What administration means for customers
Administration is a formal insolvency procedure in which an appointed administrator takes control of a company’s affairs, business and property. The administrator may try to rescue the company as a going concern, sell the business, or achieve a better result for creditors than an immediate winding-up.

The procedure itself does not answer the practical questions customers care about. A shop might continue trading, trade only from some locations, sell its assets to a new owner, or stop taking orders. A delivery promise made before administration is not a guarantee that the administrator will complete it.

Decisions are made for creditors as a whole. That means an administrator can decide that accepting vouchers or completing selected orders preserves the business’s value, but cannot simply promise every customer the outcome they expected before insolvency.

Will a gift card still work?
The administrator or buyer may honour it
A retailer in administration may continue accepting gift cards, sometimes subject to a new expiry date, a spending restriction or a requirement to use the card in particular shops or online channels. A purchaser of the trading business may also accept existing vouchers to keep customers and preserve the value of the brand.
Those are commercial choices, not a general legal entitlement. The government’s response to the Law Commission’s work puts the position plainly: “Administrators or purchasers of the new business are under no obligation to fulfil orders or honour gift vouchers, but it is reasonably common for them to do so, especially if they are attempting to retain value in the business name for example because there is the possibility of continuing or restarting the business as a going concern.” This describes the general position, not a promise about a particular retailer.
Check the official voucher policy
Look for an announcement from the appointed administrator, the retailer’s website, stores or formal insolvency notices. Confirm:
- whether new and existing gift cards are being accepted;
- whether only part of a balance can be used;
- whether online, telephone and physical-store use are treated differently;
- whether an expiry date or spending limit has changed; and
- where to submit a claim if the voucher is refused.
Do not buy another item solely because a website still displays a gift-card balance. A legacy checkout page can remain online after the policy has changed.

If the voucher is refused
Keep the purchase receipt or electronic voucher, the original payment record and any terms supplied when it was bought. Ask whether the original payment method supports a claim. Eligibility depends on the transaction and the card terms; not every gift-card purchase qualifies for a card-provider remedy. If no effective payment remedy applies, the voucher holder can submit a claim in the administration. As an unsecured creditor, the holder may recover little or nothing.
What happens to a preorder or an order that has not shipped?
Orders may be completed, but delivery is discretionary
An administrator can keep the retailer trading while a sale or restructuring is explored. The administrator or a buyer may then decide to fulfil some preorders, perhaps prioritising stock that is already in a warehouse or orders that help retain customers. Another retailer may cancel all unshipped orders and offer refunds or instructions for claims instead.
Until the administrator gives a clear policy, treat the original delivery estimate as uncertain. Check official updates before paying for a duplicate item or making plans that depend on delivery. A new owner’s decision can differ from the policy followed during the administration.

- the product description, model or specification;
- the price, taxes and delivery charge;
- the payment statement showing the transaction;
- the promised or estimated delivery date;
- tracking information, if any; and
- all emails, chats and letters with the retailer or administrator.
These records identify what you paid for and support either a card-provider request or an insolvency claim.
Register a claim if the order remains outstanding
Follow the administrator’s instructions for registering as a creditor. State whether you want the goods, a refund, or compensation for the amount paid, and attach the evidence requested. Registering a claim does not guarantee repayment: insolvency distributions depend on available assets and the priority of other creditors.
Could you already own the specific item?
In some circumstances, a customer may have a claim to a particular prepaid item still held by the retailer. The crucial questions include whether ownership had passed under the contract and whether the item can be identified as yours rather than being interchangeable stock.
Payment alone is not conclusive proof that a specific unshipped item belongs to you. A retailer may have mixed stock, substituted an item, or not allocated one at all. Keep serial numbers, personalised specifications, collection confirmations and warehouse or tracking references that distinguish the item. Ask the administrator what evidence is required to assert an ownership claim.

The legal position is fact-sensitive and complex. If the item is valuable or specially made, professional legal advice may be worthwhile before accepting cancellation or a resale of the goods.
Can your payment provider get the money back?
Your best route often depends on how the transaction travelled from you to the retailer. Explain the actual payment path to the provider rather than assuming that the total shown at checkout determines your rights.

