What Documents to Gather Before Meeting a Tax Adviser

For a U.S. federal individual tax-return appointment, bring five things: identity and dependent details, last year’s returns, every record of income, documents supporting deductions and credits, and proof of taxes already withheld or paid. Add records for any special situation—such as self-employment, investments, property, education, child care, or Marketplace health insurance.

This is a practical starting list, not a universal requirement. Tax forms differ by year, state, locality, country, business structure, and the service you are buying. Ask your adviser for a tailored checklist before sending sensitive documents.

Start with identity and household information

Your adviser needs enough information to identify the taxpayers and dependents who may appear on the return. Gather the following for yourself, your spouse if filing jointly, and each person you may claim:

  • Social Security numbers or Individual Taxpayer Identification Numbers (ITINs).
  • Birth dates and dependent information.
  • Current address, plus records of name or address changes that could affect tax documents.
  • An IRS Identity Protection PIN, if the IRS issued one.
  • Bank routing and account numbers if you want to discuss direct deposit of a refund or electronic payment of tax.

Do not email bank details or identity documents unless your adviser has approved that channel. Use the firm’s secure portal, encrypted transfer method, or another procedure it specifically provides.

Bring prior returns and tax-agency correspondence

A previous return gives a new adviser a map of carryforward items, filing status, dependents, elections, and recurring income. Bring a copy of last year’s federal return and, if available, the relevant state returns. If you do not have them, ask the prior preparer, tax software provider, or tax agency about obtaining copies before the appointment.

Set aside every letter, notice, or message from the IRS or a state tax agency that relates to you. Include notices about balances, missing forms, audits, identity verification, estimated payments, or filing deadlines. Also write down any unresolved history, including:

  • Unfiled prior-year returns.
  • Amended returns that were filed or are being considered.
  • Audits, examinations, appeals, or collection activity.
  • Payment plans, tax liens, or disputed amounts.
  • Questions you want answered, with the notice number and response deadline when one exists.

Give the adviser the complete notice, not just the page that mentions an amount due. The envelope or online delivery date may matter when calculating a response period.

Collect all income records

Do not rely only on the forms that arrive in the mail. Make a list of every way money came in during the tax year, then match each item to a form or other supporting record. Information returns are examples, not a complete list; unusual or missing income should be flagged for the adviser.

Income source Records to gather Useful supporting evidence

Bank interest and investments 1099-INT, 1099-DIV, brokerage tax statements, and other applicable 1099 forms Year-end brokerage statements and records of trades, basis, or foreign accounts when relevant
Freelance, contract, or platform work 1099-NEC, 1099-K, 1099-MISC, platform statements, and payment records Bank deposits, payment-app histories, card-processor reports, invoices, and checks received
Retirement income 1099-R and pension or annuity distribution statements Information about rollovers, qualified charitable distributions, or withholding elections
Social Security Social Security benefit statement and related records Records of benefits repaid or adjusted during the year
Unemployment 1099-G or the agency’s substitute statement Payment history if a form is missing or corrected
Other income Any applicable 1099 or payer statement Contracts, settlement statements, rent records, royalty reports, or a written explanation of the payment

Common forms include 1099-INT, 1099-DIV, 1099-NEC, 1099-K, 1099-R, 1099-G, and 1099-MISC. The absence of a form does not automatically make income reportable income disappear. Tell the adviser about cash payments, barter, online sales, prizes, settlements, foreign income, and any statement that arrived late or appears incorrect.

Assemble records for deductions and credits

Tax forms show what was reported; receipts and statements help establish whether a deduction or credit is available and how much can be claimed. Gather records that relate to your circumstances, but do not assume an expense qualifies simply because you have a receipt. The adviser must apply the rules to your facts.

Situation Potentially relevant documents Details to note
Child care or dependent care Provider receipts, year-end statements, provider name, address, and taxpayer identification number Amounts paid, dates of care, and which dependent received care
Home ownership or itemizing Mortgage-interest statement and property-tax records Whether the property was a primary home, second home, rental, or used for business
Charitable giving Written acknowledgments, receipts, and records for cash and noncash donations Donation date, recipient, amount or description, and any goods or services received
Health accounts and expenses Health Savings Account or Flexible Spending Account contribution and distribution records, plus relevant medical-expense documentation Who paid, who was covered, and whether an account reimbursed the expense
Retirement savings Traditional or Roth IRA contribution confirmations and workplace-plan records Contribution date, tax year designated, and whether a contribution was recharacterized
Education Tuition statements, receipts, scholarship information, and classroom-expense records where applicable Student identity, enrollment period, and amounts paid after assistance
Health Insurance Marketplace coverage Form 1095-A All pages and any corrected form; do not substitute an insurer’s general policy statement
Dependents and other credits School, medical, custody, adoption, or residency records when relevant Facts that establish relationship, residence, support, age, or eligibility

Keep the underlying evidence even when a tax form summarizes it. Your adviser may need to reconcile a statement with bank activity, determine whether an item is deductible, or document why a credit applies.

