You gain source-code access, data control, and a path to connect inventory with purchasing, manufacturing, and accounting without per-user software licensing.
Main limitations: Deployment, upgrades, data migration, and customization are not plug-and-play. The full ERP scope may be excessive for a small shop that only needs product counts.
Upgrade signal: Pay for managed hosting, implementation, training, or support when the cost of internal technical work exceeds the licensing savings.
Verdict: ERPNext offers the best free software license here, but it is not necessarily the lowest-cost system to operate.
3. Square Inventory: best for free retail POS inventory
Best for: Boutiques, small retailers, market sellers, and businesses that want checkout, payments, and stock tracking in one ecosystem.
Square connects a product catalog and inventory with point-of-sale sales, refunds, and related retail services. Its retail offering is described at Square Retail, and its current costs are listed at Square pricing.

- 【2.4 GHz Wireless plus USB 2.0 Wired Connection】 Plug and play with the USB receiver or the USB cable, no driver installation needed. Easy and quick to set up. Wireless transmission distance reaches up to 328 ft. in barrier free environment.
- 【Digital and Printed 1D 2D QR Bar Code Symbologies】1D: Codabar, Code 11, Code93, MSI, Code 128, UCC/EAN-128, Code 39, EAN-8, EAN-13, UPC-A, ISBN, Industrial 25, Interleaved 25, Standard25, Matrix 2D: QR, DataMatrix, Aztec, Hanxin, Micro PDF417. (Note: Not compatible with Square.)
The standard free POS software does not require a monthly software subscription, but businesses generally pay payment-processing fees when they accept card payments. Hardware and geography-specific terms can also affect total cost. Do not treat free software as free payment acceptance.

Square can be a practical fit for product catalogs, variants, composite products, sales-linked stock counts, and simple retail notifications. More advanced combinations of purchase orders, vendor management, barcode-label printing, multi-location controls, reporting, forecasting, and warehouse operations may require a paid retail tier or additional services.
Main limitations: Square is not a substitute for a serious warehouse, manufacturing, or procurement system. It is also a poor fit if you do not want to use Square payments or its broader ecosystem.
Upgrade signal: Move to a paid retail tier when purchasing, vendor workflows, multi-location management, advanced reporting, or deeper retail controls become central to operations.
Verdict: The best choice when inventory exists mainly to support in-person retail and checkout.
4. Zoho Inventory: best for low-volume ecommerce
Best for: Small online sellers that need orders, shipments, returns, and inventory in one cloud system.
Zoho Inventory is more focused on order and shipment management than POS-first tools. According to Zoho’s current U.S. pricing display, the free plan costs $0 per organization per month and allows 50 orders per month, one user, and one location. Zoho documents the free plan at this support page and lists current plans at Zoho Inventory.
That combination makes it useful for a small ecommerce operation with modest volume. It can also be attractive to businesses already using Zoho Books, Zoho CRM, or related Zoho products.
Main limitations: The 50-order ceiling is decisive. One user is restrictive for teams, and one location rules out many multi-site operations. Higher tiers may be needed for advanced warehouse functions, batch or serial tracking, barcode features, and deeper reporting. It is not a POS-first solution for a physical shop.

- The kit comes with one barcode scanner, one cradle, one battery, one USB cable and manual.
- Eliminate Bluetooth Interference with Zebra’s Proprietary Wi-Fi Friendly Mode------Ensure that your wireless DS2278 Bluetooth imagers only operate on channels that are not shared with your WLAN, protecting WLAN service levels for your workers and your customers.
- Unsurpassed Scanning Range------Workers can scan barcodes across a wide range (0.5 in./1.23 cm to 14.5 in./36.8 cm), improving checkout speed and reducing training time.
- Pre-configured and Ready to Use, Right Out of the Box------Since the default settings are optimized for the majority of scanning applications, you can use the DS2278-SR imager the moment you take it out of the box — no configuration required. With omni-directional scanning, users never need to line up the imager and the barcode — unlike 1D scanners.
- Control Your Scanners from a Smartphone, Tablet or PC------You can easily control the beeper, LED and Symbology settings; display scanned barcode data; access model and serial number information and more from Windows, Android and iOS hosts.
Upgrade signal: Upgrade before order volume approaches 50 per month, or when a second user, location, sales channel, or more advanced warehouse workflow becomes necessary.
Verdict: The best free option for a small online seller that has not outgrown 50 monthly orders.
5. Loyverse: best free POS for small shops and cafés
Best for: Cafés, small restaurants, convenience stores, boutiques, and other small businesses needing POS-linked stock tracking.
Loyverse’s pricing page lists its core POS, dashboard, kitchen display, and customer display products as free. It is a sensible starting point when sales happen at a counter and inventory only needs to support those transactions.

