What to Check When Your Salary Slip Does Not Match a Revised Pay Calculation

Start by reconciling the same pay period—not just the new annual salary. Confirm the written revision and effective date, then compare the slip’s pay dates, rate or hours, every earnings item, any arrears entry, each deduction, gross pay, net pay, and the bank payment. A mid-period change, retroactive adjustment processed later, variable hours, or changed deductions can all make a correct payslip differ from a simple revised-pay calculation. If the figures still do not reconcile, ask payroll for a written, period-by-period breakdown showing exactly how it reached the gross and net amounts.

What to collect before checking the numbers

Put the documents for the disputed payment together before doing arithmetic. You need the written pay revision—such as a contract amendment, employer notice, award, or collective-agreement change—and the payslip in question. Also gather earlier payslips, time or attendance records, leave records, bonus or commission statements, and the bank statement showing the payment. Keep the payment date and the pay-period dates visible on every document.

Record the jurisdiction and your worker status. Tax, social-insurance, pension, deduction, correction, and complaint rules differ by country, and sometimes by public- or private-sector employment. The examples below from the UK, Canadian federal public service, and Australia illustrate useful checks; they are not universal legal rules.

Reconcile the revision in the order payroll uses it

1. Read the written revision, not just the headline salary

Write down the old and new rate, the pay basis (annual salary, hourly rate, daily rate, or another basis), the effective date, the earnings components affected, and whether the change is retroactive. A statement that annual salary rose does not by itself establish what should appear on one particular payslip. The revision may apply only to ordinary salary, for example, while an allowance, overtime rate, bonus formula, or other component follows a separate rule.

Note any wording about implementation dates. An employer can approve a change on one date but apply it in payroll from a later run. The document should tell you which date controls entitlement; payroll can then explain how that date was converted into the period calculation.

2. Match the exact pay period and payment date

Check the first and last dates covered by the slip, the date money was paid, and your pay frequency. Compare a monthly revision with the monthly period actually shown, or an hourly revision with the exact hours in that period. Do not compare a full-period revised figure with a slip covering only part of a period.

If the effective date falls inside the period, ask which days or hours were paid at the old rate and which at the new rate. Payroll may prorate by calendar days, scheduled hours, worked hours, or another method required by the governing agreement. The method cannot be inferred reliably from the annual rate alone, so request the dates and basis used.

3. Recalculate the rate, hours, and proration

For salaried work, verify the period conversion from the annual or contractual rate and any part-period treatment. For hourly or daily work, multiply the applicable rate by the hours or days recorded for each rate segment. Check overtime, shift premiums, leave, unpaid absences, and rounding separately. Preserve the employer’s stated convention if it uses a fixed monthly divisor or another contractual basis; two reasonable-looking methods can produce different cents.

Compare your calculation with the slip’s ordinary or base earnings line before considering tax or other deductions. This isolates a pay-rate or time-record issue from a deduction issue.

4. Compare every earnings component

Make a line-by-line list of what the revision should affect and what the slip actually shows:

  • base salary or ordinary earnings;
  • hours, days, overtime, or other time-based amounts;
  • allowances, premiums, commissions, and bonuses;
  • paid or unpaid leave and absence adjustments;
  • one-off payments, reimbursements, or corrections; and
  • any item that was removed, capped, or recalculated under the new terms.

An unchanged allowance can be correct if the written revision did not alter it. Conversely, a revised hourly rate may change overtime or leave-related amounts even when the payslip has only one obvious “salary” line. Ask payroll which components were included in the revision and which were intentionally left unchanged.

5. Find and identify any retroactive payment

If the new rate starts before the first payroll run that used it, look for a separately named line such as arrears, retroactive pay, adjustment, or correction. Identify the earlier periods it covers and whether it includes changes in hours, leave, overtime, promotions, deployments, acting assignments, or other status changes.

Canadian federal public-service guidance describes retroactive revisions that require recalculation and can involve promotions, demotions, deployments, or acting situations during the retroactive period. That explanation applies to the covered federal workforce, not to every employer or country. See the official Canadian pay-stub guidance and how Canadian public-service pay works.

A missing arrears line does not prove an error: an employer may schedule the recalculation for a later run. Ask which periods have been processed, which remain outstanding, and when the adjustment will appear.

6. Reconcile deductions separately from gross pay

Gross pay is the amount before deductions; net pay is what remains after them. Compare each deduction on the slip with its description and the relevant official record rather than applying a single percentage to the revised salary. Check income tax or withholding, social-insurance contributions, pension, insurance, loan or wage advances, court- or order-based deductions, and any voluntary deductions.

