Keep a traceable file for every timber account that connects the property you acquired, the timber basis you calculated, the volume and acreage cut, the sale terms, and every amount reported on your tax return. At minimum, preserve purchase and allocation documents, maps, timber-inventory and valuation evidence, a running basis-and-depletion schedule, the cutting or sale contract, measurement records, settlement statements, expense records, and records supporting any federal tax election. The Internal Revenue Service (IRS) materials discussed here are U.S. federal guidance; state tax, forestry, and contract requirements may differ.
Why timber-sale records matter
Timber records support more than the amount deposited in your bank account. They establish the adjusted basis of standing timber, the quantity remaining in each account, the depletion deduction attributable to timber cut or sold, the proceeds and expenses of a transaction, and the facts that determine how federal tax rules apply.

IRS Publication 225 (2025) explains that basis is used to figure gain or loss when property is disposed of and to calculate timber depletion. Publication 544 (2025) discusses timber-sale treatment. Depending on the facts, a transaction may be an outright sale, a cutting contract, or a cutting election under section 631(a). Ownership, holding period, economic interest, the date timber is cut, and in some situations the payment date can change the reporting result. A complete file lets you or your tax preparer test those facts instead of reconstructing them years later.
There is no general retention period established by the materials summarized here. Keep the evidence needed to verify the basis of the original property for as long as it may be needed to determine the basis of that property or replacement property. Keep transaction and activity records long enough to support every return on which the amounts appear, consistent with current IRS guidance and advice for your circumstances.

Set up a separate timber account for each area
Use a clear account structure
Maintain a separate, traceable timber account for each relevant block, tract, stand identifier, depletion account, or geographic area. IRS Form T instructions generally describe an account as timber in a block and call for separate records for each unique stand identifier, depletion account, block, tract, or geographic area tributary to a mill or mill complex when that is how the timber is organized.
Write down the account name or number, the tract and stand identifiers, acreage, county and state, ownership interest, and the relationship to any mill or delivery area. If you transfer timber between accounts, document the date, quantity, valuation method, and basis moved. Do not combine records merely because several stands were purchased in one closing if your accounting method treats them as separate accounts.
Preserve acquisition and allocation evidence
- Deed, purchase agreement, closing statement, and acquisition date.
- Allocation of the purchase price between land and standing timber, if an allocation was made.
- Timber cruise, inventory, appraisal, or other material used to estimate quantity and value at acquisition.
- Survey, boundary description, stand map, aerial image, or GIS record identifying the land and timber included.
- Records showing how the accounts were created and which costs were assigned to each account.
If a single purchase covered land, timber, improvements, or other assets, retain the calculation that assigned cost to each category. A later preparer should be able to start with the closing documents and reproduce the opening timber basis for every account.

Track the opening balance and every adjustment
For each account, keep a schedule showing beginning adjusted basis, timber units at the beginning of the period, additions, dispositions, corrections to estimates, growth, casualty adjustments, units cut, and closing units and basis. Record the measurement unit used—such as board feet, cubic feet, cords, or another method—and keep the same unit definitions in the inventory, contract, scale tickets, and tax workpapers.
Preserve the evidence behind each change, not just the final spreadsheet entry. Additions can include qualifying acquisition costs, capitalized expenditures, and timber units added through a documented purchase or transfer. Corrections should identify the original estimate, the revised estimate, the reason for the change, and the date it was made. Growth entries should identify the inventory or cruise supporting the increase.

Understand the cost-depletion calculation
Publication 225 describes cost depletion as a unit-based calculation. In broad terms, combine beginning adjusted basis with qualifying costs and additions, determine the corresponding timber units, and divide the basis amount by those units to arrive at a depletion unit cost. Apply that unit cost to the units cut or otherwise disposed of, with the resulting amount reflected in the account and return treatment. Your schedule should show the units and basis before and after each harvest so the computation can be re-created.
Do not assume that every expenditure increases timber basis. Road building, drainage structures, cruising, management, and operating costs may have different tax classifications. Keep the invoice, contract, payment record, work description, account charged, and the treatment used—capitalized, amortized, or deducted as an ordinary expense—so a preparer can evaluate it under the rules for the relevant year.

Keep road and drainage costs in separate accounts
Form T instructions specifically mention logging-road and drainage-structure costs and call for separate cost accounts. For each project, record the location, dates, miles of road constructed or improved where applicable, drainage work, contractor, amount paid, and whether the expenditure was capitalized, amortized, or claimed as an ordinary expense. Retain receipts, invoices, contracts, canceled checks or electronic payment confirmations, and completion records.
Document the timber sale or harvest
Core transaction documents
- Signed timber sale, cutting, or logging contract, including amendments and extensions.
- Buyer correspondence that changes price, volume, species, timing, delivery point, or payment terms.
- Scale tickets, load summaries, weigh slips, mill statements, or equivalent measurement records.
- Settlement statements, invoices, remittance advice, bank records, and payment dates.
- Logging, hauling, consulting, brokerage, commission, reforestation, and other costs reported with the transaction.
- Evidence of ownership, possession, cutting authority, and any retained economic interest.
The IRS instructions identify facts that must be substantiated but do not prescribe one universal document list. The documents above are practical evidence for those facts. Keep originals or reliable scans in a way that preserves dates, signatures, page order, and the ability to connect each payment to the relevant account.
Record what was cut and how it was measured
For every harvest, record the cutting or measurement date, acreage cut, account and stand identifier, total units by account, species if tracked, quality or product class, and the log rule or other measurement method. Note the point of delivery, buyer or mill, contract price, deductions, and whether volume was determined at the stump, landing, truck, or mill. If the contract uses a scaling rule, retain the rule and any conversion factors.

