What Happens to Your EPF When You Change Jobs? Transfers, Interest and Pension Service Explained

When you change jobs in India, your Employees’ Provident Fund (EPF) does not need a new identity. Give your existing Universal Account Number (UAN) to the new employer, ensure the previous member account is transferred to the latest one, and verify both the money and pension service record. EPFO says the transfer can be auto-initiated after the new employer’s first contribution when required validations pass, or you can submit an online Form 13 claim.

A transfer is complete only when the member portal or transfer record shows the old accumulation and service history in the new account. Your UAN remains the same; the member ID linked to the new establishment changes.

What changes when you move to a new employer

Your UAN is a permanent, one-time identifier. It is not a number you replace every time you join another establishment. The new employer should link its PF member ID to your existing UAN rather than create a second UAN.

The previous employer’s PF accumulation and the associated Employees’ Pension Scheme (EPS) service are intended to follow you to the latest PF account. The transfer consolidates the financial balance and the service record used for pension-benefit computation. The old account does not become part of the new employer’s payroll automatically merely because contributions have started; the transfer must be initiated and then verified.

  • UAN: keep and disclose the same UAN.
  • PF money: move the previous accumulation to the latest member account.
  • EPS service: carry the earlier employment period into the pension-service record.
  • Proof: check the passbook, transfer status and the resulting Annexure K or equivalent transfer record.

What to do before your first contribution at the new job

Find the existing UAN

Use the UAN associated with your previous employment. If you have more than one UAN, do not select one at random or ask the employer to create another. Resolve the duplicate or incorrect linkage through EPFO and the employers involved, because a second identifier can split contribution and service records.

Give the correct details to the new employer

Provide the existing UAN and the personal details used for the EPF record. A mismatch in name, date of birth, Aadhaar or other validated information can prevent the system from associating the latest employment with the earlier account. Check the member portal after the new employer reports the first contribution to confirm that the new member ID appears under the same UAN.

Keep evidence from the old account

Download or retain the old passbook and employment details before the move. These records make it easier to identify a missing contribution, an incorrect joining or leaving date, or a service period that did not appear after transfer.

How the EPF transfer process works

EPFO’s circular dated 18 September 2025 describes Annexure K as the transfer certificate. It contains the PF balance with interest, complete EPS service history for benefit computation and employment details. The practical objective is to move the old accumulation and service record to the latest PF account, not to open a fresh UAN.

Under the revamped process described by the Ministry of Labour and Employment on 25 April 2025, a claim may be auto-initiated after the first month’s contribution from the latest employment is received, provided the required validations succeed. When the source office approves the transfer in the described workflow, the amount is automatically transferred to the destination account; destination-office approval is removed from that process.

Automatic initiation is conditional, not a promise that every account will move immediately. If the validations do not pass or no transfer appears after contributions begin, an online Form 13 claim remains available through the member portal.

Auto-initiation or online Form 13: which route applies?

Route Trigger or action What the current guidance says What you must verify
Conditional auto-initiation The new employer’s first contribution is received and system validations pass. EPFO says the transfer claim may be initiated without a separate member-filed Form 13. Confirm that the claim was created and that the old balance and service later appear in the latest account.
Member-filed online Form 13 You submit Form 13 through the member portal when an automatic claim has not started or you need to initiate the transfer yourself. The 2025 process describes source-office approval followed by automatic transfer to the destination account, without destination-office approval in that workflow. Track the claim and inspect the transfer certificate or passbook after processing.

Do not treat the new employer’s first PF deposit as proof that the old account has transferred. It proves only that the new employment has begun reporting a contribution. The transfer record is the evidence that the earlier accumulation and service were processed.

Step-by-step: move the previous PF account

  1. Record your UAN and old member ID. Compare the UAN shown in your previous passbook with the number supplied to the new employer.
  2. Ask the new employer to use the existing UAN. Check that the latest establishment and member ID are listed under that UAN after the first contribution is posted.
  3. Allow the conditional automatic check to run. EPFO’s current description uses the first contribution from the latest employment as the trigger, subject to validations. Monitor the member portal rather than assuming that the trigger guarantees approval.
  4. File Form 13 online if no claim appears. Sign in to the EPFO member portal, select the transfer option and complete the online Form 13 using the destination employment shown under your UAN. Review the source and destination details before submitting.
  5. Track processing. Keep the claim reference and check the portal for the transfer status. Processing may require an employer or EPFO record correction if the identifying data does not match.
  6. Confirm the destination account. Once processed, review the latest passbook and the transfer certificate details. Look for the transferred PF amount, interest information and the earlier EPS service period.
  7. Save the final record. Retain the transfer status, passbook entries and Annexure K details with your employment documents. They can be relevant if you later change jobs again or claim a benefit.

What Annexure K tells you

Annexure K is more than a receipt for a cash movement. The 18 September 2025 EPFO circular identifies three categories of information:

  • PF balance with interest: the amount transferred from the source account, including the interest reflected in the transfer record.
  • Complete EPS service history: the earlier employment service used when pension benefits are computed.
  • Employment details: the source and destination information needed to connect the service periods to the correct member accounts.

Check the dates and service period, not just the rupee amount. A balance can look correct while a joining or leaving date is missing, and a service omission can affect a later pension or scheme-certificate decision.

How to verify that the transfer really completed

Check the member portal

Look for a transfer claim or completed transfer associated with the latest member ID. The exact labels and screen sequence can change as EPFO updates its systems, so use the current labels displayed after signing in rather than relying on an old screenshot or a third-party walkthrough.

