Toast and Square for Restaurants can both handle restaurant payments and point-of-sale tasks, but the right fit depends on how your business operates—not on a universal winner. Block is the company behind Square, so this comparison is between Toast and Square for Restaurants. Compare your service workflow, kitchen needs, hardware preferences, support requirements, integrations, and a current written quote before deciding.

Toast vs. Square for restaurants: what is the practical difference?

Toast positions its platform as a restaurant operations suite, with fixed terminals, handheld POS devices, kiosks, kitchen display systems (KDS), kitchen printers, multi-location tools, online ordering, payroll, and vendor management. Toast says its in-store products run on Toast hardware using proprietary technology. That breadth may suit restaurants that want tightly connected front- and back-of-house tools, but it also makes hardware compatibility and exit terms important questions. Toast’s 2025 annual report describes the company’s product scope; it is not an independent product evaluation.

Square for Restaurants presents features and paid device apps by plan. Its current US pricing page is the place to check the live plan structure, while the exact features, rates, and eligibility should be confirmed for your business. Square’s vendor comparison identifies Square Register as hardware available through retailers including Amazon; verify the current model and compatibility before buying. Square’s US restaurant pricing page and Square’s Toast comparison are vendor materials, not neutral head-to-head tests.

In short, Toast merits an early look if restaurant-specific workflows, integrated kitchen operations, or purpose-built hardware are central to your setup. Square merits an early look if you want to compare a published plan structure, consider starting with a free software plan, or use the broader Square ecosystem. Neither starting point guarantees lower costs or better performance.

Which POS is better for a small restaurant?

Size alone is not enough to choose. A small counter-service café with simple ordering may value a straightforward plan and low setup complexity; a small full-service restaurant may need seat and course management, tabs, split checks, and dependable kitchen routing. A multi-location operator may prioritize centralized tools and integrations regardless of the number of seats at any one site.

Map your busiest service before comparing demos. Write down how staff enter modifiers, manage tips, split checks, send orders to kitchen stations, handle online orders, and correct mistakes. Ask each provider to demonstrate those exact tasks on the plan and hardware you would buy. A feature shown in a demo is not necessarily included in the quoted tier.

How much does Toast or Square cost?

Do not treat the two vendors’ web pages as an apples-to-apples price list. Toast’s official pricing page, last updated August 20, 2026, says its displayed pricing applies to new single-location customers and notes that extra devices can add charges. It says Toast Care is included in each software subscription and available 24/7/365. Confirm what the offer covers and request a quote for your locations and devices. Toast pricing.

Square’s US restaurant pricing page describes plan-dependent features and paid device apps. Square says businesses processing more than $250,000 annually can ask about custom processing and plan pricing; that is an opportunity to request a quote, not a promise of a lower rate. Rates and plan details should be checked on the live page and in your written offer. Square restaurant pricing.

Square’s comparison page includes table examples explicitly dated September 4, 2024. Do not use those example rates or plan figures as current pricing without verifying them. The page also contains other plan descriptions, but its dated comparison table is not a current quote. Square’s comparison page.

Build a comparable total-cost quote

Ask both providers to price the same configuration and expected term. Include:

  • Software subscriptions and required modules, including KDS, payroll, loyalty, inventory, or multi-location features you need.
  • Card-present and online processing rates, per-transaction fees, and the mix of card types and sales channels your business actually has.
  • Every terminal, handheld, kitchen display, printer, and additional device, including purchase, rental, or recurring app charges.
  • Integration, delivery, implementation, onboarding, training, and support costs, with responsibility for resolving cross-vendor problems.
  • Contract length, renewal terms, cancellation costs, hardware ownership, and what happens to your data if you switch.

Compare the total over three years—or your realistic expected contract term—using your actual payment volume, average ticket, transaction count, online-sales share, and device count. Headline subscription prices cannot show whether a platform is less expensive for your particular card mix and workflow.

What should you check for service, kitchen, and outages?

