13 Best Virtual Mailbox Services for Remote Business in 2026

By TheFinanceBase Team 11 min read

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

iPostal1 is the best starting point for most remote businesses that need a choice of cities and address types. But it is not universally the cheapest or best fit. A freelancer with five letters a month, an international founder forwarding packages, and a distributed company sharing scanned documents need very different mailbox services.

This comparison covers 13 providers and focuses on the costs and limitations that headline prices often hide: open-and-scan allowances, forwarding, storage, package handling, recipients, address eligibility, and registered-agent requirements. Prices and location counts are starting signals checked against the supplied provider pages; verify the exact address and checkout total before subscribing.

The 13 best virtual mailbox services

1. iPostal1: best for address choice

iPostal1 is the strongest first stop when a business needs a particular city, state, or address style. Its advertised network exceeds 4,250 physical street addresses, and its offerings span personal mailboxes, business addresses, and virtual-office services.

#1 Best Overall

  • 【Privacy You Can Check at a Glance】 The front door opens only with a key, protecting incoming mail, rent checks and personal items from porch visitors. The clear viewing window lets you confirm whether mail has arrived before unlocking anything
  • 【Versatile Drop Box for Many Uses】 Beyond daily mail, the slot serves as a key drop box, rent check collection box, payment drop or suggestion box. Shared 2-key access works well for families, office staff, landlords and property managers

Current pricing signals start at $9.99 per month for mailing plans, $14.99 for a business address, and $39.99 for a virtual office. iPostal1 also advertises registered-agent service at $99 per year in listed states. Exact pricing depends on the address tier and selected plan.

Best fit: Remote businesses choosing a city-specific address or comparing mailing, phone, fax, and virtual-office features.

Watch out for: The lowest price may not include the mail volume, scanning, package, or business features you need. Do not assume every address is accepted by a bank, licensing authority, or Google Business Profile.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. VirtualPostMail: best for compliance-focused businesses

VirtualPostMail positions itself around business mail, registered-agent support, and mail automations. That makes it appealing to LLC owners handling tax, government, legal, and compliance correspondence.

Existing comparison coverage lists a starting price around $20 per month, but current plan details should be confirmed directly. The service has been described as having a more limited U.S. footprint—about five states in the supplied coverage—than large address marketplaces.

Best fit: Businesses that value a compliance workflow more than a nationwide selection of addresses.

Watch out for: Verify current states, registered-agent scope, scan limits, forwarding fees, and whether the exact address meets your filing requirements.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. PostScan Mail: best for tiered plans and teams

PostScan Mail offers clear Starter, Standard, and Premium consumer tiers priced at $10, $20, and $30 monthly in the displayed pricing. Annual equivalents may be lower. Higher business tiers are displayed at substantially higher monthly prices.

Its structure is useful for businesses that want to move up as volume and users increase. However, the cheapest plan does not include open-and-scan service, and forwarding, storage, shredding, packages, and additional recipients have their own allowances or fees. PostScan Mail also advertises business and enterprise options with multi-user capabilities.

Best fit: Remote teams with predictable volume, multiple recipients, or a need for a defined upgrade path.

Watch out for: Count envelopes, incoming items, open-and-scan pages, storage, and forwarding separately before comparing it with a flat-fee competitor.

  • ACCESSORIES: Includes concealed outgoing mail clip, (3) all-metal laser cut keys, and required installation hardware

4. US Global Mail: best for international operations

US Global Mail is designed for international founders, expatriates, and businesses managed from outside the United States. It offers a U.S. street address, online mail handling, forwarding, and higher-tier business features such as team roles, API, and webhooks as displayed on its pricing page.

The current pricing signal is materially higher than older comparison articles: Scale is displayed at $49 per month on a monthly view, while Teams is displayed at $99 per month. Annual-display equivalents are also shown, so compare billing periods carefully. The provider advertises SOC 2 and HIPAA compliance claims on its pricing page; confirm that the claim and controls apply to the plan and information you will use.

Best fit: International businesses that value higher-touch mail operations and automation.

Watch out for: It is not a budget choice by default. Calculate forwarding, storage, packages, and team requirements before paying for the higher subscription.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

5. Traveling Mailbox: best for frequent travelers

Traveling Mailbox suits digital nomads and owners who regularly need the contents of their mail. Its Basic plan is listed at $15 per month, with higher Extended and Small Business plans at $25 and $55.

The plans include envelope and page-scan allowances, and eligible plans can roll over unused allowances. The service also advertises free shredding, worldwide forwarding, business-name additions, and check-deposit requests. Its FAQ says subscribers must complete USPS Form 1583.

Forwarding is not free: the pricing page lists postage plus a $2 shipment fee. A check-deposit request is listed at $4.95 per check plus postage. Extra scans, storage after the included period, packages, and forwarding can add to the subscription.

