For most consumers selling personal gold jewellery to a regulated second-hand dealer or pawnbroker, the practical starting point is a valid photo ID. You should also be ready to identify the item, state that you own it and explain how you obtained it. Depending on your location and the transaction, the buyer may require written ownership evidence, a detailed item description or proof that you are authorised to act for the owner.
There is no worldwide document list. Rules differ between an outright sale, a pawn transaction, a private resale and a business trade. Contact the intended buyer before travelling and ask exactly which identity documents, ownership evidence and representative authorisations it accepts.

The documents to prepare first
If you have not yet checked your local rules, assemble the following baseline information:
- Valid photo identification: A passport, driving licence or another document accepted by the buyer. Dealers may need to verify your name and address.
- An ownership statement or evidence: Be prepared to confirm that the jewellery is yours and explain how you acquired it. Some jurisdictions require written evidence.
- An accurate description of the item: Pawnbroking and second-hand-dealer rules can require a detailed description in the transaction record.
- Authority to act for someone else: If the jewellery belongs to another person, obtain authentic written evidence that you are authorised to sell or pawn it.
- Purchase receipt, if available: An original receipt can help establish provenance, but the official examples reviewed do not make it a universal requirement for every private seller.
Ask the buyer whether it accepts digital identity documents, which combinations of documents are allowed, and whether inherited jewellery, items received as gifts or a pawn transaction needs additional paperwork. Requirements can change, so confirm them immediately before the visit.

What different jurisdictions require
The following official examples illustrate why a local check matters. They are not a single international checklist.
| Location | What the official guidance covers | Practical implication |
|---|---|---|
| Queensland, Australia | Queensland Office of Fair Trading guidance for covered second-hand dealers says the dealer must see identification verifying the seller’s name and address. Records also include whether the seller owns the goods and how the seller obtained them. The page metadata states it was updated 17 July 2026. | Bring ID showing your identity and address, and be ready to make a truthful ownership and acquisition statement. |
| New South Wales, Australia | NSW consumer guidance describes written evidence of ownership and a detailed description for pawning or selling through a second-hand dealer. A representative needs authentic evidence of authority to act for the owner. | Prepare ownership evidence and an item description; add a signed authority document when you are not the owner. |
| Victoria, Australia | Consumer Affairs Victoria lists acceptable identity documents, including a passport and driver’s licence, and permits certain pairs of non-photo documents. The cited guidance was updated 13 October 2023. | Check the current official list rather than assuming that one document, or any two documents, will be accepted. |
“You must see identification (ID)—such as a driver licence—verifying the seller’s name and address.”

How to prove ownership and provenance
Identity answers “who are you?” Ownership evidence answers “why are you entitled to dispose of this item?” A dealer may ask for both. Your explanation should be consistent and factual: say whether you bought the jewellery, received it as a gift, inherited it or acquired it in another legitimate way.

Where a written statement is required, use the buyer’s form if it supplies one. Otherwise, ask what format it accepts before preparing anything. Do not guess at wording or sign for another person. The dealer may record your name, address, the item description and your account of ownership as part of its legal transaction record.
If you do not have the original receipt
Lack of a receipt does not automatically mean that a sale is impossible. The Queensland and NSW examples support ownership declarations or other evidence, but they do not establish a universal rule that every seller must produce the original purchase receipt. Tell the buyer that the receipt is unavailable and ask which alternatives it accepts.

The important requirement is truthful provenance. Do not create, alter or borrow documents to make an item appear to have a different history. If the buyer cannot verify ownership, it may decline the transaction even when a receipt is not legally mandatory.
Inherited, gifted or jointly owned jewellery
For inherited or gifted items, explain that history clearly and ask whether the buyer wants an estate document, a written statement from the donor or another form of evidence. The official material does not prescribe one universal document for these situations.
Joint ownership can create an additional authority issue. Before presenting the item, ask whether every owner must attend or whether the buyer accepts written authorisation from absent owners.

