For an Indian business, a supplier’s eligible GST tax invoice is the central document for an input tax credit (ITC) claim, but it is not conclusive proof by itself. Keep an evidence bundle that connects the invoice to an actual supply: proof that goods arrived or services were performed, purchase and stock records where relevant, payment and accounting entries, portal reconciliation, and any credit or debit notes. The exact bundle depends on the transaction; GST law does not make every supporting document compulsory for every purchase.
Why an invoice alone may not establish a genuine purchase
Section 16(2) of the Central Goods and Services Tax Act includes possession of an eligible tax document and receipt of the goods or services among the conditions for ITC. Other statutory conditions also apply, including restrictions that can affect whether a particular credit is allowable. An invoice proves what a supplier billed, but it does not automatically prove that the business received the supply, used it for an eligible purpose, recorded it correctly, or claimed the right amount in the correct tax period.

Think of the file as an evidence chain. The invoice identifies the taxable supply; delivery, acceptance or work records show that the supply happened; payment and ledger entries explain the commercial settlement; and GST portal data helps identify whether the supplier reported the document consistently. A missing link does not automatically invalidate a purchase, but it makes an enquiry harder to answer.
The core GST document to retain
Tax invoice or another prescribed document
Retain the supplier’s tax invoice in the form authorised for the transaction. Depending on the facts, the relevant document may instead include a debit note or a bill of entry for imported goods. Keep the original electronic file where one was issued, not only a printout or screenshot. If a document is corrected, retain both the original and the replacement, together with the reason for the change.

Invoice particulars to check
GST invoice rules prescribe particulars subject to applicable exceptions and notifications. Before posting the purchase, check the fields that identify the transaction and its tax:
| Check | What to verify | Why it matters |
|---|---|---|
| Supplier identity | Legal name, address and GST registration details shown on the document | Connects the invoice to the registered supplier that reported the supply |
| Recipient identity | Your business name, address and GST registration details where required | Supports attribution of the purchase to the claimant |
| Invoice reference | Invoice number and date, with a clear link to the supplier’s record | Allows matching, duplicate checks and later queries |
| Supply description | Description, quantity or service details and taxable value | Shows what was purchased and how the tax base was calculated |
| Tax calculation | Applicable rate and amounts of CGST, SGST/UTGST or IGST | Supports the amount posted to the ITC ledger |
| Place of supply | Inter-State place-of-supply details where applicable | Helps establish whether the tax type charged is appropriate |
Do not treat this as an exhaustive checklist for every industry or transaction. Special invoicing rules, exemptions, reverse-charge situations and notifications can change which particulars apply.
Build an evidence trail that fits the purchase
For goods
Keep the documents that naturally arise as goods move into your business. A purchase order or contract establishes what was ordered. A delivery challan, transport record or e-way bill, where required, helps trace movement. A goods-received note, warehouse receipt or inward register records arrival, while a stock entry shows that the items entered your books or inventory. If quantities were short, damaged or returned, preserve the discrepancy report, correspondence and resulting credit or debit note.
No single item in this list is a universal substitute for the tax invoice. The useful test is whether the records, taken together, identify the same supplier, goods, quantities, date and location as the invoice.

For services
Services do not usually generate a delivery challan or stock entry, so retain an engagement letter, purchase order or statement of work. Add evidence of completion or acceptance, such as a signed acceptance note, deliverable, milestone record, usage log or timesheet when relevant. Emails about scope changes, corrections or approval can explain why the invoiced amount differs from an original estimate. For recurring services, keep the period covered and the basis of billing clear.
For payment and accounting
Preserve the bank transfer record, payment voucher, remittance advice or other settlement entry. A payment trail supports the commercial reality of the purchase and helps resolve duplicate or unpaid invoices. It does not, by itself, prove receipt of goods or performance of services, and it is not a standalone statutory replacement for the prescribed GST document.
Post the transaction in the inward-supply register or purchase ledger and retain stock records for goods. Link the accounting entry to the invoice number, supplier and tax amounts. Keep related credit and debit notes with the original invoice so that later adjustments do not appear as unexplained changes.

What each record proves
| Record | Primary purpose | Limits |
|---|---|---|
| Eligible tax invoice, debit note or bill of entry where relevant | Identifies the taxable supply and tax charged | Does not alone prove receipt, performance or correct ITC eligibility |
| Purchase order or contract | Shows the agreed goods, services, price and terms | Shows intention to buy, not that the supply was completed |
| Delivery challan, transport or e-way-bill record | Links movement of goods to the transaction where applicable | Movement evidence does not establish the tax amount or entitlement by itself |
| Goods-received note and stock entry | Records physical receipt and accounting of goods | Not relevant in the same form to many services |
| Service acceptance, deliverable or work log | Shows performance or use of a service | Should identify the engagement and invoiced period or milestone |
| Bank record, voucher or ledger entry | Supports settlement and accounting reconciliation | Payment alone does not prove receipt or allowable ITC |
| Credit or debit note | Explains later changes to value or tax | Must be matched to the original transaction and recorded correctly |
Reconcile the purchase with GSTR-2B
GSTR-2B is the GST portal’s summary of ITC information made available from supplier-reported data. It distinguishes entries shown as available from entries classified as not available. Use it as a reconciliation control, not as a replacement for your invoice and transaction records.