Section 75: when a credit-card claim may fit
Citizens Advice says Section 75 may be available for an eligible credit-card purchase when the relevant single item costs more than £100 and no more than £30,000. The transaction must also meet the legal requirements linking the credit provider and the supplier.
The amount matters per item, not simply the total at the end of a basket. A checkout containing several cheaper items does not automatically become a qualifying single-item purchase. Marketplace and intermediary arrangements can also affect the required connection, so describe exactly who sold the goods, who processed the payment and what appears on your statement.

Contact the card provider promptly, explain that the retailer is in administration and that the goods or refund are outstanding, and provide the order and payment evidence. Ask what form it requires and whether a deadline applies. Do not describe Section 75 as an automatic refund; the provider must assess eligibility and the facts.
Chargeback: a separate, discretionary card-scheme process
Chargeback may be requested for eligible debit- or credit-card transactions, including cases where Section 75 does not apply. It operates under card-scheme rules and the bank or card provider can decline the request. It is therefore not the same as a statutory right to reimbursement.
Make the request as soon as you know the order will not be supplied or the voucher will not be honoured. Keep a dated record of your call or online submission, the evidence sent and any response. The provider may ask for the order confirmation, proof of non-delivery, the administrator’s announcement or evidence that you first sought a resolution from the retailer.
A practical action plan
- Confirm the formal status. Identify whether the company is actually in administration and find the appointed administrator through official company or insolvency notices.
- Secure your evidence. Save receipts, voucher details, order pages, payment statements, delivery promises, tracking data and correspondence in more than one place.
- Read the administrator’s policy. Look specifically for instructions on gift cards, preorders, refunds, deliveries, returns and claims. Policies can differ between retailers.
- Ask the payment provider promptly. Give the transaction date, amount, item or voucher, merchant name, payment route and the reason performance has failed. Ask about Section 75, chargeback or the provider’s own dispute process.
- Register an insolvency claim. Claim the unpaid amount or explain the goods still owed, even while a card-provider request is being considered. Follow the administrator’s form and evidence requirements.
- Raise an ownership question for identifiable goods. If a specific prepaid item can be distinguished, ask whether ownership passed and how to prove it. Do not assume payment alone settles the issue.
- Use the correct UK guidance. The commonly cited Citizens Advice insolvency page is for England. Scotland, Wales and Northern Ireland have separate consumer and insolvency guidance, so use the advice for the nation governing your situation.
Common mistakes that reduce your options
- Waiting for the promised delivery date. Delay can make card-scheme deadlines harder to meet and can leave you without essential evidence.
- Relying on a social-media post or an old checkout page. Use a formal administrator or retailer announcement when deciding whether a voucher or order is still accepted.
- Assuming every credit-card purchase qualifies for Section 75. The single-item price, supplier relationship and payment structure all matter.
- Treating chargeback as guaranteed. The provider applies scheme rules and may reject the request.
- Discarding the voucher after it is refused. The voucher record and proof of purchase may be needed for a provider request or creditor claim.
- Claiming ownership of generic stock without evidence. An identifiable item and documents showing allocation make a materially stronger case than a payment receipt alone.
- Assuming a creditor claim guarantees a payout. Unsecured claims are paid only if the administration produces funds after higher-priority claims and costs.
How the answer differs across the UK
The core commercial issue is similar throughout the UK: an administrator or buyer may decide to preserve customer vouchers and orders, but that decision is not automatic. The procedure for proving a debt, submitting a claim and obtaining consumer assistance can differ by nation.
Citizens Advice’s cited insolvency guidance is scoped to England and directs readers to separate advice for Scotland, Wales and Northern Ireland. Check the nation-specific service before relying on a form, deadline or description of creditor priorities. If your purchase involved a company, marketplace or payment provider based in another jurisdiction, that cross-border detail can also affect the route available.
Bottom line
Administration does not cancel every customer order, but it removes the assumption that the original retailer will perform. Gift cards and preorders may be honoured when doing so helps preserve the business, yet neither outcome is generally required. Preserve evidence, check the administrator’s announcement, contact the relevant payment provider quickly and submit a creditor claim for anything still owed. Recovery is uncertain, and a claim to a particular item depends on whether ownership passed and whether the goods can be identified.
