Correct the books; do not leave the charge as a deductible business expense. Keep the receipt and payment record, identify who benefited, and reclassify the personal amount to the appropriate owner, partner or shareholder account. If the partner reimburses the business, record the repayment against that balance and retain proof. The correct account and tax result depend on the country, legal entity, agreements, whether repayment is required, and whether a tax or payroll filing already included the payment.
This guide covers the general principles for sole proprietors, partnerships and corporations in the United States, Canada and the United Kingdom. It is not a substitute for advice on a material amount or an already-filed return.

First, separate the personal payment from business expenses
A business bank account or card does not turn a personal purchase into a business expense. In the United States, the IRS says deductible costs must be ordinary and necessary for the business; when a payment has business and personal components, the personal portion must be separated and is generally not deductible. See IRS Publication 334 (2025), Tax Guide for Small Business.

How to correct the bookkeeping entry
Remove the personal amount from the business expense category. The offset depends on the entity and the facts:
| Situation | Common accounting destination | Important qualification |
|---|---|---|
| Sole proprietor | Owner draw, owner distribution or personal-use account | The label should reflect an owner withdrawal, not a business deduction. |
| Partnership | Partner drawing or distribution account, or an amount due from the partner | Use the partnership agreement and the transaction’s substance to determine the partner account. |
| Corporation | Shareholder distribution, documented shareholder receivable, compensation or benefit account | These categories have different tax and payroll consequences; a journal label alone does not establish a loan. |
| Genuine reimbursement obligation | Receivable or “due from partner/shareholder” account | Record a debt only when the facts show a real obligation and the required documentation exists. |
Account names in bookkeeping software are not legal conclusions. A balance called “shareholder loan” or “partner receivable” does not, by itself, create a bona fide debtor-creditor relationship. Document the terms, approval and expected repayment where a debt is intended.
If the partner will repay the business
- Post a correcting entry that removes the personal amount from the expense account and records the appropriate owner, partner or shareholder balance.
- Have the partner transfer the money to the business account, preferably with a clear reference to the original date or transaction number.
- Record the cash receipt against the same balance used for the correction.
- Keep the transfer confirmation with the receipt and bank statement.
The repayment is generally a settlement of the balance, not automatically business income merely because cash returned to the account. Have the bookkeeper or tax adviser confirm the treatment for the entity and reporting period.

Choose the treatment by entity type
“Partner” is often used loosely. A sole proprietor, a partner in a partnership, an S corporation shareholder, and a shareholder of another corporation do not use interchangeable tax categories.
Sole proprietorship
A sole proprietor’s personal payment is normally an owner draw or personal withdrawal. It should not remain in deductible expenses. If the owner puts money back, the deposit generally restores the owner balance rather than creating sales or other operating income. Keep the documentation so the personal nature of the transaction is clear during reconciliation and tax preparation.
Partnership
For a US partnership, apply the partnership agreement and the substance of the transaction when deciding whether the payment is a partner distribution, drawing or amount due from the partner. IRS Publication 541 (12/2025), Partnerships explains partnership structure and reporting, and the IRS’s “Paying yourself” guidance distinguishes partner payments from employee wages. Partners are not employees for this purpose and generally should not receive a W-2 instead of the appropriate Schedule K-1 reporting for distributions or guaranteed payments.

If the partnership paid a partner’s groceries, household bill or other personal cost, do not relabel it as a guaranteed payment without facts supporting compensation under the agreement. A distribution, guaranteed payment and bona fide receivable can affect partners differently.
S corporation
An S corporation must distinguish among a distribution, compensation, a shareholder loan and a taxable benefit. IRS guidance on S corporation stock and debt basis states that non-dividend distributions reduce stock basis; a distribution exceeding basis may be taxable to the shareholder. That means calling a personal charge a “distribution” without checking basis can produce an unexpected tax result.
Payments to a shareholder-officer can instead be wages when they are reasonable compensation for services. Review the IRS guidance on S corporation employees, shareholders and corporate officers and paying yourself. If the payment is intended as a shareholder loan, create and maintain real loan evidence—principal, repayment terms, interest where required, authorization and actual repayment behavior. A retrospective journal entry is not proof by itself.

