The strongest proof is a contemporaneous paper trail that matches the cash’s real origin, amount and timing. Business cash usually calls for sales and deposit records; an account transfer calls for statements from both accounts; a gift needs information from the donor; and an inheritance needs estate or executor records.
There is no universal bank checklist for every deposit. A mortgage lender, bank or other institution decides what it will accept, so ask for its exact requirements and secure submission method before sending sensitive records.

What makes a document useful?
A document supports a cash deposit when it does more than show that money exists. It should help an institution follow the money from its actual source into the account. Evaluate each record on four questions:
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →- Does it match what really happened? Do not describe business proceeds as a gift, or a gift as an account transfer, merely because that label seems easier to document.
- Does it identify dates and amounts? A dated receipt, statement entry, transfer confirmation or distribution record is more useful than an undated explanation.
- Does it connect the source to the deposit? The timing and amount should line up as closely as the records allow. If the cash was held for a period before deposit, explain that gap.
- Will the receiving institution accept it? The Consumer Financial Protection Bureau (CFPB) advises borrowers to ask their lender what documentation it wants because requirements vary. No source establishes one ranking of documents that every bank must accept.
Use the records that already exist, add a short factual explanation where the trail is not self-evident, and ask whether additional evidence is needed.

Documents by the actual source of the cash
Business or self-employment cash sales
For cash collected from customers, assemble the ordinary records used to document gross receipts and the related deposit. IRS recordkeeping guidance lists cash-register tapes, deposit information, receipt books, invoices and Forms 1099-MISC among records of business gross receipts. Supporting records can also include sales slips, receipts, deposit slips and canceled checks.
A practical packet might contain:
- Cash-register or point-of-sale reports for the relevant dates;
- Numbered receipt-book pages or sales slips;
- Invoices or other records identifying the customer, sale and amount;
- Bookkeeping reports showing how the receipts were recorded;
- The bank deposit slip and account statement showing the deposit; and
- Any related payment records, such as a canceled check, where a customer paid by check rather than cash.
Match the sales records to the deposit as closely as the business’s normal recordkeeping permits. If several days of receipts were deposited together, show the group of sales that makes up the total and explain the deposit schedule. Keep tax and business records consistent with the explanation you provide to the bank or lender.
Withdrawal or transfer from another account
When the cash came from money you already held elsewhere, show both ends of the movement. Gather statements or transaction histories for the source account and the receiving account, along with a withdrawal receipt, transfer confirmation or other record of the transaction. Include the cash-deposit receipt if the institution supplied one.
Recommended Free Tools
The goal is a continuous trail: the source account shows the withdrawal or transfer, your explanation describes any period in which you held the cash, and the receiving account shows the deposit. If the amount changed because you spent part of the cash before depositing the rest, identify that honestly rather than presenting the transactions as an exact match.

Gift from another person
Ask the actual donor for a dated statement or letter identifying the gift and its amount. The donor’s name and relationship to you can help explain the transaction, but the essential point is that the donor confirms what was given and when.
Where available, add evidence of the donor’s withdrawal or transfer and your deposit record. IRS investigative guidance treats gifts as potentially non-income items when they are documented and corroborated with information from the donor; it does not prescribe a single consumer bank form. A donor letter by itself may or may not satisfy a particular lender or bank, so confirm what that institution accepts.
Inheritance
Use records from the estate rather than relying only on your own statement. Useful documents can include probate or estate papers identifying the distribution, a letter or accounting from the executor or administrator, a distribution receipt and the related transaction record.
The documents should identify you as the recipient and show the amount distributed. If the estate paid you in cash and you later deposited it, include the cash-deposit record and explain the dates. IRS guidance advises obtaining records and information from the executor or administrator to verify an inheritance.

Sale of personal property
For cash from selling a vehicle, equipment, jewelry or another personal item, preserve the bill of sale, buyer receipt or written correspondence, a description or other evidence of the item sold, and any record showing payment and the subsequent deposit.
These are practical examples of contemporaneous evidence, not a universal bank checklist. Ask the institution whether it wants additional proof, such as a title transfer or valuation, for the particular item and transaction. Do not create a backdated contract or alter a receipt to make the amount fit the deposit.
Accumulated cash savings or another source
There is no single package established for cash that accumulated over time at home or came from another source not covered above. Collect whatever contemporaneous records honestly explain how and when the money accumulated, such as earlier withdrawal records, savings logs or transaction receipts, and include the deposit record.
Describe the history plainly: when the cash was received, where it was kept, whether any portion was spent, and why it was deposited when it was. The institution may request more evidence or may not accept a particular explanation without corroboration. Ask what alternatives it will consider instead of guessing.

