Missing receipts do not, by themselves, prove that your gold is unlawful. They can, however, make a sale, inheritance transfer, tax treatment or border crossing more difficult because a dealer or authority may need to understand how you acquired it and whether you have the right to dispose of it.
The safest route is to create a truthful, corroborated record, preserve the item and its identifying marks, disclose the gaps to any prospective buyer, and check the law in the country where the sale or movement will occur. Do not invent documents, alter the gold or assume that a purity test proves its origin.

Start with a truthful account of how the gold came to you
Write down everything you know while the details are still available. Include the approximate date, the place, the circumstances of the purchase, gift or inheritance, the person or business involved, the form of the gold (jewelry, coin, bar or scrap), where it was stored, and any uncertainty. If another person transferred it to you, record that person’s name and relationship to you if known. Separate facts you remember from assumptions.

Build a chronology
Make a dated timeline covering acquisition, storage, repairs, appraisals, insurance and any previous sale or attempted sale. Note changes in your address or the address of the person who gave you the gold. Keep the original notes and identify which entries are based on memory.
Ask people who may hold the missing records
Contact the executor of an estate, family members, the original seller, a jeweler, an insurer or a bank if they may have copies. Ask for existing records rather than asking anyone to recreate a document as if it were made at the time. Preserve emails and letters showing when and from whom information was obtained.
Collect independent records that corroborate the account
Useful evidence is usually contemporaneous, independent and consistent with the value and circumstances of the gold. Depending on the item and your jurisdiction, look for:

- Insurance schedules, prior appraisals, photographs and household inventories.
- Jeweler or repair records, packaging, certificates, hallmarks, brand marks and serial numbers.
- Tax or financial records that explain funds used to acquire the item.
Australian Transaction Reports and Analysis Centre (AUSTRAC) guidance gives examples such as a probated will, sale or purchase agreements, gift documentation, tax and financial records, and witnessed declarations. Its guidance is for regulated entities and says evidence should be appropriate to the risk and checked against reliable independent sources; it is not a universal document list for every private owner. Use a declaration only to explain, not to manufacture, proof
A statutory, witnessed or notarized declaration may help set out what happened when original records no longer exist. It does not turn an unsupported assertion into conclusive proof, and some dealers or authorities may not accept it as a substitute for a receipt, probate record or other independent evidence. Ask the receiving dealer or authority what form, if any, it recognizes before paying for a declaration.
Preserve the gold and its identifiers
Photograph the front and back of jewelry, both faces of coins, bar markings, packaging, seals, serial numbers and any damage. Photograph the item beside a ruler or other scale for identification, but do not represent a photograph as proof of purity or provenance. Record the weight and description supplied by a qualified professional if you obtain them.
Keep the gold in its current condition while ownership and provenance are being clarified. Do not melt it, recast it, refine it, polish away marks, remove a serial-numbered assay card or discard packaging. The Australian Department of Foreign Affairs and Trade states: “The origin of gold, once melted down and recast or refined, cannot be determined by examination, as any hallmarks are lost.” Its guidance on sanctions risks with gold smuggling also emphasizes how dependent supply-chain tracing is on records.
Understand what each type of evidence can and cannot show
| Evidence | What it may support | What it does not establish by itself |
|---|---|---|
| Receipt, invoice or dealer statement | That a transaction occurred with the named seller on the recorded date and amount | That the seller’s gold was lawfully sourced or that the item was never replaced |
| Bank or card statement | That money moved between accounts at a particular time | Which specific item was bought unless linked by other records |
| Probate or will records | How an estate allocated an item or value to you | That the deceased originally acquired the gold lawfully |
| Gift letter or witnessed declaration | The parties’ account of a gift and its date | Independent confirmation of the account or universal proof of title |
| Photographs, packaging, hallmarks and serial numbers | Continuity and identification of the item | Historical mine, refinery or supply-chain origin |
| Assay, weighing or hallmark inspection | Physical characteristics such as weight, fineness or a maker’s mark | Who acquired it, whether it was stolen or where the metal was mined |
Think about evidence along four practical axes: directness (a purchase record is closer to the acquisition than recollection), independence (a third-party record is less dependent on your own statement), consistency (dates, amounts and descriptions should align), and jurisdictional relevance (the evidence must answer the dealer’s or authority’s actual requirements). These are useful ways to organize your file, not a formal legal scoring system.

