The right choice depends on the job that is slowing you down: finding properties, identifying owners, enriching phone and email data, contacting prospects, or following up until an appointment. Start with the tool that fixes that bottleneck, then verify that it records the campaign source and total cost all the way to a contract.
The products below describe different parts of the same chain. PropStream and REsimpli emphasize property lists and investor CRM workflows; Direct REI emphasizes AI-assisted multichannel outreach; Farmrix focuses on targeted direct mail; InstantREI is a managed marketing service; and REIPro centers on campaign templates, mail and skip tracing. Their websites do not establish an independent winner, so use the comparison and budgeting framework rather than a vendor’s ranking claim.

Lead generation is a chain of six jobs
“Lead generation” is not one feature. An investor normally has to complete six linked jobs:
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitches| Job | What you need to decide | Output to preserve |
|---|---|---|
| 1. Identify prospects | Which property types, owners and situations fit your buy box? | A list with property, owner and location fields |
| 2. Select and segment | Which records deserve attention first? | Segments such as equity, absentee ownership, distress or geography |
| 3. Enrich contact data | Which phone, email or mailing fields are available, and at what usage cost? | Contact records with a date and match status |
| 4. Reach owners | Will you use mail, phone, text, email, a website or paid search? | A campaign ID tied to every touch |
| 5. Capture responses | Where do calls, forms, replies and appointments enter the system? | A lead record with disposition and next action |
| 6. Follow up and measure | Who owns the next task, and which campaign produced an appointment or contract? | Pipeline stage, cost, revenue and attribution |
A platform can cover only some of these jobs. If you buy a list builder but have no follow-up process, you have purchased data rather than a functioning lead system. Conversely, a polished CRM cannot compensate for a list that does not contain the properties or markets you actually buy.

What each tool is designed to do
PropStream: data-led prospecting and outreach
PropStream’s feature page describes an aggregated property-data platform with PropStream Connect functions. The listed workflow includes skip tracing, click-to-dial, dialer campaigns, lead automation and discounted direct-mail and postcard options. The company says its database covers more than 160 million properties; treat that as a vendor-reported coverage figure, not an independently audited count.
This type of tool is most useful when your first question is, “Which owners match my buy box?” Before subscribing, test a small sample in each county you target. Check whether the records expose the property characteristics you need, how recently ownership fields were updated, what a successful contact match costs, and whether the resulting lead can be exported with campaign and status fields intact.
REsimpli: an investor CRM that spans list to follow-up
REsimpli lists seller-list building, list stacking and driving-for-dollars workflows alongside seller and buyer websites. Its site also describes calls, texts, emails, direct mail, pipelines and automation. That breadth can reduce the number of handoffs between a list and a follow-up task, particularly for a small team that does not want separate spreadsheets for calls, mail and inbound forms.

Confirm that a lead keeps its original list and campaign labels when it moves stages. Marketing labels such as “#1” are promotional claims, not evidence that the system will outperform another CRM in your market.
Direct REI: AI-assisted multichannel sequences
Direct REI describes a CRM and AI acquisition manager that can use county property records, skip trace owners and create sequences across email, SMS, direct mail and phone. This approach is aimed at investors who want a repeatable cadence rather than a one-time list export.

Review the sequence controls before committing. You should be able to set an owner, pause automation when a prospect replies, record consent or opt-out status, and route a positive response to a human. The site publishes sample credit rates, but usage prices and included volumes may change; obtain the current schedule and calculate the cost of a complete sequence, not just the first contact.
Farmrix: scored, targeted direct mail
Farmrix’s investor page starts with a defined buy box, then describes scoring owners by factors including equity, absentee status and distress. Selected owners can receive automated mail, with campaign attribution used to connect a response to the mailing.