Give self-employment and gig work its own file

Business, freelance, and side-job income usually requires more than a stack of 1099 forms. Create a separate record for each business or activity containing:

Separate business and personal transactions whenever possible. If records are incomplete, mark the gap and tell the adviser what is missing; do not silently replace unknown figures with guesses. A bank statement can help reconstruct activity, but it may not contain enough detail to establish the business purpose or tax treatment.

Document withholding, estimated payments, and other tax paid

Bring evidence of tax already paid so the adviser can compare payments with the final liability. Include federal and state withholding shown on wage, retirement, unemployment, and other statements; quarterly estimated-tax confirmations; extension-payment records; prior-year overpayments applied forward; and any payment made after receiving a notice.

Useful proof includes confirmation numbers, payment dates, amounts, the tax period selected, and the account or card used. If a payment was scheduled but rejected, bring the rejection notice as well as the original confirmation.

Organize the packet before you send anything

The IRS advises taxpayers to “Keep the documents and tax forms you need to file taxes in one place.” A folder, accordion file, or encrypted digital folder can make that practical; no particular product is required or endorsed.

  1. Make a master list. Write down each income source, household member, property, account, and major life event for the year.
  2. Create broad folders. Use sections for identity, prior returns and notices, income, deductions and credits, self-employment, and payments.
  3. Match forms to activity. Compare W-2s and 1099s with pay records, bank deposits, brokerage statements, and your own list of income.
  4. Mark exceptions. Label missing, corrected, duplicate, or disputed forms. Add a short explanation rather than changing a number yourself.
  5. Keep originals safe. Send copies or secure scans unless the adviser specifically requests an original document.
  6. Follow the adviser’s transfer instructions. Ask how files should be named, whether PDFs are preferred, and which portal or encrypted method to use.
  7. Retain a complete copy. Keep the submitted packet, upload confirmation, and notes from the meeting with your tax records.

Prepare a short briefing for the meeting

Documents answer “what happened”; a one-page briefing explains what changed. Note marriage, divorce, a new child, a death, a move, a home purchase or sale, retirement, a job change, a new business, a large investment transaction, disaster losses, or a move between states. Include dates and the people or accounts affected.

List the decisions you want help with, such as filing status, estimated payments, a notice response, a payment arrangement, a missed form, or whether a potential expense is deductible. This prevents the appointment from becoming a search through unlabelled statements.

Ask for a tailored list when your engagement is broader than return preparation

The checklist above is grounded in IRS guidance for individual federal return preparation. A planning meeting, audit representation, estate or trust matter, partnership or corporation return, foreign reporting issue, or state and local filing can require additional records. Before the appointment, ask:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Which tax years and jurisdictions are included?
  • Do you need original documents, copies, or portal uploads?
  • Should I provide records for every account, or only accounts with activity?
  • What records are needed for an audit, notice response, amended return, or payment plan?
  • How long will you retain documents, and how are they protected?
  • What is the fee, what work does it cover, and how are additional services billed?
  • Who will be available after filing if the IRS or a state agency contacts me?

When choosing a preparer or adviser, consider credentials and scope of service, experience with your particular tax situation, availability after filing, fee basis, and secure record handling. The IRS cautions taxpayers to choose carefully; you remain responsible for the information on the filed return even when someone else prepares it.

Use the tax year, not the calendar date, to check forms

Forms and instructions change. IRS Tax Tip 2025-14 addressed preparation for filing 2024 federal returns, so it is useful for general record-gathering but does not prove that every form or requirement is unchanged for the current tax year. Check the tax year printed on each document and ask your adviser about missing or replaced forms.

Before leaving for the appointment, confirm that you have identity details, prior returns, correspondence, income records, evidence for applicable deductions and credits, payment records, and a written list of questions. That combination gives the adviser both the source documents and the context needed to identify gaps.
