If an employer’s EPF contribution is absent or wrong in your EPFO passbook, first identify the affected wage month and compare the passbook with your payslip. Then ask payroll, in writing, to reconcile the calculation, UAN or member mapping, ECR filing and challan payment. If the discrepancy remains unresolved, register a grievance through EPFO’s EPFiGMS, retain the registration number and monitor its status. A missing passbook line can reflect delayed posting, so it is evidence to investigate—not by itself proof that the employer never remitted the money.
First locate the break in the contribution chain
Four separate events are involved in a monthly EPF contribution. Your payslip may show an employee deduction; payroll must map that wage month to the correct UAN or member record and include it in the employer’s electronic challan-cum-return (ECR); the establishment must remit the amount through its challan; and EPFO must post the transaction to your member passbook. A problem at any one stage can produce a missing or unexpected entry.

| Checkpoint | What to compare | What the result tells you |
|---|---|---|
| Employee deduction | Payslip or payroll statement for the affected wage month | Whether your salary record shows an EPF amount withheld |
| Employer filing | Payroll’s ECR wage and contribution record, including UAN or member mapping | Whether the month was reported under the correct account and figures |
| Remittance | Employer’s challan or payment confirmation for that wage month | Whether payroll says the reported dues were actually paid |
| Member posting | Official EPFO Member Passbook entry | Whether EPFO has posted the contribution to your visible account record |
Use this sequence when speaking with payroll or EPFO. It prevents an argument based only on a blank passbook and gives each party a specific record to check.

Check the official Member Passbook
Sign in to the official EPFO Member Passbook and review the account month by month. Record the wage month in which the contribution is absent, lower than expected or assigned to an unexpected account. Save a screenshot or downloaded record showing the relevant period and the surrounding entries. The passbook and EPFO member services also provide access to claim-status information, which can help you distinguish a contribution issue from a separate claim matter.

Match the passbook with your payslip
For the same wage month, note the employee EPF deduction shown on the payslip. Also note any employer-contribution information that your payroll statement provides. Do not infer an exact employer share from a generic online calculator: the applicable wage components, statutory allocations and payroll treatment must be checked against your employment records. Your first objective is to document the difference, not to decide the legal conclusion.
Check current EPFO notices before treating non-visibility as non-payment
Review notices on EPFO’s official employee and employer service pages. EPFO displayed a notice that updates for wage months September and October 2025 were being processed after a revamped ECR ledger-posting process and that temporary non-visibility was expected for a couple of days. That notice was tied to those two wage months. It is not a general posting deadline and should not be applied automatically to later months without a current official notice.
Step 2: Ask payroll for a written reconciliation
Send HR, payroll or the establishment’s authorised contact a concise written request naming the wage month and the precise mismatch. Written communication creates a dated record and makes it easier to escalate if the response is incomplete.
Request these checks
- The wage and contribution calculation used for the affected month.
- Your UAN and member-account mapping, including whether the contribution was attached to the correct record.
- The ECR entry for that wage month.
- The employee contribution due and remitted, the employer share and any EPS allocation recorded in the return.
- The challan or remittance status and the date payroll says the payment was made.
- The expected date and confirmation of any correction, revised filing or remittance still outstanding.
EPFO’s employer services identify ECR and challan submission as employer functions. EPFO’s ECR error-code material also treats wages, employee contributions due or remitted, EPS and employer-share differences as distinct fields. Ask payroll to identify which field is wrong rather than accepting a general statement that the “PF was processed.”

