If a Medicare rebate has not arrived, do not submit the claim again immediately. First check its status in your Medicare online account through myGov or the myGov app, then confirm the normal processing period, payment destination and statement details. A missing payment, a rejected claim and a rebate that is smaller than the provider’s fee require different fixes.
1. Check the claim status before doing anything else
Sign in to myGov, open your linked Medicare account and select View recent claims. The myGov app provides the same claim-status information. Recent claims remain visible for up to 30 days after they are completed or closed, so save the claim ID and details if you may need to follow up.

| Status | What it means | What to do |
|---|---|---|
| Submitted | The claim was received and is waiting to be processed. | Check the channel-specific processing estimate before contacting Medicare. |
| Completed | Medicare has processed the claim. | Read the Medicare claim and benefit statement and check where the payment was sent. |
| Closed | The claim cannot be processed or was cancelled by the health professional. | Ask the provider why it was cancelled or contact Medicare if the reason is unclear. |
A claim that is no longer visible may simply be outside the 30-day display period. That does not prove the claim was lost; use your records and claim ID when asking Medicare to locate it.
2. Compare the elapsed time with the usual processing window
Services Australia gives channel-specific estimates. They are usual timeframes, not guarantees, and the mail period starts when Medicare receives the claim.
#1 Best Overall
| How the claim was made | Usual payment time | Important qualification |
|---|---|---|
| Online | Usually within 7 days | Count from successful online submission. |
| By mail | Usually within 21 days | The 21 days run from Medicare’s receipt of the mailed claim, not the day you posted it. |
| At a service centre | Usually within 21 days | Allow for processing after the claim is lodged. |
If the relevant period has passed, follow up rather than lodging a duplicate. Have the claim ID, date of service and provider details ready so Medicare can identify the original claim.
3. Check where the benefit was sent
Medicare benefits are paid electronically, but not every benefit goes to the bank account you expect. In your linked Medicare account or the myGov app, review the registered BSB, account number and account name. You can edit those details there. If no valid bank details are recorded, payment may be held until the information is corrected.
Read the payment method shown on the claim and benefit statement. It may identify:
Recommended Free Tools
- EFT to the claimant’s registered account
- an EFTPOS-linked payment
- a bulk-billed service, where there is no patient rebate payment to collect
- a cheque sent to the provider via the claimant arrangement
- payment to a private health insurer.
A payment directed to an insurer, provider or another nominated route will not appear in your everyday transaction account. Correct bank details alone will not redirect a payment that was processed through a different method; the statement tells you which route was used.

4. Reconcile the statement with the invoice
For a completed claim, open the Medicare claim and benefit statement and compare it line by line with the invoice. Check the patient name, service date, provider, amount charged and benefit paid. Keep the invoice and statement together in case a correction is needed.
Medicare’s benefit is calculated under the applicable Medicare item and does not necessarily equal the provider’s full fee. The difference between the invoice and the rebate is therefore not, by itself, evidence of an error. A provider can charge more than the scheduled benefit, leaving a patient contribution (the gap).
Rejected claims do not appear on the benefit statement. If there is no statement, return to the claim-status screen and determine whether the claim is submitted, closed or rejected before treating the missing statement as a payment problem.

If a claim shows as paid but the patient, service date, charge or provider information is wrong, contact the health professional who submitted it. Services Australia’s specified route is for that provider to contact Medicare and request a manual adjustment. Give the practice a copy of the statement and identify the exact field that is incorrect.
Rank #3
This route is different from disputing the provider’s fee. Medicare can correct claim data or an assessed benefit; it does not automatically make the rebate equal to the amount charged. Ask the practice to confirm whether it submitted the claim under the correct patient and item number before requesting an adjustment.
6. Understand rejected and closed claims
Why a claim may be rejected
Medicare lists several possible reasons:
- the same service was submitted as a duplicate claim;
- Medicare needs more information;
- a detail on the claim is wrong; or
- the maximum allowable benefit for that service has already been reached.
Ask Medicare for the specific rejection reason. Resubmitting without fixing the underlying issue can create another duplicate or repeat the same error.
Why a claim may be closed
A closed claim cannot be processed. The health professional may have cancelled it, or Medicare may have closed it because it could not proceed. Ask the provider whether it cancelled the claim and ask Medicare what information is missing if the practice cannot explain the closure.

Medicare may ask for evidence that you actually paid the invoice. The document must show all four of these details:
Rank #4
- the amount paid;
- the payment date;
- the practice or health professional; and
- a receipt or confirmation number.
Examples Services Australia accepts include an AusPost receipt, bank-transfer confirmation, BPAY receipt, BPOINT confirmation, net-bank transfer record, PayPal receipt, an official receipt from the health professional or a thermal EFTPOS receipt. A quote, unpaid invoice or account statement without a payment reference may not establish that the bill was paid.
If you paid the invoice in full but no longer have proof, ask the doctor or practice for a replacement receipt or payment confirmation. Send a clear copy and retain the original record.
8. Check Safety Net rules before deciding a rebate is wrong
A Safety Net discrepancy can make a rebate look incorrect when the issue is verification, family registration or the threshold category. Only verified payments count toward the relevant threshold. Paying the provider in full before claiming is treated differently from claiming first and paying later; the latter payment remains unverified until Medicare receives acceptable evidence.

Call Medicare on 132 011 for claims and general Medicare enquiries. Ask for a free interpreter if you need one. Phone hours can change, so check the current official Medicare contact page before calling.
Have the following information in front of you:
- claim ID and claim status;
- date of service and provider name;
- invoice, receipt and any proof-of-payment document;
- Medicare claim and benefit statement;
- the bank-account details recorded with Medicare; and
- a short description of what is missing or incorrect and when you expected payment.
Ask the officer to explain the processing stage, payment method, rejection or closure reason, or Safety Net verification status. Write down the date of the call, the outcome and any reference number.
10. Keep debt or overpayment decisions on a separate track
The correction process for an ordinary incorrect paid claim is not the same as a formal Medicare debt or overpayment decision. For a debt decision, Services Australia says you can call for an explanation or provide new information. You can also request an internal review within 28 days of being told about that decision.
That 28-day period is not a general deadline for every missing or underpaid rebate. If an internal review does not resolve the debt decision, the stated further options are a complaint to the Commonwealth Ombudsman or an appeal through the court process.
A practical decision path
- Open View recent claims and record the status and claim ID.
- If it is submitted, compare the elapsed time with the online, mail or service-centre estimate.
- If it is completed, inspect the statement, payment method and registered bank details.
- If the amount is wrong because claim information is wrong, ask the submitting provider to request a manual adjustment.
- If it is rejected or closed, obtain the specific reason before attempting another claim.
- If Medicare asks for payment evidence, provide a document showing amount, date, practice and confirmation number.
- If the discrepancy concerns a Safety Net amount, verify payment evidence, family registration and the applicable annual threshold.
- Call 132 011 with your records when the issue remains unresolved.
Mistakes that commonly delay resolution
- Submitting the same claim again before checking whether the first one is still processing.
- Assuming the rebate must equal the provider’s invoice.
- Checking only one bank account without reading the statement’s payment method.
- Using an invoice as proof that payment was made when Medicare requires a receipt or transfer confirmation.
- Assuming an unverified payment counts immediately toward a Safety Net threshold.
- Using the 28-day debt-review period as though it applied to every ordinary rebate query.
The fastest resolution usually comes from identifying the claim stage first, then following the route that matches the actual problem: wait for normal processing, correct payment details, involve the submitting provider, supply evidence, or ask Medicare for a reasoned decision.