How to build a source-of-funds packet
- Identify the true source. Write a one-sentence description before collecting documents, such as “cash sales from March 1–7” or “inheritance distribution from the estate of [name].” The description must match reality.
- Collect primary records first. Start with statements, receipts, invoices, estate papers, donor records or other documents created at the time of the transaction. Add secondary explanations only when the primary records leave a gap.
- Make a date-and-amount schedule. List each source transaction, amount, date, any interim cash holding and the final deposit. This lets a reviewer see how the figures connect without inferring the sequence.
- Connect the schedule to the account. Mark the relevant line on the account statement and attach the deposit slip or receipt. For transfers, include statements for both accounts; for business receipts, include the records that total to the deposit.
- Explain discrepancies once and directly. State why the deposit is smaller or later than the source transaction, such as multiple receipts deposited together or part of the cash spent before deposit. Do not offer several conflicting explanations.
- Ask for the institution’s checklist. A lender reviewing a down payment may have different requirements from a bank responding to a routine account question. Ask whether copies are sufficient, whether translations or notarization are required, and whether a secure upload portal is available.
- Preserve a complete copy. Keep the documents, your explanation and proof of submission. Redact information only after confirming that the institution does not need the unredacted version for verification.
Mortgage and down-payment reviews
The CFPB says mortgage lenders generally verify income and the sources of down-payment funds. Its consumer guidance warns that borrowers with one or more recent large deposits should be prepared to document where the money came from.
This does not turn a particular receipt, donor letter or bill of sale into an automatic approval document. The lender’s underwriting rules control. Contact the lender before sending records and ask:
- Which source-specific documents are required;
- How many months of statements it wants;
- Whether a written explanation is required for cash held before deposit;
- Whether donor or estate records must be sent directly; and
- Which secure upload or delivery method it uses.
Provide a consistent explanation across the loan application, bank statements and supporting records. A mismatch can prompt more questions even when the money itself is legitimate.

Why $10,000 is not a universal proof-of-source threshold
The Internal Revenue Service says a person receiving more than $10,000 in qualifying cash in a trade or business generally must report it on Form 8300. Related payments can count under the rule. This is a reporting obligation for the recipient of qualifying trade-or-business cash, not a universal requirement that a consumer attach a particular source document to every personal deposit above $10,000.

Conversely, a deposit below $10,000 is not guaranteed to avoid questions. The threshold does not establish a safe amount, a bank-documentation trigger or permission to divide one transaction into smaller deposits. Never split transactions to avoid reporting.
Funds availability and source questions are different
CFPB guidance says in-person cash deposits are generally available by the next business day, subject to the institution’s cutoff time and other applicable circumstances. FDIC examination guidance says the large-deposit exception used for certain funds-availability holds does not apply to cash or electronic payments; that exception concerns large check deposits.
Availability timing answers when you may be able to use the money. It does not answer whether a bank may ask about the transaction or which records it may request. A cash deposit can be available for withdrawal while a separate source-of-funds inquiry is still pending.
Quick reference: match the source to the records
| Actual source | Core records to gather | How to connect them to the deposit | Important qualification |
|---|---|---|---|
| Business or self-employment cash sales | Register tapes, receipt books, invoices, sales slips, bookkeeping records, deposit information and related receipts or canceled checks | Show the sales totals, dates and deposit that contains them | These are IRS examples supporting business gross receipts; the bank may ask for more |
| Withdrawal or transfer from another account | Statements for both accounts, withdrawal or transfer confirmation, and deposit receipt | Show the money leaving one account and entering the other | Explain any time held in cash or amount spent before deposit |
| Gift | Dated donor statement or letter, donor withdrawal or transfer record if available, and deposit record | Identify the donor, amount, date and your deposit | There is no single IRS consumer gift form or universal bank acceptance rule |
| Inheritance | Probate or estate documents, executor or administrator information, distribution receipt and transaction record | Show the estate distribution and subsequent deposit | Estate documentation should identify the recipient and amount |
| Sale of personal property | Bill of sale, buyer receipt or correspondence, evidence of the item and payment record | Link the sale amount and payment date to the deposit | These are practical evidence examples, not a universal checklist |
| Accumulated savings | Contemporaneous records explaining accumulation, earlier withdrawals where relevant, and deposit records | Describe the period of accumulation and any gap before deposit | The sources do not establish a standard acceptable package |
Common mistakes and how to avoid them
- Using the wrong label. A gift letter cannot accurately document business income. Start with what happened, not with the document you hope will be easiest.
- Sending only the final deposit slip. A slip proves that a deposit occurred, but usually not where the cash originated. Add the source transaction records.
- Ignoring timing gaps. If cash was accumulated or held before deposit, explain the interval and provide records that support it.
- Assuming the $10,000 figure controls. Form 8300 applies to specified trade-or-business receipts and does not create a personal-deposit safe harbor.
- Confusing a hold with an investigation. Cash-availability rules do not determine what source documents a bank or lender may request.
- Submitting altered or backdated documents. If a record is missing, say so and ask what substitute evidence is acceptable.
- Sending sensitive records through ordinary email. Use the secure portal or delivery method identified by the institution and retain proof of submission.
What to do when records are incomplete
Incomplete records do not justify inventing a cleaner story. Submit the records you do have, identify what is missing, and provide a concise chronology of the cash. Ask the bank or lender whether it will consider substitute evidence, a statement from a third party, additional account history or another verification method.
Before disclosure, confirm the recipient, the secure transmission method and whether each requested page is necessary. Keep copies of everything sent and respond consistently if the institution asks follow-up questions.
