Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsKeep a complete copy of your filed federal return and the records that support every reported item—income, deductions, credits, payments and refund claims. In the usual federal case, retain those records for at least three years, but do not use three years as an automatic discard date. A substantial omission of income, a fraudulent or invalid return, a later refund claim, or property you still own can require a longer period.
What to save immediately after filing
Your post-filing file should let you reconstruct the return and prove the figures if the Internal Revenue Service questions them. The IRS describes the standard this way: “You must keep records, such as receipts, canceled checks, and other documents that support an item of income, a deduction, or a credit appearing on a return as long as they may become material in the administration of any provision of the Internal Revenue Code, which generally will be until the period of limitations expires for that return.” See IRS Topic 305, Recordkeeping.

Keep the filed return and every attachment
Save the final federal Form 1040 as filed, including all schedules, worksheets that explain reported figures, elections, and attached forms. Keep a confirmation or acceptance record for an electronically filed return and proof of the filing date. If you mailed the return, retain evidence of mailing and delivery when available. The IRS says, “You should keep copies of your tax returns as part of your tax records” in Publication 17 (2025). A transcript can help verify information, but it is not a substitute for your return copy and supporting evidence.

Preserve income records
Match each income line to the document that supports it. Depending on your situation, that may include Forms W-2, 1099-NEC, 1099-MISC, 1099-INT, 1099-DIV, 1099-B, 1099-R, 1099-K, brokerage statements, partnership or S-corporation schedules, rental records, pension statements, and documentation for cash or other income. Keep corrected forms and explanations of any differences between a form and the amount reported.

Retain receipts, invoices, sales slips, canceled checks, bank or card statements, mileage logs, charitable-contribution acknowledgments, medical-payment records, education-expense documents, mortgage-interest statements, property-tax records, and other evidence supporting deductions or credits claimed. There is no special IRS format for these records; they must be legible and show what was purchased or paid, when, by whom, and how it relates to the tax item.
Keep payment and refund evidence
Save records of estimated-tax payments, extension payments, withholding, direct-debit authorizations, checks, payment confirmations, and refunds. These documents establish when tax was paid and can matter if the IRS account does not match your records or if you later claim a credit or refund.
How long to keep federal tax records

| Situation | Federal period or rule | What to do |
|---|---|---|
| Most filed individual returns | Generally three years for the IRS to assess additional tax, measured from filing. A return filed before its due date is generally treated as filed on the due date. | Keep the return and substantiation for at least three years in the ordinary case. |
| More than 25% of gross income omitted | Generally six years. The 25% test compares omitted gross income with gross income shown on the return. | Use six years when this specific substantial-omission rule applies; it is not a rule for every error. |
| Certain foreign financial asset income omitted | Topic 305 describes a six-year period for specified omitted income over $5,000 attributable to foreign financial assets. | Keep the relevant foreign-account and income records for at least six years. |
| Fraudulent return or no valid return filed | No limitations period protects the taxpayer. | Do not destroy records on a three- or six-year schedule when fraud or failure to file a valid return may be involved. |
| Refund or credit claimed after filing | Generally the later of three years after the original return was filed or two years after the tax was paid. | Retain records supporting the potential claim until the applicable later date has passed. |
| Property with tax basis | Records may be needed throughout ownership and through the limitations period for the year the property is sold or otherwise disposed of. | Keep basis, improvement, depreciation and sale records beyond the ordinary three-year cycle. |
These are federal individual-income-tax rules, not universal deadlines for state or local taxes, civil claims, insurance, employment files, or business records. A state may give its tax agency a different examination period.
Why “three years” is not a blanket disposal date
The ordinary assessment period
For a normally filed return with no listed exception, the IRS generally has three years to assess additional tax. The measurement is tied to filing, with an early-filed return generally treated as filed on its due date. The period concerns the IRS assessment authority; it does not erase your need to retain records for an asset you still own, a pending refund claim, or another legal purpose.
The six-year substantial-omission rule
If more than 25% of the gross income shown on the return was omitted, the assessment period generally extends to six years. This threshold is not triggered by any mistake, missing receipt, or small discrepancy. Apply it only when the omission meets the statutory test. Topic 305 also identifies a six-year rule for specified omitted income over $5,000 attributable to foreign financial assets.

Fraud and invalid returns
A fraudulent return, or a situation in which no valid return was filed, is not protected by the normal limitations countdown. Because the IRS can act without a limitations period in those circumstances, a routine purge schedule is unsafe where fraud or filing validity is an issue.