Best fit: Travelers who need regular interior scans and prefer included allowances over paying for every scan.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Watch out for: Confirm the chosen address, page limits, package rules, and storage period before enrolling.

6. LegalZoom Virtual Mail: best for existing LegalZoom customers

LegalZoom Virtual Mail may be convenient for founders already using LegalZoom for formation or related business services. Existing comparison coverage lists a $29 monthly price and cites scanning, forwarding, shredding, and integrations.

Best fit: New or existing LegalZoom customers who prefer one business-services ecosystem.

  • High Security: No unauthorized access! Equipped with a simple but safe metal lock, the locking mailbox can only be opened with the keys provided. Always keep your contents securely stored to ensure their security and confidentiality
  • Reliable Construction: Solidly constructed with 0.8 mm thick steel plate, the safe key drop box is robust and unlikely to be pried open to avoid forced entry. And the easy-to-open protective flap can effectively block splashing water or droplets, always keeping the inside items dry and intact

Watch out for: Verify whether current virtual-mail plans are sold directly, through a partner, or only in selected locations. Compare the standalone mailbox cost with any bundle and confirm the included scan, package, recipient, and forwarding limits.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

7. Anytime Mailbox: best for low starting prices and location choice

Anytime Mailbox advertises more than 2,500 locations, real street addresses, online and mobile access, open-and-scan, forwarding, shredding, recycling, and local pickup. Current landing pages show plans from $9.99 per month and a 30-day money-back positioning.

The key qualification is that the selected location determines much of the economics. A current page lists allowances such as 30 incoming items and five open-and-scan pages, along with additional fees. Forwarding bundles, extra pages, pickup, storage, checks, and recipients may cost more.

Best fit: Freelancers and small businesses that need a wide address selection and have light, predictable mail.

Watch out for: Compare the exact address—not just the provider’s lowest advertised price. Partner-location support and processing may vary.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

8. PhysicalAddress.com: best for a simple address service

PhysicalAddress.com is suited to readers looking for a straightforward physical-address and mail-management offering. Existing comparison coverage lists pricing from $7.98 per month and cites scanning, storage, pickup, and a money-back positioning.

Best fit: A business that needs a basic address and occasional digital mail handling.

Watch out for: Confirm current pricing, location restrictions, scan allowances, forwarding fees, and whether the address is operated directly or through a partner. Do not treat older feature or location claims as current without checking the signup flow.

9. PostNet: best for local retail access

PostNet is a better fit when in-person pickup and shipping assistance matter. Its retail locations may be useful for a local business that occasionally needs a counter, package service, or face-to-face help.

Free tools Windows power users keep installed

One-click scans. No signup required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Watch out for: A registered agent receives service of process and certain official notices; that does not automatically mean ordinary letters, packages, invoices, and scanned documents are handled like a virtual mailbox. Verify the current mailbox scope separately.

11. PostalAnnex: best for local mailbox and shipping needs

PostalAnnex offers a retail-location model with potential in-person access and shipping assistance.

Best fit: A local business that prefers pickup at a physical counter and may use related shipping services.

Watch out for: Location-level differences can affect digital scanning, OCR, team access, storage, forwarding, and package handling. Confirm the exact services and address format before filing business paperwork.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

12. L4SB: best for privacy and compliance support

L4SB appeals to privacy-conscious founders comparing formation, privacy, and compliance services. It should be evaluated primarily as a broader business-services provider unless its current product page confirms full virtual-mailbox functions.

Best fit: Businesses that want privacy and compliance support alongside an address-related service.

Watch out for: Separate privacy claims from operational questions such as who scans mail, how forwarding works, and how long originals are retained.

13. Bizee: best for a formation-service bundle

Bizee targets new business owners comparing formation packages and related services. It may be convenient when a founder wants to coordinate setup through one provider.

What a virtual mailbox does—and does not—do

A virtual mailbox receives physical mail at a private commercial address, sends an exterior-envelope notification or image, and lets you request actions such as opening and scanning, forwarding, shredding, recycling, storage, or local pickup. Digital copies normally appear in a web dashboard or app. Marketing terms such as “virtual address,” “digital mailbox,” and “mail forwarding” are not standardized, so compare the actual workflow.

Virtual mailbox vs. PO Box, private mailbox, virtual office, and registered agent

  • USPS PO Box: A USPS-controlled box. It generally is not a street address and may not accept all private-carrier deliveries.
  • Private mailbox: A commercial mailbox, often formatted as a street address with a PMB or box number.
  • Virtual mailbox: A private mailbox with online management and optional scanning, forwarding, disposal, or pickup.
  • Virtual office: May add phone answering, meeting rooms, office access, or receptionist services.
  • Registered agent: Receives service of process and specified official notices. It is not a substitute for ordinary business mail handling.

