Depending on the family, it may arrange tax and estate planning, accounting, insurance, real-estate management, charitable giving, and oversight of family businesses. It may employ specialists directly or coordinate outside advisers.
No law sets a universal net-worth minimum for using a family office. The practical question is whether the family’s complexity, need for control and privacy, and desire for one coordinating team justify the ongoing cost and responsibility.

What a family office actually does
The U.S. Securities and Exchange Commission (SEC) staff compliance guide describes family offices as entities established by wealthy families to manage their wealth and provide services such as tax and estate planning. In the guide’s words, “Family offices” are entities established by wealthy families to manage their wealth and provide other services to family members, such as tax and estate planning services. That sentence is a description in SEC staff guidance, not statutory wording.

It can perform some work internally, hire and supervise specialists, or organize relationships with banks, attorneys, accountants, investment managers, insurers, property managers and other professionals. The name does not guarantee a particular package of services; two offices can have very different responsibilities.

Investment and cash-management coordination
An office may help set an investment policy, monitor portfolios, organize reporting across custodians and managers, manage liquidity for taxes or purchases, and coordinate capital calls or distributions. Some offices make investment decisions; others only oversee outside managers. The family should establish in writing who has authority to recommend, approve and execute transactions.
Tax and estate planning
Tax preparation, tax planning, trusts, estate documents and succession arrangements often involve several advisers. A family office can keep those professionals working from the same balance sheet and ownership information, track deadlines and confirm that a plan is implemented consistently across accounts, trusts, companies and properties. It does not replace the family’s tax or legal advisers unless it has appropriately qualified staff.
Accounting, reporting and administration
Many wealthy families have investments and expenses spread across multiple entities. The office may maintain books, consolidate statements, prepare management reports, pay bills, administer trusts, monitor insurance renewals and maintain records. Centralized reporting can show the family’s complete exposure rather than leaving each adviser with only one part of the picture.

Consumer guidance identifies insurance and real-estate management as possible functions. An office might coordinate coverage reviews, claims and renewals, or oversee residences, land, aircraft, collections and other property through specialist firms. The exact scope depends on the family’s assets and on whether the office has the staff and controls to manage them safely.

Business oversight and philanthropy
Family members may own operating companies, private investments or partnerships that require governance and financial oversight. An office can organize reporting, monitor ownership interests and coordinate advice without becoming the company’s management team. It may also administer charitable giving, foundations or donor arrangements, including grant records and reporting, while the family retains its philanthropic decisions.
Who is most likely to benefit
There is no formal eligibility test for deciding that a family “needs” an office. A useful starting point is complexity rather than a particular dollar amount. The model becomes more plausible when several of the following conditions exist:
- Multiple generations need coordinated planning, reporting or decision-making.
- Assets are spread across public investments, private funds, operating businesses, real estate or several custodians.
- Trusts, partnerships, foundations or other entities make ownership and cash flows difficult to track.
- The family has substantial tax, estate, insurance, property or philanthropic work running on different schedules.
- Members want one group to coordinate specialists and provide a consolidated view of risk, liquidity and obligations.
- Privacy, continuity and direct control over personnel and processes matter enough to justify dedicated governance.
These are practical indicators, not a legal definition. A family with fewer assets but unusually complicated ownership or international relationships may need coordination sooner than a family with a larger but simple portfolio. Conversely, a family with substantial wealth and few entities may be well served by a small group of external advisers.
Family-office structures compared
Most arrangements fall into three broad categories. The labels are not standardized, so compare the actual services, responsibilities and contracts rather than relying on a name.

