What to do if your GST return or payment is rejected

Do not immediately submit the return again. First identify the country and tax authority, then check the official account for the return’s status, preserve the exact rejection message, and determine separately whether any payment was actually received. A return marked “accepted,” “received,” or “accepted for processing” does not by itself prove that the tax payment cleared. The correct fix—correcting and retransmitting, filing a new return, or contacting the authority—depends on the jurisdiction, reporting period, filing route, and wording of the error.

Start by identifying the rule set that applies

“GST” is not one worldwide system. Canada’s GST/HST, New Zealand GST, India’s GST and the United Kingdom’s VAT use different portals, deadlines, confirmation messages, correction procedures and penalty regimes. Even within one country, instructions can differ between a government account and a return uploaded through accounting software.

Before taking action, write down:

  • the country and tax authority;
  • the tax type (for example, GST, GST/HST or UK VAT);
  • the reporting period and its filing and payment deadline;
  • whether you used the authority’s online account, a third-party software package, paper filing or an agent; and
  • the exact status and error wording shown on screen, in an email or in a letter.

Those details determine whether the authority considers the return missing, rejected before processing, accepted for processing, or received but still awaiting payment.

Use this recovery sequence

  1. Stop duplicate submissions until you know the status. An interrupted browser session or timeout can leave a return received even when the final screen was not displayed. Check the authority account, confirmation area, messages and filing history first.
  2. Save the evidence. Download or print the rejection page, email, error code, date and time, file name, reporting period and any transaction or confirmation number. Do not rely on memory if you need support later.
  3. Classify the failure. Decide whether the return was rejected, never received, accepted for processing, or accepted while the payment failed. These are different problems with different remedies.
  4. Follow the authority’s specific correction instruction. Some systems tell you to correct the file and retransmit; another authority may tell you to file a new return if its account shows no receipt.
  5. Check payment in a separate place. Review the tax account and the bank or payment-provider record. A return confirmation is not a bank-clearing confirmation.
  6. Protect the deadline. If the due date is close, use an available approved filing or payment channel and contact the authority promptly. Keep proof of every attempt.
  7. Escalate when the message concerns liability, an assessment or an appeal. Technical resubmission support cannot replace a formal review or dispute process.

Check whether the return was actually received

The most important distinction is between an attempted submission and an accepted receipt. Look for a confirmation number, a filing-history entry, a downloadable receipt, or a status that explicitly says the return was received or accepted for processing. A browser showing “submitted” without a confirmation can be inconclusive.

If the account shows a receipt

Record the receipt date, confirmation number and reporting period. Do not file a duplicate solely because an email has not arrived. If the account shows the return as received but displays a separate error or balance, follow the message attached to that filing and investigate payment independently.

If the account shows no receipt

Do not assume the first attempt counts. Use the authority’s instructions for a missing return, especially when a letter says the return was not filed. New Zealand’s Inland Revenue, for example, tells taxpayers who receive such a letter to check myIR: if the return is shown as received, no further action is needed; if it is not shown, the taxpayer should file a new return. That instruction is specific to New Zealand and should not be treated as a universal GST rule.

Match the fix to the type of rejection

What you see What it usually means Next action
Validation errors before submission The portal or software found missing, inconsistent or incorrectly formatted data. Read each error, correct the return in the same filing route, validate again and resubmit.
Upload rejected with an explanation The authority received a file but did not accept it for processing. Save the messages, correct the source file, create a new upload and retransmit according to that authority’s instructions.
No filing-history entry or receipt The authority has not established that it received the return. Follow the authority’s missing-return procedure; do not rely on an unsaved browser screen.
Return accepted or received, payment declined Filing and payment are separate transactions. Arrange an approved replacement payment and verify that the tax account is credited.
Return accepted, but tax amount or assessment is disputed This is a liability or review issue rather than a simple technical rejection. Use the authority’s review, objection or appeal route, or obtain qualified local tax advice.

Canada: correcting a rejected GST/HST upload

Third-party software upload

The Canada Revenue Agency says that when an uploaded GST/HST return has problems, the system displays an explanation. Save, print or note every message. Correct the return in the software according to those errors, resave the file and retransmit it. Once the return is accepted for processing, keep the confirmation number. A failed upload is not the same as an accepted return, so retain both the error record and the later confirmation.

Filing in a CRA account

A successful submission through a CRA account generates a six-digit confirmation number. Record it with the filing period and submission date. If the account shows an amount owing, pay that amount as a separate step; the confirmation number establishes the filing event, not the settlement of the balance.

Practical Canada checklist

  • Open the software’s error report rather than changing figures at random.
  • Check that the corrected file covers the intended reporting period and account number.
  • Resave or regenerate the file after corrections; retransmitting the original rejected file will reproduce the same error.
  • Keep the accepted confirmation number and payment confirmation together.

New Zealand: when myIR says a GST return is missing

Verify the filing record

Inland Revenue directs taxpayers who receive a notice that a GST return was not filed to check myIR. If myIR shows the return as received, no additional return is needed in response to that notice. If it does not show as received, file a new return through the approved channel and retain the submission evidence.

Pay on the same day as the return

New Zealand’s guidance states that GST payment is due on the same day as the GST return. Check the account and your bank record separately, because a return can be visible in myIR while a payment is pending, declined or sent to the wrong account reference. Late filing or payment may attract penalties and interest.

If the notice and account disagree

Capture the myIR status, notice date, return period and any payment reference, then contact Inland Revenue through its official support channel. Avoid sending multiple replacement returns while the account already records a receipt; explain the discrepancy and follow the instruction you receive.