Its current pricing page lists unlimited sales history at $5 per month per store, employee management at $5 per employee per month, and Advanced Inventory at $25 per month per store. Add-ons include 14-day trials. Check the live details at Loyverse pricing.
Main limitations: Advanced inventory, purchasing, valuation, employee controls, and extended history are not all part of the free core product. Loyverse is less suitable for wholesale, manufacturing, complex procurement, or bin-level warehouse management.
Upgrade signal: Pay for Advanced Inventory when purchase orders, stock valuation, or deeper inventory controls are needed; add employee management when shared access no longer provides adequate accountability.
Verdict: The best free starting point for a small shop or café whose inventory is closely tied to POS sales.
6. Sortly: best for visual inventory and asset tracking
Best for: Contractors, field-service businesses, schools, offices, nonprofits, and small businesses tracking tools, equipment, supplies, or job-site assets.
Best Value
- Widely Compatible: Bluetooth Barcode Scanner for iPhone iPad Android Tablet PC, Support HID / SPP / BLE mode via bluetooth, Work with Windows XP/7/8/10, Mac OS, Windows Mobile, Android OS, iOS, Linux.
- Strong Recognition Ability: With the 2500 pixels high-resolution CCD sensor Engine, Rapidly decodes all 1D and stacked barcodes (including ISBN book), even worn, damaged or tightly spaced codes. Scan 1D codes directly from paper or screen, such as a computer monitor, smartphone, or tablet, or scan through glass surfaces, plastic shrink wrap, a CCD scanner is likely the best way to go.
- Automatic Scanning: NT-1228bc barcode scanner have three scanning modes: manual trigger mode, continuous scanning mode and auto-sensing scanning mode. In addition, there is a storage mode. Storage mode can be used when you are out of range of Bluetooth and wireless connectivity. Supports storage of up to 100,000 barcodes. Note: Before use, you need to scan the corresponding setting barcode on the manual.
- 2600mAh Battery Upgraded: Continuous scanning up to 200,000 times on a full charge. After a full charge the scanner can be used for one month at least, even in warehouses and at pos checkout counters where scanners are frequently used. In libraries and hospitals it can be used even longer.
- Programmable Configuration: Add custom prefixes/ suffixes, delete characters, Add keyboard keys/ combinations (terminator TAB, CR&LF, Home etc.), Enable or disable the barcode type as you want. Buzzer can be set to mute to allow for a quiet operation.(Note: It does not work with square POS / Divalto / DoorDash / Lightspeed POS system)
Sortly emphasizes visual item records, making it easier to identify equipment and supplies with photos rather than managing a traditional retail or warehouse catalog. Its current free plan lists $0 per month, 100 unique items, one user license, and two jobs. Quantities of an item do not count toward the unique-item limit, but distinct products, SKUs, equipment records, or product lines do. See Sortly’s pricing page.
Main limitations: One hundred unique items is a low ceiling for retail or ecommerce, and one user prevents genuine team collaboration on the free plan. Sortly is not a full purchasing, accounting, ecommerce, or manufacturing platform. Barcode, QR, reporting, automation, and workflow availability can vary by plan.
Upgrade signal: Consider a paid tier when the catalog exceeds 100 unique items, multiple people need individual access, or the business needs more robust reporting and workflow controls.

Verdict: The best free choice for visual asset and equipment tracking—not for a growing retail catalog.
Which free inventory program fits your business?
- Choose Square if you run one small retail operation and want inventory connected to checkout and payments.
- Choose Loyverse if you operate a small shop, café, or restaurant and need a free POS with basic stock tracking.
- Choose Zoho Inventory if you sell online and can stay below 50 orders per month with one user and one location.
- Choose Odoo if you need configurable receiving, picking, transfers, replenishment, or multiple-warehouse workflows.
- Choose ERPNext if open-source control, purchasing, manufacturing, and self-hosting are more important than easy setup.
- Choose Sortly if you track tools, equipment, supplies, or a small number of visually identifiable assets.
Free software versus open source versus a trial
| Type | What you receive | What may still cost money |
|---|---|---|
| Free-forever cloud plan | Hosted software with permanent access to a restricted tier | Extra users, orders, locations, integrations, or features |
| Free POS | Catalog and stock features connected to checkout | Payment processing, hardware, and premium modules |
| Open source | Software license and source-code access | Hosting, implementation, maintenance, security, backups, and support |
| Free trial | Temporary access to paid software | Subscription after the trial ends |
When free inventory software is no longer enough
Upgrade or change systems when any of these conditions applies:
- More than one employee needs an individual login.
- You exceed the product, order, user, or location limit.
- Inventory is sold through multiple channels and stock is frequently out of sync.
- Manual adjustments and spreadsheet workarounds are causing errors.
- You need purchase orders, supplier records, receiving, or transfers.
- You require barcode-label printing, serial tracking, batch tracking, or bin-level control.
- Inventory valuation, margin, aging, or demand forecasting affects decisions.
- You need accounting or ecommerce synchronization.
- You need backups, uptime guarantees, permissions, or vendor support.
For example, Zoho becomes a poor free-plan fit as monthly orders approach 50 or a second user is needed. Sortly becomes unsuitable once 100 unique items or one user is insufficient. Loyverse needs a paid add-on when advanced inventory or employee controls matter. For Odoo and ERPNext, the trigger may be the opposite: the implementation effort becomes more expensive than paying for hosted software or professional help.
Restaurant and low-cost alternatives
Toast/xtraCHEF: Toast is relevant for restaurants that need recipe costing, invoice automation, vendor management, purchasing, and food-cost controls. Its official inventory page presents a demo-led restaurant product, but it does not establish a generally available free-forever inventory plan. Treat it as a paid restaurant alternative, not one of the six free choices: Toast inventory management.
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →SalesBinder: SalesBinder is a low-cost paid alternative rather than free-forever software. Its official pricing page lists paid plans beginning with Starter at $9 per month and a 30-day trial with no credit card required: SalesBinder pricing.
Spreadsheets: A spreadsheet may be adequate for a very small, low-volume catalog with one operator. It becomes risky when multiple people edit data, sales happen across channels, or there is no reliable audit trail.
Quick Recap
How to evaluate a free plan before committing
- Create a representative sample of products, variants, and bundles.
- Import your opening quantities rather than testing only a blank catalog.
- Record a sale, return, and manual adjustment.
- Check whether low-stock thresholds and alerts work as expected.
- Test the workflows you actually need: purchasing, receiving, transfers, barcode scanning, or ecommerce synchronization.
- Export your data and identify what is retained, restricted, or unavailable.
- Confirm what happens when you reach the free limit and whether you can downgrade or retrieve your data.
- Calculate costs beyond the subscription: processing, hardware, hosting, implementation, support, backups, and staff time.
