What to Do if a Volunteer-Prepared Tax Return Has an Error

By TheFinanceBase Team 8 min read

First determine whether the return was rejected before IRS acceptance, accepted and later found to be wrong, or is being questioned in an IRS notice. A rejected e-file is usually corrected and resubmitted; an accepted return with a material change to income, filing status, deductions, credits, or tax generally requires an amended-return analysis; and a notice has its own response instructions.

Save the complete return, compare it with your IRS records and source documents, then follow the procedure for your tax year. Do not automatically file Form 1040-X when a notice tells you how to respond. The correct route also depends on whether you are seeking a refund, owe more, need to correct a state return, or suspect that someone altered or filed the return without your consent.

Start with the return’s status

The same mistake has different remedies depending on what happened after the volunteer prepared the return. Use this triage before changing any forms.

What happened Usually the next step Key caution
E-file rejected before IRS acceptance Use the rejection code to correct the return and resubmit it, when the software and filing deadline allow. A rejection is not an accepted filing that needs Form 1040-X.
Return accepted, no IRS notice Compare the filed figures with your records and determine whether a material correction calls for Form 1040-X. Keep the original return and all schedules; do not overwrite the filed copy.
IRS notice received Read the notice, identify its response deadline, and follow the stated submission method. If you agree with the proposed change, a Form 1040-X is not automatically required just to agree.
Possible deliberate alteration, refund diversion, or unauthorized filing Preserve evidence and consider the IRS preparer-misconduct forms. This is more than an ordinary calculation correction.

The Taxpayer Advocate Service (TAS) explains the distinction between rejected and incorrect filed returns at its incorrect-return guidance. A notice can change the normal amendment path, so use TAS notice guidance before mailing or e-filing anything.

  • 12 pockets plus one large pocket in back provides ample storage
  • Protective flap and elastic cord closure

Step 1: secure the filed return and establish what the IRS received

Get every page, schedule, and acknowledgment

Obtain the exact copy that was submitted, including Forms 1040 or 1040-SR, schedules, worksheets that support reported amounts, and the electronic acceptance or rejection message. If the e-file was rejected, record the rejection code and the date. Correct only the items identified by the code or discovered during your review, then resubmit through the same filing channel when possible.

Do not rely on the volunteer’s worksheet alone

The filed return is the legal baseline. A preparer’s intake sheet or a draft can differ from what was transmitted. If you cannot obtain a copy, ask the site or preparer for it in writing and request an IRS transcript for the relevant year. Keep a dated record of requests and responses.

Step 2: verify the figures and documents

Reconcile each item that could change tax: wages and withholding on Forms W-2, interest and other income on Forms 1099, self-employment records, retirement distributions, education expenses, dependent information, filing status, deductions, and credits. Gather the documents that prove the corrected amount and retain copies for your records.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

An IRS transcript can show what the agency posted, but it is not a substitute for your source documents. Compare the transcript with the filed return and your W-2s, 1099s, receipts, and other records. TAS’s amendment guidance recommends obtaining the appropriate transcript, preserving the original return, and reviewing the current Form 1040-X instructions for the tax year involved: Amending a Tax Return.

  • Mark the original amount, the corrected amount, and the document supporting the difference.
  • Check whether the correction changes another schedule or credit calculation.
  • Keep a complete copy of anything sent to the IRS, including delivery confirmation or electronic submission records.

Step 3: decide whether Form 1040-X is appropriate

Form 1040-X generally corrects a previously filed Form 1040-series return when filing status, income, deductions, credits, or total tax changes. It is not a universal fix for every discrepancy. A notice may require a response letter or specific documents instead, and an arithmetic issue that the IRS has already corrected may not call for a separate amendment.

Changes that commonly require an amendment analysis

  • A W-2 or 1099 was omitted or reported with the wrong amount.
  • The return used the wrong filing status or left out an eligible dependent.
  • A deduction or credit was missed, overstated, or tied to an incorrect schedule.
  • Withholding, estimated payments, or another tax calculation was wrong and changes the balance due or refund.

Changes that may follow a different route

If the IRS sent a notice proposing a change, respond according to the notice rather than filing an amendment automatically. TAS states that a taxpayer who agrees with the proposed notice changes does not need Form 1040-X simply to agree; a taxpayer who disagrees should send the requested explanation and evidence by the deadline and then assess whether any additional filing is needed. Read the notice carefully at TAS’s Form 1040-X notice page.

Step 4: file correctly and protect refund rights

Use the instructions for the exact tax year

Form 1040-X instructions and electronic-filing eligibility can change. The TAS guidance says electronic amended filing is available for certain recent Forms 1040 and 1040-SR only when the original return was e-filed and the selected provider participates. Confirm that your tax year qualifies and follow the provider’s current instructions. If it does not, prepare the paper form and mail it to the address in that year’s instructions.