Selling outright versus pawning
An outright sale and a pawn transaction are different legal and practical events. In a sale, ownership is transferred permanently under the buyer’s terms. In a pawn, the jewellery is pledged as security for a loan rather than simply sold for immediate final payment. The paperwork and records can therefore differ.
| Question | Outright sale | Pawn transaction |
|---|---|---|
| What happens to ownership? | The item is sold to the dealer, subject to the contract and local law. | The item is pledged to secure a loan; the transaction is not the same as a permanent sale. |
| What may be recorded? | The dealer may record seller identity, ownership and how the item was acquired, together with a description of the goods. | Official consumer guidance can require identity, ownership evidence and a detailed description, with a written record of the pledge. |
| If someone else owns the item | Evidence that you are authorised to sell it may be required. | NSW guidance specifically refers to authentic evidence of authority for a representative. |
| What should you ask first? | Which ID and ownership documents the buyer accepts and how the sale is documented. | Which documents are needed for the pledge, what written record you receive and how the buyer identifies the item. |
The supplied official guidance does not provide a universal comparison of prices, fees, interest rates or redemption periods. Ask the specific pawnbroker for those terms separately from its document requirements.
Do hallmarks or stamps replace your documents?
No. A hallmark describes the precious-metal content or legal description of an article; it does not prove who owns the jewellery. Your identification and ownership evidence concern you and your right to sell, while a hallmark concerns the item itself.
The United Kingdom is a useful jurisdiction-specific example. UK hallmarking guidance, updated 30 December 2022, applies to qualifying articles described as precious metal when they are sold there. The UK Government states that gold items weighing under 1 gram are below the compulsory hallmark threshold. That threshold is about hallmarking law, not about the documents a private seller must show to a buyer.
Consequently, an item without a UK hallmark is not automatically evidence of theft, and a hallmark is not proof of your ownership. The buyer may perform its own testing or request other evidence under local rules.

Rules that apply to businesses, not usually to a one-off personal sale
Some guidance in this area concerns commercial operators and should not be generalized to a consumer selling a single personal item.
Investment-gold businesses
HM Revenue & Customs guidance on qualifying investment-gold transactions includes customer identity and address records for businesses. Those business record-keeping obligations do not create a universal document list for an individual selling ordinary gold jewellery to a second-hand dealer.
Jewellers selling hallmarked goods in India
Bureau of Indian Standards guidance concerns jeweller registration and point-of-sale obligations for businesses selling hallmarked articles in India. It is not a checklist for a private person making a one-off sale of personal jewellery.
If you regularly trade jewellery, import or export investment gold, or operate a jewellery business, obtain advice for that business activity rather than relying on the consumer checklist above.

Step-by-step preparation before visiting the buyer
- Identify the transaction type. Decide whether you are making a permanent sale or seeking a pawn loan. Tell the buyer which one you intend to do, because the forms and records may differ.
- Confirm the location’s rules. Check the government or consumer-protection guidance for your state or country. Do not substitute UK hallmarking or Australian dealer rules for rules where you live.
- Contact the exact dealer or pawnbroker. Ask which photo IDs it accepts, whether it needs proof of address, and whether it requires a written ownership statement or other evidence.
- Explain your ownership history. Tell the buyer whether the jewellery was purchased, gifted or inherited. If the item belongs to someone else, ask for the buyer’s authority-document requirements before you go.
- Gather supporting papers. Bring the receipt if you have it, along with any ownership evidence the buyer has confirmed it will accept. A missing receipt should be disclosed rather than replaced with an unverified document.
- Prepare the item description. Note the type of jewellery and any identifying details you can state accurately. For a pawn or NSW transaction, expect a detailed description to form part of the written record.
- Check that names and addresses match. Inconsistent details can delay verification. If your identity document has changed since you acquired the item, ask the buyer what additional explanation it needs.
- Review the paperwork before signing. Confirm that the document describes the transaction you intended and that any ownership or authority statement is truthful. Keep the written record the buyer gives you.
Common problems and how to handle them
The buyer says a receipt is mandatory
Ask whether that is the buyer’s internal policy or a legal requirement in your location. The official examples do not support a universal receipt rule, but a particular business may still refuse an item without one. Request the list of alternative evidence it will consider before making the trip.

You have photo ID but no proof of address
Do not assume the photo ID alone is enough. Queensland guidance specifically refers to verification of name and address, while Victoria lists combinations of acceptable documents. Ask the dealer which current documents satisfy its local obligation.
You are selling for a relative or an estate
Pause the transaction until you know what authority evidence is accepted. NSW guidance requires authentic evidence for a representative. A casual verbal permission may not satisfy the dealer’s record-keeping duty.
The jewellery has no hallmark
Ask how the buyer handles testing and identification in your jurisdiction. A hallmark is not an ownership document, and the UK threshold cannot be applied worldwide.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsYou are unsure whether the transaction is a sale or pawn
Ask the business to explain, in writing, whether ownership transfers or the item secures a loan. Do not sign a form until that distinction is clear.
What to remember
Start with valid photo ID, an honest account of ownership and the ability to describe the jewellery. Add written ownership evidence or authority documents when your local rules or the buyer require them. Keep a receipt if you have one, but do not treat its absence as a universal legal bar. Finally, verify the exact requirements with the intended buyer and the relevant local authority, because document rules depend on jurisdiction and on whether you are selling or pawning.