Reconcile your own account to the buyer’s settlement. Investigate differences rather than overwriting one figure: a settlement may reflect deductions, moisture or weight adjustments, rejected loads, species reclassification, or a different measurement point. Keep the reconciliation and the final amount reported.

What to retain
When a reported gain, loss, depletion amount, or section 631(a) election depends on value, preserve the valuation date, appraisal, comparable timber sales, and the calculation or narrative supporting the value. Form T instructions call for detailed characteristics affecting value, including:
- Total quantity and quantity per acre.
- Species, quality, product mix, and average tree size.
- Logging conditions, terrain, accessibility, and expected operating constraints.
- Distance to markets, mills, or plants and the relevant delivery assumptions.
- Costs and value of the primary wood product at the mill or plant.
- Comparable timber sales and an explanation of how they were adjusted for differences.
Identify who prepared an appraisal or analysis, the information available on the valuation date, and any assumptions about prices, logging costs, utilization, or access. Keep both the underlying data and the final conclusion. A bare value in a spreadsheet is difficult to defend if the supporting characteristics are missing.
Section 631(a) documentation
If you elect under section 631(a) to treat cutting as a sale or exchange, retain records supporting the adjusted basis used for depletion, the fair market value on the first day of the tax year in which the timber was cut, and the resulting gain or loss. Keep the election, valuation work, cutting records, and basis schedule together for the same account and year.
Use maps to prove location and acreage
Keep a map whenever it is necessary to identify where timber and land were acquired, where timber was cut, and what timber or land was sold. A useful map labels tract boundaries, stand or account identifiers, harvest units, roads, landings, water features, and acreage. Date the map and identify the source or person who prepared it. If boundaries changed, retain the earlier version and the reason for the change.

IRS instructions say not to attach maps to Form T merely to substantiate depletion. Retain maps with the supporting records instead, and provide them if requested. Link each map to the account schedule and the contract so a reviewer can match acreage and volume to the reported transaction.

The Instructions for Form T (Timber), Forest Activities Schedule, state that the schedule is generally completed and attached when a taxpayer claims timber depletion, elects under section 631(a) to treat cutting as a sale or exchange, or makes an outright sale under section 631(b). The instructions describe an occasional-sale exception: a taxpayer is not required to file Form T for only an occasional sale, illustrated as one or two sales every three or four years, but adequate records must still be maintained.
Those instructions are marked revised December 2013. Confirm the form, instructions, and filing-year requirements for the year of your sale before relying on the exception or any other procedural detail. The IRS states in the instructions: "However, you must maintain adequate records of these transactions and other timber-related activities during the year, as discussed in Recordkeeping, below." This statement is from the Internal Revenue Service, Instructions for Form T (Timber), revised December 2013.
Compare the main transaction paths
| Situation | Facts that matter | Records to emphasize |
|---|---|---|
| Outright sale under section 631(b) | Sale terms, ownership, payment and disposal dates, holding period, and any election affecting the disposal date. | Signed sale contract, payment records, delivery and measurement evidence, basis schedule, and expenses. |
| Cutting contract or owner retains an economic interest | Who owns the timber during cutting, whether an economic interest is retained, holding period, and contract terms. | Contract, ownership and risk-of-loss provisions, cutting dates, scale records, proceeds, and basis and depletion workpapers. |
| Section 631(a) cutting election | Election, fair market value on the first day of the tax year in which cutting occurs, adjusted basis, and gain or loss. | Election statement, valuation analysis, timber characteristics, comparable sales, cutting records, and depletion schedule. |
| Occasional sale | The Form T instructions’ example is one or two sales every three or four years; it is not a general frequency statistic or a guarantee that no form is needed. | Keep the same complete transaction, basis, valuation, map, and expense records even if current instructions permit an exception. |
Publication 544 describes conditions for section 1231 treatment under a cutting contract, including ownership, holding the timber longer than one year, and retaining an economic interest. The treatment of an outright sale can involve a payment-date election in certain circumstances. These are federal rules whose application depends on the facts; do not assume that every timber receipt receives capital-gain or section 1231 treatment.
A practical recordkeeping workflow
- Create the account file before marketing timber. Assign the tract and stand identifiers, assemble the deed and purchase allocation, and record opening basis, units, acreage, and maps.
- Update the inventory. Record the cruise or estimate, measurement unit, species and quality information, growth assumptions, and any corrections.
- Separate improvements and operating costs. Open distinct ledgers for roads, drainage structures, and other significant work; retain classification support.
- Execute and archive the contract. Save the signed agreement, amendments, buyer communications, price terms, delivery point, and economic-interest provisions.
- Capture harvest data at the time of cutting. Record dates, acreage, account, units, species, log rule, loads, and scale information rather than relying on a year-end recollection.
- Reconcile settlement and expenses. Match each load and payment to the buyer’s statement, then retain invoices and proof of payment for logging, hauling, commissions, and other costs.
- Update basis and depletion. Apply the account’s unit calculation to units cut or disposed of, document adjustments, and preserve the workpaper used for the return.
- Evaluate filing treatment for the current year. Review current Form T instructions and Publications 225 and 544, then have a qualified tax professional assess any section 631 election, contract classification, holding-period issue, or complex basis history.
- Back up the completed file. Keep readable copies of contracts, maps, schedules, appraisals, statements, and correspondence in an organized location, with account and tax-year names that make retrieval possible.

This article addresses U.S. federal recordkeeping based on IRS Form T instructions and Publications 225 and 544. It does not establish state tax rules, state forestry requirements, contract-law duties, a universal statutory retention period, or the tax result for a particular owner. Timber sales involving inherited property, gifts, exchanges, multiple owners, casualty losses, related parties, or several contract years require fact-specific review. Use current official IRS materials for the filing year and consult a qualified tax professional familiar with timber ownership and forest taxation before filing an actual return.
