What to check if your revised pay or pension is calculated incorrectly

If a revised payslip or pension statement looks wrong, do not start with the net amount alone. Match the same pay period and effective date across the revision notice, payroll records and pension record; then check the pay basis, pensionable earnings, service dates and contributions. This guide uses UK procedures and examples. The correct calculation and remedy depend on your country, employer and pension scheme rules.

1. Pin down exactly what is being disputed

Write down the figure shown, the figure you expected, the pay or pension period, the date the revision took effect and the document or portal where the figure appears. Save the employer’s written decision, revised salary or grade notice, earlier payslips and previous pension statements. A calculation can look inconsistent simply because two documents use different effective dates or cover different periods.

  • Amount shown: record gross pay, pensionable earnings, employee contribution and any resulting pension figure separately.
  • Amount expected: note how you arrived at it and which written decision, contract or scheme communication supports it.
  • Dates: record the revision date, payroll period, statement date and any date on which hours, grade or employment status changed.
  • Source: identify whether the number is on a payslip, annual benefit statement, online pension portal, payroll letter or estimate.

Keep the original files. Screenshots should include the date and the surrounding labels, not just the disputed number.

2. Reconcile the revised pay with payroll records

Start with the employer’s written revision and the payslip for the first period affected. UK payslips must show earnings before and after deductions, variable deductions and, where pay varies by time worked, the hours paid. They can therefore evidence earnings, tax paid and pension contributions; see GOV.UK’s payslip guidance.

Check What to compare What a mismatch can mean
Effective date The date in the pay-revision notice versus the first payroll period using the new rate The change may have started one period early or late, or arrears may be due.
Salary or grade basis The revised annual salary, hourly rate or grade point against the payslip calculation Payroll may still be using the former rate or an incorrect grade point.
Hours or fraction Contracted hours, worked hours or full-time fraction for the affected period A part-time fraction, overtime pattern or unpaid absence may have been applied incorrectly.
Period covered The dates represented by the payslip and any back-pay calculation Arrears may cover fewer or more days than the written decision.
Deductions Tax, National Insurance, pension, student loan and other variable deductions A changed gross amount may be correct while a deduction, tax code or pension rate is wrong.

Use gross figures before investigating net pay

Net pay is affected by tax codes, National Insurance, pension contributions and other deductions. A lower take-home amount does not by itself prove that the revised salary is wrong. First verify the gross salary or hourly calculation, then test each deduction against the relevant rule and the period in which it arose.

Check the tax and payroll details

HM Revenue & Customs advises checking personal and payroll details, the tax code and whether deductions look reasonable when reviewing a payslip. Its payslip guidance is also useful if a document contains unfamiliar employer or payment details. A tax-code issue can change net pay without changing pensionable salary; treat those as separate questions.

3. Separate salary from pensionable earnings

A pension calculation may legitimately use a different base from the salary shown on your payslip. Schemes can include certain pensionable allowances and exclude payments that their rules define as non-pensionable. The Civil Service Pension Scheme states this plainly in its Annual Benefit Statement FAQs: "Your pensionable earnings aren’t always the same as your salary." Read your scheme’s definition before assuming every allowance, overtime payment, bonus or back-pay item must enter the pension calculation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Civil Service example also says its current statement figures are based on information supplied by employers up to 31 March 2026. A statement issued after that cutoff can therefore differ from a later payroll correction. This date is specific to that scheme’s guidance, not a universal UK pension data deadline; check the equivalent cutoff shown by your own administrator.

Record Question to ask
Salary or revised pay Is the figure the contractual salary, an hourly equivalent, or pay actually received during the period?
Pensionable earnings Which allowances, overtime, bonuses, supplements or arrears count under the scheme rules?
Excluded pay Has a non-pensionable payment been omitted correctly, or was a pensionable element left out?
Timing Did the pension record receive the revised pay before the statement’s data cutoff?

Ask the administrator to identify the pensionable-pay rule and the employer data used. Do not substitute a universal percentage or formula when the scheme rules have not been checked.

4. Reconcile pension deductions with the provider’s record

Compare the pension deduction on each affected payslip with the annual statement, online account or provider transaction history. A deduction printed on a payslip shows what payroll withheld; it does not, by itself, establish that the money reached the pension provider or was allocated to the correct membership.

  1. List each payslip date, pensionable-pay figure and employee deduction.
  2. Find the corresponding contribution or posting date in the scheme or provider record.
  3. Check whether the employer contribution is shown separately where your scheme provides that information.
  4. Mark any missing, late, duplicated or differently dated payment.
  5. Ask payroll or the administrator to trace the payment using the payroll reference, pay period and member number.

When you write, distinguish a disagreement about the amount deducted from a concern that a correct deduction was not transmitted. They may be handled by different teams. Include evidence rather than relying on a rounded annual total.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

5. Verify service, membership and employment dates

An apparently wrong pension figure can result from the wrong membership period rather than the wrong pay. Confirm that the statement covers the correct active employment, scheme section and dates. Check the start date, end date, breaks in service, transfers and any deferred benefits from earlier employment.