| Structure | How it works | Main advantages | Main trade-offs |
|---|---|---|---|
| Single-family office | A dedicated organization serves one family. Employees may include investment, accounting, operations and administrative staff, with outside specialists added as needed. | High customization, direct access to staff and greater control over data, priorities and hiring. | The family bears the office’s staffing, technology, premises, insurance, compliance and other operating costs, whether or not every function is used every day. |
| Multi-family office | An external organization serves more than one family and shares its infrastructure, people and systems across clients. | Shared operations can lower the cost per family and provide access to a broader bench of specialists without building every function internally. | Service scope, availability, confidentiality arrangements and decision-making control vary by provider; the family is one client among several. |
| Outsourced or coordinated model | Accountants, lawyers, investment managers and other professionals remain employees of their own firms while a person or team coordinates their work for the family. | Can provide a central point of contact without creating a fully staffed in-house office. | The coordinator may have less direct authority over outside professionals, and the family must understand who is responsible when advice conflicts or a task is missed. |
How to compare proposals
Ask each candidate to describe the operating model in plain language. Compare:
- Total cost and fee structure: Identify fixed fees, asset-based fees, transaction charges, project fees, expenses and costs for outside specialists. Do not assume that a bundled fee includes legal, tax or property work.
- Included services: Request a written responsibility matrix showing what the office performs, supervises, reviews or merely refers to another firm.
- Control: Clarify who hires and dismisses employees, approves investments, signs payments, selects custodians and makes decisions for trusts or entities.
- Conflicts: Ask how affiliated investment products, referral payments, lending relationships and personal transactions are disclosed and managed.
- Confidentiality and data handling: Understand access permissions, record retention, cybersecurity procedures, vendor access and what happens to data if the relationship ends.
- Continuity: Examine key-person risk, backup coverage, succession planning and how knowledge will transfer to the next generation.
How to decide whether the cost is justified
Published wealth thresholds are estimates about when a particular service model may be economical, not legal requirements or guarantees of suitability. The available consumer guidance reports cost estimates attributed to third parties, but the original reports’ publication years and methodologies are not established here. Treat any threshold or dollar figure you encounter elsewhere as a claim to verify, not as a rule.
Instead, list the work the family currently performs internally or pays separate advisers to perform. Include time spent collecting statements, resolving conflicting advice, tracking deadlines, paying bills, maintaining entity records, arranging insurance and preparing for family meetings. Then estimate what a proposed office would add: better oversight, faster decisions, fewer duplicated services, improved continuity or greater privacy. Compare those benefits with recurring fees and with the family’s responsibility for supervising the office.
A practical decision test
- Map the family system. List family members, generations, entities, trusts, businesses, properties, investments, charitable vehicles and jurisdictions. Note who owns each item and who can make decisions.
- Record pain points. Identify missed deadlines, incomplete reporting, duplicated fees, unclear authority, unmanaged conflicts, liquidity surprises and tasks that depend on one individual’s memory.
- Separate coordination from expertise. Mark which jobs require a licensed or specialist professional and which jobs are information gathering, administration or project management.
- Choose the desired control level. Decide whether the family wants employees it can direct, a shared provider, or a coordinator who manages independent firms.
- Model the recurring workload and cost. Include staff, technology, office operations, insurance, legal and compliance support, outside advice and the family’s own governance time. Avoid relying on an unverified industry threshold.
- Set measurable objectives. Examples include consolidated reporting by a specified date, documented investment approvals, a complete insurance register, timely tax deliverables and a maintained succession plan.
- Review the decision periodically. A structure that fits one generation or asset mix may become excessive or inadequate after a sale, inheritance, new business, divorce, death or major philanthropic commitment.
Starting an office or outsourced arrangement
Define the mandate
Write a short charter covering the family’s objectives, the people served, services provided, decision rights, reporting frequency, confidentiality expectations and escalation procedures. Include a statement of what the office will not do. Clear boundaries reduce the risk that a coordinator becomes informally responsible for legal, tax or investment work it is not qualified to perform.