United Kingdom: VAT deadlines and rejected online returns

Confirm receipt in the VAT online account

HM Revenue & Customs says the VAT online account can show whether it received a return. Check that record before submitting again. If the return is not recorded, use the approved filing service and preserve the confirmation or other evidence of submission.

Know the UK deadline example

For UK online VAT returns, HMRC says the deadline is usually one calendar month and seven days after the accounting period ends. The payment must reach HMRC by that deadline. This is a UK VAT rule, not a general GST deadline, and a particular business can have a different date under its VAT arrangement.

Understand the penalty-era distinction

For VAT accounting periods starting on or after 1 January 2023, HMRC treats late submission and late payment separately. Late-payment interest runs from the first day the payment is overdue until it is paid in full. Periods starting on or before 31 December 2022 fall under older default and surcharge rules. Confirm the accounting-period start date and the current HMRC notice before relying on a penalty explanation or amount.

If a failed filing means HMRC does not receive a return, the problem can become an assessment issue in addition to a submission issue. Use HMRC’s official filing and payment services and contact the authority promptly when the online route continues to fail.

A portal ticket is a technical-support route; it is not automatically an approval of the return, a waiver of a deadline or a decision on tax liability. For a substantive rejection, use the reason displayed in the return workflow and the current instructions supplied by the GST portal or helpdesk. If the issue concerns an assessment, demand or appeal, use the applicable formal process rather than relying only on a technical ticket.

When the payment is rejected after the return is accepted

Treat the payment as its own transaction. Check all three records:

  • Tax account: whether the authority posted, pending, reversed or rejected the payment.
  • Payment provider or bank: whether the transaction was authorized, declined, returned or still pending.
  • Return record: whether the return itself has a receipt or acceptance confirmation.

If the bank shows a debit but the tax account does not show credit, do not make an unplanned duplicate payment before checking whether the first transaction is pending or will be reversed. Contact the authority and payment provider with the transaction date, amount, reference and account details. If the payment was declined and tax remains due, arrange a replacement payment through an approved method as soon as possible; waiting for the next statement can create avoidable late-payment consequences.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Common payment failure causes to check

  • an expired or blocked card, insufficient funds or a bank fraud hold;
  • an incorrect tax-account number, payment reference or period;
  • a payment method not accepted for that tax type or jurisdiction;
  • a bank transfer sent after the authority’s cut-off time; or
  • a technically completed payment that has not yet posted to the tax account.

Do not infer a cause from a generic “declined” message. Ask the bank or authority which reference they can trace and whether the transaction will settle or reverse.

Deadlines, penalties and interest

Keep troubleshooting separate from the legal deadline. An authority may assess late-submission consequences because it has no accepted return, and late-payment consequences because it has not received cleared funds. The exact rules depend on country, tax type, accounting period and sometimes filing history.

  • HMRC describes separate late-submission and late-payment regimes for UK VAT periods beginning on or after 1 January 2023, while older periods use the previous default or surcharge rules. Late-payment interest can continue until full payment.
  • New Zealand Inland Revenue warns that late filing or payment may lead to penalties and interest and states that payment is due on the same day as the GST return.
  • Do not quote a penalty amount without first confirming the relevant authority and period. A figure from one country or an older period can be wrong for the reader’s account.

If a deadline is imminent, submit through an available approved channel, pay any undisputed amount that is due, and tell the authority that the original route failed. Keep timestamps, screenshots, ticket numbers, bank references and copies of the corrected return.

Escalate when self-service correction is not enough

Use technical support for portal or file errors

Contact the authority’s official technical or filing support when the error persists after following the displayed correction steps, when a confirmation number never appears, or when the account and notice show conflicting statuses. Give the reporting period, account identifier, exact message, filing route, submission time and any ticket or transaction number. Do not email passwords, full card numbers or unnecessary personal data.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use review or appeal procedures for tax disputes

If the authority has issued an assessment, denied an adjustment, questioned the underlying figures or imposed a penalty, the matter may require a formal review, objection or appeal. Technical support can document a transmission failure but normally cannot decide whether the tax calculation is correct. Observe the separate deadline for challenging the assessment and consider a qualified local tax adviser when the amount or legal issue is significant.

Evidence to keep after the problem is fixed

  • the original return file and the corrected version;
  • every rejection message and screenshot showing date and time;
  • submission, acceptance and ticket numbers;
  • bank or payment-provider confirmations and reversal notices;
  • copies of authority letters and your support correspondence; and
  • a short timeline showing each filing and payment attempt.

Store the records under the reporting period rather than only in an email inbox. If the authority later asks why a return was retransmitted or why a payment was late, the timeline shows what happened and when you acted.

Quick decision checklist

  1. Which country, tax authority, tax type and reporting period are involved?
  2. Does the official account show the return as received or accepted for processing?
  3. What exact error or rejection message is recorded?
  4. Was the filing made directly in the authority account or through third-party software?
  5. Does the payment record show authorized, pending, reversed, declined or credited?
  6. What is the actual filing and payment deadline for this period?
  7. Does the issue require a corrected retransmission, a new return, technical support or a formal review?
  8. Have you saved confirmations, references, screenshots and correspondence?

The safest general approach is therefore status first, evidence second, correction third and payment verification separately. The authority’s own message and account record control the next step; examples from another GST or VAT system cannot substitute for that jurisdiction-specific instruction.
