Start with the portal that sold or ticketed the reservation, not the airline, hotel or rental counter. Open the itinerary, read the exact change and cancellation terms, and note the deadline, time zone, penalties, fare difference, refund method and any credit restrictions before selecting a button. A voluntary cancellation usually follows those reservation terms; an airline cancellation or significant schedule change can create a separate refund right under U.S. Department of Transportation rules.
First, identify who controls the booking
A credit-card travel portal may display an airline, hotel or car-rental brand, but the portal can be the agent that made the reservation and, for an air ticket, may be the merchant of record. The company that sold or ticketed the trip is generally the right first contact for changes, cancellations and ticket-credit questions.

- Open the confirmation email and the portal’s “My trips” or equivalent account page.
- Record the portal name, booking reference, airline or provider confirmation number, ticket number if shown, traveler names and each itinerary component.
- Note whether you paid with cash, points, a statement credit, an airline credit or a combination.
- Check the card statement later to see which entity appears as the merchant of record; that can matter if an airline disruption requires a refund.
If the portal offers no usable self-service control, use the telephone number or chat link shown in that booking or account. Do not rely on a generic number copied from an unrelated webpage. The individual itinerary controls most voluntary changes. Look for these items in the fare rules, hotel policy, rental conditions or package terms:

- The last date and exact time zone for a no-penalty cancellation or change.
- Whether the booking is refundable, partially refundable, credit-only or nonrefundable.
- The cancellation or change penalty, plus any difference between the old and new fare or room rate.
- Whether a refund returns to the original card, points account or another form of value.
- Credit expiration, eligible travelers, permitted routes or properties, and whether the credit can be transferred.
- Whether the portal, rather than the provider, must process the request.
- Any optional protection purchased at checkout and its separate eligibility and exercise deadline.
Save a screenshot or PDF of the terms and the current itinerary. Policies can change as departure approaches, and the version visible when you request the transaction is useful if the result is disputed.
Use this action sequence
- Choose the desired outcome. Decide whether you need a date or name correction, a full cancellation, a partial cancellation, or simply time to evaluate an airline disruption. A change quote and a cancellation/rebooking quote can produce very different costs.
- Compare the numbers. Write down the penalty, new fare or rate, taxes, residual value and any credit expiration. A “free change” can still require a higher fare; a cancellation can produce only a restricted credit.
- Open the portal’s trip-management page. Follow the itinerary-specific control rather than starting a new reservation. For American Express hotel bookings, the published path is Manage My Trips, select the upcoming itinerary, then choose Cancel This Reservation. If available, Change Dates starts a date modification. - Contact the original portal when self-service is unavailable. Use the booking confirmation or account contact details for a complex itinerary, package, multiple travelers, missed flight, imminent departure or missing button. Have every confirmation number ready.
- Ask the representative to state the result before processing. Confirm whether the transaction is a refund, credit, rebooking or forfeiture; the amount; the destination of the value; and the deadline to use it. If you seek a refund, ask whether accepting a voucher or credit would waive that claim.
- Obtain written proof. Save the cancellation or new-itinerary email, case number, quoted amount, credit certificate, expiration date and reuse restrictions.
- Monitor the account. Check the card statement, points balance and any provider account. If the promised value does not appear within the stated period, contact the portal again with the case number.
Voluntary cancellation is different from an airline disruption
When you change your mind
If you decide not to travel, the provider’s fare, room or rental terms normally determine the result. A refundable airline ticket may return money to the original payment method; a nonrefundable ticket may offer only a credit, less a fee, or nothing after the deadline. Hotel and rental policies can impose their own penalties even when the portal does not charge a separate service fee.
When the airline cancels or significantly changes the flight
The U.S. Department of Transportation treats an airline-caused cancellation or significant change differently. If you reject the alternative transportation or other compensation offered, you may be entitled to a refund for qualifying air transportation. For an agent booking, responsibility follows the merchant of record shown on the payment statement when the ticket agent took that role. Do not accept a credit or voucher first if your objective is an eligible cash refund; acceptance can affect the resolution. DOT generally describes refunds as due within seven business days for credit-card payments and 20 calendar days for other payment forms in the applicable situations. Those time frames do not turn every voluntary cancellation into a refund claim.
What the 24-hour airline rule actually covers
For a qualifying reservation with a U.S. airline made at least seven days before departure, the airline must offer either a 24-hour hold or a penalty-free cancellation refund when requested within the required period. The rule is about holding or canceling the reservation; it does not require a free date change during those 24 hours.
The airline requirement does not apply to tickets purchased through travel agents, online travel agencies or other third-party agents. A card travel portal commonly falls into that category, so contact the portal first. The portal may voluntarily offer similar treatment, but you must read its terms. DOT’s page specifically addresses the question, “Can I cancel a ticket reservation or purchase within 24 hours of booking?” and limits the federal requirement as described above.

