What to Check if Your Revised Salary or Arrears Seem Incorrect (UK Guide)

Do not judge a revised payslip by the bank deposit alone. Reconcile each affected pay period against the pay rate and terms that applied then, the hours or days counted, gross earnings, every deduction and the reported tax period. A revised total can combine a new salary with arrears for earlier months, so a different net payment does not by itself prove an error.

Start with a period-by-period reconciliation

Collect the original payslips, revised payslip, employment contract or variation letter, timesheets where relevant, bank statements and any message explaining the change. Put the documents in date order. The objective is to identify whether the difference comes from entitlement, arithmetic, deductions or payment timing.

Check for every affected period What to compare
Effective date and rate The date the revised salary, hourly rate or allowance became effective, and the rate shown for that period.
Hours or days Contracted, scheduled or approved hours, overtime, unpaid leave and any other quantity used to calculate variable pay.
Gross earnings Basic salary plus allowances, overtime, bonuses or other earnings before tax and other deductions.
Arrears period The start and end dates covered by the back payment and the gross arrears attributed to each period.
Deductions Income tax, social insurance or National Insurance, pension, student-loan deductions, benefits, salary-sacrifice amounts and any other item, with its stated basis.
Net payment The amount actually paid and the date it reached your bank account.
Reported period The tax or payroll period in which the employer reported the payment, especially if it relates to a closed tax year.

Mark the first line that fails to reconcile. For example, if gross pay agrees but net pay does not, investigate deductions rather than recalculating the salary. If the rate is correct but the arrears period is too short, state the missing dates explicitly in your query to payroll.

Understand what “arrears” means

HM Revenue & Customs (HMRC) defines arrears as: “Arrears of pay are earnings paid after the date that an employee became entitled to receive them and are usually paid as a lump sum.” Arrears can result from an earlier contractual shortfall, a payroll or HR-system error, equal-pay obligations or a court order. The label does not tell you whether the amount is correct; the entitlement date and calculation do.

A revised payslip may therefore contain two different transactions: the prospective salary at the new rate and a retrospective adjustment for earlier periods. Compare the new rate only with periods after its effective date. Compare arrears with the old rate, revised rate or other entitlement that applied during each earlier period, rather than applying one rate to the entire lump sum.

Check the payslip itself

Confirm the document and timing

For UK employees, GOV.UK says an employer must provide a payslip on or before payday. It can be used as proof of earnings, tax paid and pension contributions. Check that the revised document identifies the same employer, pay date and pay period as the payment in your bank account. A payroll preview, email estimate or separate bank transfer is not a substitute for the final payslip.

Read gross pay before net pay

Start with gross basic pay and each allowance or variable item. Recalculate an hourly or daily component using the hours or days shown, but do not assume that every allowance is pensionable or taxable: the contract, scheme rules and payroll treatment determine that. Then add the arrears line and verify that its dates and amount match the employer’s explanation.

Trace every deduction

Compare each deduction with the earlier payslip and with the basis stated by payroll. A higher tax or pension amount can legitimately reduce the net arrears even when gross arrears are correct. Conversely, a deduction that appears for the first time, is calculated on the wrong base or is duplicated needs a written explanation. Keep gross and net discrepancies separate in your notes.

Ask payroll or HR for an itemized explanation

Send a written request so there is a clear record. Identify the pay date, affected periods and exact lines you cannot reconcile. Ask for the calculation, not merely confirmation that the figure is “correct.” Your request should seek:

  • the effective date and rate used for each period;
  • the hours, days or other quantities included;
  • gross basic pay, allowances and gross arrears by period;
  • the formula or basis for every deduction;
  • the tax or payroll period to which the arrears were reported;
  • the corrected payslip or payroll record if a line is wrong; and
  • the date and method of any further payment.

HMRC’s employer guidance says certain back payments should receive documentary confirmation, such as a letter or payslip. Ask for that confirmation and keep it with the original and revised payslips, bank record and your calculation. If payroll gives a verbal answer, follow up with an email recording what was said and ask them to correct anything inaccurate.

Check tax treatment, especially for closed UK tax years

For arrears relating to a UK tax year that has already closed, HMRC says the tax liability arises in the year in which you were originally entitled to the extra pay, not necessarily the year in which the money is paid. A lump sum paid now can therefore relate to an earlier entitlement year. Ask payroll how it allocated the payment and deductions to the relevant periods, then compare that treatment with your tax records.

Do not infer an error solely because the tax withheld on the lump sum looks larger than the tax on one month’s salary. A single payment can change the payroll calculation for that pay date, while the legally relevant entitlement may belong to an earlier year. The question is whether the employer reported and deducted it under the applicable HMRC rules for the circumstances, not whether the net percentage resembles your usual payslip.

If your tax record does not match the employer’s written allocation, ask payroll to investigate before trying to amend anything yourself. HMRC’s guidance on arrears is part of the UK PAYE framework; another country may assign the income and deductions differently.