- Extract your purchase data. For each invoice, record the supplier GST registration details, invoice number and date, taxable value, tax components and the nature of the supply.
- Compare the same fields in GSTR-2B. Look for differences in supplier identity, invoice reference, date, taxable value, tax amount or place-of-supply details.
- Investigate missing or incorrect entries. Ask the supplier to correct an omission or error through the applicable return process. Keep the email, ticket, revised invoice or other correspondence with the purchase file.
- Separate unavailable credits. The GST portal guidance says entries classified as not available should not be entered in the relevant GSTR-3B table. Confirm the return-period rules and statutory amendments that apply when you file.
- Document your review. Keep a dated reconciliation report or checklist showing who reviewed exceptions and how each one was resolved.
Return mechanics change. Some rendered CBIC pages contain legacy form language, so verify the requirements for the specific tax period rather than relying on an old matching rule or assuming that a clear GSTR-2B entry overrides another statutory condition.
Retention period and electronic storage
How long to keep the file
Section 36 provides a general retention period of 72 months from the due date for furnishing the annual return for the relevant year. Calculate the date by identifying the financial year to which the record relates and the due date of that year’s annual return. If the records concern an appeal, revision, another proceeding or an investigation, retain them for the later period specified by the Act, including the applicable period after final disposal.
Do not destroy a file merely because the invoice has been paid or the credit has been claimed. A later departmental query, audit or dispute may require the invoice and its supporting trail together.

GST rules permit accounts and records to be maintained electronically. A practical system can keep the supplier’s original PDF, readable scans of paper documents, structured purchase and stock data, and a link between each ledger entry and its evidence. Use consistent file names, access controls and backups; make sure records remain readable and retrievable for the whole retention period. A scanner or paid document-management application is optional, not a legal requirement.

Common gaps and how to repair them
Only a payment receipt is available
Ask the supplier for the prescribed tax invoice and obtain delivery, acceptance or work evidence that matches the payment. Until the document and supply are established, do not treat the bank statement as complete ITC proof.
The invoice is absent from GSTR-2B
Check whether the supplier used a different invoice number, reported a different GST registration, or filed for another period. Contact the supplier, retain the correspondence and update your reconciliation when corrected. Do not silently alter your books to force a match.
Goods were returned or the price changed
Keep the original invoice, return or discrepancy record and the supplier’s credit or debit note. Adjust the purchase and ITC entries in the period required by the applicable rules, with an audit trail explaining the change.

One-click scans. No signup required.
The invoice has an identity or tax error
Separate clerical corrections from changes that affect tax, place of supply or the recipient’s identity. Request the supplier’s compliant correction or replacement and preserve both versions. Obtain professional advice when the correction affects a filed return or a substantial credit.

Records are split across departments
Assign one reference number to the invoice, purchase order, receiving record, payment and ledger entry. A central index prevents accounts, procurement and stores from retaining disconnected fragments that cannot be reconstructed later.
A workable monthly control
- Collect invoices and related delivery or service records as soon as the purchase is approved.
- Check the applicable invoice particulars before posting the transaction.
- Record the purchase, tax amounts and stock or service details in the accounting system.
- Match payments or outstanding balances to the same invoice reference.
- Download or review GSTR-2B for the period and log every exception.
- Obtain supplier corrections and attach the communication to the file.
- Lock the completed evidence bundle in a searchable electronic folder or organised paper file.
This workflow creates an audit-ready trail without implying that every purchase needs identical paperwork.
Illustrative example
A business buys machinery parts. The file contains the supplier’s tax invoice, purchase order, delivery challan, transporter record where applicable, goods-received note, stock entry, bank payment reference and the month’s inward-supply register. The accountant matches the invoice number, taxable value and IGST amount to GSTR-2B. Two weeks later, part of the shipment is returned; the return note and supplier credit note are added, and the ledger is adjusted. Each document answers a different question: what was billed, what arrived, how it was recorded, how it was paid and how the later change was handled.

This opening of section 35(1) of the CGST Act captures the recordkeeping duty; the detailed accounts and documents required depend on the nature of the business and transaction. GST notifications, portal processes and return rules can change, so confirm the law for the relevant state, supply, taxpayer and financial year and obtain professional advice for a disputed or high-value claim.
