Sign in to the GST Portal, inspect the exact status and notices, and use the jurisdiction-specific escalation route when the record shows an officer or payment delay. This guide assumes India; GST procedures and timelines differ in other countries.
Start by separating a delayed return from a delayed refund
These are related but different problems. A GST return is a periodic filing that reports transactions, tax, input tax credit and payment information. A refund is a separate application that may follow an eligible excess payment, export-related claim or another category recognised under GST law. A successfully filed return does not itself prove that a refund application has been processed.

| What you see | What it usually means you need to check |
|---|---|
| “GST return filed but not processed” | Filing acknowledgement, notices, mismatches, requested clarifications, payment or other outstanding action on the GST Portal. |
| “GST refund status not updated” | The refund application stage, ARN, any deficiency memo or notice, and whether a reply was recorded. |
| “GST refund not credited” | Whether an order or payment order was issued, and whether PFMS bank validation and disbursal have completed. |
| “GST refund pending with officer” | The application is at an officer-review stage; obtain the notice or order and contact the jurisdictional office through its current official channel if action is overdue. |
Do not infer a decision from a short status label alone. Download the underlying notice, deficiency memo, order or payment document shown in the portal and read the action and deadline stated there.

- Record the filing period and reference. Save the return period, acknowledgement or reference number, and the date and time shown after submission. For a refund, locate the ARN and application year.
- Confirm that submission actually succeeded. A prepared form, saved draft or failed payment is not the same as a filed return or submitted refund application.
- Review every portal notice. Look for a mismatch, deficiency memo, request for documents, payment demand, adjustment proposal or reply deadline.
- Check outstanding compliance. Required returns that remain unfiled or specified unpaid amounts can affect a refund under the CGST Act. Review the taxpayer account rather than assuming the delay is administrative.
- Check the bank account on record. For a refund that has an order but no credit, compare the bank details used in the application with those recorded against the GST registration.
- Keep an evidence folder. Store acknowledgements, screenshots, downloaded notices, replies, orders, bank-validation messages and all support-ticket numbers in date order.
When a GST return is filed but not processed
Verify the filing and the period
Open the relevant return history and confirm that the status reflects a successful filing, not merely a saved form or an interrupted submission. Match the period to your books and preserve the acknowledgement. If the return was filed through a representative or software, obtain the portal-generated reference rather than relying only on an internal receipt.
#1 Best Overall
Look for a notice or requested correction
A return can appear inactive while the portal is waiting for a taxpayer response or another required action. Read the notice in full, including the response method and deadline. Do not send an informal email in place of the response process specified on the portal.
Reply through the prescribed workflow
GSTN’s published FAQ explains that when a taxpayer files a reply to a refund notice, the portal records the reply and updates the application status. The same practical lesson applies to any workflow that provides a formal reply button: submit through that workflow, save the acknowledgement and then recheck the status. A reply that was drafted but not finally submitted will not establish compliance.
Separate a portal fault from a tax issue
If the page will not load, a document cannot be uploaded, a filed return is missing from history or a button produces an error, treat that as a technical issue. If the portal displays a notice, liability, mismatch or rejection, it is a substantive tax matter even when the interface is working normally. The remedies and escalation channels are different.

How to track a GST refund by ARN
- Sign in to the GST Portal.
- Select Services > Refunds > Track Application Status.
- Search by the filing year or by ARN.
- Open the application record and note the exact current stage, dates and any linked documents.
- Download each notice, deficiency memo, order or payment document before deciding what to do next.
GSTN says this tracking view is intended to show where an application is pending, including whether action rests with the taxpayer or the officer. The ARN is therefore more useful than a general statement that a refund is “under process.”

What each refund stage requires
Pending for taxpayer action
Check for a deficiency memo, notice or request for supporting records. Follow the portal’s reply process exactly and submit before the stated deadline. Keep the reply acknowledgement and verify that the displayed stage changed afterward.
Pending with the officer
This means the portal record shows an officer-side stage, not that the claim has been approved. Review the date of the last movement and whether an order or further notice is available. If the application has exceeded the service standard applicable to your jurisdiction, contact the responsible office using its current official contact route and provide the ARN, taxpayer identification details and a concise chronology.
Deficiency or rejection-related stage
Read the deficiency memo or order to determine whether the issue is missing evidence, an ineligible amount, a calculation problem or a procedural defect. A technical support ticket cannot overturn an officer’s decision. If the document creates an appeal or response deadline, obtain advice promptly from a qualified Indian GST professional.

Order or payment order issued, but no bank credit
A sanctioned amount can still be waiting for payment processing. GSTN distinguishes the GST Portal application status from PFMS status. Its advisory explains that bank-account validation is relevant when an officer issues a payment order and again during final disbursal. Compare the bank account used for the application with the account linked to the registration, correct inconsistencies through the permitted process, and then check PFMS-related status where the portal directs you.

