Match the supplier GSTIN, invoice or credit-note number, date, taxable value, tax split, place of supply and amendments. Check whether the supplier filed the document in the correct period, review its status in the Invoice Management System (IMS), and ask the supplier to correct the source filing when necessary. You cannot add or edit a missing invoice directly in GSTR-2B: it is an auto-drafted, read-only statement. Before reporting input tax credit (ITC) in GSTR-3B, verify the separate legal conditions for claiming it, remove duplicate claims and record any required reversals.
The GST Portal’s GSTR-2B FAQ and its Revised Advisory on IMS explain the portal mechanics. They do not decide every taxpayer’s legal entitlement; that assessment still depends on the current law and your transaction records.

What each GST record actually tells you
A mismatch is easier to resolve when each record has a defined role. Treating one portal label as the final legal answer is a common cause of incorrect claims.

Your purchase register and accounting books
Your purchase register is your internal record of purchases and the tax shown on supplier documents. It should be supported by the underlying invoice, debit note, credit note, receipt evidence and payment or transaction records relevant to your business. It is the starting point for reconciliation, not a substitute for checking what the supplier reported.
#1 Best Overall
The supplier’s tax invoice or note
The document you received contains the details that must be compared with the portal data: supplier GSTIN, document number and date, taxable value, tax components, place of supply and whether the document is an original or an amendment. A typographical difference can prevent a clean match even when the commercial purchase is genuine.
GSTR-2B
GSTR-2B is an auto-drafted, document-level statement based on supplier and input service distributor filings. The recipient can view and download it, but cannot insert, overwrite or correct a supplier document inside the statement. Supplier-filed details flow into the recipient’s next open GSTR-2B according to the portal’s cut-off process. Therefore, an invoice date by itself does not prove which statement should contain it. The relevant supplier filing period and the portal cut-off must also be checked.
Invoice Management System (IMS)
Where a record is available in IMS, you can review it and take the appropriate action. The IMS advisory describes accepted, rejected and pending outcomes, along with records that remain without action. Those actions affect what is reflected in the generated GSTR-2B, so the status must be considered before filing GSTR-3B.
GSTR-3B
GSTR-3B is the return in which you report eligible ITC and make applicable reversals. A document appearing in an “available” portion of a portal statement is not, by itself, a complete legal determination that you may claim the credit.
Diagnose the type of mismatch before changing anything
| What you see | Common explanation to test | First action |
|---|---|---|
| Your invoice is in the books but absent from GSTR-2B | The supplier has not filed, filed after the relevant cut-off, or used a different GSTIN or document detail. | Check the supplier’s filing status and the next open GSTR-2B period; then request verification from the supplier. |
| The invoice appears, but the value or tax differs | A reporting error, amendment, credit note or data-entry difference may exist. | Compare every field with the source invoice and ask the supplier to correct the source filing where appropriate. |
| The record is in IMS with an unexpected status | An action may have been accepted, rejected, left pending or changed after a draft statement was generated. | Review the record and the current IMS advisory before taking or changing an action. |
| GSTR-2B shows available ITC, but your claim is questionable | A legal restriction, duplicate claim, credit note, reverse-charge treatment or other transaction fact may limit the credit. | Perform a legal eligibility review before including the amount in GSTR-3B. |
| An amended document is present in a later period | The original and amended records may be subject to sequencing rules. | Follow the advisory for that document type and period; do not act on the amendment in isolation. |
Step-by-step reconciliation workflow
-
1. Assemble the records for one return period
Export or collect the purchase register, the relevant downloaded GSTR-2B, supplier invoices and notes, and any IMS records. Work supplier by supplier and period by period rather than comparing one grand total. Keep the return period visible on every worksheet so a document is not accidentally moved into the month in which it was received or booked.

2. Match the identifying fields
For each document, compare the supplier GSTIN, invoice or note number, document date, taxable value, integrated or central and state tax amounts as applicable, and place of supply. Check whether the number contains leading zeros, spaces or a changed series. Record whether the portal entry is an original, a debit note, a credit note or an amendment. This field-level check often explains a mismatch that totals conceal.
-
3. Check the correct GSTR-2B period and supplier filing status
The GST Portal says the monthly GSTR-2B is generated on the 14th of the succeeding month. Supplier and ISD information appears in the next open statement under the portal’s filing cut-offs, including different timing for monthly and quarterly supplier filings. Use the current instructions for the period you are reconciling; do not treat an example date in an older FAQ as a current supplier due date. If the supplier filed after a statement was generated, look at the subsequent open GSTR-2B instead of assuming the invoice is permanently missing.