Can you use one for an LLC?

Possibly, but separate the mailing address, principal business address, registered office, registered agent, physical operating address, and bank-verification address. A provider may offer a registered-agent service, but that does not make every mailbox address suitable for every state filing, bank, insurer, marketplace, or license.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Before paying, ask the relevant state filing office, bank, licensing authority, or insurer whether the exact address format is accepted. Keep a separate physical or residential address when an institution requires one.

Google Business Profile and proof of address

A virtual mailbox alone may not satisfy Google’s rules for a storefront or service-area business. A prestigious street address is not a guarantee of approval. Likewise, banks and platforms may reject commercial-mailbox addresses or require a verifiable operating location. Confirm the current rules with the institution before selecting an address.

How to compare the real cost

Use this formula rather than comparing monthly subscriptions alone:

Total monthly cost = subscription + open-and-scan fees + page fees + forwarding fees + storage + recipient fees + package charges + special handling.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Distinguish an envelope scan from an interior scan. An envelope scan shows the outside of the item. Open-and-scan means the provider opens it; page-based charges may then apply. OCR or searchable PDFs can improve retrieval, while AI summaries—where offered—should not replace review of legal, tax, banking, or contractual documents.

Forwarding may include postage, handling, consolidation, packaging, customs forms, international shipping, insurance, and oversize or overweight surcharges. Packages can introduce storage, per-pound, per-day, carrier, signature, and size-limit fees.

For a fair comparison, model your likely use in four categories:

  1. Light use: Five envelopes, two interior scans, and one monthly forwarding shipment.
  2. Growing business: Thirty envelopes, 50 scan pages, and two recipients.
  3. High volume: About 200 incoming items, requiring a business plan and explicit storage rules.
  4. International use: One consolidated shipment monthly, including customs, insurance, and packaging.

Do not calculate a precise provider total unless the exact address, billing period, plan, and all relevant fees are known. Starting prices are not apples-to-apples quotes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

USPS Form 1583 and setup requirements

Private mailbox providers generally require USPS Form 1583 before activating service. Requirements commonly include two forms of identification, a physical or residential address, and notarization or an accepted remote-notary process. The exact procedure depends on the provider, location, and current USPS/provider process.

Use this setup checklist:

  1. Choose the state, city, and exact address.
  2. Confirm the address format and intended use with your bank, state, platform, or licensing body.
  3. Compare incoming-item limits with open-and-scan page limits.
  4. Check package acceptance, storage, consolidation, and local pickup rules.
  5. Complete Form 1583 and the provider’s identity-verification steps.
  6. Add authorized recipients and business names.
  7. Configure forwarding, shredding, recycling, and retention rules.
  8. Test notifications and dashboard access.
  9. Keep a backup address for critical legal, identity, tax, and banking documents.

Common failure modes

  • Bank rejects the address: The bank may require a physical operating address or recognize the location as a commercial mailbox. Ask for the provider’s exact formatting and maintain a separate operating address if required.
  • Form 1583 delays activation: Missing identification, an unsupported notary process, or extra location verification can cause delays. Follow the current onboarding checklist.
  • Mail volume exceeds the plan: Providers may count envelopes, pieces, pages, and scans differently. Estimate all four and favor rollover or predictable allowances when appropriate.
  • Package storage becomes expensive: Check free-storage periods, size limits, consolidation, and per-day or per-pound fees before using the mailbox for equipment or inventory.
  • Originals are shredded: Configure retention and holds for tax, legal, identity, immigration, and banking documents.
  • International forwarding costs more than expected: Request an estimate and compare consolidated forwarding with individual shipments.
  • Shared address creates confusion: Ask whether the facility is owned or partner-operated and how it distinguishes multiple businesses at the address.

Which provider should you choose?

  • Most location choice: Start with iPostal1 or Anytime Mailbox, then compare the exact address.
  • Predictable scan allowances: Consider Traveling Mailbox.
  • Tiered volume and team access: Consider PostScan Mail.
  • International or higher-touch operations: Consider US Global Mail if its higher price is justified.
  • Compliance-focused workflow: Review VirtualPostMail, or buy a separate registered-agent service alongside a mailbox.
  • Local counter service: Compare PostNet and PostalAnnex locations.
  • Formation bundle: Compare LegalZoom, L4SB, and Bizee, but verify that the address product is a true mailbox.

A virtual mailbox is probably a poor fit if you need a staffed office, daily local courier service, substantial inventory storage, a regulated operating location, or specialized handling that the provider does not explicitly support. It may also be unnecessary if you receive almost no physical mail and would pay more in subscriptions than the privacy and convenience are worth.
