What to Do if an Indian GST Invoice Has the Wrong Tax Rate or Amount

Do not alter the supplier’s invoice yourself. First compare it with the actual supply, then ask the supplier to issue the legally appropriate revised invoice, credit note or debit note linked to the original document. If the invoice has already been reported in a GST return, the relevant return amendment must be considered as well.

This guidance is for India GST. Rules and correction procedures differ in other jurisdictions.

Start by finding out what is actually wrong

An invoice showing an unexpected GST figure does not, by itself, prove that the tax rate is wrong. The rate can depend on the goods or services, their classification, exemptions, the customer’s status, the place of supply and whether the transaction is interstate or intrastate. Separate a document or arithmetic mistake from a disagreement about the tax treatment of the underlying supply.

Check the invoice particulars

Put the invoice beside the order, contract, delivery record and payment details. Check:

  • Supplier and recipient legal names and GSTINs
  • Invoice number and date
  • Description, quantity, unit price and taxable value
  • Applicable GST rate and the tax amount calculated at that rate
  • Whether the invoice uses CGST plus SGST/UTGST or IGST, as appropriate
  • Place-of-supply information where it is relevant
  • Any exemption, reverse-charge or other treatment stated on the document

These are not merely presentation details. GST invoice rules prescribe particulars including taxable value, tax rate, tax amount and relevant place-of-supply information. A mismatch between the invoice and the transaction should therefore be documented before anyone asks for a correction.

Recalculate the amount

Recompute the taxable value, each tax component and the invoice total. For example, on a hypothetical taxable value of ₹10,000 at 18%, the total GST is ₹1,800. If the supply is intrastate, that would normally be split into ₹900 CGST and ₹900 SGST; an interstate supply would generally show ₹1,800 IGST. The example is only arithmetic—whether 18% and the stated tax type apply must be established from the transaction facts.

Decide which kind of error you have

The correction document depends on the direction and legal basis of the error. Do not choose a document simply because it changes the total to the number you want.

Situation Likely document or action What must be checked
The invoice charges more value or tax than is payable, or another statutory credit-note circumstance exists Supplier-issued credit note, with the required reference to the original invoice Whether the facts fall within the CGST Act provisions and whether the current reporting conditions and time limits are met
The invoice undercharges value or tax, or the value increases where permitted Supplier-issued debit note; a supplementary invoice is treated as a debit note for this purpose Correct taxable value, rate, tax component and the law in force for the supply and reporting period
The original invoice needs corrected particulars and no credit or debit adjustment is the proper treatment Revised invoice or other permitted correction issued by the supplier Applicable GST rule, document type, original invoice reference and return status
The dispute is really about classification, exemption or place of supply Written technical review before changing the tax document Facts, contracts, classification material, recipient status and advice from a qualified Indian GST professional

Under the CGST Act, a credit note is relevant where the value or tax charged on an invoice exceeds the amount payable, among other specified circumstances. A debit note addresses an undercharge or increase where the law permits it, and the Act includes a supplementary invoice within the debit-note concept. The exact document and treatment must be tested against the current effective provisions rather than a generic internet deadline.

Ask the supplier for a linked correction

  1. Write to the supplier promptly. State the invoice number and date, identify the line or tax component in dispute, and attach your calculation and supporting transaction documents.
  2. Describe the result you believe is correct. Show the taxable value, rate, CGST/SGST/IGST split if applicable and total. If the rate itself is disputed, explain the factual basis instead of asserting that the invoice is simply “wrong.”
  3. Request the appropriate document. Ask the supplier—not the recipient—to issue a revised invoice, credit note or debit note as legally appropriate. The correction should identify and refer to the original invoice and state the amount and rate being credited or debited where required.
  4. Obtain the final document before changing your books. Keep the original invoice; do not overwrite it or create a replacement invoice in the supplier’s name.
  5. Confirm the supplier’s reporting plan. Ask whether the original invoice has been included in a return and, if so, how the supplier will amend the invoice or report the note in the relevant GST portal workflow.

A corrected PDF or email explanation without the prescribed GST document may not solve the reporting and record-keeping problem. The supplier remains responsible for issuing its own tax document.

If the invoice was already reported in a GST return

Document correction and return correction are separate tasks. A supplier may need to amend the invoice details or report the credit/debit note in the applicable return period, subject to the taxpayer’s filing status and the law that applies to the transaction.

