What Records to Keep After Filing a TDS Statement in India

After filing a TDS statement, keep three evidence sets together: proof that the statement was submitted and accepted or validated, proof that the deducted tax was paid, and the source records used to calculate every reported amount. Your file should identify the financial year, quarter, form, deductor, deductee, payment or credit, deduction and challan reference.

There is no single, officially established retention period for every TDS deductor in the material reviewed. Do not apply Rule 6F’s six-year period universally: that rule concerns specified books and documents of specified professionals. Preserve records for as long as a correction, notice, assessment, refund issue or dispute could require them, and obtain case-specific advice where the period has legal or financial consequences.

What to retain immediately after filing

Create a complete record for each statement period rather than saving only a PDF of the final submission. The following evidence should be stored together and labelled with the financial year, quarter, form and deductor.

1. The filed statement and its status

  • The submitted statement file or portal-generated copy.
  • The filing acknowledgement, receipt number or other submission identifier.
  • The quarter and financial or tax year covered.
  • The form used and the portal’s acceptance, rejection, validation or error status.
  • Any validation report, acknowledgement page or message showing whether the file was accepted for processing.

The Income Tax Department identifies Form 140 as the quarterly statement for non-salary payments to residents and notes that it was earlier known as Form 26Q. Whatever form applies to your period, retain evidence that the specific file was actually submitted and what status it received; a prepared file sitting on a computer is not proof of filing.

2. Proof of tax payment

Keep the challan receipt and the identifiers that connect the payment to the statement. Depending on the transaction and payment channel, this can include:

  • Challan identification number (CIN).
  • Bank counterfoil or online bank confirmation.
  • Government book-identification number or other applicable government payment reference.
  • Payment date, amount, assessment or tax period and the tax-head details shown on the receipt.
  • A portal payment confirmation or transaction reference.

Rule 31A treats tax-payment particulars, including challan identification numbers, as information relevant to a TDS statement. Keep the receipt even when the portal displays the payment successfully, because a later reconciliation may require the original reference and date.

3. Records supporting the figures

Retain the records from which you prepared the statement, not merely a spreadsheet containing the final totals. The file should allow another person to trace each reported entry from the underlying transaction to the deduction and payment. Include:

  • Invoices, contracts, purchase orders, payroll or ledger entries showing the amount paid or credited.
  • The date and nature of each payment or credit, including the relevant TDS section or rate applied.
  • Deduction calculations showing the gross amount, threshold or exemption considered, rate and tax deducted.
  • Deductor and deductee names, addresses where collected, and PAN or other identifiers reported.
  • Bank statements, cash-book entries or payment registers that establish when money was paid.
  • Certificates, declarations, lower- or nil-deduction orders and other documents supporting a deduction or non-deduction decision.
  • Working papers explaining rounding, aggregation, cancelled transactions, reversals and adjustments.

Rule 31A identifies deductor and deductee identifiers and payment particulars as statement information. It also refers to particulars supporting amounts on which tax was not deducted in specified circumstances. Your supporting file should therefore explain both deductions made and defensible reasons for amounts on which no tax was deducted.

How to download and preserve a challan receipt

For a specified challan-cum-statement transaction under the new Act, the Department says that a receipt can be downloaded after successful payment and that payment details are available in Payment History. The exact menu names can change, so use the current portal instructions for the relevant tax period.

  1. Sign in to the income-tax e-filing portal with the account that made or submitted the payment.
  2. Open the payment or challan area and select the relevant transaction history. Look for “Payment History” or the current equivalent label.
  3. Filter by the payment date, amount, form or transaction reference if the portal offers filters.
  4. Open the successful transaction and download the receipt. Save the original electronic file rather than relying on a browser preview.
  5. Check that the receipt’s amount, date, tax period, payment reference and payer details match your bank record and statement working papers.
  6. Store the receipt with the statement acknowledgement and a bank confirmation. If the download fails, save the transaction reference and an admissible portal status printout, then retry or contact portal support.

Do not confuse a bank debit with a government challan receipt. The bank record proves money left an account; the challan or government reference helps establish how that payment was credited for tax purposes.

Organize records so they can be retrieved

Electronic storage is practical, but only if the files remain readable and searchable. Use one folder or case file for each deductor, financial year and quarter, with subfolders that separate filing, payment, source data and follow-up.

05 Reconciliation Quarterly tie-outs between books, challans and the filed statement FY2025-26_Q2_Reconciliation.xlsx

Use a consistent index containing the financial year, quarter, form, filing date, acknowledgement number, total tax deducted, challan references and the person responsible for preparation. Keep a read-only or otherwise protected copy of the submitted files. Back up the folder in at least one separate location, apply access controls to PAN and bank information, and test that a backup can actually be opened.