Other corporations
A corporation that pays a shareholder’s personal expense may have created compensation, a dividend or a shareholder benefit, depending on local law and the facts. Do not assume the corporation can simply debit an equity account. Check corporate resolutions, payroll records, dividend capacity, shareholder agreements and the applicable tax rules before closing the period.

United States
The federal starting point is the business-purpose rule in Publication 334 (2025): separate personal amounts and do not deduct the personal portion. Entity-specific consequences then depend on whether the payment is a draw, partnership distribution, S corporation distribution, wages, benefit or genuine debt. Federal guidance does not provide one universal journal entry for every business, so your accountant must align the correction with the entity’s return and state requirements.

The Canada Revenue Agency warns that when a corporation pays a shareholder’s personal expense without an agreement for reimbursement and without evidence of a debtor-creditor relationship, the amount may be a benefit included in the shareholder’s income. The CRA’s Income Tax Folio S3-F1-C1, Shareholder Loans and Debts notes that evidence can include a written agreement or a corporate resolution reflected in the financial statements, while emphasizing the transaction’s substance. A casual, after-the-fact “loan” label is therefore risky. Document the arrangement promptly and obtain Canadian tax advice if the amount is material or remains unpaid.

United Kingdom
HMRC’s partnership manual says payments toward a partner’s personal expenditure are a distribution of profits unless the payment is shown to be wholly and exclusively for partnership business. See PM163330. A partner’s own expenditure can enter the partnership profit computation only when it meets the business-purpose test described in PM163350, Partners’ personal expenses. Keep the personal amount out of partnership expenses unless the records demonstrate that business test.
What to do if the books or return are already closed
Check where the payment travelled before deciding on a correction:
- Bookkeeping only: Post a dated reclassification, retain the explanation and ensure the expense report and general ledger agree.
- Tax deduction claimed: Ask your tax professional whether the return must be amended or otherwise corrected for the jurisdiction and filing period.
- Payroll or benefit reporting: Determine whether wages, taxable benefits, withholding or information returns were affected; do not fix payroll by simply changing an expense category.
- Financial statements issued: Consider materiality, period-end adjustments and whether the statements need to be reissued or disclosed.
There is no single amendment procedure that applies across the United States, Canada and the United Kingdom. The right filing action depends on the entity, amount, reporting method and local deadlines. Tell the adviser exactly when the payment occurred, how it was booked, whether it was deducted, and whether the partner has repaid it.
When repayment is appropriate—and when it is not enough
Repayment is useful evidence that the business did not intend to provide a permanent personal benefit, but it does not automatically erase a payroll or tax issue. A corporation may still need to report compensation or a benefit; a distribution may still affect basis; and a partnership may still need to reflect a distribution under its agreement. Conversely, a repayment does not turn an inherently personal purchase into a deductible business cost.
Set written terms before treating an unpaid balance as a loan. Identify the borrower, amount, due date, interest and authorization, and follow the terms in practice. If no real repayment obligation exists, use the appropriate distribution, draw, compensation or benefit treatment instead of parking the amount indefinitely in receivables.
Prevent another accidental personal charge
- Use a separate business card or payment method and remove it from personal digital wallets where possible.
- Require a receipt and a one-line business-purpose note for every card transaction.
- Set a short review cycle—weekly or before each bank reconciliation—to identify personal charges while details are fresh.
- Give each owner or partner a written policy for accidental purchases, repayment timing and approval.
- Restrict shared cards and enable transaction alerts for unusual merchants or amounts.
- Reconcile owner, partner and shareholder balances at every month-end rather than allowing old personal charges to accumulate.
A practical decision checklist
- Who benefited from the purchase: the business, one partner, several owners or an employee?
- What exactly was purchased, and can any portion be supported as ordinary and necessary business use?
- Which entity made the payment and in which country was it taxed?
- Does the governing agreement authorize a draw, distribution, guaranteed payment or loan?
- Was a real repayment obligation created and documented before or at the time of the payment?
- Has the charge appeared in a filed tax return, payroll report, financial statement or information return?
- What correcting entry and supporting documents will allow an independent reviewer to understand the transaction months later?
For a small, isolated error discovered before filing, prompt reclassification and complete records may be all that is needed. For a large amount, repeated personal spending, an unpaid shareholder balance, an S corporation officer, a Canadian shareholder benefit or a filed return, involve a qualified local tax professional before posting a final correction.