Adjusted or withheld amount
Do not assume the whole sanctioned figure will be deposited. Section 54 of the CGST Act permits withholding in specified circumstances and deduction of amounts due. Required returns, unpaid government dues or a documented adjustment may explain why the credited amount differs from the claim. The notice or order should identify the legal basis and amount; challenge it through the route stated in that document, not through a technical complaint alone.
What to do when a GST refund is not credited
Use a three-way check: the application record, the payment system and the bank account. The portal may show that an order exists while PFMS still shows validation or disbursal pending. Conversely, a payment marked complete may have failed because account details were invalid or inconsistent.
- Confirm the payment-order date and amount in the portal.
- Check whether PFMS reports bank validation, rejection, revalidation or disbursal.
- Verify the account number, bank name and other details recorded for the refund and GST registration.
- Ask the bank whether an incoming government credit was rejected, returned or placed on hold.
- Preserve the bank’s written response and attach it when contacting the jurisdictional office.
If the portal prevents you from viewing the payment record or correcting a technical error, use GSTN’s issue-reporting route. If the record shows a completed order but payment remains unresolved, contact the jurisdictional tax office as well; a portal ticket alone does not instruct the officer or guarantee disbursal.

GSTN’s self-service support is designed for problems encountered while using the GST Portal. Start with the issue-search and FAQ flow. If the suggested answer does not solve the problem, lodge a complaint and save the ticket reference. Use the portal’s ticket or issue-status function to monitor it.

Describe the technical symptom precisely: the page, date, browser or device if relevant, error text, ARN or return reference, and the action that failed. Attach only the documents requested through the official channel and mask information that is not necessary. A support ticket can help restore access or correct a portal workflow; it does not decide eligibility, waive a statutory deadline, replace a reply to a notice or operate as an appeal against an order.
Timelines, statutory interest and what 60 days does—and does not—mean
Section 56 of the CGST Act, 2017 provides an interest framework when a qualifying refund ordered under section 54(5) is not refunded within 60 days from receipt of the application under section 54(1). The ordinary rate is to be specified by government notification and cannot exceed 6% under the statute. Certain refunds arising from a final adjudicating, appellate or court order have a separate statutory ceiling of 9% when the conditions in the law are met.
The 60-day rule is not a blanket promise that every claim will reach a bank account within 60 days. Eligibility depends on the refund category, whether the application is legally complete, the order history, any withholding or adjustment, payment-system events and the rate notified for the relevant period. Calculate entitlement only after checking the actual application and order dates and the current notification. Do not quote 6% or 9% as an automatic payout rate.
A Central GST Jaipur citizen charter lists 60 days from receipt of a complete refund application as that office’s disposal standard. It is a local administrative service standard, not an all-India guarantee and not the same rule as statutory interest. Check the current charter or instructions of the office handling your claim.

When and how to escalate
Escalate a portal problem through GSTN
Use the self-service search, lodge a ticket if necessary and retain the reference. Follow up through the ticket-status page when the promised response window passes. Include the original ticket number in every later message.
Escalate a substantive delay to the jurisdictional office
For an officer-pending refund, an unexplained payment hold or a disputed adjustment, use the current official route for the jurisdiction assigned to the GST registration. Provide the ARN or return reference, filing and application dates, the latest status, notice or order numbers, and the precise remedy requested. Ask for acknowledgement of receipt.
Escalate a legal dispute separately
If an order rejects the claim, raises a demand, sets off dues or imposes a deadline, the document may provide a reply, review or appeal route. A tax practitioner can help assess limitation periods, evidence and the correct authority. Do not wait for a technical-ticket response when a statutory deadline is running.
Common mistakes that prolong a delay
- Checking only the dashboard instead of opening the ARN record and documents.
- Assuming “sanctioned” means the bank has already received the money.
- Using a GSTN technical ticket to contest the merits of an officer’s order.
- Ignoring an outstanding return or government due that can be withheld or deducted under the law.
- Submitting a reply but failing to verify that the portal recorded it.
- Quoting another country’s GST timeline as an Indian deadline.
- Waiting for an informal phone assurance while a written notice or appeal period is active.
Do not import timelines from Canada or New Zealand
GST systems are jurisdiction-specific. Canada Revenue Agency guidance says most GST/HST returns and refunds are processed or issued within four weeks under its stated conditions. New Zealand’s Inland Revenue Department says a requested GST refund is generally paid within 15 working days. Those figures do not set expectations for an Indian GST application and should not be used in correspondence with an Indian officer.
What to have ready before asking for help
| Item | Why it matters |
|---|---|
| GSTIN and legal name | Lets the office identify the correct taxpayer account. |
| Return period or refund ARN | Connects the question to one filing or application. |
| Filing or application acknowledgement | Shows when the portal received the submission. |
| Latest status screenshot and downloaded documents | Shows the exact stage rather than a paraphrase. |
| Notice-reply acknowledgement | Proves that requested action was submitted. |
| Payment order and PFMS information | Separates officer approval from bank disbursal. |
| Bank validation or rejection evidence | Helps diagnose a failed credit. |
| GSTN ticket number | Allows technical follow-up without restarting the complaint. |
Bottom line
Track the ARN or return reference first, read the actual notice or order, and identify whether the blocker is taxpayer action, officer review, adjustment, bank validation or technical access. Use GSTN support for portal faults and the jurisdictional office for a substantive refund or return decision. Section 56 may provide interest for qualifying late refunds, but its 60-day framework and notified rates do not guarantee that every claim will be paid within 60 days.