A higher gross amount can produce a smaller-than-expected net increase because tax or contribution bands, pensionable earnings, benefit premiums, or one-off deductions changed. Conversely, a refund or a temporarily missing deduction can make net pay rise by more than the gross revision. The payslip should identify each item and its period or year-to-date effect where the local system requires it.

For specified worker categories, HM Revenue & Customs advises comparing payslip tax and National Insurance with official records and checking pension deductions with the pension provider. Its guidance is UK-specific; use the relevant authority and provider records in your jurisdiction. See HMRC payslip guidance.

7. Check the net payment against the bank credit

Compare the payslip’s net amount, payment date, and account identifier with the bank statement. A bank credit proves what arrived, not that the gross calculation or deductions were correct. If the bank amount differs from the slip, ask whether a separate payment, recovery, transfer, or payroll reversal was made and request the payment reference.

Use a period-by-period comparison table

Align the old calculation, revised calculation, payslip, and payment for the same period. A table prevents an annual figure or a later arrears payment from being mixed into a single month.

Deductions Prior tax, contributions, and other items Expected deductions Each deduction and year-to-date figure Is a difference caused by withholding or by gross pay?
Gross and net Prior totals Expected totals Slip totals and bank credit Do the payment and payment date match?

Keep the arithmetic for each period, including rounding, so payroll can reproduce it. Do not use a dash for an item that does not apply; write “not applicable” in your own notes and ask payroll to confirm any omitted line.

Why a correct slip can differ from your first calculation

Mid-period implementation

A change beginning after the first day of the period normally creates a mixture of old- and new-rate earnings. A full-period increase will therefore overstate that slip. The following period may show the full revised rate, subject to hours and other variable items.

Retroactive work processed in a later run

Payroll may pay the new ongoing rate first and calculate earlier-period arrears after additional checks. The arrears can appear as a separate payment or line, and deductions on that payment may not resemble the deductions on ordinary salary.

Variable earnings or records changed after payroll closed

Overtime, leave, commissions, bonuses, and corrected time records can be received after a payroll cut-off. Ask which data cut-off applied and whether a later correction is scheduled. Compare the final attendance or leave record with the version payroll used.

Different gross and net expectations

Your revised calculation may be a gross figure while your bank expectation is net. A deduction can also be a one-time item, a year-to-date adjustment, or a benefit change unrelated to the rate revision. Reconcile the gross lines first and deductions second.

Timing and payment-method differences

A payslip can be issued before a bank transfer settles, or a transfer can be split, reversed, or combined with another payment. Use the payment date, amount, and bank reference to establish what was actually paid.

Ask payroll for a written reconciliation

Send a concise request with the documents and your table. Ask payroll to state:

  • the old and new rates and the effective date used;
  • the pay-period dates, hours or days, and proration or divisor;
  • each earnings item included, excluded, or changed;
  • the retroactive periods covered and the calculation for each;
  • every deduction adjustment, including tax, contributions, pension, insurance, and other items;
  • the resulting gross, net, payment date, and amount; and
  • which figure or record differs from your calculation and why.

Request the explanation in writing and retain the revision notice, payslips, time records, payment statements, and correspondence. A clear period-by-period answer is more useful than a new headline salary figure because it shows where any variance arose.

If payroll confirms an error

Ask what correction will appear, when it will be paid or reflected, and whether an amended payslip, tax statement, or other record will be issued. Check the next payslip and bank payment against the promised correction. If an underpayment is paid separately, reconcile its gross and deductions rather than assuming it equals the net shortfall you first estimated.

Correction mechanics depend on the jurisdiction and employment relationship. In the UK PAYE system, HMRC says: “You can correct a mistake with an employee’s pay or deductions by updating the year-to-date figures in your next regular Full Payment Submission (FPS (Full Payment Submission)).” HMRC also describes additional submissions and payment of an underpayment in its employer process; this is not a general instruction for workers or other countries. See HMRC payroll correction guidance.

Australian Fair Work Ombudsman materials explain the information that pay slips and employment records should contain and direct workers with a pay concern to check what they should receive under the applicable workplace instrument. Australian deduction rules can depend on legislation, court or commission orders, awards, agreements, and authorisation. Those rules apply within the relevant Australian system only. See the Australian pay-slip records guidance, pay concern guidance, and deduction guidance.

When the numbers still do not reconcile

Follow your employer’s internal payroll or HR escalation route and provide the written comparison rather than only stating that the net pay is wrong. Ask for the governing contract, award, agreement, or policy provision used for the calculation. Keep a dated record of requests, replies, promised correction dates, and payments received.

Do not assume a universal complaint deadline, tax treatment, or legal remedy. Those depend on your country, employment status, collective agreement, and the type of error. If payroll will not explain a continuing discrepancy, an independent payroll or payslip review may help, but it should be jurisdiction-specific and is optional for a routine one-off query.
