If your visa is denied after you have paid for flights, hotels or tours, handle two separate problems immediately: the immigration decision and the contracts behind your bookings. Read and preserve the written refusal, identify any review or reapplication deadline, and contact every travel provider to ask what its terms allow. A refusal does not create a universal right to a refund, and an appeal or new application may not finish before your departure.
Start with the refusal notice, not the flight confirmation
The written decision is the document that determines what you can do next. Save the original email or letter, download any attached decision, and keep copies of your application and the documents you submitted. Look for four details:

- The exact refusal ground. A case may have been refused because information was missing, because the decision-maker was not satisfied about eligibility, or because further administrative processing was required.
- Any missing-document request. Some decisions tell you exactly what evidence is needed for the file to be reconsidered.
- The available remedy. The notice may describe an objection, reconsideration, judicial review or a new application. It may also say that no appeal is available.
- The deadline and method. Note whether time runs from the decision date, the day after notification, or another date, and whether you must use an online portal, post or a representative.
Do not assume that a refusal in one country works like a refusal in another. The destination, visa category, refusal ground and wording of the decision control the next step.

Those are starting points for understanding a U.S. decision, not a general rule for every country.

Separate the visa remedy from the booking loss
An objection, appeal or new application addresses permission to enter. It does not automatically extend your airline ticket, cancel a hotel charge or reimburse a tour deposit. Treat the issues as parallel workstreams:
- Calculate the relevant immigration deadline and the realistic time before departure.
- Read the fare, hotel, tour and transport terms for cancellation, credit, name-change and date-change provisions.
- Contact each provider promptly, explain that the visa was refused, and ask for every option the contract permits.
- Decide whether pursuing the visa still makes financial sense after considering new application fees, possible legal costs and the remaining value of the trip.
Keep a written record of names, dates, case numbers and promised follow-ups. Ask providers to confirm any exception or credit in writing. A sympathetic agent may offer flexibility, but a conversation alone is not proof that a refund or change has been approved.
What different refusal procedures look like
Official examples demonstrate why you must follow your own notice rather than rely on a generic “visa appeal” rule.

The U.S. Department of State’s wording that “There is no appeal process” refers to a 214(b) refusal, not to all U.S. cases or all countries. Similarly, NetherlandsWorldwide states: “If your visa application was denied and you disagree with the decision, you can lodge an objection with the Immigration and Naturalisation Service (IND).” Use those statements only in the context in which the issuing authority made them.

Choose between an objection, reconsideration and a new application
When a review may fit
A review can make sense when the decision-maker appears to have overlooked evidence, applied the wrong procedure or invited a response to a specific missing document. Follow the notice exactly: submit only through the stated channel, meet the deadline and address each reason with documentary evidence. A review is not a chance to send an unchanged application and hope for a different result.
When reapplying may fit
Reapplication may be appropriate when the original file lacked material evidence or your circumstances have materially changed. For a U.S. 214(b) refusal, the Department of State specifically points to additional information or a significant change in circumstances. A new application usually brings a new fee and does not erase the original refusal from your history. Explain what has changed and why the new evidence answers the earlier concern.
Compare timing with departure
No source cited here promises that a review or new application will be decided before a particular flight. Put the deadline and the departure date on the same calendar. If the trip is imminent, ask whether the authority permits a faster route, but do not assume it does. The Netherlands guidance expressly notes that a new application may be preferable when an objection would take too long; that is Netherlands-specific advice, not a universal instruction.
Work through every booking separately
There is no single global refund rule triggered by visa refusal. Each booking is a separate contract, and recovery depends on the terms, the provider and sometimes the payment timing.