In its Annual Benefit Statement guidance, the Civil Service Pension Scheme notes that unpaid breaks may not count as pensionable service. It also explains that a previous period of employment can appear as deferred benefits rather than current active membership. Those are scheme-specific examples, but they show why a missing period should not automatically be treated as a payroll error.

Information to provide for a service-record query

  • The exact period you believe is missing or wrongly included.
  • The expected start and end dates.
  • The employer or department connected with that period.
  • The reason the record appears wrong, such as an unpaid break, transfer or return to employment.
  • Documents supporting the dates, including contracts, leaving letters or earlier statements.

Ask whether the disputed period should be active service, deferred benefits or another category under the scheme rules.

6. Send a specific written query

Once you have reconciled the records, contact payroll, the pension administrator or both through the secure channel they provide. The Civil Service scheme directs members to secure messaging for an Annual Benefit Statement query. Other schemes may require an online form, employer contact or formal complaint stage.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. State the disputed figure: quote the exact amount, label and document date.
  2. State the expected figure: give the amount or treatment you believe should apply.
  3. Explain the reason: refer to the effective date, salary change, hours, pensionable-pay rule, service period or missing contribution.
  4. Attach focused evidence: include the relevant payslip, revision notice, statement extract and service records; redact unrelated personal information.
  5. Ask for a calculation breakdown: request the pay basis, dates, pensionable elements, contribution rate and data supplied by the employer.
  6. Request correction or confirmation: ask what will be changed, when it will appear and whether arrears or an adjustment will be issued.
  7. Keep the case number: save the message, attachments, response and any promised deadline.

A precise query is easier to investigate than “my pension is wrong.” If two records disagree, identify the exact line and period rather than sending only a total.

7. Escalate through the correct UK route

Start with the employer or scheme administrator

For workplace-pension contribution concerns, a UK Parliamentary answer dated 14 February 2025 says: "If an employee has concerns regarding their workplace pension such as unpaid contributions, they should raise this with their employer in the first instance." Follow the scheme’s internal correction and complaint stages, and note any deadline for challenging a statement or decision.

Report suspected employer non-compliance

If the issue suggests that an employer is failing to meet workplace-pension duties, you can report suspected non-compliance to The Pensions Regulator. This route is about regulatory duties; it does not replace asking payroll or the administrator to correct your individual record.

Complain to the Pensions Ombudsman

You may be able to complain to The Pensions Ombudsman about maladministration or a dispute involving your pension. The Ombudsman can investigate and provide a remedy where the employer or scheme is found at fault. Check its jurisdiction, your scheme’s internal process and applicable time limits before escalating, because a complaint may be premature while required internal stages remain open.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

8. Check common error patterns without assuming they apply

The Pensions Regulator identifies incorrect earnings thresholds and contribution calculations as common employer errors. It also highlights contribution calculations during certain statutory leave as an area where mistakes can occur. Use these as targeted checks only when relevant to your pay history; they do not prove that your individual calculation is wrong.

Earnings thresholds

Ask which earnings definition and threshold were used for the affected pay period, and whether the employer applied the rule to the correct worker category. A threshold issue can affect whether contributions are due or the amount on which they are calculated.

Statutory leave

During maternity, adoption, paternity or other statutory leave, payroll may need to apply special contribution rules. Compare the leave dates, contractual pay and pension deductions with the scheme and employer explanation rather than treating a reduced payslip as evidence of an error.

Back-pay and corrections

Check whether a correction was posted in the period it relates to or as a later adjustment. A later payslip may show arrears while the pension statement still awaits an employer data update.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

9. If the correction involves overpayment or arrears

Payroll corrections can affect tax, National Insurance and pension records differently. HMRC’s employer-facing 2025 to 2026 further guide to PAYE and National Insurance sets out reporting and record-keeping steps. For arrears relating to a closed tax year, it says employers should provide a letter showing revised pay for each tax year and the tax and National Insurance deducted.

That guidance is for employers. It is not a complete determination of your personal tax liability or pension entitlement. Ask payroll how the correction will be reported, which tax year it affects and when the pension administrator will receive the revised pensionable-pay data. Keep the employer letter with the payslip and pension correspondence.

10. A final evidence checklist before you escalate

  • Revision notice or written salary decision.
  • All payslips covering the change, including the first and any arrears payment.
  • Annual pension statement or portal extracts showing salary, pensionable earnings, service and contributions.
  • Contract, grade, hours or full-time-fraction evidence.
  • Dates and evidence for unpaid breaks, leave, transfers or earlier employment.
  • A side-by-side list of payroll deductions and provider postings.
  • Your written query, attachments, case number and response deadline.

Compare every figure on six axes: period and effective date; gross pay or pensionable-earnings basis; hours or employment fraction; allowances and deductions included by the scheme; pensionable service and membership period; and whether provider records match payroll deductions. If the records still conflict after that comparison, request the administrator’s written calculation and use the scheme’s formal complaint route.