If you discover an overpayment and seek a refund or credit after filing, the general deadline is the later of three years from filing the original return or two years from paying the tax. Keep the amended-return calculations and evidence supporting the claim through that later date. The refund deadline is different from the IRS period for assessing additional tax.
Property records can outlive several tax returns
Homes, rental property, investments, business equipment and other assets create a basis trail. Basis can include the purchase price, certain acquisition costs, capital improvements, and adjustments; depreciation and prior deductions can reduce it. When you sell or otherwise dispose of the asset, those records determine gain or loss and may support depreciation recapture or other calculations.

What to keep for an asset
- Purchase agreement, settlement statement, closing costs and proof of payment.
- Invoices and receipts for capital improvements, renovations and major additions.
- Depreciation schedules, prior-year returns and records of business or rental use.
- Records of insurance proceeds, casualty events, exchanges, gifts, inheritances or other basis adjustments.
- Sales contract, closing statement, broker statement and selling expenses when the asset is disposed of.
Keep the complete basis file while you own the property. After disposition, retain it through the federal limitations period for the return reporting that transaction. Publication 225 (2025) explains the need to preserve records used to determine basis, depreciation, gain or loss.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Paper and electronic storage
The IRS applies requirements for hard-copy books and records to electronic storage systems that maintain tax books and records. A scan is useful only if it remains legible, complete and retrievable. Preserve pages in their original order when that order explains a transaction, and keep attachments that show the amount, date and purpose of a payment.
A practical digital setup
- Create a folder for each tax year, using the year of the return rather than the download date.
- Within it, use categories such as Filed return, Income, Deductions and credits, Payments, Investments, and Property basis.
- Use descriptive filenames, for example
2025-Form-1040-filed.pdfor2025-charity-acknowledgment-Red-Cross.pdf. - Scan paper records at a readable resolution and open several files after scanning to confirm they are complete.
- Keep at least one backup separate from the primary device, and periodically verify that the backup can be opened.
- Restrict access because tax files contain Social Security numbers, account numbers and financial information.
You do not have to buy a particular filing product or use a particular cloud provider. Labeled folders, a spreadsheet index, or tax-record software are organizational choices; the IRS does not require a special form of record. Its year-round guidance is available at Good recordkeeping year-round helps taxpayers avoid tax-time frustration.

A post-filing organization procedure
- Freeze the filed version. Save the exact return submitted, all schedules and the filing acceptance or mailing evidence before making later edits to working files.
- Build a support index. List each major income, deduction and credit item and link it to the corresponding statement, receipt or payment record.
- Separate continuing records. Move property-basis, investment-cost and carryforward documents into a folder that remains active until the related asset or tax attribute is disposed of or used.
- Record payment dates. Note the date and amount of withholding, estimates, extensions and final payments because refund and assessment rules can use different dates.
- Check for exceptions. Flag a possible substantial omission, foreign financial asset income, amended return, unresolved IRS notice, fraud concern or missing/invalid filing for extended retention.
- Calendar the earliest safe review date. Set a reminder after the ordinary period, but review continuing assets, refund possibilities and state requirements before deleting anything.
Before you throw anything away
- Confirm that the record is not the only evidence for a deduction, credit, income item or payment.
- Check whether an amended return, refund claim, audit, appeal, collection matter or IRS notice is pending.
- Confirm that every related property or investment has been sold and that the disposition year’s limitations period has ended.
- Check state and local retention rules separately; federal IRS guidance does not set every other jurisdiction’s deadline.
- Shred paper containing personal or financial information and securely delete electronic copies only after verified backups and the applicable periods are complete.
What a transcript can—and cannot—do
The IRS lets taxpayers request prior-return information and transcripts. A transcript may help reconstruct income or verify filing data, but it generally does not include every attachment, receipt, canceled check, mileage log or other substantiation. IRS Tax Tip 2025-21 explains how to request a copy of a previous return. Keep your own filed return and evidence rather than relying on a transcript as the complete record.
Scope for small-business and employer records
This article addresses U.S. individual federal income-tax returns. If you operate a business, separate records may apply. IRS business materials commonly describe keeping employment-tax records for at least four years after the tax becomes due or is paid, whichever is later. Business income, payroll, sales-tax, licensing and accounting rules can impose additional periods, so do not apply the individual three-year guideline to every business file.
Bottom line for a household filing system
Keep each filed federal return with its supporting documents for at least three years in the ordinary case. Use six years for a qualifying substantial income omission or the specified foreign-financial-asset situation, keep records indefinitely when fraud or a valid-return problem is involved, and preserve basis records until after the related property is disposed of and the disposition-year period expires. Store readable electronic or paper records in a way you can retrieve, and check state rules before deleting anything.
