Which UPI Payment Services Offer Useful Tools for Small Merchants in India?

By TheFinanceBase Team 10 min read

For a small Indian merchant, the right UPI service depends on how customers pay and how much administration the business needs. Google Pay for Business is aimed at straightforward QR, phone-number and Tez Mode collections. Paytm for Business and PhonePe add merchant QR materials, payment-confirmation speakers, transaction tools and online-payment options. Razorpay UPI focuses on online and storefront acceptance, including smart QR and soundbox features.

No public source in this comparison establishes a like-for-like winner on price, uptime or customer support. Fees, eligibility, settlement timing, transaction limits and hardware terms can change, so confirm the provider’s current merchant agreement and your bank’s charges before enrolling.

What a small merchant should compare

UPI is the payment rail; a merchant product is the software, account and hardware used to accept and reconcile those payments. A customer may pay with any supported UPI app, while the merchant uses a separate business interface, QR display, speaker or dashboard. Treating every consumer UPI app as the same merchant service can hide important differences.

Compare these questions before choosing:

  • Where do you sell? A counter QR may be enough for a shop, while a home business taking orders by message may need payment links. A website or app may require a gateway integration.
  • How do you confirm payment? An on-screen notification works when one person watches the phone. A soundbox or SmartSpeaker can announce successful payments in a busy counter environment.
  • What records do you need? Basic collection differs from searchable transaction histories, settlements, refunds, disputes, invoices, reports and business insights.
  • Which customer methods matter? Some offerings emphasize UPI only; online gateways can also accept cards and netbanking.
  • What are the commercial terms? Check onboarding eligibility, bank-account requirements, per-transaction charges, device purchase or rental, settlement schedule, limits and support conditions.

Google Pay for Business: simplest collection model

What it supports

Google’s merchant help material describes Google Pay for Business as an app for small and medium-scale merchants in India. It lists three ways to accept money: Tez Mode, a QR code and a phone number. The app displays payment information, and Google says funds go directly to the merchant’s bank account.

This model suits a sole proprietor, stall or small shop that mainly needs a visible QR and a way to verify incoming payments. It does not, in the cited pages, provide the broader online gateway, invoicing or hardware catalogue described by some other providers.

Eligibility and limits

Google says the service is available only in India and that some businesses are ineligible. Transaction limits are set by NPCI, the merchant’s bank and, in some cases, Google; those limits can change. Do not assume that a successful customer payment proves every future payment will be accepted.

Google Pay Help states: “Merchants with individual accounts can receive up to ₹50,000 per month with BHIM UPI without fees. Your bank may charge fees after that.” The qualification matters: the statement applies to individual accounts using BHIM UPI, not automatically to every merchant account, payment type or business volume. It is also not a promise that the bank will impose no charge.

When it is a good fit

  • You need counter collection rather than a website checkout.
  • You can verify payments from the app and do not need an audible announcement.
  • Your business is eligible and your expected volume fits the applicable limits.
  • You are prepared to confirm the bank’s treatment of amounts above the stated threshold.

Paytm for Business: QR, audible confirmation and administration

In-store tools

Paytm lists an all-in-one QR for accepting payments at a physical location. Its Soundbox is mapped to a Paytm QR and, according to Paytm’s support description, announces successful payments received on that QR. This can reduce the need to keep checking a phone when staff are serving several customers.

The speaker is a service tied to a particular QR and provider account, not a universal UPI accessory. Confirm activation, connectivity, replacement, rental or purchase charges and support obligations in the current offer.

Remote collection and gateway

Paytm describes payment links that can be shared through messaging or social channels without requiring a website or app. That is useful for a made-to-order business, freelancer or seller who sends an amount and payment request after discussing an order.

Its payment-gateway description covers UPI and other payment methods, settlement into the merchant’s chosen bank account, and a dashboard for transaction management. The listed controls include refunds, disputes, settlements, reports and insights. Paytm also lists invoice creation and POS billing software, which may help a shop that wants billing and payment records in one workflow.

Trade-offs

Paytm offers more operational tools than a QR-only setup, but each extra component can introduce onboarding checks, configuration work and separate commercial terms. The product page’s descriptions of “instant” notifications or robust administration are provider claims; they are not independent measurements of speed, uptime or support quality.

PhonePe merchant solutions: broad acceptance and multilingual hardware

Physical store equipment

PhonePe’s offline merchant offering lists QR stickers and standees, a multilingual SmartSpeaker with instant payment confirmations and POS devices. It says merchants can accept payments from major UPI apps and track transactions and business insights.

A sticker or standee is a display format for the merchant QR, while the SmartSpeaker is an active device that confirms payments audibly. Ask whether the quoted device terms include connectivity, replacement, servicing and a recurring charge. A provider listing does not establish that a third-party stand or generic payment stand is compatible with the account.

Online gateway capabilities

PhonePe’s gateway page describes online acceptance for UPI, cards and netbanking. It also lists payment links, dynamic QR, UPI AutoPay and integration options. A central dashboard is described for transactions, settlements, refunds and analytics.