Ask for a confirmation you can keep
If payroll says the amount was filed or paid, request the relevant wage-month confirmation and the date of the action. You are not asking to edit the employer’s return yourself. The official material establishes employer-side ECR and challan functions, but it does not establish one universal member-side correction form. Keep the reply, attachments and any ticket number with your payslip and passbook screenshot.
How to interpret payroll’s answer
“The deduction was not taken”
Compare that statement with the payslip. If no employee deduction appears, the issue may be a payroll calculation or eligibility question rather than a posting delay. Ask payroll to explain the wage basis and the reason for the amount shown—or not shown—in the salary record. Do not alter your own records to make the figures agree.
“It was filed, but the passbook is blank”
Ask for the wage-month ECR and challan or remittance confirmation, then check current EPFO notices. A filing or payment can precede visible member-account posting. The dated September–October 2025 notice demonstrates that temporary non-visibility has occurred during ledger processing, but it does not prove that every blank entry is merely delayed.
“The amount is different from the payslip”
Ask payroll to reconcile the wage figure, employee amount, employer share and EPS field separately. A difference in one field can be hidden by a single combined total. Request the correction date if payroll confirms an error, and recheck the passbook after the employer’s stated action and any applicable posting period.
Rank #3
“It was credited to another UAN or member record”
Ask payroll to verify the UAN or member mapping used in the ECR and to explain the correction route it will use. Preserve evidence of the correct UAN, the payslip and the affected month. Do not give an unsolicited caller your OTP or identity documents to “merge” accounts.
Step 3: Escalate an unresolved case through EPFiGMS
If payroll does not correct the record or gives no usable evidence, use EPFO’s official EPFiGMS member grievance service. Start from EPFO’s employee services page and complete the current portal fields for the establishment and the problem.
Include a focused grievance
- Your employer or establishment details and the affected wage month or months.
- A plain description of what the payslip shows and what the passbook shows.
- The amount or field that appears missing or incorrect, without guessing at a penalty or final entitlement.
- Copies or screenshots of the relevant payslip, passbook entry and payroll correspondence that the portal requests.
- The payroll response, including any claimed ECR or challan action.
Use one clear chronology instead of uploading unrelated material. State whether the problem is an absent entry, a lower amount, a wrong account mapping or a response that has not supplied filing evidence.
Keep the registration number and monitor status
Save the EPFiGMS registration reference immediately. Check the case status through the portal and retain updates or requests for additional information. EPFO’s grievance manual describes cases being examined at a level or forwarded to a subordinate organisation; a forwarding entry is a case-handling step, not a promise that the contribution has already been posted.

Use the nodal-officer information when necessary
EPFO lists grievance nodal officers among its employee resources. If the online route is inaccessible or a case is not progressing, consult the current official contact or nodal-officer listing and refer to your existing registration number. No generally applicable resolution time is established, so avoid promises that a complaint will be decided within a particular number of days.
Understand the monthly remittance rule without overpromising
EPFO enforcement material discussing paragraph 38 of the EPF Scheme, 2023, states that statutory dues are payable within 15 days after the close of each month. For example, the duty for a month ends with that month and the 15-day period follows its close. This is the employer’s remittance requirement; it is not a guaranteed date for a passbook update or a grievance response.
The same enforcement material describes statutory interest and damages for delayed remittance. Those consequences concern compliance by the establishment. Do not calculate your personal entitlement or claim a particular damages amount from the 15-day rule alone. The applicable wage records, period, law and adjudication would need to be examined in an individual case.

Use official channels and protect your identity
Only use EPFO’s official member, employer and grievance services. The official passbook portal warns: “Please never respond to any call for sharing any personal details like Aadhaar, PAN, Bank details, OTP or request for any payment.” It also states that EPFO never calls members or pensioners to request a deposit.
Do not pay anyone who claims to be an EPFO representative and offers to release, correct or accelerate a contribution. Do not disclose your password, OTP, Aadhaar, PAN or bank information in response to an unsolicited call, message or email. A genuine payroll reconciliation can be handled through your employer’s established internal channel, and an official grievance can be filed through EPFiGMS without a private “release fee.”

Please verify:
1. the wage and contribution calculation;
2. my UAN or member mapping;
3. the ECR entry, including employee contribution, employer share and EPS fields; and
4. the challan or remittance status.
Please confirm in writing the action taken, the date of any correction or remittance, and the wage-month reference I should use when checking the passbook again.

Common mistakes that delay a resolution
- Relying on one blank passbook screen without identifying the wage month.
- Assuming a missing posting proves non-remittance before asking for ECR and challan evidence.
- Requesting a generic “PF update” instead of naming the wage month and field that differs.
- Editing or attempting to file the employer’s return yourself when the established process is employer-side.
- Applying the September–October 2025 posting notice to a different period without checking current EPFO notices.
- Promising yourself or others a fixed grievance outcome or penalty based only on the 15-day remittance rule.
- Sending Aadhaar, PAN, bank details or OTPs to callers who claim they can correct the account.
When a case needs individual advice
Most straightforward discrepancies should first be documented with payroll and taken through EPFiGMS. A dispute involving several employers, a long period of unremitted deductions, a contested wage calculation, an account identity problem or a proposed legal claim may require advice from a qualified employment or provident-fund professional. Bring the dated payslips, passbook records, payroll replies and grievance history so that advice is based on the actual record. This guide does not determine whether an employer violated the law or calculate a person’s final entitlement.
What a successful follow-up looks like
After payroll reports a correction or payment, check the exact wage month in the Member Passbook rather than relying only on an email saying “done.” If the entry appears, compare the posted figures with the reconciliation you requested. If it remains absent, add the new payroll confirmation and your latest passbook screenshot to the existing EPFiGMS case, quote its registration number and describe what changed since the original complaint. Keep monitoring official notices because filing and ledger-posting workflows can change.
