The E-Way Bill System FAQ says goods are not supposed to move after validity expires. An extension may be requested only for qualifying exceptional delays, generally from eight hours before expiry to eight hours after expiry. A submitted wrong entry cannot be edited; where cancellation is still permitted, cancel the bill and generate a corrected one. A vehicle or transport-document update is a different process and is available only while the bill remains active and within validity.
First, determine what “invalid” means on the portal
Do not treat every rejection as an expired bill. Open the bill record, note its exact status, and save the literal error message or screenshot. The practical remedy depends on whether the problem is expired validity, an incorrect Part A entry, missing or incorrect Part B details, cancellation, or another portal validation failure.

- Expired validity: the allowed travel period has ended. Pause movement and assess whether an exceptional-delay extension can be requested.
- Wrong Part A information: a submitted entry cannot be edited through the extension feature. Cancellation and regeneration may be necessary if the portal still allows cancellation.
- Part B vehicle or transport-document problem: an update is possible only when the bill is active and still within its validity period.
- Unspecified portal error: do not guess what an error code means. Keep the exact message, bill number, status, and transporter assignment for the GST/e-way bill help channel or a qualified GST professional.
The general e-way-bill framework applies to consignments above the prescribed threshold, commonly ₹50,000 under the CGST Rules, subject to exceptions and the rules applicable to the particular movement. That threshold does not itself authorize movement on an expired or invalid bill.
Choose the remedy by cause, timing and status

If the e-way bill has expired: extension procedure
1. Stop and verify the expiry time
Check the bill’s generation record, the first Part B entry and the displayed expiry timestamp. Do not assume that a vehicle already on the road has a grace period. The FAQ’s instruction is direct: if validity expires, the goods are not supposed to be moved.

2. Confirm that an exceptional circumstance exists
The extension facility is intended for an exceptional delay, not routine lateness. The official examples include a natural calamity, a law-and-order problem, a trans-shipment delay and a vehicle accident. A breakdown is handled as a specific example in the FAQ. The fact that a bill is inconveniently close to expiry, by itself, is not a published guarantee that an extension will be accepted.
3. Act inside the portal window
The E-Way Bill System describes the request window as beginning eight hours before the stated expiry and ending eight hours after it. This is a window for submitting an extension request, not an unrestricted permission to keep transporting goods after expiry. Pause movement unless and until the live record reflects a valid status.
4. Use the authorized account
The transporter carrying the consignment at the time of expiry can extend the validity. If no transporter has been assigned in the bill, the generator may update it. A different employee or account should not assume it can submit the request merely because it knows the consignment details.
5. Enter every required extension field
- Choose the extension function for the bill and identify the exceptional reason.
- Write a clear description of what happened, such as the accident, breakdown, trans-shipment delay, natural calamity or law-and-order interruption.
- Enter the consignment’s present location, not its original dispatch location.
- Enter the approximate distance remaining to the destination. The API validation says the remaining distance cannot exceed the original distance stated for the bill.
- Supply the applicable Part B information. For road movement this includes the current vehicle details; for rail, air or ship, use the relevant transport-document information.
- Submit the request and review the returned status, validity and any validation message before resuming movement.
Portal validation can reject a request. An extension is therefore not automatic simply because the request is filed within the eight-hour window.

Breakdown-specific handling
For a vehicle breakdown, the FAQ describes selecting the movement option and updating the new vehicle and the breakdown-location PIN code. That instruction is specific to the breakdown workflow; do not assume it applies unchanged to every transport mode, delay type or error.
What an extension cannot fix
The extension option changes validity and, where required, Part B information. It does not rewrite a wrong Part A entry. The FAQ expressly says Part A cannot be changed during an extension. If the invoice number, invoice date, consignor, consignee, taxable value, HSN or another submitted Part A field is wrong, treat it as a data-correction problem rather than an expiry problem.
The API documentation also states a restriction for extending bills more than 360 days from generation. This is a portal implementation limit that can change, so verify the current live rule when an old bill is involved.

Do not promise an edit
Once an e-way bill is submitted, the official FAQ says a mistake, incorrect entry or wrong entry cannot be edited or corrected. Creating a second bill without addressing the first can leave two records for the same movement; follow the cancellation and regeneration path that the portal permits.

