What to Do if a Former Employer Reports Bonus Wages After You Retire

By TheFinanceBase Team 10 min read

A bonus from a former employer is not automatically tax-free because you retired. If the payment was compensation for your work, it is generally taxable wages and normally belongs on the Form W-2 for the year you received it or could access it. A bonus promised for a future date generally is not taxable until it is paid or made available.

Start by identifying exactly what was paid, when it was paid, and which services it relates to. Then reconcile the payment with the W-2, ask the former employer for Form W-2c if the statement is wrong, and use the IRS escalation process if the employer does not correct it. If you receive Social Security retirement benefits, also ask whether a payment for earlier services was reported to the Social Security Administration as a special wage payment.

1. Establish what the payment actually was

Retirement status alone does not determine the tax treatment. The key facts are the payment’s legal and payroll classification, when the money was received or made available, and the period in which the underlying services were performed.

Actual bonus versus a promise to pay

IRS Publication 525 says compensation for personal services is generally included in gross income. Bonuses and awards for work are ordinarily reported as wages on Form W-2. If your former employer merely promised a bonus for a future date and you had not received it or been able to access it, the promise generally is not taxable yet. Once the funds are paid or made available to you, the payment generally becomes income for that payment year.

Payment year versus service year

A bonus can relate to work performed in an earlier year and still belong on the W-2 for the year in which it was paid. Publication 957 describes back pay and other “special wage payments” as amounts paid to an employee or former employee for services performed in a prior year. Therefore, work completed before retirement does not by itself make a later W-2 wrong. The payment date, not just the retirement date or service period, must be checked.

Possible misclassification

Do not assume every check received after retirement is a bonus. It could be a regular payroll item, accrued compensation, severance, a deferred award, reimbursement, or a duplicate payroll entry. Ask the former employer to identify the payment’s gross amount, payment date, service period, and reason before deciding how to report it.

2. Match the W-2 to your records

Gather the documents before contacting payroll. Keep copies of the W-2, any earlier W-2 from the same employer, the pay statement or direct-deposit advice, employment or bonus-plan communications, bank records, and correspondence about the payment. If you believe the amount was already reported in an earlier year, include that earlier statement and proof of the earlier withholding.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check the basic identifiers

  • Confirm that the W-2 shows the correct tax year, employer, name, address, and taxpayer identification information.
  • Confirm that the gross payment shown in payroll records was actually paid to you or made available to you.
  • Compare federal wages and federal income-tax withholding on the W-2 with the final pay statement and your year-to-date payroll totals.
  • Review the Social Security and Medicare wage and withholding amounts as well, because a correction can affect more than federal income tax.
  • Look for duplicate W-2s or a second entry for the same bonus.

Use the classification that fits the facts

What happened Likely reporting treatment What you should do
Bonus was paid or made available after retirement Generally taxable compensation in the year paid or made available and ordinarily reported on that year’s W-2. Match the payment date and amount to the W-2 and report it for that year.
Bonus was only promised for a later date Generally not taxable before payment or availability. Ask payroll why it was reported and request correction if no payment or availability occurred.
Payment was for services performed in a prior year May be a special wage payment; income-tax reporting generally follows the year paid. Ask whether the employer reported the payment to SSA as a special wage payment if you receive Social Security retirement benefits.
Payment appears twice or was never received The W-2 may be inaccurate. Document the discrepancy and request a corrected W-2 rather than deleting the wages yourself.
Payment arrived in the normal payroll cycle after retirement Not automatically a special wage payment for SSA purposes. Ask the employer how it classified and reported the payment; Publication 957 cautions against routinely treating normal-cycle payments as special wage payments.

3. Ask the former employer for a corrected W-2

The employer, not the retiree, ordinarily files the correction. Contact the payroll, human-resources, benefits, or tax-reporting office listed on your former employer’s records. Make the request in writing so you can show what you reported and when you asked for help.

Include enough detail to let payroll investigate

  1. State the tax year and the date you received the W-2.
  2. Describe the suspected error: an amount not paid, a duplicate entry, wrong year, incorrect withholding, or another mismatch.
  3. List the amount shown on the W-2 and the amount supported by your pay statement or bank record.
  4. Attach legible copies, keeping the originals for your files.
  5. Ask the employer to review its payroll and information returns and issue Form W-2c if the original W-2 is incorrect.
  6. Request a written response and retain proof of delivery.

Do not ask payroll to remove wages simply because the underlying work occurred before your retirement. Explain the specific factual error instead. A payment for prior-year work can properly be reported in the year it was paid.

Allow time for the correction

Employers may need to amend payroll records and information returns before issuing Form W-2c. Continue to preserve your evidence while the review is pending. If the employer agrees that the statement is wrong, use the corrected form when preparing or amending the affected return and keep both forms with your tax records.

4. If the employer will not correct the W-2

IRS procedures provide an escalation path. The IRS W-2 guidance says that if, by the end of February, your employer has not corrected the W-2 after you attempted to obtain a correction, you can ask an IRS representative to initiate a Form W-2 complaint. The IRS may contact the employer and explain what must be corrected.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Request an IRS W-2 complaint

  1. Make and document a good-faith attempt to have the former employer correct the form.
  2. Wait until the end-of-February point described in the IRS guidance, unless the current instructions for your filing year provide a different deadline or procedure.
  3. Contact the IRS using the current W-2 complaint instructions and provide the employer’s details, the tax year, the amounts in dispute, and copies of your correspondence and payment records.
  4. Follow any instructions the IRS gives about filing while the complaint is pending.

The IRS can contact the employer, but it cannot decide from a phone call that an amount was never taxable. Your records still need to establish what was paid and when.

