What Documents to Keep When a Fixed Deposit Matures

By TheFinanceBase Team 9 min read

When an Indian fixed deposit (FD) matures, keep the document that identifies the deposit, proof of what you instructed the bank to do, evidence of the maturity payment or renewal, and the related interest and tax records. For a paper FD, retain the original fixed deposit receipt (FDR). For a digital FD, download the deposit advice and transaction confirmations. Keep a bank statement or passbook entry showing the maturity proceeds, plus the interest statement and any Form 16A or other TDS certificate. There is no single personal retention period established by the sources cited here, so preserve the records for as long as you may need to prove ownership, report income, support a tax claim, or resolve a bank dispute.

The core FD records to keep

Use this checklist for every matured deposit. The exact document name and delivery method vary by bank and by whether you opened the FD at a branch, through internet banking, or in a mobile app.

Record What it proves What to save
Original FDR or digital deposit advice The deposit’s identity and opening terms Certificate or downloaded PDF showing the depositor, account or deposit number, principal, tenure, due date and applicable interest rate
Renewal instruction and confirmation That you asked for reinvestment and what the bank accepted Your instruction, the renewed deposit advice, and any revised rate, tenure or principal details
Maturity or closure advice How the deposit was settled Advice showing closure, payout, transfer, or renewal and the relevant date
Statement or passbook entry That money was actually credited or debited Bank statement or passbook page showing maturity proceeds, interest and any tax deduction
Interest and TDS records Income reported and tax withheld Annual interest statement, Form 16A or another TDS certificate, and the tax-return records using those figures
Tax-saving FD evidence Eligibility for a deduction claim Deposit certificate, payment proof and the return or working paper supporting the claim

Scan paper documents and keep the files in a secure, backed-up location. Keep the original paper receipt with the rest of your investment and tax records rather than discarding it after the account balance reaches zero.

Why the original fixed deposit receipt matters

An FDR is the clearest record of what you bought and when. A certificate issued by Central Bank of India, for example, lists the CIF number, deposit account number, depositor’s name, principal, period, due date and interest rate. Those fields let you match the receipt to a bank statement and identify which rate and maturity date applied. The bank’s FDR information is available at Central Bank of India’s fixed deposit receipt page.

Do not assume that a statement alone contains every original term. A statement may show a deposit number and a credit, but not the rate, tenure or nomination details printed on the opening certificate. Retain the FDR even after maturity if the deposit was large, jointly held, pledged, used as security, or connected with a tax claim.

If the bank asks for the paper receipt

Closure procedures can depend on the bank’s current terms and on whether a receipt was issued. If a branch asks you to surrender or endorse the original FDR, follow that procedure and ask for a stamped acknowledgment or closure advice. Scan both sides before handing it over. If the receipt is lost, notify the bank promptly and ask which declaration, indemnity or identity documents it currently requires; do not create a replacement record yourself.

Digital FDs need a deliberate download routine

App-opened deposits may not generate a paper certificate. Federal Bank’s FedMobile terms, for example, state that a physical deposit receipt or passbook is normally not issued for term deposits opened in the app. The same terms distinguish closure treatment according to whether a receipt was printed and describe automatic renewal for eligible deposits at the rate prevailing on renewal. These are channel-specific terms, not a rule for every Indian bank; read the current terms for your own account at Federal Bank’s FedMobile terms page.

For a digital FD, download the opening receipt or deposit advice as soon as it becomes available. Save the transaction reference, the account from which the principal was debited, the linked account for maturity proceeds, and every renewal or closure notification. Take a PDF export or screenshot only when it contains the full transaction details; a push notification that merely says “FD created” may not be enough to establish the rate or due date.

Keep proof of what happened at maturity

Maturity is not just a date on the certificate. You need evidence of the bank’s action after that date. Most deposits end in one of two outcomes: payout to a linked account or reinvestment into a new term deposit. Record the outcome separately from the original opening terms.

Maturity outcome Records to retain Check on the statement
Payout and closure Maturity or closure advice, original or digital receipt, and your bank statement Principal plus the correct interest credited on or around the due date, less any tax withheld
Automatic or requested renewal Renewal instruction, confirmation and the new deposit advice The old deposit’s closure or rollover entry and the new deposit number, principal, rate and due date
Partial payout or changed tenure Written instruction and revised advice Separate entries for the amount paid out and the amount reinvested
Transfer to another account or bank Transfer confirmation and receiving-account statement Credit reference, value date and any charges or tax deduction

Central Bank of India’s customer information describes maturity payment and auto-renewal based on depositor instructions. Treat that description as an example of one bank’s process, not a universal rule. Your own bank’s mandate, account status and product terms control the result.

A step-by-step maturity recordkeeping process

1. Thirty to sixty days before the due date

  1. Locate the original FDR or digital advice and verify the deposit number, principal, due date, rate and maturity instructions.
  2. Read the bank’s current instructions for payout, renewal, premature closure and receipt surrender. Check whether an instruction deadline applies.
  3. Decide whether you want the proceeds paid out, renewed for principal only, or renewed for principal plus interest. Record your choice in the bank’s approved channel.
  4. Download a fresh statement showing the deposit before maturity and save your instruction confirmation.

