The choice is mainly about complexity, judgment, time, support, and representation—not a guaranteed larger refund. Correct information and the tax law that applies to your facts determine the result. Whichever route you choose, review every line before filing: the IRS says you remain responsible for the information on your return even when someone else prepares it.

What you are really choosing
Tax software and a paid preparer are two valid ways to complete a federal individual return. IRS Publication 550 recognizes preparing and filing with software or with Free File Fillable Forms as filing routes. Software gives you a guided, largely self-service workflow. A professional adds human judgment, explanations tailored to your facts, continuing support, and—depending on credentials—authority to deal with the IRS on your behalf.

The IRS Tax Tip 2026-11, issued February 10, 2026, states: “Taxpayers are ultimately responsible for all the information on their federal income tax return, regardless of who prepares the return.” You should therefore treat software as an aid rather than an automatic correctness guarantee, and treat a preparer as an adviser whose work you must still inspect.

Software and a professional compared
| Decision factor | Tax software | Credentialed professional |
|---|---|---|
| Total cash cost | Usually a product charge for the federal return, with possible state, feature, or support charges. The amount changes by filing year and product. | A service fee that varies by return complexity, location, forms, and the preparer’s scope of work. Ask for the complete fee arrangement before engagement. |
| Your time | You gather documents, answer questions, enter data, and resolve warnings yourself. | You still gather records and answer questions, but the preparer performs much of the classification, calculation, and form selection. |
| Best fit | Predictable wage or retirement income, organized records, standard deductions, or familiar itemized deductions. | Business, rental, investment, multistate, amended, notice, representation, or planning matters. |
| Judgment on unusual facts | Limited to the choices and explanations built into the product; you must recognize when an answer does not fit. | Can ask follow-up questions, weigh competing treatments, and explain why a position is appropriate. |
| Explanations | On-screen definitions, prompts, and help content; depth depends on the product. | Conversation and advice specific to your income, records, and goals. |
| Availability | Generally available whenever the product and your account are available. | Depends on the preparer’s schedule and whether the engagement includes post-filing help. Ask specifically about availability after filing season. |
| Notice or audit support | May offer paid support, but the scope differs by product and plan. | Can review a notice and help prepare a response if that service is included in writing. |
| Representation authority | None. Software cannot appear or communicate as your representative. | Depends on credentials and the matter. CPAs, attorneys, and enrolled agents generally have broad representation rights; a PTIN alone does not provide the same authority. |
| Privacy and document handling | You control what you upload and retain, subject to the product’s terms. | You share records with a third party and should understand retention, transmission, and access practices. |
When tax software is a sensible choice
Software is a practical default when the facts are routine and you can explain every number that you enter. This is a rule of thumb, not an IRS eligibility test.
Typical software-friendly returns
- One or more Forms W-2 from employment, with records that reconcile to your year-end documents.
- Retirement income reported on the forms you received, without an unresolved distribution or basis issue.
- Standard deduction, or familiar itemized deductions supported by organized receipts and statements.
- No unresolved federal or state notice, no amended-return question, and no need for someone else to speak to a tax agency.
- A filer who can read each prompt carefully and explain the source of every income, withholding, credit, and deduction entry.
What the software workflow requires from you
- Collect the complete set of income documents, deduction records, prior-year return, and identity information before opening the interview.
- Enter names, addresses, filing status, dependents, and other personal details exactly as they apply for the tax year.
- Follow the interview for each form you received. Do not skip a section merely because you think it cannot apply; use the product’s explanation to confirm that conclusion.
- Reconcile totals to your original documents, including federal and state withholding, retirement contributions, and estimated payments.
- Read the generated forms and worksheets, not just the refund or balance-due screen. Investigate every warning, override, or “check this” message.
- Save a copy of the submitted return, supporting schedules, and payment or confirmation records.
Software is weakest when you do not know which facts matter. A polished interview cannot identify a transaction you failed to disclose or correct a basis number that you entered incorrectly.
When paying a professional is worth it
The fee is easier to justify when the return requires interpretation, coordination across jurisdictions, reconstruction of records, or help after filing. The following situations are strong signals to seek a qualified professional.
Self-employment and Schedule C issues
Business income commonly involves deductible expenses, asset purchases, estimated payments, worker or contractor records, and questions about what belongs on the return. A preparer can organize the information and identify questions that a simple interview may not surface. Ask whether the engagement includes planning for the next year or only preparation of the current return.