Use Form 4852 only as directed

If a corrected W-2 is unavailable when you must file, the IRS may instruct you to use Form 4852, Substitute for Form W-2, Wage and Tax Statement. Form 4852 is not permission to omit disputed wages or invent a replacement amount. Complete it from your best documented information and follow the current form instructions, including any explanation of how you calculated wages and withholding. If the employer later issues Form W-2c, compare it with the substitute statement and correct your return if necessary.

Do not silently delete disputed wages

Publication 525 directs taxpayers to include all pay on Form 1040 or Form 1040-SR, line 1a, even when a W-2 is missing or does not include all pay that should be reported. When a W-2 is wrong, the safer course is to document the facts, pursue the employer correction, and use the IRS process rather than simply omitting the amount because you disagree with it.

5. Understand the Social Security issue

A bonus can create a separate reporting question when you receive Social Security retirement benefits. Publication 957 says bonuses for services performed in a prior year may qualify as special wage payments. Proper reporting helps SSA avoid treating the payment as current work earnings in a way that could produce an incorrect benefit reduction.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ask whether the employer reported a special wage payment

Tell the former employer that you receive Social Security retirement benefits and that the payment relates to earlier services. Ask whether the employer reported the amount to SSA as a special wage payment and what service period it used. Keep the response with your W-2 records. If the employer did not report it correctly, ask what correction it will submit and contact SSA using its current instructions if the issue remains unresolved.

Normal payroll-cycle payments are different

Publication 957 cautions that a payment made after retirement in the employer’s normal payroll cycle should not routinely be reported as a special wage payment. The timing and nature of the payment matter. A check that arrives after your last day because payroll was processing an ordinary pay period may not receive the same SSA treatment as a bonus expressly paid for prior-year services.

A bonus does not automatically reduce benefits

Do not assume that every post-retirement payment will reduce Social Security benefits. The result can depend on whether you are below or above full retirement age, whether the payment is for prior services, how the employer reports it, and other facts SSA applies to your record. Publication 957 explains the employer’s reporting role, but it does not calculate an individual’s benefit adjustment. Ask SSA for a case-specific determination rather than withholding information from either agency.

6. Prepare the federal tax return while the issue is being resolved

Report the income for the correct year

Use the payment year supported by your records and the applicable corrected statement. A prior-year service period does not, by itself, move the income back to the year in which you performed the work. If the bonus was paid in 2025, for example, it generally belongs to the 2025 income-tax return even if the services were performed before retirement in an earlier year.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Reconcile withholding separately

Wages and withholding are separate questions. A W-2 can show the right wage amount but wrong withholding, or the wrong amount for both. Compare each figure with payroll records. If you use Form 4852 under IRS instructions, explain the basis for both wages and withholding rather than copying an unsupported number.

Amend after a later correction

If the employer issues Form W-2c after you filed, compare the corrected figures with the return you submitted. File an amended return only if the correction changes your taxable income, tax, credits, or withholding, and follow the current IRS instructions for the applicable year.

7. Worked examples

Bonus paid several months after retirement

You retired in June 2025. In February 2026, the former employer paid a 2025 performance bonus earned under the company’s prior-year plan and issued a 2026 W-2. The service period predates retirement, but the payment year is 2026. Check that the payment was actually made, verify the amount and withholding, and ask whether the employer reported it to SSA as a special wage payment if you receive retirement benefits.

Bonus promised but never paid

A letter says a retention bonus will be paid if a future condition is met. You retire before the condition is met, receive no money, and later get a W-2 showing the bonus. Gather the letter, bank statements, and payroll records and request Form W-2c. Do not report money that was never paid or made available merely because it appears on an erroneous form; pursue correction and use Form 4852 only if the IRS directs you to do so.

Duplicate reporting

Your final pay statement shows one bonus, but the W-2 includes that amount twice. Identify the duplicate line, attach the pay statement, and ask payroll to issue Form W-2c. Until corrected, retain the original W-2 and your written request; do not conceal the discrepancy or discard the form.

8. Common mistakes to avoid

  • Assuming retirement makes all later payments tax-free.
  • Using the work year instead of the payment year without checking when the money was paid or made available.
  • Treating every payment after retirement as a special wage payment for Social Security.
  • Ignoring a W-2 because you believe the employer made a mistake.
  • Asking for a correction without supplying the pay date, amount, and supporting records.
  • Using Form 4852 without following the current IRS instructions or documenting your calculations.
  • Assuming that a W-2 correction automatically determines your Social Security benefit amount.

9. When professional help is worthwhile

Consider consulting a tax professional if the employer will not respond, the payment spans several tax years, withholding is substantial, the amount affects an amended return, or the payment may involve deferred compensation or severance rather than a straightforward bonus. A professional can help organize payroll evidence and prepare a corrected filing, but the employer and SSA still control their own reporting records.

10. A practical checklist

  • Identify the payment type, gross amount, payment date, and service period.
  • Determine whether the money was paid or merely promised.
  • Compare the W-2 with pay statements, bank records, and earlier W-2s.
  • Write to the former employer and request Form W-2c for a factual error.
  • Keep copies of every document and delivery confirmation.
  • If no correction arrives by the end of February after your attempt, follow the IRS W-2 complaint procedure.
  • Use Form 4852 only when the IRS directs you to and only from documented figures.
  • Report accurate wages and withholding on Form 1040 or 1040-SR, line 1a, for the payment year.
  • If you receive Social Security retirement benefits, ask whether prior-year-service pay was reported to SSA as a special wage payment.
  • Verify forms and deadlines for the tax year you are filing; this is general U.S. federal guidance, not a determination of your individual tax or benefit amount.