Airline tickets
Check whether the fare is refundable, changeable, credit-eligible or subject to a cancellation fee. Ask whether the carrier will move the dates, issue a credit, or return government taxes even if the base fare is restricted. Confirm the credit’s expiry date, permitted route and whether a fare difference will apply. Do not cancel before you understand the consequences: some tickets preserve value only if cancelled before departure, while a no-show may reduce your options.
Hotels and rentals
Review the cancellation deadline, no-show rule, prepayment clause and whether the property or intermediary—not the hotel itself—holds the contract. Request a date change or partial credit if a full refund is unavailable. If the property agrees to waive a charge, obtain written confirmation showing the amount and the booking number.
Tours, trains and other prepaid services
Tour operators, railways, transfers and event sellers may have different deadlines and definitions of a “nonrefundable” payment. Ask whether a place can be transferred to another traveler, deferred to a later date or credited after deducting an administrative fee. A provider’s goodwill offer is discretionary unless its written terms say otherwise.
Use a recovery log
Create one line for each transaction with the provider, amount paid, cancellation deadline, contact date, answer and next action. This prevents a missed deadline while you are dealing with the visa and gives your insurer or card issuer a clear chronology if the applicable terms allow a claim.

Check insurance and payment-card terms already in force
Read the policy or card agreement that covered the purchase before assuming it protects you. Do not buy a policy now expecting it to cover a refusal you already know about; many contracts exclude known events or require the policy to have been in force before the loss became foreseeable. Visa refusal may be covered, excluded or subject to conditions such as an official written decision, a particular visa type or evidence that you applied in time. Only the actual wording and jurisdiction can answer that question.
Contact the insurer or card issuer through its official claims or disputes channel and ask:
- Whether visa refusal is a covered cancellation or interruption event.
- Which documents are required, including the refusal notice and provider statements.
- Whether you must cancel with the travel provider first.
- The notification deadline and any excess, limit or per-person cap.
- Whether the policy excludes losses that were known when cover was purchased.
A card dispute is not a general substitute for a refund. It normally concerns whether the merchant supplied the contracted service or followed the card rules; a valid cancellation charge may remain valid. Ask the issuer what dispute category, if any, applies before making an allegation.

Separate money that might still be recovered from money that is already at risk. Stop optional spending connected to the trip, preserve funds for an immigration fee or urgent advice, and avoid borrowing on the assumption that an appeal will succeed. List the maximum exposure for each booking and the date on which that exposure becomes irreversible.

Keep these records in one secure folder:
- The refusal notice and proof of when it was received.
- The visa application, payment receipt and correspondence with the authority.
- Every booking confirmation, fare or cancellation rule and receipt.
- Emails or chat transcripts with providers, insurers and card issuers.
- Evidence supporting any changed circumstance or missing document.
Use the original currency and record exchange rates separately if you paid in more than one currency. That avoids confusing a foreign-exchange movement with a refund or fee.
When professional immigration advice is worth the cost
Consider qualified local immigration advice when the notice is unclear, the deadline is short, a prior refusal could affect future applications, or the decision may have consequences beyond this trip. Ask the adviser to identify the legal remedy, deadline, evidence needed and realistic timing. Verify the person’s authorization in the relevant jurisdiction, obtain a written fee estimate and be cautious of anyone promising a visa or a guaranteed result.
Travel agents and booking providers can explain their own terms, but they cannot decide whether an immigration remedy exists. Keep those roles separate so that a sales representative’s prediction about approval does not drive an irreversible financial decision.
A practical timeline for the next seven days
- Day 1: Save the notice, record the refusal ground and deadline, and stop assuming the trip will proceed.
- Day 1–2: Read every booking rule and contact the airline, accommodation provider, tour operator and other sellers.
- Day 2–3: Gather the missing evidence or changed-circumstance documents identified by the authority; do not submit an unchanged application.
- Day 3–4: Check the insurance policy and card agreement that were already in force, then ask the insurer or issuer about eligibility and documentation.
- Before each deadline: Choose the permitted immigration route, submit it through the stated channel and keep proof of delivery.
- Before departure: Reconcile all credits, refunds, fees and expiry dates. Cancel or change any remaining booking before its no-show or cancellation deadline.
The correct outcome may be a review, a carefully rebuilt application, a rescheduled trip or accepting a contractual loss. The financially safest choice is the one based on the written refusal, the actual booking terms and timing you can verify—not on an assumption that approval or reimbursement will arrive in time.