Match features to your service style

For counter service or quick service, test order entry, modifiers, pickup orders, and any kiosk workflow you plan to use. For table service, test seats, courses, open tabs, split checks, and the steps staff take to transfer or correct an order. For a bar or a restaurant with mixed service, include the edge cases that happen during a rush rather than only a simple sample order. Confirm that each required capability is available at the quoted plan level.

Test the path from order to kitchen

Enter the same real menu item, with its modifiers, through the POS and trace where it appears: at the right prep station, on the KDS or printer you use, and in any online-order workflow. Ask how voids, edits, delayed courses, and duplicate tickets are handled. Toast describes an offline mode that extends to KDS, but this is a vendor claim, not a guarantee for every configuration. Ask both providers to demonstrate your kitchen’s actual setup.

Define what “offline” must mean for you

Do not settle for a general statement that a system works offline. Ask what happens to payment acceptance, order entry, kitchen tickets, and synchronization after the internet returns. Confirm what devices and features remain available, what staff must do during the outage, and which types of payments or transactions are affected. Have the vendor demonstrate the failure scenario you care about, using your intended hardware and workflow. Toast’s comparison describes its offline capability; Square’s plan and feature details should be checked directly with Square. Toast’s Toast-versus-Square comparison.

How do hardware, support, and integrations affect the choice?

Hardware and switching

Toast describes its in-store products as running on Toast hardware with proprietary technology. Before signing, ask which equipment you must buy from Toast, whether any of your existing devices can be used, and what becomes unusable if you leave. Square’s comparison says Square Register can be bought through major retailers including Amazon; confirm the exact model’s current availability, platform compatibility, and support path. A retail purchase option does not establish that a device works with Toast.

Support and rollout

Toast says Toast Care is included in each software subscription and available 24/7/365. Ask what channels are available, whether the stated coverage applies to all issues and locations, and who handles setup and training. Square says support varies by plan, so ask for the support hours, channels, and escalation process that apply to the plan in your quote. Get implementation responsibilities and any charges in writing; the vendor pages do not establish how quickly your staff will learn the system.

Integrations and growth

Make a short list of must-have connections before a demo: accounting, payroll, inventory, loyalty, online ordering, delivery marketplaces, and any multi-location reporting. For each, verify whether the integration is native, whether it costs extra, what data moves in each direction, and who investigates a failure. A compatible integration on a feature list is not the same as a tested end-to-end workflow for your restaurant.

What vendor claims should you treat cautiously?

Toast’s comparison page reports more than 180,000 locations as of Q2 2026. It also reports a 57% lift in Toast Loyalty signups among Toast Tables customers in Q2 2025 compared with Q2 2024, based on Toast’s internal data. These are company-reported figures, not independent market-share evidence or proof that a restaurant will achieve the same result. Square’s comparison page states that Square serves 100,000+ restaurants, but the page’s data sections have differing dates, so verify the live page and its date if that figure matters to your decision. Toast’s comparison page and Square’s comparison page.

Both companies publish their own comparisons, and feature pages can change. Treat comparative claims as prompts for questions, then test your workflows in demos and compare current written terms. The available company materials do not establish which platform performs better for a particular restaurant.

How to make the decision

  1. Document your operation. Record service style, locations, devices, kitchen stations, payment channels, must-have integrations, and the workflow problems you most need to solve.
  2. Set demo scenarios. Use your real menu and modifiers; include coursing, split checks, tips, online orders, kitchen routing, and an internet-outage scenario if relevant.
  3. Verify plan eligibility. Ask which quoted tier includes every required feature, device app, integration, and support level. Get any extra-device or add-on charges stated in writing.
  4. Request matching quotes. Give both vendors the same device count, locations, payment volume, card mix, ticket size, online-sales share, and contract term.
  5. Review the exit as well as the entry. Confirm cancellation terms, hardware ownership and reuse, access to business data, and what transition support is available.

This is a fit-and-contract decision, not a conclusion that one platform is always best. The product descriptions and pricing above come from vendor sources; they are not based on product testing, restaurant interviews, processor quotes, or review of an individual customer contract.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