Rental property
Rental activity can require allocation of expenses, depreciation, improvements, passive-activity treatment, and records spanning several years. If you bought, sold, converted, inherited, or substantially renovated property, professional review is particularly valuable.
Investments and basis questions
Brokerage statements may not contain every basis detail needed for a correct result. Stock, funds, options, digital assets, inherited property, gifts, wash-sale adjustments, and securities transferred between accounts can create questions that require reconstruction. A professional should be able to explain how the reported basis and holding period were determined.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsMore than one state
Moving, working remotely, owning a business across state lines, or earning income in another state can create resident, nonresident, allocation, and credit issues. Choose someone who regularly handles the states involved rather than assuming a general preparer has the needed experience.
Major life changes
Marriage, divorce, a new child, death in the family, home purchase or sale, retirement, inheritance, a business launch, or a move can change filing status, deductions, credits, basis, or estimated-tax needs. A consultation can prevent a one-year filing decision from creating avoidable problems in later years.
Amended or prior-year returns
An amended return is not simply a second attempt at the original interview. You must identify what changed, explain why, and understand how the change affects federal and state filings. Prior-year returns may require records or law that differ from the current year. Professional help is usually appropriate when the correction is material or the original filing is uncertain.

IRS or state notices
A notice may request information, propose a change, assess a balance, or set a deadline. Do not ignore it while preparing a new return. A qualified professional can determine what the notice means, assemble a response, and tell you whether additional filings or payments are needed.

Planning and representation
If you want advice before selling an asset, exercising compensation, changing a business structure, making retirement contributions, or taking another action with tax consequences, preparation software is the wrong tool. Planning requires facts and timing that may not appear in a return interview. Representation also requires a person with the appropriate authority and an engagement that covers the requested work.
Credentials determine what a preparer can do
“Paid preparer” is not a single level of expertise or authority. The IRS identifies certified public accountants, attorneys, enrolled agents, preparers with a preparer tax identification number (PTIN), and participants in the Annual Filing Season Program. Their training, oversight, and representation rights differ.
| Credential or status | What it generally indicates | What to verify |
|---|---|---|
| Certified public accountant (CPA) | A state-licensed accounting professional. Tax experience can vary. | Active license, relevant tax practice, and whether the person handles your states and issues. |
| Attorney | A state-licensed lawyer who may advise on tax and related legal matters. | Tax experience and whether the engagement includes the legal or representation work you need. |
| Enrolled agent (EA) | A federally authorized tax practitioner with representation rights before the IRS, subject to applicable rules. | Current status and experience with your type of return or notice. |
| PTIN-only preparer | A person paid to prepare federal returns must have a valid PTIN. A PTIN permits preparation but does not by itself confer the broad representation authority associated with CPAs, attorneys, or enrolled agents. | PTIN on the signed return, education or experience, and exactly what post-filing assistance is offered. |
| Annual Filing Season Program participant | A preparer who completed the IRS program’s requirements for that year. | Program participation, technical experience, and the limits of representation authority. |
The IRS credential directory can help you confirm a listed credential or qualification. A directory entry is evidence of status, not a guarantee of accuracy, communication, ethics, or value.
How to vet and hire a preparer
- Describe the return before discussing a fee. List every state involved, business or rental activity, investment issue, prior-year or amended return, notice, and planning question. A preparer cannot price or staff the work accurately without those facts.
- Confirm the person’s credentials. Ask whether the preparer is a CPA, attorney, enrolled agent, Annual Filing Season Program participant, or PTIN-only preparer. Use the IRS directory where applicable, then verify the state license for a CPA or attorney.
- Ask who will actually prepare and review the return. A firm may assign data entry to one person and final review to another. Know who answers technical questions and who signs.
- Get a clear, consistent fee arrangement. Request the total expected fee, what federal and state filings are included, charges for additional forms, and rates for notice, amended-return, or representation work. The IRS advises avoiding preparers who base their fee on a percentage of your refund.
- Ask about post-filing availability. Find out whether the preparer will respond after filing season, how quickly, and at what additional cost. Obtain the policy in writing.
- Protect your records. Ask how documents are transmitted, stored, returned, and deleted. Share only what is needed, and retain your own complete copies.
- Check the finished return yourself. Confirm names, addresses, filing status, dependents, income, withholding, bank details, deductions, credits, and every schedule. Ask for an explanation of anything you do not understand.
- Confirm the signature and PTIN. A paid preparer must sign the federal return and include a valid PTIN. Do not sign a blank or incomplete return.
A low quote can become expensive if it excludes a state return, an additional schedule, or help with a notice. Compare the complete service, not just the initial number.