Corrections, rejected files and later correspondence

Do not replace the original filing with a corrected version. Preserve the original statement, its acknowledgement and status, then add each correction as a separate dated version. Keep the reason for the correction and the entries changed.

  • Rejected or failed submission: retain the rejected file, error or validation report, resubmitted file and the final accepted acknowledgement.
  • Challan mismatch: retain the original payment proof, the portal message, correspondence with the bank or department and evidence of any correction.
  • Deductee or PAN correction: retain the source document establishing the correct identifier and the revised statement acknowledgement.
  • Short deduction or interest payment: add the calculation, supplementary challan, payment reference and explanation of how the amount was resolved.
  • Notice, assessment or dispute: keep the notice, response, delivery evidence, professional advice and all records supplied to the authority in the same case folder.

The sources reviewed do not prescribe a universal checklist for every correction scenario. This versioned approach is practical record management: it preserves the audit trail instead of obscuring what was originally reported.

How long should you keep TDS statements and challans?

The official material reviewed does not establish one general number of years that applies to every deductor’s filed TDS statements, challans and supporting records. The safe answer is not “six years” without qualification.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why Rule 6F cannot be used as a universal answer

Rule 6F describes specified books and documents for specified professionals and provides for an extension when an assessment is reopened. Its six-year period is therefore a rule-specific requirement for that defined class of records and taxpayers. It is not evidence that every employer, company, partnership, payer or other deductor must keep all TDS records for six years.

A defensible practical policy

Keep the records while they can be needed to support a return, correction, refund, assessment, notice, appeal, payment dispute or deductee claim. If an assessment or proceeding is open, preserve the relevant records until it is finally resolved and any applicable appeal or response period has passed. Because the general period remains dependent on the applicable law and circumstances, ask a tax professional for a written retention policy when the exposure is material.

Do not destroy records merely because a quarter has been reconciled internally. A reconciliation confirms that your books and statement agree; it does not prove that no later question can arise.

Keep old-Act and new-Act records separate

Transition years require extra care. The Department’s transition guidance advises keeping financial year 2025–26 records under the old Act distinct from financial year 2026–27 records under the new Act and reconciling the tax statements for the relevant years separately.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Period How to file and store Reconciliation rule
FY 2025–26 Maintain the old-Act form, acknowledgements, challans and working papers in an old-Act folder. Tie books and payments only to the statements for this period.
FY 2026–27 Maintain the new-Act form or challan-cum-statement records in a separate new-Act folder. Perform a separate reconciliation using the new-Act workflow and references.

Separation prevents a payment, acknowledgement or correction from being attributed to the wrong legal regime. It also makes it easier to explain why form names or portal steps differ between years.

Form 140 versus Form 141

These forms serve different functions; one is not a universal replacement for the other.

Feature Form 140 Form 141
Purpose Quarterly statement for non-salary payments to residents. Challan-cum-statement for specified transaction categories under the Income-tax Act, 2025.
Earlier or related form context Identified by the Department as formerly Form 26Q. Replaces specified earlier challan-cum-statement forms for the covered transactions.
Payment evidence Keep the statement acknowledgement plus the relevant challan and payment references. Download the receipt after successful payment and retain the Payment History record.
Scope Quarterly reporting for the covered resident, non-salary payments. Only the transaction categories specified by the new Act and current instructions.

Under the old Act, Rule 31A describes Form 24Q for salary and Form 26Q or 27Q for other categories. Form names and portal workflows can change, so verify the form applicable to the tax period before filing or archiving. Never label Form 141 as replacing every quarterly TDS statement.

A quarter-end recordkeeping checklist

  1. Confirm the statement’s financial year, quarter and form.
  2. Save the submitted file and acknowledgement or receipt number.
  3. Save the acceptance, validation or rejection status and resolve any rejection.
  4. Download each challan receipt or payment-history record.
  5. Match every payment reference to the bank or government payment record.
  6. Reconcile total deductions, challans, interest and any balance with the ledger.
  7. Verify deductee PAN or other identifiers against the source documents.
  8. File contracts, invoices, payroll or ledger evidence and non-deduction support.
  9. Archive corrections as new versions without deleting the original.
  10. Back up the complete folder and record where the backup is stored.

Common mistakes that weaken your evidence

  • Keeping only the acknowledgement: it shows a submission, but not how amounts were calculated or paid.
  • Keeping only a bank statement: it may show a debit without the government challan identification needed for reconciliation.
  • Overwriting corrected files: this removes the chronology needed to explain a change.
  • Mixing financial years: transition-year records can be matched to the wrong form or legal regime.
  • Assuming six years applies to everyone: Rule 6F’s scope is narrower than a general TDS-deductor rule.
  • Saving files without an index or backup: technically retained records are not useful if they cannot be found or opened.
  • Leaving PAN data unprotected: TDS files contain personal and financial information; limit access and use encrypted storage where available.
