What to Do if an Insurer Acquisition Delays Your Claim or Renewal

If an insurer is being acquired, merged, or reorganized and your claim or renewal has gone quiet, contact the insurer or current claims administrator in writing today. Ask who now services the policy, who is adjusting the claim, what documents are missing, the next expected action, and whether your renewal is confirmed. Keep the policy, notices, bills, claim evidence, and a dated communication log. If the company still does not respond, file a complaint with your state department of insurance (DOI).

An acquisition announcement alone does not identify the administrator for your particular claim or prove that a policy has ended, been renewed, or changed. Transfer approvals, claim-handling timeframes, renewal notices, nonrenewal protections, and remedies depend on your state, insurance line, policy language, and the actual transaction.

First, establish what changed

Use the contact information on your policy, a recent official letter, or the insurer’s verified website—not an unverified number in a text or social-media post. Ask whether the original insurer remains the legal carrier, whether your policy was assigned to another insurer, which entity is administering claims, and whether your claim number or adjuster changed.

Write down the date, department, representative’s name or identification number, telephone number, and every promise made. Regulatory approval of a transaction is separate from getting an answer about an individual claim. For example, the Washington State Office of the Insurance Commissioner says its merger-and-acquisition review considers solvency, the buyer’s plans, authority to operate in the state, and consumer interests; its general review period is about 90 days. That is an agency review estimate, not a deadline for paying or deciding your claim. See Washington’s explanation of insurer mergers and acquisitions.

Questions to ask on the first call

  • What is the full legal name of the current carrier?
  • Is a third-party administrator or servicing company handling this claim?
  • Does my policy number or claim number remain the same?
  • Who is the assigned adjuster or renewal contact, and how do I reach that person?
  • Where should I send future documents and payments?
  • What transaction notice, if any, explains the change?

Ask the representative to send the answers through an authenticated email, portal message, or letter. A verbal assurance is useful, but written confirmation is what you can attach to a regulator complaint or use to resolve a later dispute.

Send a concise written status request

Use the insurer’s secure portal, an authenticated email address, or the correspondence address printed in your policy. Include enough detail for the recipient to locate the file, but do not send sensitive information to an address you have not verified.

For an open claim

  1. State your full name, policy number, claim number, loss date, and the date you first reported the loss.
  2. Briefly list what has already been submitted, such as photographs, estimates, medical bills, receipts, police reports, or proof of loss.
  3. Ask who is responsible for adjusting and paying the claim now.
  4. Ask whether anything is missing from you. Request the exact document, format, delivery method, and due date.
  5. Request the current status, the next action the company will take, and the person or department responsible.
  6. Ask where future documents should be sent and whether the claim number or contact information has changed.

For a pending renewal

  1. Ask whether the policy will renew, and identify the legal entity that will issue the renewal.
  2. Request the proposed effective and expiration dates, premium, deductibles, limits, exclusions, endorsements, and payment deadline.
  3. Ask whether you must sign, pay, submit information, or select new delivery preferences to keep coverage in force.
  4. If the insurer says it will not renew, request the formal notice, stated reason, effective date, and instructions for any review or hearing available under your state’s law.
  5. Ask where to make a payment and verify the instructions through a trusted insurer channel before sending money.

You can adapt this short message:

Subject: Written status request — policy [number], claim [number]
I am requesting written confirmation of the company and administrator currently responsible for my policy and claim. Please confirm the assigned contact, current status, any missing information, the next expected action, and where future documents should be sent. For renewal, please also confirm the legal issuing entity, effective dates, premium, terms, and any action or payment required from me. My loss date is [date], and I reported it on [date].

Keep the request factual. Do not concede that an acquisition excuses a missed deadline, and do not state that a violation has occurred unless your DOI or qualified adviser has made that determination. The applicable time limits and remedies depend on jurisdiction, insurance type, policy wording, and the facts.

Build a complete claim and renewal file

Preserve originals and save searchable copies in a folder you control. A paper folder, notebook, or ordinary digital storage is sufficient; no special product is required.

Record Why it matters
Declarations page, full policy, endorsements, and exclusions Shows the carrier, coverage period, limits, deductibles, duties after loss, and governing terms.
Acquisition, transfer, renewal, cancellation, or nonrenewal notices Identifies what the company said changed and the dates it gave you.
Claim form, proof of loss, estimates, photographs, receipts, medical or repair bills, and expert reports Demonstrates what you submitted and supports the amount or treatment claimed.
Premium bills, payment confirmations, and bank or escrow records Helps establish that coverage was paid for and prevents a servicing change from creating an avoidable payment dispute.
Emails, portal messages, letters, and a call log Creates a dated record of requests, replies, promised actions, and periods of silence.

For every call, record the date and time, number used, representative, subjects discussed, documents requested, and promised follow-up. Save sent messages with their attachments and delivery confirmations. The NAIC complaint guidance specifically recommends gathering policy information, supporting documents, bills, and communication records.