This federal rule concerns air transportation to, from or within the United States. It creates no general 24-hour cancellation right for hotels, car rentals, cruises, vacation packages or a voluntary airline booking made outside the qualifying conditions.

These examples show why the itinerary, not the card name alone, controls. They are not promises about every booking.

Handle each trip component separately
Flights
Check ticket status, fare family, change rules and whether the airline has issued a schedule-change notice. A portal may need to reissue the ticket even when the airline’s website displays a self-service option. Keep the unused ticket number and any residual credit documentation.

Hotels
Hotel penalties often depend on the local property time zone and can begin days before arrival. A portal’s lack of an online fee does not override a hotel’s late-cancellation or nonrefundable policy. Confirm whether a no-show is treated differently from a cancellation.
Rental cars
Check the pickup location’s cancellation window, prepaid versus pay-later status, no-show rule, and whether changing dates changes the daily rate or taxes. A flight disruption does not automatically cancel a separate car reservation.

Packages
Air, hotel and other components can have different deadlines. Ask the portal for a component-by-component accounting of penalties, credits and refunds rather than assuming the package has one universal rule.

Optional protection is not automatic coverage
Some portals and issuers sell cancellation protection as an add-on. Capital One Travel describes eligible flight and hotel cancel-for-any-reason options that must be purchased when booking. American Express describes optional flight cancellation protection and related travel products through its Travel Customer Support Help Center and Trip Cancel Guard benefit information. Eligibility, deadlines, covered components, limits and exclusions apply. An add-on bought after the reservation, or a policy that excludes the reason for cancellation, generally cannot be assumed to rescue the booking.
Common failure points and the practical fix
- The cancel button is missing: switch from the provider’s site to the portal account, then use the booking-specific chat or telephone number.
- Two confirmation numbers conflict: give both to the portal agent and ask which is the ticketed or active record; do not create a duplicate booking while the status is unclear.
- Departure is imminent: contact the portal immediately, then ask the airline, hotel or rental desk what operational action is needed to prevent a no-show while the portal case is open.
- The quote is higher than expected: request an itemized breakdown of penalty, fare difference, taxes and residual credit, and compare it with canceling under the written terms.
- A refund is late: provide the case number, transaction date and promised amount to the portal; if the merchant of record is responsible for a qualifying airline refund, identify that entity on the statement when escalating.
- You were offered a voucher but wanted money back: pause before accepting and ask whether acceptance changes your refund rights.
Keep a complete record
Store the original confirmation, policy text, screenshots, chat transcript, emails, call date, representative name, case number, revised itinerary and proof of any payment or points adjustment. Record the exact deadline and time zone in your calendar. When the transaction closes, verify that every component—air, hotel, car and package—has the promised status and that credits show the correct expiration and traveler restrictions.
The safest sequence is therefore consistent: inspect the reservation terms, use the portal that sold the trip, distinguish a voluntary request from an airline-caused disruption, and document the result before you assume the matter is finished.