That is a volatile price point, so confirm it before purchase and add postage, printing and any data or usage charges. Farmrix also publishes benchmark ranges for cold-mail response and personalization; those figures are addressed in the benchmark section below and should not be treated as a guarantee.
InstantREI: managed marketing rather than another software seat
InstantREI by Imaginuity describes a managed service combining branded websites, scored leads, pay-per-click advertising, direct mail and reporting. This is a different buying decision from selecting a database: you are paying for campaign planning and execution as well as technology.
Clarify what you control. Ask who owns the website and advertising accounts, how leads are delivered, how quickly a missed call is returned, which activities are included in the retainer, and whether you can export the full lead and attribution history if you leave. Imaginuity reports “1.5M+” motivated seller leads, “600K+” attended in-home appointments and “120K+” executed contracts, and says independent market testing found “30–60% more high-propensity properties” than legacy mailing lists. These are company-reported claims; the page does not link an independent test report, so they should not be used as a forecast for your returns.
Rank #3
REIPro: templates and mail-campaign mechanics
REIPro’s marketing page describes template libraries, direct-mail campaigns, postcard orders, printed letters and both individual and bulk skip tracing. It can fit an investor who has chosen a list source and wants repeatable creative and fulfillment rather than a full managed-marketing relationship.
Confirm whether your selected list can be imported with the fields you need, whether mail responses receive unique tracking identifiers, and how follow-up tasks are created after a response. A template library can speed production, but it does not determine which owners to mail or whether your offer is competitive.
Direct mail is a channel, not a complete strategy
A postcard or letter is only the contact step in the six-part chain. You still need a defensible owner list, a segment that matches your buy box, a way to capture replies and a follow-up owner. Farmrix describes scoring and automated mail; REIPro describes templates, printing, postcard campaigns and list export. Neither description means that a generic mailing sent to an unfiltered list will create qualified opportunities.
If you are preparing a campaign yourself, blank postcards are a physical supply choice, not a lead-generation system. They do not provide owner data, targeting, skip tracing or response management. Budget the card, printing, postage, returned-mail handling and the staff time to answer calls and process replies.
How to choose a tool without overbuying
1. Define the market and property coverage you actually need
- List the counties, ZIP codes or municipalities where you can buy and operate.
- Specify property types, ownership situations and minimum equity or distress indicators.
- Ask how often property, ownership and contact fields are refreshed.
- Request a sample export from your market rather than relying on a national coverage headline.
2. Map each product to the jobs it performs
Create a simple matrix with rows for list building, segmentation, skip tracing, phone, text, email, direct mail, websites, paid search, pipeline management and reporting. Mark each cell as included, an add-on, an integration or not stated. A product that appears inexpensive can become costly when the functions you need are separate add-ons.

