What Do Revenue, EBITDA, Net Profit, and Operating Cash Flow Mean?

Revenue is the sales a business reports before most expenses. EBITDA is a performance measure that removes interest, income tax, depreciation and amortization from earnings. Net profit (also called net income or net earnings) is the accounting result left after recognized expenses and tax. Operating cash flow is the cash generated or consumed by the company’s principal operating activities after adjusting for non-cash items and working-capital timing.

These figures answer different questions. Revenue shows scale, EBITDA isolates one view of operating performance, net profit shows accounting profitability, and operating cash flow shows whether core operations actually produced cash during the period. Reading them together is more informative than treating any one number as “the” measure of success.

The four measures at a glance

Measure Statement or basis What it measures Major exclusions or adjustments Question it answers
Revenue Income statement; accrual basis Amount earned from selling goods or services before deductions for expenses Net revenue subtracts returns and allowances from gross revenue How much did the business sell or earn?
EBITDA Derived performance measure Earnings before interest, taxes, depreciation and amortization Removes financing costs, income tax and depreciation/amortization from earnings; “Adjusted EBITDA” may remove additional items How strong are operations before financing, tax and D&A effects?
Net profit Income statement bottom line Accounting profit or loss remaining after recognized expenses and tax Includes interest, tax, depreciation and amortization under the applicable accounting rules What accounting profit or loss remained for the period?
Operating cash flow Cash-flow statement, operating section Cash generated or used by principal revenue-producing activities Reconciles profit for non-cash items and working-capital changes under the indirect method Did core operations generate or consume cash?

The U.S. Securities and Exchange Commission (SEC) describes gross revenue as the total brought in from sales; net revenue deducts returns and allowances. The SEC also notes that “net profit is also called net income or net earnings.” Under IAS 7, cash flows are inflows and outflows of cash and cash equivalents, and operating activities are the principal revenue-producing activities.

What revenue means

Revenue is the top line

Revenue appears at the top of the income statement because it records the amount earned from customers before operating costs, financing costs and income tax are deducted. It is often called the “top line.” A retailer’s revenue comes from merchandise sales; a software company’s may come from subscriptions and services; a contractor’s may come from work performed under contracts.

Income statements generally use accrual accounting. That means revenue is recognized when the company has earned it under its accounting policy, not necessarily when the customer’s cash reaches the bank account. A customer could be invoiced today and pay later, leaving revenue on the income statement while accounts receivable rises on the balance sheet.

Gross revenue and net revenue

Gross revenue is the total sales amount before deductions such as returns and allowances. Net revenue is gross revenue minus those deductions. When comparing companies, check which version is being presented and whether items such as refunds, rebates or discounts are netted against sales.

Why revenue is not profit

Revenue says nothing by itself about how expensive it was to produce and sell the goods or services. A company can increase sales while losing money if payroll, materials, marketing, rent, interest or taxes rise faster than revenue. Revenue growth is therefore a scale indicator, not proof that the business is economically profitable.

Revenue also is not the same as cash collected. Credit sales, deferred payment terms and changes in receivables can separate the timing of recognized revenue from the timing of cash receipts.

What EBITDA means

The definition and calculation

EBITDA stands for earnings before interest, taxes, depreciation and amortization. A common starting point is GAAP net income, adding back interest expense, income-tax expense, depreciation and amortization:

EBITDA = net income + interest + income tax + depreciation + amortization

The calculation is intended to remove the effects of financing decisions, tax jurisdictions and certain non-cash accounting charges. Depreciation allocates the cost of tangible assets such as equipment over their useful lives; amortization generally allocates the cost of intangible assets. Removing those charges can make operating results look higher than net profit, especially for asset-intensive businesses.

EBITDA is not automatically a GAAP subtotal

EBITDA is commonly presented as a non-GAAP performance measure rather than a subtotal defined by U.S. GAAP. SEC staff guidance says “earnings” in an EBITDA calculation means GAAP net income. If a company presents a differently calculated figure, it should label it distinctly, such as “Adjusted EBITDA,” and explain the reconciliation to the most directly comparable GAAP measure.