4. Review the IMS record where one exists
Compare the IMS record with the invoice and your books before acting. The advisory explains that a record left without action is deemed accepted when GSTR-2B is generated. Accepted or deemed-accepted records can be reflected as available ITC; rejected records are excluded, while pending records are carried forward where the system permits. Accept a document only after checking that it belongs to your business and is reported correctly. Reject an erroneous record, or keep it pending when permitted while supplier follow-up is underway.
-
5. Ask the supplier to verify the source filing
Send the supplier the GSTIN, document number and date, taxable value, tax amounts and the GSTR-2B period in which you expected the record. Ask whether the invoice was saved and filed through the applicable GSTR-1, Invoice Furnishing Facility or GSTR-1A process, and whether an amendment or credit note changed it. The recipient cannot repair the record in GSTR-2B; the supplier must correct the underlying filing where a reporting error exists.
-
6. Handle amendments in the required sequence
Amended documents can span different GSTR-2B periods. The IMS advisory describes sequencing situations in which the recipient must act on the original record and file the relevant GSTR-3B before acting on the amended record. Check the current advisory for the exact record type and periods. Do not accept or reject an amendment without tracing the original document and any tax impact.
-
7. Recompute after a post-generation IMS change
If you take or change an IMS action after the draft GSTR-2B has been generated, recompute GSTR-2B before relying on the revised figures. Otherwise, your working file may contain a status different from the statement used to prepare GSTR-3B. The advisory also explains that accepted, deemed-accepted and rejected records move out after filing the corresponding GSTR-3B, so preserve a reconciliation copy for your records.

8. Perform the legal ITC review before filing GSTR-3B
Use the final reconciled records to assess whether the credit satisfies the applicable provisions of the CGST Act and related rules. Check that you have not claimed the same document twice, that credit notes and reversals have been accounted for, and that reverse-charge tax has been treated in the required manner. The portal’s unavailable-credit summary identifies specified situations, including time-barred credit under section 16(4) and a supplier or place-of-supply mismatch described in the FAQ, but the portal expressly warns that other legal restrictions may apply. Make every reversal required by the facts and current law.
Why an invoice may not show in GSTR-2B
The supplier filed after the cut-off
GSTR-2B is generated from filings received by the portal within its cut-off process. A supplier filing made after the relevant statement was generated can appear in the next open statement. Check filing timing and the next period before escalating a genuinely ordinary timing difference.
The supplier has not filed or used the wrong return channel
An invoice cannot flow into your statement until the supplier reports it through the applicable filing. Ask the supplier to confirm that the document was included in the correct GSTR-1, IFF or GSTR-1A filing and that the filing was actually submitted, not merely saved.
A GSTIN or document detail is wrong
An incorrect recipient GSTIN, invoice number, date, taxable value or tax amount can create a missing or incorrect match. Compare the portal entry with the signed or electronic invoice and request an amendment from the supplier when needed.

The document was amended or offset by a note
A later amendment, debit note or credit note can change the amount associated with an original invoice. Trace both records and follow the IMS sequencing rules rather than claiming the original and ignoring the adjustment.
An IMS action changed the result
A rejection can exclude a document, and a pending action may defer it. A no-action record is treated as accepted at GSTR-2B generation under the advisory. If an action was changed after draft generation, recompute the statement.
How to contact a supplier about a mismatch
A precise request is more likely to produce a correction than a message saying only “ITC is missing.” Include:
- your legal name and recipient GSTIN;
- the supplier GSTIN and invoice or note number;
- document date, taxable value and each tax component;
- the GSTR-2B period in which you expected the record;
- a copy of the invoice and a screenshot or line reference from your reconciliation, with sensitive information protected; and
- the action you need: confirmation of filing, correction of a field, amendment, or explanation of timing.
Ask the supplier to confirm the filing period and the return in which it was reported. Once the supplier corrects the source filing, wait for the document to flow into the next applicable GSTR-2B and then reconcile again. Do not insert the amount manually into GSTR-2B or treat a supplier promise to file as proof that the credit is already available.

Do not answer this question from the GSTR-2B label alone. The absence of a document may be a temporary portal timing issue, but it may also indicate that the supplier has not reported the transaction or that a document detail is wrong. Review the applicable statutory conditions, the underlying invoice and the current GST Portal instructions for your period. If the amount is disputed, material, late or legally complex, have a qualified GST professional review the documents and the proposed return treatment before filing.

Preventing recurring mismatches
Reconcile monthly instead of waiting for an annual clean-up
Download each period’s GSTR-2B when available, match it to the purchase register, and assign unresolved items to a supplier follow-up list. Early contact gives the supplier time to correct a filing before the issue affects several returns.
Separate timing items from errors
Use separate reconciliation statuses such as “expected next period,” “supplier correction requested,” “IMS pending,” “legally ineligible” and “resolved.” This prevents a temporary absence from being confused with permission to claim, and prevents a portal appearance from being treated as automatic eligibility.
Keep an audit trail
Save downloaded statements, the invoice version used for matching, IMS decisions, supplier replies and the final GSTR-3B calculation. If an amendment arrives later, you can show how the original credit and subsequent adjustment were handled.
When professional advice is warranted
Use the current GST Portal GSTR-2B instructions and IMS advisory for portal operation, and consult the CBIC CGST Act material and current law for statutory questions. A GST professional should review an actual disputed amount, a late or amended document spanning periods, a suspected duplicate claim, a significant reversal, or any question about eligibility that cannot be resolved from the documents. The official sources explain the system’s data flow; they do not decide the facts of your business or replace a legal eligibility assessment.