Build governance before hiring
Decide who represents the family, how disagreements are resolved and which actions require one or more approvals. Establish controls for wires, account changes, custody, passwords, document access, vendor onboarding and related-party transactions. A family council, investment committee or similar body can provide an organized forum, but its authority should be documented.
Choose people and providers
For employees, verify experience, references, background, compensation arrangements and conflicts. For outside firms, confirm licensing or professional qualifications relevant to the work, service-level expectations, insurance, data-security practices and termination rights. Ask for sample reports and a description of how the provider coordinates with the family’s existing advisers.
Implement reporting and controls
Use a reliable process to collect statements and reconcile accounts. Reports should identify the source of each figure, the period covered, ownership and liquidity restrictions. Payment and investment workflows should use dual approval where appropriate, with an audit trail that someone independent can review.

Plan for transition
Document contacts, account access, entity information, recurring deadlines, investment policies, insurance details and key decisions. If a key employee leaves, the family should be able to operate without relying on that person’s private files or memory. Review the plan with the next generation rather than waiting for an emergency.

U.S. SEC rules: a separate question from whether you need an office
The SEC’s family-office exclusion from the Investment Advisers Act concerns whether a qualifying office may be excluded from the definition of an investment adviser. It does not define who may use family-office services and does not create a general wealth test.
According to the SEC staff compliance guide, an office relying on the exclusion must provide investment advice about securities only to defined family clients, be wholly owned by family clients, be exclusively controlled by family members or family entities, and not hold itself out publicly as an investment adviser. The underlying rule defines family members around lineal descendants of a common ancestor no more than ten generations removed from the youngest generation, with specified spouses or spousal equivalents. It also includes defined categories of trusts, entities, charities, estates and key employees.
The regulation, rather than the summary, controls. The SEC staff FAQ expresses staff views and is not a rule or a Commission statement. The SEC’s final rule, Release IA-3220, was issued June 22, 2011, published June 29, 2011, and became effective August 29, 2011. An attorney familiar with the actual ownership, control, clients and activities should analyze whether a particular structure qualifies. U.S. treatment should not be generalized to another jurisdiction.
Common mistakes and warning signs
- Choosing by label alone: “Family office” can describe a dedicated employer, a shared provider or a loose coordination service. Read the mandate and fee agreement.
- Assuming one provider does everything: Investment, tax, legal, accounting, insurance and property work may remain with separate specialists. Confirm who is accountable for coordination.
- Using wealth as the only test: Complexity, control needs and family dynamics may matter more than an estimated threshold.
- Leaving authority informal: Verbal instructions and unclear signing powers create fraud, delay and family-conflict risks.
- Ignoring conflicts: Ask whether recommendations generate fees for the office or its affiliates and how those conflicts are disclosed.
- Underfunding operations: Secure systems, reconciliations, compliance support and backup staffing are core controls, not optional extras.
- Failing to plan succession: An office that works only because one founder makes every decision may not serve younger generations.
- Confusing coordination with regulation: A family’s preferred service model does not automatically qualify for an SEC exclusion or satisfy another country’s rules.
When a family office may not be the right answer
A dedicated office may add unnecessary overhead when the family has a simple portfolio, few entities, limited administrative work and advisers who already communicate effectively. In that situation, a lead adviser or outsourced coordinator may solve the central problem without creating an employer, technology stack and governance structure. A multi-family arrangement can also be unsuitable if the family requires exclusive personnel, unusually specialized control or a level of privacy the provider cannot contractually support.
The reverse is also true: an inexpensive arrangement can be false economy if no one reconciles accounts, monitors deadlines or resolves contradictory advice. The choice should follow the work that must be done and the control the family expects, not the prestige of a particular label.
Bottom line
A family office coordinates wealth and the financial affairs surrounding it; its scope can include investments, tax, estate planning, accounting, insurance, real estate, philanthropy and business oversight. Single-family, multi-family and outsourced models trade off control, staffing and cost in different ways. No universal net-worth figure determines who needs one. Families should map their complexity, define decision rights, compare total costs and obtain jurisdiction-specific legal and regulatory advice before creating or joining an arrangement.