These features matter when customers pay from a website, an app, an invoice link or a recurring-payment arrangement. They can also create more reconciliation work than a single counter QR, so map the gateway’s settlement reports to your accounting process before switching on every option.

Razorpay UPI: storefront QR and soundbox focus

Razorpay’s UPI page lists offline storefront UPI acceptance with soundbox features and smart QR checkout. That combination targets a merchant who wants both a displayed QR and an audible or device-assisted confirmation at the counter.

The page states that payment aggregation services will be operated by Razorpay Payments Private Limited, an RBI-authorised Payment Aggregator, from January 1, 2026. This is a current corporate and service detail, so verify the live page, the legal entity in your agreement and the applicable merchant terms before relying on it. The cited page does not provide a comparable public fee schedule, settlement table or independent reliability result.

Choose by the way you sell

Only a walk-in counter

Start with a merchant QR product that gives clear payment information. Google Pay for Business may meet that need if the business is eligible and the applicable limits and bank charges are acceptable. Paytm or PhonePe become more attractive if a speaker, POS device, printed QR materials or richer records would save staff time.

Orders arrive by phone or social messaging

A payment link avoids asking a customer to scan a photograph of a QR or manually enter an amount. Paytm explicitly lists links that can be shared through messaging or social channels. PhonePe also lists payment links through its gateway. Check whether links can be cancelled, whether they expire, how refunds are handled and how the resulting payment appears in settlement reports.

You run a website or app

Use a gateway rather than relying on a static counter QR. PhonePe lists UPI, cards, netbanking, dynamic QR, UPI AutoPay and integration options. Paytm describes UPI and other methods plus a dashboard for refunds, disputes, settlements and reports. Compare technical integration requirements, verification, settlement timing and support before choosing.

You need staff to hear every payment

Consider a mapped soundbox or SmartSpeaker. Paytm says its Soundbox announces successful payments on the Paytm QR to which it is mapped; PhonePe lists a multilingual SmartSpeaker; Razorpay lists soundbox features with offline UPI acceptance. Confirm the exact QR-device mapping, network dependency, battery or power arrangement, service coverage and all device charges.

Fees, settlement and eligibility: what is not established publicly

The available product pages do not provide a consistent, independent price comparison across these services. They also do not establish that every business category is eligible, that every device is free, or that settlement timing is identical. A headline saying “no fee” can refer to one account type, one payment method or a threshold rather than all merchant activity.

Practical setup and control checklist

  1. Describe your payment flow. Write down whether customers pay at a counter, through messages, on a website or on a recurring schedule.
  2. Open the merchant account with the exact business details. Use the bank account and identity information requested by the provider; do not operate a staff member’s personal account as an informal substitute.
  3. Display the correct QR. Check the merchant name and destination account with a small test payment before placing a sticker or standee where customers can scan it.
  4. Configure confirmation. If using a Soundbox, SmartSpeaker or POS device, verify that it is mapped to the intended QR and that staff recognize the provider’s successful-payment announcement.
  5. Test reconciliation. Match a test payment to the app or dashboard, bank settlement and any invoice or POS record. Confirm how refunds appear.
  6. Set a closing routine. At the end of each shift, review transactions and investigate any payment claimed by a customer but missing from the merchant record. Never release goods solely because a customer shows a screenshot.
  7. Save the terms. Keep the current fee sheet, device agreement, settlement rules and support contacts so a later change can be identified.

Common failure points and responses

Payment appears pending

Do not treat a pending status as successful. Check the merchant app or dashboard and bank settlement, then follow the provider’s dispute or support process. A soundbox announcement should be checked against the transaction record if the amount or customer details look wrong.

The QR is not recognized

Use the provider-issued QR and confirm that the printed code has not been covered, damaged or replaced by a personal QR. If you changed bank accounts or business details, verify that the displayed merchant name still matches the account.

A limit blocks a legitimate payment

Transaction limits may come from NPCI, the bank or the provider and can change. Offer an approved alternative payment method, then ask the provider and bank which limit applies. Do not promise a customer that a retry will succeed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The speaker is silent

Check power, network connection, volume and QR-device mapping. Confirm the transaction in the merchant record; audible confirmation is an aid, not the sole accounting record. Request replacement or service under the device agreement if the checks do not resolve the problem.

Bottom line for a small merchant

Choose Google Pay for Business when eligible and a basic India-only QR, phone-number or Tez Mode collection flow is all you need. Choose Paytm or PhonePe when audible confirmation, merchant materials, dashboards, invoices, POS tools or payment links justify a broader setup. Choose a gateway-oriented option when customers pay online and you need cards, netbanking, dynamic QR, refunds or settlement analytics. Razorpay UPI is another storefront option with smart QR and soundbox features, subject to verifying its current legal and commercial terms.

Whichever service you select, make the decision from your actual payment flow and written terms—not from a generic promise of free fees, instant service or universal eligibility.