Keep a claim problem separate from a renewal problem

A delayed claim and an uncertain renewal can occur during the same transaction but require different questions. Continue complying with claim duties—such as protecting property, attending an inspection, or providing requested records—unless the insurer or a qualified professional tells you otherwise. At the same time, read every renewal or transfer notice to determine whether the policy is continuing, changing, or ending.

If renewal terms are unclear

Do not assume that an acquisition announcement cancels the policy or confirms renewal. Ask for the carrier’s legal name, effective dates, premium, deductibles, limits, exclusions, and any changed endorsements in writing. Confirm the payment date and method through a verified channel. If a mortgage lender, landlord, employer, or other party requires proof of insurance, provide the formal renewal evidence rather than relying on a call note.

If the company says coverage will end

Request the official cancellation or nonrenewal notice and read its reason and effective date. Contact your DOI or a licensed independent agent early enough to avoid a gap. DOI staff can explain applicable rules and options, but they cannot force a company to sell you a policy. Do not cancel an existing policy until replacement coverage is confirmed with an effective date and acceptable terms.

Escalate an unresolved delay to your state DOI

If written contact does not produce a meaningful response, use the insurance department in the state that regulates the policy. The NAIC says a DOI can investigate complaints involving unfair claim delays or denials, failure to honor a policy, untimely communication, and potentially unjustified cancellation or nonrenewal. The NAIC’s insurance-department guidance explains how to find the appropriate state office.

Prepare the complaint

  1. Identify the insurer, policy number, claim number, loss date, and your contact information.
  2. Give a chronological, factual account: when you reported the loss, what you submitted, when the acquisition or transfer was announced, each contact attempt, and what remains unanswered.
  3. Attach the relevant policy pages, notices, bills, estimates, photographs, correspondence, and call log. Keep the originals.
  4. State the outcome you want, such as a written claim status, identification of the responsible administrator, correction of a payment instruction, or a coverage explanation.
  5. Submit through the DOI’s designated online, mail, or other channel and save the confirmation number.

A DOI may investigate within its authority and seek corrective action if it finds improper conduct. It is not your personal lawyer and generally cannot decide disputed damages for you. If the dispute involves a substantial loss, a limitation period, a threatened lawsuit, or a coverage interpretation, consider prompt advice from a licensed attorney in your state while the DOI process is pending.

Check the rules for your state and insurance line

There is no single nationwide acquisition deadline that controls every claim or renewal. Before relying on a number, identify the state whose law governs the policy, the line of insurance (such as auto, homeowners, health, or life), the policy language, and the exact notice you received.

The NAIC’s Domestic Change of Control (Form A) chart shows state-by-state filing information and was last updated July 24, 2026. It illustrates why an approval or filing rule in one state cannot be treated as a universal consumer deadline.

Illinois example—illustrative, not national

Illinois law provides one concrete property-and-casualty example. Certain transfers within an insurance holding system or resulting from a merger, acquisition, or restructuring require notice at least 60 days before renewal and address specified premium increases and material changes. The provision appears in the Illinois Insurance Code. Illinois also publishes auto nonrenewal information, including notice requirements and a conditional hearing process, on its auto nonrenewal page. These Illinois provisions do not establish the rule in another state, for another policy line, or for every transaction.

When a replacement policy is necessary

Only begin comparing replacement coverage after you have confirmed that the current policy will actually end or become unacceptable. Compare the legal insurer, licensing status, coverage limits, exclusions, deductibles, premium and payment schedule, effective date, claims contact, and any lender or contractual requirements. Ask the agent to explain differences in claims-made versus occurrence coverage where relevant, waiting periods, replacement-cost conditions, and continuity provisions; the correct issues vary by insurance line.

Obtain a binder or policy document showing the effective date before allowing existing coverage to lapse. If the insurer’s notice is unclear, send it to the DOI or a licensed agent and ask for a written explanation rather than guessing.

Common mistakes that make an acquisition delay worse

  • Waiting for a general announcement to answer a personal question: an acquisition notice may not name your adjuster, claim status, or renewal terms.
  • Using old payment or document instructions without checking: servicing systems and lockboxes can change.
  • Relying only on phone calls: without a dated written record, it is harder to show what was requested and promised.
  • Assuming a state deadline applies everywhere: notice and claim rules differ by state and policy line.
  • Stopping cooperation on the claim: continue meeting valid policy duties while disputing delay or requesting clarification.
  • Canceling before replacement coverage is effective: a quote is not coverage and can leave an unintended gap.
  • Sending a regulator an incomplete narrative: include the policy, documents, timeline, and the specific resolution sought.

What to expect after you complain

The DOI may ask the insurer for a response, request additional documents, or explain that a dispute falls outside its authority. Reply by the stated deadline and keep copies of everything. A regulatory inquiry can improve communication or correct an administrative failure, but it does not guarantee payment, establish coverage, or replace a court’s role in a contested legal dispute.

If the insurer finally identifies the responsible administrator, ask for a fresh written status, the remaining requirements, and the date of the next action. If the renewal is confirmed, store the declarations page, endorsements, premium invoice, and payment receipt together so a later servicing change does not recreate the same uncertainty.