Watch the refund-claim deadline

The general federal period for claiming a refund or credit is three years after the original return was filed or two years after the tax was paid, whichever is later. Exceptions can apply, so do not treat those periods as a universal deadline. The governing TAS explanation is available in its amendment guidance.

Pay additional tax promptly

If the corrected return shows more tax, pay as much as possible by the original due date when that date has not passed, or immediately if it has. Interest and penalties can continue while a balance remains. Filing an amendment does not by itself stop accruals or create an installment agreement.

Check the state return separately

A federal correction can change state income, deductions, or credits. Contact the relevant state tax agency for its amendment form, deadline, and attachment requirements. Do not assume that filing federal Form 1040-X automatically updates a state return.

Step 5: monitor processing without assuming a promise

TAS says a general amended-return status check can be made about three weeks after filing. That is the point at which its online tool or phone status process can be used; it is not a promise that the case is complete. TAS lists normal Form 1040-X processing as an estimated eight to twelve weeks, with some cases taking up to sixteen weeks. Those estimates were on a page last updated April 6, 2026, and can change with IRS workload and case complexity. Keep proof of filing and do not send duplicate amendments simply because the status has not changed.

When an IRS notice is already in hand

Identify the notice’s issue and deadline

Read every page, including inserts. Note the tax year, proposed adjustment, response date, mailing address or upload instructions, and whether the notice asks for payment, documents, or disagreement. Match the notice to your records before deciding that the volunteer’s return was wrong.

Agreeing with the notice

Follow the notice’s payment or acknowledgment procedure. An amendment is not required merely to accept the IRS’s proposed change. Keep the notice, your response, and proof of delivery together with the filed return.

Disagreeing with the notice

Send the explanation and supporting documents the notice requests by its deadline. Explain the disputed line, show the correct calculation, and identify each attachment. If the response process does not resolve the issue, obtain qualified tax help before choosing between an amendment, an appeal, or another remedy.

Recognize possible preparer misconduct

Most volunteer-site mistakes are handled as ordinary return corrections. Escalate when facts suggest intentional conduct, such as changing income or dependents without permission, redirecting a refund, or filing a Form 1040-series return that you never approved. The IRS identifies Form 14157 for reporting preparer misconduct. If a preparer altered tax data, diverted a refund, or filed without your knowledge or consent, the IRS says you may also submit Form 14157-A to request an account correction. Follow the current form instructions and preserve emails, signed authorizations, bank records, and copies of every version of the return.

Choose help that fits the problem

Return to the original site or preparer

Ask the volunteer program for a copy of the filed return, the rejection or acceptance record, and an explanation of the disputed line. A site may be able to explain its work, but availability and local policy differ; do not assume every VITA or TCE location prepares amended returns.

Use another qualified tax professional

For a complex filing-status, investment, self-employment, identity, or notice dispute, an independent professional can review the original filing and prepare the correction. TAS says taxpayers can seek help from the original preparer or another tax professional; its guidance on choosing a preparer is at Choosing a Tax Return Preparer.

Look for free or low-cost assistance

Eligible taxpayers may qualify for VITA or TCE assistance, but local sites set their own scope and appointment availability. IRS Tax Topic 101 describes the programs at IRS Tax Topic 101. Low Income Taxpayer Clinics may help qualifying people with disputes before the IRS; ask about income limits and case acceptance.

Contact the Taxpayer Advocate Service when ordinary channels fail

TAS may help when an IRS problem is causing significant hardship or has not been resolved through normal procedures. Bring the notice, transcripts, filed return, correspondence, and a timeline of your contacts.

You can resolve most mistakes on your own, but you can also get the help of a professional – either the person who prepared your tax return, or another tax professional.

Examples of the decision path

Rejected e-file with a misspelled name

Use the rejection code to correct the identifying information and resubmit. Because the IRS did not accept the return, an amended return is not the first step.

Accepted return omitted a 1099

Obtain the 1099, compare it with the filed copy and transcript, recalculate tax, and determine whether Form 1040-X is required for that tax year. If additional tax is due, pay promptly and check the state impact.

Notice proposes a different credit amount

Follow the notice’s deadline and evidence requirements. Agree through the notice process if the IRS is correct; if not, submit a documented disagreement rather than filing an amendment automatically.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Refund went to an account you did not authorize

Preserve bank and filing records and use the IRS misconduct-reporting process, including Form 14157-A when the facts fit. Treat the suspected unauthorized filing separately from any calculation correction.

Document checklist before you submit anything

  • Complete accepted return or e-file rejection record.
  • IRS notice and deadline, if one exists.
  • IRS transcript for the affected tax year, when needed.
  • W-2s, 1099s, receipts, payment records, and other proof of the corrected amounts.
  • Written explanation of what changed and why.
  • Current Form 1040-X instructions and any required schedules.
  • State amendment instructions, if federal figures change state tax.
  • Copies of the submission, payment confirmation, and delivery tracking.

Keep this file until the correction, any related notice, and the applicable record-retention period are complete. Tax-year rules, IRS forms, and software participation change, so verify current instructions before filing.