Check whether cancellation is still allowed
Rule 138 provides that an e-way bill cannot be cancelled if it has been verified in transit under Rule 138B. The cited CBIC CGST Rules PDF dated 1 January 2020 describes cancellation within 24 hours of generation. Because that document is not a consolidated 2026 edition, confirm subsequent notifications, amendments and the current portal condition before treating 24 hours as universal in a particular case.
Regenerate from the underlying document
- Stop the movement if the existing bill is invalid or its details do not match the consignment.
- Compare the bill with the actual invoice, bill of supply or delivery challan and identify the precise wrong field.
- Use the portal’s cancellation function only if the current status and applicable rules permit it.
- Create a new bill using the corrected particulars and the required Part B information.
- Check the new bill’s validity, vehicle or transport-document number and status before dispatch or resumption.
If cancellation is blocked, retain the portal message and obtain case-specific GST advice rather than trying repeated edits or moving on an unverified record.
Part B vehicle and transport-document updates
Part B has its own update path. The published API documentation says the bill must be active, not cancelled, and within validity. For road transport, the update requires a vehicle number. For rail, air or ship, it requires the applicable transport-document number.

How validity is calculated
When the clock starts
The FAQ says validity begins with the first Part B entry: the first vehicle entry for road transport, or the first transport-document entry for rail, air or ship, whichever is entered first. Later Part B entries do not restart or recalculate the validity period.
Distance allocation
For regular transport, the FAQ describes one day of validity for every 100 kilometres or part thereof. For Over Dimensional Cargo, it describes one day for every 20 kilometres or part thereof. Validity ends at midnight on the last day. Apply the rule to the movement and edition of the rules that govern your consignment; Rule 138 and later amendments remain the legal framework.
Why a late vehicle change does not reset expiry
Adding a later vehicle or transport-document entry does not create a fresh validity period. If the original bill is close to expiry, calculate the remaining time from the first Part B entry and use the extension process only when the exceptional-circumstance conditions and portal window fit.
Portal troubleshooting when the request fails
Capture the evidence
- Bill number and generation date and time.
- Displayed validity start and expiry.
- Current status, including any cancelled or transit-verified indication.
- Transporter GSTIN or assignment status.
- Exact error text, including punctuation and any code.
- Current location, vehicle number or transport-document number, and remaining distance.
Check the common validation conflicts
- The request may be outside the eight-hours-before/eight-hours-after window.
- The remaining distance may exceed the original distance recorded.
- The bill may be cancelled, already verified in transit, or otherwise inactive.
- The wrong account may be attempting the action: the current transporter is the normal extender, while the generator can update when no transporter is assigned.
- The bill may fall under the stated 360-day extension-age restriction.
- A Part A correction may be incorrectly attempted through an extension or Part B screen.
These checks explain frequent process conflicts, but they do not identify every portal error. If the message persists, contact the GST/e-way bill help channel or a qualified GST professional with the saved record rather than diagnosing an unspecified code from memory.

Records to keep before moving again
Maintain the original invoice or challan, the bill PDF or printout, screenshots of the error and status, the extension or cancellation acknowledgement, and the details of the delay. Record when the vehicle stopped, where it was located, when a replacement vehicle was assigned and which account submitted the request. These records help reconcile the movement with the corrected bill and give an adviser the facts needed for a specific answer.
Practical examples
Vehicle accident six hours after expiry
Stop the consignment, document the accident location and remaining distance, and have the current transporter submit the extension request within the published eight-hour-after-expiry window. Include the reason description and updated Part B details. Resume only after the portal shows the extended, valid record.
Invoice value entered incorrectly, bill still within 24 hours
This is a Part A error, not a routine vehicle update. Check whether cancellation is allowed and whether the bill has been verified in transit. If cancellation succeeds, generate a new bill from the correct invoice particulars. The 24-hour statement in the 2020 CBIC PDF must be checked against current amendments and portal rules.
Vehicle number mistyped while the bill is active
Use the Part B vehicle-update path and enter the correct road vehicle number. Do not cancel a bill solely to repair a Part B detail when the active, within-validity update is available.
Prevention for recurring shipments
- Enter the first Part B detail promptly and monitor the resulting validity deadline.
- Reconcile the vehicle or transport-document number against dispatch records before departure.
- Assign the transporter in the portal so the authorized extender is clear if a delay occurs.
- Track consignments approaching expiry and keep a documented escalation route for accidents, breakdowns, trans-shipment and other exceptional events.
- Train staff to distinguish Part A corrections, Part B updates and expiry extensions; each has different timing and status requirements.
Before the vehicle moves, the decisive check is the live portal record: it should show the correct particulars, an active status and unexpired validity for the actual consignment and transport details.