Adjusted EBITDA can add back items beyond the four letters in the acronym, for example charges management considers unusual or non-recurring. The usefulness of the number depends on exactly what was adjusted. Two companies can both report “Adjusted EBITDA” while excluding different costs, so read the reconciliation instead of comparing the labels alone.

What EBITDA can and cannot tell you

EBITDA can help compare operating performance when companies have different debt levels, tax situations or depreciation policies. It is also used in some valuation and debt-covenant analyses. However, it does not measure cash generated. A business still has to pay suppliers, employees, interest, taxes and for replacement or growth capital expenditures; EBITDA does not capture all of those cash demands.

Because EBITDA excludes depreciation and amortization, it can overstate the resources available to a company that must continually replace equipment or acquire technology. It also omits changes in working capital, so a business can report rising EBITDA while cash is tied up in receivables or inventory.

What net profit means

The income-statement bottom line

Net profit is the amount remaining after the income statement recognizes the company’s expenses and income tax for the period. The terms net income and net earnings are synonyms for this bottom-line figure. If expenses exceed revenue, the result is a net loss rather than a profit.

Unlike EBITDA, net profit includes interest, taxes, depreciation and amortization, subject to the company’s accounting framework. It therefore reflects more of the total economic burden recognized in the period, including the cost of borrowing and the allocation of long-lived asset costs.

Net profit still is not a cash measure

Net profit is calculated under accrual accounting. Non-cash expenses can reduce profit without an immediate cash payment, while revenue recognized before collection can increase profit without an immediate cash receipt. Conversely, cash payments for inventory or the collection of an earlier receivable may occur in a period different from the one in which the related revenue or expense affected profit.

The profit margin—net profit divided by revenue—puts the bottom line in scale context, but the margin is meaningful only when the periods, accounting policies and business models are comparable.

What operating cash flow means

Where to find it

Operating cash flow appears in the operating section of the statement of cash flows. It represents cash generated or used by principal operating activities, rather than investing activities such as buying equipment or financing activities such as issuing debt.

The SEC explains that the cash-flow statement helps explain the difference between reported net income and cash receipts and payments. IAS 7 describes operating activities as the principal revenue-producing activities of the entity.

How the indirect method reconciles profit to cash

Under the indirect method, the operating section starts with net income or loss and converts it to cash generated by operations:

  1. Start with net income. This is the accrual-based accounting result for the period.
  2. Add back non-cash expenses. Depreciation and amortization reduce net income but do not represent a current-period cash payment, so they are added back in the reconciliation. Other non-cash items are handled according to the company’s accounting rules.
  3. Remove non-operating or non-cash gains and losses when required. The reconciliation adjusts profit so the result reflects operating cash rather than accounting effects that belong elsewhere in the cash-flow statement.
  4. Adjust for working-capital changes. Increases or decreases in inventories, receivables and payables change the timing of cash relative to revenue and expense recognition.
  5. Read the resulting operating cash flow. A positive figure means operations generated cash during the period; a negative figure means operations consumed cash.

Working capital explains many surprises

An increase in accounts receivable usually means revenue has been recognized but cash has not yet been collected, which reduces operating cash flow relative to profit. Building inventory uses cash before the inventory is sold, also weakening operating cash flow. An increase in accounts payable can temporarily support operating cash flow because the company has received goods or services without paying suppliers yet.

These adjustments are about timing, not automatically about good or bad management. Persistent cash absorption by receivables or inventory, however, deserves investigation because it may indicate slow collections, excess stock or aggressive growth.

Why the figures can diverge

Revenue rises while net profit falls

Sales growth can coincide with a loss when unit costs, staffing, marketing, interest or taxes increase faster than revenue. A high-growth company may deliberately spend ahead of sales, but the income statement still records the resulting expenses in the current period.

EBITDA is positive while net profit is negative

Interest, taxes, depreciation and amortization can reduce EBITDA to a net loss. This pattern is common in businesses with substantial borrowing or large asset bases. It does not mean those costs are irrelevant; it means EBITDA is answering a narrower operating question.

