There is no universal document list. Contact the bank that holds the account and ask for its current deceased-customer claim form and checklist before ordering court papers or sending originals. Most claims start with official proof of death, the claimant’s government-issued identification and enough account information to locate the deposit. The remaining documents depend on whether you are a joint holder, nominee or beneficiary, executor, administrator, heir, or another claimant; how the account is registered; the law where the account is held; the balance and the bank’s procedures; and whether anyone disputes entitlement.
A death certificate by itself usually proves the account holder died, but it does not automatically give every relative authority to withdraw money. Conversely, not every claim requires probate. The bank must match your documents to the account’s ownership and the legal authority required for that particular claim.

Start with the bank’s checklist
Ask the bank for the form and document list that apply to this account before you submit anything. Banks can use different forms for a nominated account, a joint account, an estate claim, a disputed claim, or a low-value balance. The checklist below is a preparation guide, not a substitute for the bank’s current requirements.
| Document or evidence | Why the bank may request it | Typical qualification |
|---|---|---|
| Deceased-account claim form | Records the claim and the payment instructions | Use the bank’s own current form; several banks publish separate forms for different claimant types |
| Official death certificate or accepted proof of death | Confirms the account holder’s death | The bank may specify an original, certified copy, authenticated record, or another acceptable document |
| Claimant’s government-issued identification | Verifies who is making the claim | Passport, national identity card, driving licence, or another document accepted by the bank |
| Address or KYC evidence | Confirms identity and regulatory information | A bank may ask for proof of address in addition to photo identification |
| Account details | Helps locate the deposit | Account number, passbook, statement, card, branch details, or other information if available |
| Proof of claimant status | Shows why you are entitled to use the particular process | Joint-account mandate, survivor clause, nomination or beneficiary record, will, or relationship documents, as applicable |
| Estate-authority document | Shows who may act for the estate | Grant of probate, letters of administration, succession certificate, court order, or local equivalent when required |
| Declarations, indemnities or surety forms | Addresses a bank-specific risk or claim circumstance | Only provide the forms the bank identifies for your case |
Keep copies of everything you send. Ask whether the bank will return originals, whether copies must be certified, and whether documents issued outside the account’s country need authentication or translation.

Your claimant status determines the route
Surviving joint account holder
A joint account may have a survivorship instruction that lets the surviving holder apply through a bank’s survivor process. You will generally still need proof of death and your own identity, plus evidence that you are the recorded joint holder. Do not assume that a joint account always passes outside the estate: the account mandate and local law control what happens.
Named nominee, beneficiary or payable-on-death recipient
A named recipient may have a simplified process based on proof of death, identification and evidence of the nomination. In India, Reserve Bank of India guidance says banks should not insist on probate, letters of administration, a succession certificate, or an indemnity or surety bond when paying a qualifying survivor or nominee under the stated conditions. That rule is specific to the guidance’s Indian context, not a worldwide exemption. See the Reserve Bank of India deceased-depositor guidance.
Payment to a nominee is also not necessarily a final decision about who ultimately owns the money under inheritance law. Other heirs may retain rights even after the bank releases funds to the nominee, as the same RBI guidance explains.

Executor named in a will
If you are administering an estate under a valid will, the bank may ask for the will and a grant of probate or equivalent court document. Probate is the formal authority that enables the named executor to deal with estate assets in jurisdictions that use that system. The exact document name and application process vary by place.
Administrator where there is no effective will
When there is no will, or no executor able to act, a court may appoint an administrator. The resulting document can be called letters of administration, a succession certificate, or another local equivalent. Singapore’s judiciary describes probate and administration as the process for appointing someone to manage an estate and distinguishes a grant of probate for a valid will from letters of administration in certain no-will situations. Read the Singapore Judiciary probate and administration guidance for that jurisdiction’s terminology.
Heir claiming without a nominee
An heir who is not a joint holder or named recipient may have to prove both identity and legal relationship to the deceased. Depending on local law and the bank’s balance limits, that can involve a will, legal-heir certificate, succession certificate, probate, letters of administration, a court order, declarations, or surety documentation. A family relationship alone does not necessarily authorize a withdrawal.