Compare the passbook entries

Review the destination passbook for the transferred amount and the source account for the corresponding debit or transfer notation. The figures should be interpreted with the interest information recorded in the transfer certificate; a simple comparison of only employee contributions may not match the transferred total.

Read the service history

Confirm that the earlier employment period is included in the EPS service record. If the old PF money appears but the earlier service does not, treat that as an incomplete record and seek correction rather than assuming pension service was carried over.

Check after a later job change

Every subsequent move creates another opportunity for a split record. Before leaving each employer, save the current passbook and, after joining the next one, repeat the UAN, member-ID and service-history checks.

Interest: what transfers and what is not established

The transfer record includes the PF balance with interest, so Annexure K is the appropriate place to confirm what EPFO treated as transferable. The materials available for this guide do not establish the current annual EPF interest rate for the relevant year. Do not use an older rate as a present-day promise.

An EPFO transfer FAQ published in 2020 used 8.5% only as an assumption in an illustrative compounding example. That example is historical and should not be presented as the rate currently credited to your account. The amount you see depends on the interest declared and credited under the rules applicable to the relevant period, along with the transactions in your account.

If the transfer certificate and passbook show an amount that differs from your own estimate, first compare the contribution months, transfer date and interest entries. A personal calculation based on a guessed current rate cannot establish that EPFO made an error.

Tax and the transfer record

Moving PF from one member account to another is different from taking a final withdrawal. The service period brought into the current member ID can be relevant to the tax treatment of a later withdrawal, but the result depends on your facts and the law in force when you withdraw.

The Ministry’s 25 April 2025 explanation of the revamped Form 13 process says taxable and non-taxable PF accumulation components are separated to support accurate tax-deducted-at-source (TDS) calculations. That improves the information available for a transfer; it does not turn the transfer into a personal tax determination.

  • Do not assume that every withdrawal will be taxable or tax-free solely because a transfer occurred.
  • Do not apply the 2020 FAQ’s illustrative 8.5% figure to a current calculation.
  • Keep the transfer certificate and service history for any later withdrawal or tax review.
  • For a case involving a short service period, multiple UANs, prior withdrawals or a disputed TDS amount, use current official tax guidance or consult a qualified tax professional.

Why EPS service matters after a job change

The EPS portion is a service record, not simply another cash balance. EPFO says Annexure K carries the complete EPS service history used for benefit computation. Preserving that history prevents each employer’s period from being treated as an isolated record.

EPFO’s overview describes pension broadly as depending on salary during the preceding 12 months and total years of employment. That description explains why accurate service dates and the latest salary information matter, but it is not a complete eligibility test or a personalized pension calculation. The outcome can depend on additional rules and the claim type.

Forms associated with different outcomes

Form Purpose identified in EPFO guidance Relevance when changing jobs
Form 13 Transfer of the previous PF account to the current member account. Use the online claim route when a conditional automatic transfer has not started or when you need to initiate the transfer.
Form 19 Final PF settlement. This is a settlement route, not the normal mechanism for carrying an active employee’s accumulation into the next job.
Form 10C EPS withdrawal benefit or a scheme certificate. Its use depends on the circumstances and applicable rules; it is not a substitute for checking that service was transferred when you continue working.

The table identifies the purposes stated in EPFO’s overview; it does not provide all eligibility thresholds or claim conditions. If you are deciding between preserving service and making a pension-related claim, check the current EPFO requirements for your circumstances.

Common problems and a sensible response

A new UAN was created

Stop using the duplicate as if it were a replacement. Gather both UANs, the member IDs and identity details, then ask the employers and EPFO to correct the linkage. The goal is one continuing UAN with the complete history, not parallel accounts.

The new contribution is visible but no transfer claim appears

Automatic initiation is conditional on validations. Confirm that the old UAN was supplied, the new member ID is under that UAN and the personal details match. If the claim still does not appear, submit online Form 13 and retain the reference number.

The money moved but service is missing

Compare the old employment dates with the Annexure K or transfer record. A missing EPS period is a record issue, not something to estimate from the PF balance. Request correction through the appropriate employer or EPFO channel and preserve documentary evidence.

The transferred amount looks different from the old balance

Compare the transfer certificate’s balance-with-interest figure with the old passbook’s closing entries, later interest credits and any prior transactions. Do not infer the current interest rate from a historical example. If the discrepancy remains, submit the records with your query to EPFO.

You cannot access the account

At the time covered by the current portal guidance, EPFO says UAN activation and generation can be completed through Aadhaar-based face authentication in the UMANG app. Interface availability can change. The EPFO helpdesk number listed in that guidance is 14470; use the live member services and current support instructions when access or authentication fails.

A practical checklist for every job change

  • Existing UAN recorded and supplied to the new employer.
  • New member ID visible under that UAN.
  • First contribution posted by the new employer.
  • Automatic transfer claim checked after the contribution.
  • Online Form 13 submitted if no automatic claim appears.
  • Transfer status saved with its reference.
  • Destination passbook checked for the transferred amount and interest entry.
  • Annexure K or equivalent record checked for employment details and EPS service.
  • Any mismatch reported with supporting documents.
  • Records retained for the next job change and any later tax or pension claim.

The practical result

Changing employers should change the member account linked to your employment, not your UAN or your accumulated pension service. Give the existing UAN to the new employer, use the conditional automatic route when it passes validation or file Form 13 yourself, and regard the transfer as finished only after the latest account and Annexure K show the PF accumulation, interest information and earlier EPS service. Interest rates, tax outcomes and pension eligibility require the rules and facts applicable to your own case.