2. On the maturity date

  1. Save the maturity notice, renewal message or closure advice from the bank.
  2. For a payout, check the linked account for the principal, interest and any TDS. For a renewal, check that a new deposit number and due date were issued.
  3. If the amount or rate differs from your expectation, do not delete the original notice. Contact the bank through an authenticated channel and keep the complaint or service-request number.

3. After settlement

  1. Download the statement or update the passbook after the transaction posts. A scheduled maturity date and an actual credit date can differ because of weekends, holidays or processing cut-offs.
  2. Reconcile the credited amount with the certificate’s principal and the bank’s interest calculation. Preserve a written explanation for any adjustment.
  3. Rename files consistently, for example Bank_DepositNumber_MaturityYear_OpeningAdvice.pdf and Bank_DepositNumber_MaturityYear_Statement.pdf.
  4. Move the records into your annual tax folder and investment archive, with access limited to the account holders and authorised adviser.

Interest, TDS and income-tax records

FD interest is taxable income under the rules applicable to your tax situation. Keep the bank’s annual interest statement or certificate with the statement that shows the actual credit. If tax was deducted, retain Form 16A or the other TDS certificate issued by the bank and reconcile it with the tax information available to you before filing.

Rule 31AC on the Income Tax Department website concerns a bank’s maintenance of particulars for specified reporting of time deposits; it does not state a single personal retention period for every depositor. Read the rule at the Income Tax Department’s Rule 31AC page. Central Bank of India’s 2024–25 deposit policy says the bank issues a tax-deduction certificate when tax is deducted from deposit interest. That policy is an example of a bank’s certificate practice, available in its 2024–25 deposit policy circular.

What to place in the tax folder

  • Interest certificates or annual statements for each FD and financial year.
  • Form 16A or another TDS certificate, if tax was withheld.
  • Bank statements supporting interest and TDS figures.
  • The income-tax return, computation and working papers that rely on those figures.
  • Correspondence correcting a TDS mismatch or an incorrect interest entry.

Keep the certificate for the financial year in which interest was credited or otherwise reported, not only the year in which the FD was originally opened. If a deposit is renewed several times, retain the interest records for each period.

Extra evidence for a tax-saving FD

A tax-saving FD has a lock-in and a potential Section 80C claim, so preserve more than the maturity advice. The Income Tax Department’s Section 80C information describes a qualifying scheduled-bank term deposit with a fixed period of at least five years. Read the current conditions at the Section 80C page and verify your own eligibility and the law for the relevant assessment year before claiming a deduction.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep the certificate showing the opening date, principal, tenure and account holder; proof of payment; the tax-return computation that claimed the deduction; and any bank confirmation that the deposit was not prematurely closed or transferred in a way that could affect eligibility. A maturity statement by itself may not prove that the original five-year condition was met.

How long should you keep FD documents?

The cited banking and tax materials do not establish one universal number of years for a depositor’s personal records. They describe bank certificates, bank reporting and product procedures, while personal retention needs depend on tax filings, disputes, loans secured by the FD, estate administration and the possibility of a later audit.

A practical policy is to keep the complete file while the FD is active, through maturity and tax reporting, and for as long afterward as your tax and legal records policy requires. Keep tax-saving FD evidence for the full period in which the deduction could be questioned. If the deposit belonged to a deceased family member, a minor, a trust or a business, retain it under the longer recordkeeping policy that applies to that account. Ask your tax professional or lawyer for a period suited to your circumstances rather than treating an internet rule of thumb as a legal requirement.

Secure storage and privacy checks

  • Use a clear filename containing the bank, deposit identifier and maturity year; avoid putting a full account number in a publicly visible filename.
  • Keep paper FDRs flat in a labelled folder or fire-resistant safe with related statements.
  • Scan at readable resolution, including signatures, endorsements and the reverse side.
  • Encrypt digital archives and enable multi-factor authentication on cloud storage.
  • Maintain one offline backup that is updated after every renewal or maturity.
  • Shred duplicate drafts and expired envelope labels that expose account details.

When records do not match

The maturity credit is missing

Confirm the due date, linked account, value date and whether the deposit renewed automatically. Compare the opening advice with the latest statement, then raise a written service request with the deposit number and transaction reference.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The renewal rate or tenure is unexpected

Save the instruction and renewal confirmation, check the rate prevailing on the renewal date, and ask the bank to explain the calculation in writing. Do not rely on an old rate sheet or a verbal promise.

Interest or TDS is absent from your records

Request an interest certificate and TDS certificate from the bank, then reconcile them with your statement and tax information. Preserve both the original and corrected documents if the bank later amends an entry.

The original FDR is lost

Report the loss through the bank’s official channel, ask for its current duplicate-certificate or indemnity process, and keep the acknowledgment. A downloaded advice and statement can support your ownership claim, but the bank decides what substitute documents it will accept.

A final file check

Before closing your annual records, confirm that you can answer five questions from the file: Which deposit matured? What were its original terms? Did you instruct payout or renewal? Where did the money go? What interest and TDS must be reported? If one answer is missing, obtain the relevant advice or statement while the bank can still retrieve it easily.