How to judge cost and value
There is no single national price for software or professional preparation. Product charges change by filing year, federal versus state filing, forms, and optional support. Professional fees vary with complexity, location, credentials, and whether advice or representation is included. Ask before you buy or engage; do not rely on a generic price estimate.
Use this value calculation:
- Cash cost: product, state, add-on, or professional fees.
- Time cost: hours spent collecting, classifying, entering, checking, and correcting records.
- Error exposure: the financial and administrative impact of a missed form, incorrect basis, unsupported deduction, or late response.
- Support value: explanations, planning, notice responses, and availability after filing.
- Confidence: how certain you are that the return reflects all relevant facts and current law.
A professional does not guarantee a larger refund. A different result may reflect additional facts discovered, a different legal treatment, or a correction of an error—not a special refund formula. If your return is routine and well documented, paying for judgment you do not need may have little value. If one overlooked issue could materially change tax or create a notice, the fee may be reasonable even when the refund is unchanged.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Hybrid approaches can reduce both risk and cost
You do not have to choose between doing everything alone and handing over every task. A professional may review a software-prepared draft, answer a focused question, prepare only a business or rental schedule, or handle a notice while you prepare the routine portion. Agree in advance on who is responsible for the final filing, what documents the reviewer will see, and whether the fee covers follow-up corrections.
Another practical approach is to use software for a simple federal return and schedule a planning consultation when a transaction is contemplated. Preparation and planning are different services; buying one does not automatically include the other.
A decision process you can use each year
- Inventory your facts. Identify every income source, state connection, property or investment transaction, business activity, life change, notice, and prior-year issue.
- Classify the return. If all items are familiar, documented, and limited to ordinary wage or retirement income and standard or familiar itemized deductions, software may fit. If any item is unusual, cross-border between states, or unresolved, move to professional review.
- Assess your confidence. Can you explain why each form is present, where each number came from, and what you would do if the tax agency asked for support? If not, obtain advice.
- Set the support requirement. Decide whether you need only preparation, year-round advice, notice help, or formal representation. Match that need to the preparer’s credential and written engagement.
- Compare complete costs. Include software upgrades and state filings, or the professional’s preparation, review, and post-filing fees. Include your own time.
- Review before filing. Regardless of the route, read the complete return, resolve discrepancies, and keep the filed copy and confirmations.
Common mistakes to avoid
- Choosing by refund promise. No ethical preparer can promise a particular refund without knowing the facts, and a refund-based fee can create a conflict.
- Assuming a paid preparer has broad authority. A PTIN is required for paid federal preparation, but it is not the same as CPA, attorney, or enrolled-agent representation authority.
- Uploading incomplete records. Missing forms or basis information can make a software interview or professional review appear complete when it is not.
- Ignoring state consequences. A federal filing decision can affect state returns, especially after a move or when income is earned in multiple states.
- Signing without reading. Your signature confirms the return. Check the filing status, dependents, bank information, income, withholding, deductions, and schedules.
- Waiting on a notice. Deadlines continue while you decide whether to seek help. Preserve the envelope, notice, attachments, and proof of submission.
- Confusing preparation with planning. A preparer may accurately report last year without advising what to do before a transaction this year. Ask for planning explicitly.
Examples: how the choice changes with the facts
Employee with one state and organized forms
An employee with W-2 income, bank interest, retirement distributions, and well-documented standard or familiar itemized deductions can usually complete a software interview if every document is present and the questions are understandable. Review the finished return and retain the records.

Employee who moved during the year
Moving creates state residency and income-allocation questions. If you are unsure which state returns are required or how wages should be allocated, a preparer experienced with both states is safer than guessing through a generic workflow.
Freelancer with a home office and equipment
Self-employment income, expenses, estimated payments, and asset treatment require more judgment than a routine wage return. A professional can be especially useful for setting up records and planning the next year, not merely entering receipts.
Investor who sold inherited shares
Inherited property can involve basis and holding-period questions that are not obvious from a brokerage statement. Gather estate and transfer records and seek advice if the basis is incomplete or disputed.

Taxpayer who received an IRS notice
First determine the notice’s issue and deadline. If the response involves evidence, an amended return, or communication with the IRS, use a credentialed professional whose engagement includes that work. Software alone cannot represent you.
Taxpayer deciding between two preparers
Compare credentials, experience with your exact issues, total fee, review process, data handling, and post-filing availability. A directory listing or a lower quote should not outweigh a clear scope and competent answers to your questions.
Your responsibilities after the return is prepared
Before signing, compare the return with your source documents and prior-year filing. Confirm that all income forms are included, withholding and estimated payments are credited correctly, dependents and filing status are accurate, and bank details match your instructions. Ask for explanations of unfamiliar schedules, elections, or large year-over-year changes.
Keep the filed return, schedules, source documents, payment confirmations, and correspondence in a secure location. If a preparer will retain records, know how to obtain copies later. If you discover an error, contact the preparer promptly and determine whether a correction, amended return, or notice response is required.