Step-by-step: how to prepare and submit a claim
- Identify every relevant bank and account. Gather statements, passbooks, cards, tax records and mail. If you do not know the account number, tell the bank the deceased person’s full name, address, identification details and any branch information you have.
- Report the death and request the deceased-customer form. Ask specifically which process applies: joint holder, nominee or beneficiary, executor, administrator, heir, or disputed claim. Ask whether the bank can disclose account information before a court grant is issued.
- Confirm the account designation. Ask whether the records show a joint holder, survivor clause, nomination, payable-on-death instruction, trust arrangement or another designation. This determines which evidence the bank will accept.
- Obtain the death record in the required format. Ask whether a certified copy is sufficient, whether an original must be inspected, and whether a foreign certificate needs authentication, apostille or translation. Do not pay for several copies until the bank confirms what it will keep.
- Assemble identity and address evidence. Check that the name on your identification matches the claim form. If names differ because of marriage, transliteration or a clerical error, ask what supporting record is acceptable before filing.
- Prove your authority or status. Submit the joint-account evidence, nomination record, will, probate, letters of administration, succession certificate, legal-heir document or court order that the bank’s checklist calls for. If you have not yet obtained a court grant, ask whether the bank has a lower-value or no-nomination procedure.
- Check certification and signing rules. Some banks require witnessed signatures, notarised copies, certified translations, declarations, indemnities or sureties. Use the bank’s specified certifier and do not substitute a self-certified copy without confirmation.
- Submit through an approved channel. The bank may accept a branch, post or online upload. Ask how originals are protected, whether an appointment is needed and how you will receive a reference number.
- Track exceptions promptly. If the bank requests another document, ask which rule or account feature triggered it and whether a court order is required. Keep written confirmation of what remains outstanding.
- Check the payment and estate records. Confirm the amount released, any account closure or transfer, and the receipt you need for the estate’s accounting and tax records. A bank payment does not by itself settle disagreements among heirs.
How the rules differ by jurisdiction and bank
Use country examples only as illustrations. The law where the account is held and the bank’s current checklist govern your claim.

|---|---|---|
| India | For qualifying survivor or nominee payments, RBI guidance says probate, letters of administration, succession certificates and indemnity or surety bonds should not be insisted on when the stated conditions are met. It gives a 15-day settlement guidance period after proof of death and suitable identification are received. | RBI guidance |
| State Bank of India | The deceased-settlement checklist has separate nomination and no-nomination routes. It lists claimant KYC, declarations and, in some cases, legal-heir or court documents; disputes can require succession, probate, administration or a court order. The page states it was last updated January 5, 2026. | SBI checklist |
| Singapore | LifeSG advises relatives to contact each bank because procedures differ. The bank may require probate or letters of administration to disclose account information, not merely to release the final balance. | LifeSG FAQ |
| Republic of Ireland | Bank of Ireland’s September 2025 checklist says a grant of probate or administration is required for certain accounts where the money held exceeds €35,000 at the date of death. Treat this as that bank’s listed rule and verify the current checklist and circumstances. | Bank of Ireland checklist |
| Canada | Bank Act section 460 describes an affidavit or declaration and authenticated testamentary or court-grant evidence for specified transmission claims. It also allows the bank to require further documentary or other evidence before giving effect to a transmission. | Canada Bank Act, section 460 |
Do not compare the €35,000 Irish figure with another country’s amount as though the thresholds were interchangeable. Each figure belongs to the named bank, jurisdiction, account type and date described by its source.

Heirs disagree or a will is contested
Tell the bank immediately if another heir objects, a will is being challenged or competing claims have been filed. The bank may suspend payment and request a succession certificate, probate, letters of administration, a court order or other authenticated evidence. Do not ask the bank to choose between relatives based only on family assertions.

The death occurred abroad
Ask whether the foreign death certificate must be legalised, apostilled, authenticated or translated. The bank may also require identity documents and estate grants from the country governing the account, which can differ from the country where the person died.
No death certificate is available
Request the bank’s exception procedure rather than sending an unrelated record. It may accept a government death record, a court declaration or another officially authenticated proof, but acceptance is case-specific.
Names or account details do not match
Provide documents linking variations in spelling, initials or former names. If you cannot find the account number, ask what search information the bank needs and whether it can search across branches.

The bank will not disclose the balance
Information access and authority to withdraw are separate questions. A bank may require probate or letters of administration before releasing account information, as LifeSG notes for Singapore. Ask whether a court grant is needed for disclosure, payment, or both.
Questions to ask before you spend money on court documents
- Which deceased-customer claim form applies to this account?
- Does the account show a joint holder, survivor clause, nominee or payable-on-death beneficiary?
- Will you accept a certified copy of the death certificate, or must I present an original or authenticated document?
- Which identity and address documents do you require from each claimant?
- Is probate, letters of administration, a succession certificate or another court document required for this account and balance?
- Are there additional forms for a disputed will, other heirs, a foreign death certificate or a missing death record?
- Can I submit online, by mail or at a branch, and how will originals be returned?
- What is the expected review time, and how will you notify me if something is missing?
Common mistakes to avoid
- Assuming the death certificate is enough: it proves death but not necessarily your authority to receive funds.
- Applying for probate automatically: a qualifying survivor or nominee route may not require it, while an estate claim may.
- Using another bank’s form: forms, declarations and certification rules are not interchangeable.
- Sending originals without a return plan: confirm inspection, retention and return arrangements first.
- Treating a nominee payment as the final inheritance decision: other heirs’ legal rights may remain.
- Ignoring account-specific thresholds: a balance limit stated by one bank or country does not set a general rule.
- Withdrawing before authority is clear: an unauthorised withdrawal can create liability for the estate and other beneficiaries.
What to remember
Prepare proof of death, your identification and account details, then establish your status before collecting anything else. A joint holder or nominee may use a bank-specific survivor process; an executor or administrator may need probate or letters of administration; and a disputed or unusual claim can require authenticated court evidence. Because procedures differ by bank and jurisdiction, obtain the current checklist in writing and follow it rather than relying on a generic document list.