Net profit is positive while operating cash flow is weak

Profit can exceed operating cash flow when customers have not paid, inventory has grown or other working-capital balances absorb cash. Non-cash gains or expenses can also create a gap. The cash-flow reconciliation identifies which adjustments caused the difference.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Operating cash flow is positive while net profit is low

Cash collections from prior sales, reductions in inventory or increases in payables can boost operating cash flow even when current-period profit is modest. Examine whether the improvement is recurring or mainly a reversal of earlier working-capital investment.

A worked example using all four measures

Consider a hypothetical business with $1,000,000 of net revenue for a quarter. It records $650,000 of operating expenses before depreciation and amortization, $100,000 of depreciation and amortization, $50,000 of interest and $40,000 of income tax.

  • EBITDA: $350,000, calculated as revenue of $1,000,000 minus the $650,000 of operating expenses before depreciation and amortization.
  • Net profit: $160,000 after subtracting $100,000 of depreciation and amortization, $50,000 of interest and $40,000 of tax from EBITDA.
  • Operating cash flow: Suppose receivables increase by $120,000 and inventory increases by $30,000, while payables increase by $20,000. Starting with $160,000 of net profit, adding back $100,000 of depreciation and amortization, subtracting the $120,000 receivables increase and $30,000 inventory increase, and adding the $20,000 payables increase produces $130,000 of operating cash flow.

The example shows why the numbers differ: EBITDA excludes several costs, net profit recognizes them, and operating cash flow then adjusts profit for non-cash depreciation and working-capital timing.

How to use the numbers when evaluating a company

For sales momentum

Start with revenue and its trend, then check whether growth comes from higher prices, more units, new customers or acquisitions. Confirm whether the figure is gross or net revenue and whether the period is comparable.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For operating performance

Use EBITDA only after reading its definition and reconciliation. Compare like-for-like calculations, and be cautious when “adjusted” add-backs recur every period or exclude ordinary operating costs.

For total accounting profitability

Use net profit to see what remains after the full set of recognized expenses and tax. Review the income statement’s major expense lines rather than relying on the total alone.

For financial resilience

Check operating cash flow and the reconciliation from net income. Look for several periods of cash generation, then consider whether working-capital movements are sustainable. A company may need external financing if operations consistently consume cash.

Common mistakes and how to avoid them

  • Calling revenue profit: Revenue is before expenses. Look at net profit and margins for profitability.
  • Calling EBITDA cash flow: EBITDA excludes important cash costs and working-capital movements. Use the cash-flow statement for cash.
  • Comparing adjusted EBITDA with net profit without adjustments: First identify every add-back and reconcile the measures to a comparable basis.
  • Assuming positive net income means cash was generated: Read receivables, inventory, payables and the operating-cash-flow reconciliation.
  • Ignoring accounting framework and presentation choices: Definitions and disclosures can vary by jurisdiction and reporting policy. For a specific issuer, use its stated accounting framework and reconciliation.
  • Focusing on one period: A single quarter can be distorted by seasonal sales, collections, inventory purchases or unusual charges. Trends across periods provide better context.

A practical reading order

  1. Read the income statement from revenue down to net profit to understand sales, expenses and the accounting result.
  2. Locate the EBITDA calculation and reconciliation, noting whether it is EBITDA or an adjusted version and which items were excluded.
  3. Read the operating section of the cash-flow statement, beginning with net income and following each non-cash and working-capital adjustment.
  4. Compare revenue growth, EBITDA, net profit and operating cash flow over several periods rather than treating one figure as decisive.
  5. Investigate large gaps: rising receivables can explain weak cash, heavy depreciation can explain the EBITDA-to-profit difference, and high interest can explain why operating earnings do not reach the bottom line.

Used together, the measures form a sequence: revenue shows the scale of activity, EBITDA describes operating results before selected charges, net profit records the accounting outcome after those charges, and operating cash flow tests the cash produced by the underlying operations.
