Google Drive is the natural fit for organizations built around Gmail and Google Workspace, while Dropbox remains a straightforward file-sharing option. IDrive is better suited to backup and archiving than everyday collaboration. Sync and Proton Drive are worth considering when privacy or uncomplicated syncing matters more than deep office-suite integration.

1. Microsoft OneDrive: best overall for most businesses
OneDrive is the best general-purpose choice when a business uses Windows PCs, Microsoft 365, Word, Excel, Teams, and SharePoint. Employees can work from the desktop, browser, or mobile apps, share files with colleagues and clients, and collaborate in Microsoft documents without creating multiple email attachments.
Its strongest practical feature is Files On-Demand. In Windows, click the OneDrive cloud icon, choose Help & Settings → Settings → Sync and back up → Advanced settings, then choose either Free up disk space or Download all files. You can also right-click a file in File Explorer and choose Always keep on this device when an employee needs offline access. Choose Free up space to make it online-only; that file will not open without an internet connection.

OneDrive can also back up Desktop, Documents, and Pictures. The path is OneDrive icon → Settings → Sync and back up → Manage backup. That is useful for protecting common working folders, but it should not be confused with an independent backup system.
The key failure mode is deletion. If a user deletes a file in a synchronized OneDrive folder, the deletion can propagate to OneDrive and other synchronized devices. Recycle Bin recovery and version history help, but a business should still maintain a separate backup for critical records. OneDrive supports files up to 250GB, and the consumer free tier is 5GB; business storage and administration depend on the Microsoft 365 or OneDrive business plan selected.
2. Google Drive: best for Google Workspace teams
Google Drive is the obvious choice for a company already organized around Gmail, Google Docs, Sheets, Meet, and Google Calendar. Multiple people can edit a document at once, leave comments, review changes, and share a link without passing revised attachments around.
For an ordinary file or folder, select it in Drive and choose Share. Under General access, select the audience, choose Viewer, Commenter, or Editor, then select Copy link → Done. “Anyone with the link” is convenient for a public-facing file, but it means anyone who obtains that link may be able to access it. The owner’s name and email address can also be visible, so businesses should prefer named users or groups for confidential documents.
A Google Account includes up to 15GB, but that allowance is shared across Google Drive, Gmail, and Google Photos. It is not 15GB reserved solely for business files. For personal Google One storage, current listed U.S. prices include 100GB for $1.99 per month and 2TB for $9.99 per month. Business users should price Google Workspace separately rather than assuming a consumer Google One plan provides the same administration, retention, or compliance controls.

Google Workspace Shared drives are particularly useful for businesses. They are available to work or school accounts, and the organization—not an individual employee—owns the files. That means files remain in the shared drive when their creator leaves. Current shared-drive roles include Manager, Content manager, Contributor, Commenter, and Viewer. An administrator can also restrict external sharing or prevent downloading, copying, and printing.
One edge case involves outside collaborators who do not have Google Accounts. Eligible work or school accounts can allow visitor sharing after email-PIN verification. Visitor access lasts seven days before verification is required again, and visitors cannot own Drive files or folders, create or upload files in My Drive, or download folders.
3. Dropbox: best for simple file sharing
Dropbox remains a good fit when the priority is a familiar shared-folder system that clients, contractors, and employees can understand quickly. It works across common desktop and mobile platforms and is often easier to introduce than a broader productivity suite.
Dropbox’s current U.S. personal pricing illustrates its storage structure: Basic provides 2GB free, Plus provides 2TB for $9.99 per month, Standard is listed at $15 per user per month, and Advanced at $24 per user per month. Business buyers should confirm the current team quote, billing term, storage allocation, administrator features, and recovery period before comparing it with Microsoft or Google.
Transfer limits are more generous than older comparisons suggest. Dropbox Plus allows transfers up to 50GB, while team plans allow transfers up to 100GB. Dropbox Basic, however, remains limited to three connected devices. That can become a practical nuisance for a small business using a desktop, laptop, phone, and tablet.

Dropbox is a strong file-sharing and synchronization product, but it is not automatically a backup. A synchronized mistake, deletion, or damaged file can affect the cloud copy and connected computers. Use the available recovery and version features, and maintain a separate backup for accounting records, customer data, and other files that cannot be recreated.
4. IDrive: best value for backup and archiving
IDrive is the most different product in this group. It is a better choice for protecting computers, external drives, network drives, and archives than for replacing Google Docs or Microsoft 365 collaboration.
Its business value comes from breadth: continuous backup, Windows disk-image backup, external- and network-drive backup, password-protected sharing, and up to 30 file versions retained indefinitely. Those features address the problem that ordinary sync does not solve: recovering an older or deleted copy after a mistake, ransomware incident, or hardware failure.
IDrive’s current free Basic account provides 10GB. Personal plans listed by IDrive begin at 5TB for $11.99 per month, with larger 10TB, 20TB, 50TB, and 100TB tiers. Exceeding the storage allowance can result in overage charges, so a company should estimate the size of all protected computers and drives before choosing a tier. The listed file-size limit is 2GB, which makes IDrive less suitable for sharing very large individual video or disk-image files.
Choose IDrive when recovery and coverage matter more than a polished real-time editing environment. For day-to-day team documents, pair it with a collaboration service rather than treating it as a complete replacement.

5. Sync: best for uncomplicated, privacy-aware syncing
Sync is a sensible option for a small company that wants a conventional folder-sync experience without a complicated productivity ecosystem. It offers client-side encryption, sharing tools, and apps for Windows, macOS, Android, iOS, and the web. The free tier is 5GB, and the service lists no file-size limit.
The trade-off is platform coverage: Sync does not offer a native Linux app. That matters if a development, research, or technical team depends on Linux workstations. It also has fewer built-in document-editing features than Google Drive or Microsoft 365, so users may still need separate office software.
Sync is best evaluated as a secure storage and sharing layer. Confirm the specific business plan’s administrator, audit, retention, and recovery features before moving regulated or irreplaceable data to it.

Proton Drive is the privacy-led choice. Proton says file contents, filenames, and folder names are encrypted before leaving the device. It also supports password-protected and expiring sharing links. That is a meaningful distinction from ordinary Google Drive and Dropbox consumer storage, where files are not end-to-end encrypted by default.
The free tier is currently 5GB, not the older 1GB figure often repeated in cloud-storage roundups. Drive Plus provides 200GB and advertises recovery of previous file versions for up to 10 years. To access Drive on the web, sign in at account.proton.me, click the app switcher in the upper-left corner, and select Proton Drive.

Proton’s encryption model reduces the provider’s ability to inspect files, but it can also limit some convenience features and integrations. It is therefore a strong fit for confidential files and privacy-sensitive organizations, not necessarily the best single platform for a business that needs extensive online document collaboration.
How to choose a business cloud provider
- Start with the existing software. Microsoft 365 users will usually get the least friction from OneDrive. Gmail and Google Workspace users should begin with Google Drive.
- Separate collaboration from backup. A synced folder is designed to keep copies aligned. A backup should provide independent retention, versions, snapshots, or another recovery path.
- Map your access rules. Decide whether outside clients may use links, whether links expire, who can download, and whether employees can share outside the company.
- Calculate the whole cost. Include every user, storage overages, backup capacity, transfer limits, administrator licenses, and the cost of keeping a second backup.
- Test employee departure. Before buying, confirm that files in team or shared storage remain available when an employee’s account is disabled.
- Test recovery. Restore a deleted file, an older version, and a complete folder. A backup that has never been restored is an assumption, not a tested recovery plan.