If you want to sell gold without a receipt
You may be able to find a buyer, but acceptance is a business and compliance decision rather than a guarantee. Before carrying or shipping the item, contact a reputable local bullion dealer, jeweler or refiner. Explain that the receipt is missing and ask exactly what it requires for identification, ownership explanation, testing, payment and record keeping.
- Ask before visiting. Confirm whether the business accepts jewelry, coins, bars or scrap, and whether it requires an appointment, government identification, proof of address, photographs, an ownership statement or supporting records.
- Send only what is requested. If shipping is allowed, obtain written instructions for insurance, packaging, declared contents and return procedures. Keep copies of every communication.
- Disclose the gaps plainly. Tell the dealer what you know, what you do not know and whether the gold was inherited, gifted, found or purchased privately.
- Expect checks or a refusal. A dealer may inspect, assay, delay, limit payment methods or decline the transaction if its compliance checks are not satisfied. AUSTRAC says a regulated entity that cannot establish required source information during initial customer due diligence must not provide the designated service; that rule governs the entity, not the legality of your mere possession.
- Compare the written offer and terms. Check the quoted fineness, weight, deductions, fees, settlement date and return policy. Do not accept a below-market offer simply because the paperwork is incomplete.
HM Revenue & Customs (HMRC) guidance for UK gold dealers says they should ask where gold came from, whether it was imported and properly declared, why it is being sold, whether it is below market value, how it will be delivered and whether the supplier, payment request or circumstances raise suspicion. That is UK dealer guidance, not a universal private-owner checklist. Read the HMRC gold imports, exports and VAT notice.
Red flags in a proposed transaction
- A request to hide the gold’s origin, split a transaction or use someone else’s identity.
- Pressure to accept cash immediately or an offer materially below ordinary market quotations.
- Instructions to remove marks, melt the item or describe it falsely on a shipping or customs form.
- A buyer unwilling to provide a business name, written terms or a lawful payment trail.
Walk away from a transaction that requires concealment. A missing receipt is a reason for careful disclosure, not a reason to disguise the sale.

Special steps for inherited or gifted gold
For inherited gold, assemble the death certificate if relevant, the will or probate documents, estate inventory, executor’s correspondence and any appraisal or insurance schedule. Ask the executor to confirm in writing that the item was distributed to you. If the estate is still open or another beneficiary disputes the allocation, do not sell or alter the gold until the executor or a local lawyer confirms your authority.

For a gift, preserve messages, cards, photographs and a signed gift statement identifying the giver, recipient, date and description. If the giver is available, ask for a contemporaneous statement rather than a backdated receipt. A gift explanation can support your account but may not resolve a dispute over whether the giver owned the item or had authority to give it.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Check the law where the sale, payment or movement occurs
Tax, customs, sanctions and reporting obligations depend on the country, the item, its value, its acquisition history and whether it crosses a border. Jewelry, investment bullion and coins may be treated differently. Do not apply one country’s rule to another.
United Kingdom examples
HMRC warns that smuggled gold may be liable to forfeiture under UK customs law even when found with an innocent buyer. This is a UK-specific customs consequence, not a universal rule. The same HMRC notice contains special invoicing and record requirements for traders selling exempt investment gold above specified thresholds, including invoices for transactions above £5,000 and certain aggregated transactions above £10,000 in 12 months. Those are trader rules and do not automatically govern an individual selling personal jewelry or bullion.
HMRC’s source-of-funds and source-of-wealth manual, updated July 16, 2026, distinguishes the underlying activity that generated funds—such as savings or inheritance—from the bank account through which money passes. It instructs supervised businesses to assess whether an explanation and documents are sensible and to record their decisions. It is guidance for supervised businesses, not a private-owner statute.

Australia examples
AUSTRAC describes source of funds as how and where money was obtained for a particular transaction, with examples including property-sale proceeds, gifts and inheritance. Its regulated-entity guidance allows checks against independent reliable sources and says that required due diligence may prevent the entity from providing a designated service. It does not create a single document that every gold owner must possess.
United States border example
U.S. Customs and Border Protection says gold coins, medals and bullion must be declared to a CBP officer when imported under its cited guidance, even though those items have no duty under that guidance. It recommends declaring when a traveler is unsure whether a gold coin is a reportable monetary instrument. Check the current rule for your exact route and item in CBP’s regulations for importing bullion, gold coins and medals.
Before a high-value sale or international move, contact the relevant tax or customs authority, or a qualified local lawyer or accountant. Ask about declaration, import VAT or GST, sanctions, reporting, capital-gains treatment and records. Keep the advice tied to the country where the relevant act occurs.
Pause if ownership itself is uncertain
Provenance and ownership are related but distinct. If the gold may belong to someone else, was found, could be stolen, is part of an unresolved estate or is subject to a court or family dispute, do not sell, melt, refine or transfer it. Preserve it and seek local legal guidance or contact the appropriate authority. Possession alone does not settle another person’s claim.
A practical file to prepare before approaching a dealer
- Write a dated, honest account of acquisition and identify every uncertainty.
- Gather receipts, statements, probate or gift records, photographs, appraisals, repair records, packaging and serial numbers.
- Photograph and describe the item without cleaning, melting or removing marks.
- Separate evidence of physical characteristics from evidence of acquisition and ownership.
- Ask a prospective dealer, in writing, what identification and provenance information it needs.
- Check tax, customs and sanctions rules in the jurisdiction of the sale or border crossing.
- Stop and obtain legal advice if there is a credible stolen-property, estate or ownership dispute.
This file will not create a history that no longer exists. It gives a dealer or authority the clearest, most consistent account available and reduces the risk that an avoidable documentation problem becomes a compliance or ownership problem.