Supplier-side invoice amendments

Official GSTR-1 guidance includes amendment tables for invoices and for credit and debit notes. The supplier should use the table and fields that match the original document, the correction and the supplier’s taxpayer category. An amendment entry does not automatically make an otherwise invalid tax treatment correct; the underlying document and legal basis still matter.

Special return workflows

Taxpayer types do not all use the same return. GSTR-4 documentation, for example, describes a note-amendment process for its users. The relevant form, period and fields therefore depend on who issued the document and which return was filed. Do not copy a GSTR-1 procedure into another taxpayer’s return without checking the applicable portal instructions.

Check the effective reporting window

Section 34 of the CGST Act contains statutory reporting limits for credit and debit notes, and the Act has an amendment history. A deadline can depend on the effective provision, notifications, the financial year of the supply, annual-return status and the circumstances of filing. Confirm the current rule for the particular transaction before promising that a note can still be reported.

Protect the recipient’s records and input tax credit position

Give the corrected document to the accounts or tax team that recorded the purchase. Reconcile the supplier’s document, your purchase register, payment and the return in which the transaction was considered. If input tax credit was claimed or is proposed, stop and review the effect of the correction with your GST adviser: an overcharge, a reduced taxable value, an invalid tax rate and a change in supplier reporting can have different consequences.

  • Do not claim credit for tax that is not legally payable merely because it appears on an invoice.
  • Do not reverse or re-claim an amount mechanically without checking the corrected document and the applicable return treatment.
  • Compare the supplier’s amended details with your own records and resolve differences before the next reconciliation cycle.
  • Record the date you received the correction and the person who approved the accounting entry.

The supplier and recipient should aim for consistent books and tax-credit records. Portal visibility or a matching entry is not, on its own, a substitute for a valid invoice and an eligible underlying transaction.

Keep a complete audit file

Store the original invoice and every subsequent document together. A practical file contains:

  • Original invoice, including its number, date and all pages
  • Purchase order, contract, quotation, delivery or service evidence
  • Your calculation showing the expected taxable value and tax
  • Emails or letters with the supplier explaining the discrepancy
  • Revised invoice, credit note or debit note that references the original
  • Payment evidence and any refund, adjustment or additional payment
  • Copies or internal records of return amendments and reconciliation
  • Approval notes showing the accounting and tax treatment adopted

This checklist is prudent recordkeeping rather than a claim that every item is expressly prescribed in one GST rule. It gives an auditor or tax officer a clear chain from the supply to the correction.

Common cases and the safest response

The tax amount is arithmetically wrong but the rate is agreed

Show the supplier the taxable value, rate and recalculation. Request a corrected invoice or the appropriate adjustment document. Do not change only the total in your ledger while leaving the supplier’s tax document uncorrected.

The supplier used CGST and SGST when IGST appears applicable, or vice versa

Check the place-of-supply facts, supplier location and recipient status before requesting a change. This is a tax-type issue, not just a split calculation. Ask the supplier to correct the document and return reporting in the legally permitted manner, and obtain professional advice if both parties have already reported and paid the tax.

The supplier applied the wrong rate to the product or service

Collect the exact description, classification and contractual facts. Ask the supplier to explain its classification and issue the appropriate correction if the original treatment is wrong. Where the classification is genuinely arguable, obtain a written opinion rather than forcing a quick credit note that creates a second error.

The invoice has the wrong recipient GSTIN or other identity detail

Tell the supplier exactly which field is incorrect and request the permitted revised document or amendment. Preserve evidence that the supply was made to the stated recipient. Do not substitute another company’s GSTIN or edit a downloaded invoice.

The supplier refuses to correct it

Escalate in writing to the supplier’s tax or finance contact, setting out the invoice, amount, requested document and response date. Ask your own GST practitioner how to treat the purchase, payment and any input tax credit while the issue remains unresolved. For a material amount, disputed classification or possible tax short-payment, seek advice before filing an adjustment.

When to obtain specialist help

Use a qualified Indian GST practitioner or contact the tax authority when the amount is material, the parties disagree on classification or place of supply, a return amendment may be outside the apparent period, the recipient’s input tax credit is affected, or the supplier has ceased filing or is unresponsive. Bring the original and corrected documents, transaction evidence, return periods, payment records and a chronology of communications.

Ask the adviser to answer four separate questions: what tax was legally payable, which document should correct the error, how should each party report it, and what accounting or credit consequence follows. Keeping those questions distinct prevents an arithmetic fix from masking a classification or filing problem.