If you find a confirmed underpayment

  1. Describe the shortfall precisely. State the period, rate or hours used, the amount you expected, the amount shown and the difference. Attach the relevant documents.
  2. Request a corrected calculation. Ask payroll to confirm the revised gross amount, deductions, net payment and reporting period in writing.
  3. Keep the correction record. Retain the corrected payslip, explanation and bank confirmation with the original documents.
  4. Verify the follow-up payment. Check that the deposited amount and the corrected payslip agree, and that the missing period is no longer shown as outstanding.

For UK underpayments, HMRC describes paying the shortfall and making the corresponding payroll-reporting correction. Its employer guidance includes an additional Full Payment Submission in specified circumstances. That is an employer-facing reporting process, not a substitute for proving your entitlement; your reconciliation should still show exactly how the shortfall was calculated.

If the revision appears to overpay you

Do not spend a disputed excess while the calculation is being checked. Ask for the same period-by-period breakdown and request the employer’s proposed correction in writing. Whether and how an employer can recover an overpayment depends on the employment terms and the law where you work. The Fair Work Ombudsman’s Australian guidance, for example, treats overpayment recovery as limited to defined situations; that is Australian guidance, not a rule to apply in the UK.

Request a corrected payslip and an explanation of how any repayment would affect tax, pension and other deductions. Do not agree to a deduction from future wages until you understand the amount, schedule and legal basis, and obtain independent advice if the proposed recovery would cause hardship or the employer cannot substantiate it.

Use a written escalation path

First escalation: payroll or HR

Give payroll a concise schedule showing each disputed line and period. Set a reasonable response date and ask for a named contact. Avoid broad statements such as “my pay is wrong”; a list of specific discrepancies is easier to audit and harder to overlook.

Second escalation: your manager or formal grievance route

If payroll does not respond or the explanation remains inconsistent, use the employer’s formal grievance or pay-query process. Attach the chronology, your reconciliation and all replies. Keep copies outside your work email if permitted by your employer’s policies.

External help

For a UK case, consider an employment adviser, trade union or other qualified professional when the dispute involves contractual interpretation, equal-pay rights, unlawful deductions, a large tax effect or threatened dismissal. The facts needed for a legal assessment include your contract, the effective date, payslips, hours, correspondence and the employer’s calculation.

Keep records that let you reproduce the calculation

  • Save the original and revised payslips, not just screenshots of the bank deposit.
  • Keep the contract, salary-change letter, bonus or allowance terms and approved timesheets.
  • Record payment dates and amounts from your bank statement.
  • Store payroll explanations and corrected documents together with the period they concern.
  • Write down your own arithmetic, including which rate and dates you used.
  • Protect personal data and retain records for the period required by your tax, employment and pension obligations.

A complete file matters if the issue later affects a tax return, pension contribution, benefit assessment or employment claim. It also prevents a second correction from being calculated from an already amended figure.

Why jurisdiction matters

Location What the cited guidance establishes What it does not establish
United Kingdom GOV.UK covers payslip timing and their use as evidence of earnings, tax and pension contributions. HMRC covers arrears treatment, correction of reported pay and deductions, and closed-year allocation within UK PAYE. It does not decide your contractual salary, hours, allowance entitlement or every deduction dispute without the underlying facts.
Australia The Fair Work Ombudsman covers pay slips and record-keeping and gives guidance on when overpayment recovery is permitted. Those rules are not UK rules and do not create a global procedure.
Elsewhere Use the official tax and employment authority for the country governing your employment. Do not assume UK or Australian tax-year, payslip or recovery treatment applies.

The title alone cannot establish your country, contract terms, pay change, affected period or whether the difference is an underpayment, overpayment or deduction issue. Those facts determine the correct remedy.

A compact decision checklist

  • Have you identified the exact periods covered by the revision?
  • Does each period use the correct effective rate and hours or days?
  • Do gross earnings and arrears reconcile before deductions?
  • Can you explain every deduction and its calculation basis?
  • Does the net payment match the bank record?
  • Has payroll confirmed the tax or reporting period, including any closed UK tax year?
  • Do you have a written explanation and corrected record for any confirmed error?
  • Are you applying the rules of the country that governs your employment?

Frequently Asked Questions

Is a larger tax deduction proof that my arrears are wrong?

No. A lump-sum payment can produce different withholding from a normal month. Check the gross arrears, the entitlement period and the tax period payroll reported before deciding that the deduction is incorrect.

What should I send payroll when I dispute a revised payslip?

Send the original and revised payslips, the relevant contract or salary-change terms, hours or timesheets, bank payment details and a schedule identifying the exact period, line and amount in dispute. Ask for an itemized calculation and written correction if needed.

Can I apply UK arrears rules if I work in another country?

Not automatically. The UK guidance cited here is part of HMRC’s PAYE framework. Tax allocation, payslip requirements and overpayment recovery are jurisdiction-dependent, so use the official rules for the country governing your employment.
