The best choice depends less on the size of your team than on the way you plan work: a simple task board, a document-based workspace, or a dependency-heavy schedule.

2. Notion: best for projects that live beside documentation

Notion is a strong choice when the project plan is inseparable from briefs, meeting notes, research, specifications, and internal knowledge. A freelancer can keep a client workspace beside a task database; a small company can connect its launch checklist to its operating documentation.

To install the Mac app, go to notion.com/desktop, select Download for macOS, open the downloaded file, install it, and sign in by email. Notion’s desktop settings are particularly useful for people who work from the keyboard:

  1. Open Settings in the sidebar.
  2. Select Preferences.
  3. Use Open Search when creating a new tab if you want a new tab to open search. It is enabled by default.
  4. Use Use Command Search to control Notion’s command-search behavior.
  5. The same area includes Show Notion in Menu Bar and the keyboard shortcut setting for Command Search.

Notion opens at login by default. To stop that on macOS, right-click the Notion icon in the Dock, choose Options, and remove the checkmark beside Open at Login.

Best for: freelancers, startups, and teams that need a flexible project workspace with substantial written context.

Watch out for: Notion is not a conventional scheduling application. If your work depends on complex dependencies, resource capacity, or formal baselines, OmniPlan or Merlin Project is a better fit.

3. OmniPlan: best for formal project schedules

OmniPlan is designed for project managers who need more than a list of assigned tasks. Its current feature set includes multiple baselines, Monte Carlo simulation, scheduling-violation detection, critical-path highlighting, resource scheduling, and earned-value-analysis formulas.

4. Merlin Project: best Apple-native offline planner

Its Gantt workflow supports linked tasks, milestones, slack-time display, progress entry, and critical-path recalculation. You can also move between planning styles: the official feature navigation includes Gantt Chart, Kanban Boards, Mind Maps, Workload, and Export & Integration.

Asana suits teams that want a clear answer to three questions: what needs doing, who owns it, and when is it due? It is often easier to introduce than a full scheduling tool. Check the current plan structure and Mac support before comparing it directly with a native planning application.

Trello

Trello remains the straightforward choice for a Kanban workflow. Cards move across lists such as backlog, in progress, review, and done without forcing a small team to learn formal project controls. Test the workflow with a representative project before paying: a grid can be familiar without necessarily being the fastest way to manage dependencies.

How to choose without wasting money

  1. Define the work model. If you need only ownership and due dates, start with Trello or Asana. If you need documents and databases, test Notion. If you need dependencies and resources, test OmniPlan or Merlin Project.
  2. Separate software cost from labor cost. A cheaper subscription is not cheaper if employees spend hours rebuilding reports or maintaining duplicate data.
  3. Test one real project. Use an active project with at least one deadline, several owners, recurring work, and a change in scope. A polished demo rarely exposes the friction of rescheduling.
  4. Check the Mac requirement. Confirm the minimum macOS version, Apple Silicon or Intel compatibility, login behavior, update method, and whether offline work is actually supported for the features you need.
  5. Check export and exit options. Before importing years of work, confirm whether you can export useful copies in PDF, CSV, XML, or another practical format.
  6. Audit plan limits. Look for restrictions on users, guests, storage, automations, dashboards, permissions, and history. These limits can matter more than the headline monthly price.

Mac-specific checks before installation

Desktop behavior affects productivity, especially if project software is open all day. For Notion, updates are automatic, but you can manually check by selecting Notion in the macOS menu bar and choosing Check for Updates. If a new feature does not appear after updating, press Command-R to refresh; Notion says that reinstalling may be necessary in rare cases.

If a Notion link opens in a browser instead of the app, open the link in the browser, select the ••• menu at the top right, scroll to the bottom, and choose Open in Mac app.

A processor mismatch can also prevent Notion from launching. The error may say: “You can’t open the application ‘Notion’ because this application is not supported on this Mac.” Remove the app, identify the processor through Apple menu → About This Mac, then download the compatible build.

Notion’s help center also states that it does not currently have a Linux app. That matters if your team mixes Mac, Windows, and Linux machines: evaluate the browser experience rather than assuming equivalent desktop applications on every platform.

How we would spend the budget

For a solo operator, begin with the least expensive tool that handles the active workflow and avoid paying for enterprise reporting you will not use. For a small service business, the productivity gain usually comes from clear ownership, reusable templates, and client visibility. For a project-based company with material scheduling risk, paying for dependency and resource controls can be justified if it prevents even one costly delay.

Do not choose on monthly price alone. Include migration time, training, data export, integrations, administration, and the cost of a team ignoring the system. A tool that nobody updates is an expensive shared inbox.