3. Require end-to-end attribution
Every record should retain at least the original list name, campaign ID, first-contact date, channel, assigned user, latest disposition and next task. For inbound forms or calls, use a unique form, number or campaign label where practical. If a vendor cannot show how an appointment is tied back to its originating list and spend, you cannot calculate acquisition cost reliably.
4. Test workflow controls, not just a feature list
- Can an owner reply pause an automated sequence?
- Can a user mark a wrong number, opt-out or deceased owner and prevent another contact?
- Can two team members see the same history without duplicate outreach?
- Can you export records, notes and campaign history?
- Do websites, dialers, mail and advertising feed the same pipeline?
5. Price the full operating month
Include subscription fees, contact or skip-trace credits, phone and text usage, mail pieces, postage, advertising, call-handling labor and the cost of your own time. Compare that monthly total with the number of records you can realistically work. Buying 10,000 records that nobody follows up with is not a saving.
A practical campaign setup, step by step
- Write the buy box. Record geography, property type, ownership duration, equity or distress signals, price range and the maximum acquisition price you can support.
- Build a small test list. Start with one market and a manageable record count. Save the list criteria and the date so a later result can be reproduced.
- Check and segment the records. Separate owner-occupied and absentee records, equity bands, property conditions and any other decision variable that changes your offer.
- Enrich contacts deliberately. Run skip tracing only on the segment you can contact this month. Record match status, the date of the lookup and the per-record charge.
- Choose a contact sequence. Assign the first channel, the timing of later touches and the person responsible for a reply. Keep automated messages paused when a prospect responds or opts out.
- Create a campaign identifier. Use one identifier for the list, message, channel and launch date. Put it in the CRM, mail order, landing page and call-handling notes.
- Launch a controlled batch. Send enough records to reveal data and process problems, but not so many that a bad message consumes the entire budget. Check a sample of mail, texts, emails and call routing before scaling.
- Work every response. Log contact outcome, motivation, property details, appointment date, offer status and the next task. A response without a scheduled next action is not a managed lead.
- Review economics at a fixed interval. Reconcile spend, contacts, conversations, appointments, offers, contracts and gross margin by campaign. Keep separate results for each list segment and channel.
Costs and a break-even model
The product pages provide only limited, changeable pricing. Farmrix’s investor page lists a starting plan of $97 per month as of 2026. Direct REI publishes sample credit rates, but the exact rates and included usage should be verified before signing up. Prices for the other products are not stated in the material here, so obtain current quotes rather than treating a missing figure as free.
| Cost category | Questions to put in a quote | Why it changes your economics |
|---|---|---|
| Subscription | What seats, markets, records and features are included each month? | A low entry price may exclude the data or automation you need |
| Data and skip tracing | Is billing per record, per match, per lookup or by credit? | Unusable or duplicate records can consume the allowance |
| Communication | What do calls, phone numbers, texts, emails and dialer minutes cost? | High-volume sequences can exceed the base subscription |
| What are design, printing, postage, reprints and returned-mail charges? | Physical outreach has a cost even when nobody replies | |
| Advertising or management | Are PPC spend, creative, landing pages and account management separate? | Managed marketing may require a larger fixed commitment |
| Labor and integration | Who imports lists, answers calls, qualifies leads and maintains integrations? | Unassigned work reduces the effective return of any platform |
Use this formula for a campaign-level view:
Fully loaded campaign cost = subscription allocation + data/skip-trace charges + communication + mail + advertising + labor
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Then calculate:
Cost per appointment = fully loaded campaign cost ÷ attended appointments
Best Value
- It can be a gift option
- Comes with secure packaging
- Helpful in various ways
Cost per contract = fully loaded campaign cost ÷ executed contracts
For a break-even check, divide the fully loaded cost by the contribution margin you expect from one completed deal. Use your own conservative margin and closing assumptions; none of the vendor pages establishes a market-wide conversion rate.
How to interpret response and performance claims
Farmrix publishes “0.5–2%” as a typical cold-mail response benchmark and “2–3×” response lift from personalized, targeted mail. The page identifies these as benchmarks, says results vary by market, offer and follow-up, and does not link an underlying primary study. Treat them as planning scenarios to test, not guaranteed outcomes.
Imaginuity’s InstantREI page reports “1.5M+” motivated seller leads, “600K+” attended in-home appointments and “120K+” executed contracts. It also says independent market testing found “30–60% more high-propensity properties” than legacy mailing lists. These numbers are attributed to Imaginuity, and the page does not provide a linked independent report. They cannot be converted into an expected result for a specific investor without knowing the markets, time period, spend and definitions used.
For your own dashboard, track the funnel in the same order every month:
- Records selected and contactable records
- Delivered messages or completed conversations
- Positive responses and qualified conversations
- Appointments scheduled and appointments attended
- Offers made, contracts executed and deals closed
- Revenue, contribution margin and fully loaded cost by campaign
Do not compare a vendor’s lead count with your closed-contract count as if they were equivalent events. Define each event in writing and keep the definition stable.
Common failure modes and fixes
| Symptom | Likely cause | Fix |
|---|---|---|
| Many records but few usable contacts | Wrong property filters, stale ownership data or weak contact matching | Run a small county-level sample, inspect records manually and tighten the buy box before buying more volume |
| Replies arrive but no appointments occur | No response owner, slow callbacks or unclear qualification | Assign a task immediately, set a response-time standard and script the qualification questions |
| Several tools show different lead counts | Different definitions of “lead” and duplicate records | Use one event dictionary and deduplicate by property, owner and campaign ID |
| Automation continues after a prospect responds | Sequence rules are not connected to dispositions | Require a pause or opt-out event before additional automated touches |
| Mail produces an unmanageable call spike | Batch was too large for available staff | Throttle the next batch and assign coverage before scaling |
| Advertising produces form fills but no qualified sellers | Landing-page promise and buy box do not match | Align ad copy, form questions and qualification criteria; measure attended appointments, not raw forms |
| Campaign appears profitable until labor is counted | Only software and postage were included | Add call handling, data cleaning, follow-up and management time to the campaign cost |
Compliance and data stewardship
Calls, texts, email and direct mail can be subject to federal, state and local requirements, including rules about consent, identification, opt-outs and record keeping. The material for these products does not establish a comparative compliance review. Before launch, have local counsel or the relevant regulator’s current guidance review your process, suppression lists, message content and record-retention practice. Configure the platform so an opt-out or do-not-contact instruction is visible to every user and stops future automation.
Which tool should be your first evaluation?
| If your immediate problem is… | Start by evaluating… | Why this is a logical first test |
|---|---|---|
| You cannot build a reliable property-owner list | PropStream | Its described workflow starts with property data, filtering, skip tracing and dialing |
| Your list, conversations and tasks live in separate systems | REsimpli | Its feature set is organized around investor lists, multiple outreach channels and pipelines |
| You need structured sequences across several channels | Direct REI | Its described AI acquisition manager combines records, skip tracing and multichannel sequences |
| You have a defined segment and want physical-mail execution | Farmrix | Its workflow emphasizes buy-box scoring, selected owners and mail attribution |
| You prefer an outside team to run marketing | InstantREI | It describes managed websites, scored leads, PPC, direct mail and reporting |
| You already have lists and need repeatable mail production | REIPro | Its page emphasizes templates, postcards, printed letters and skip-tracing operations |
Whichever option you test, begin with one market, one documented buy box and one measurable campaign. Keep the original list criteria and every cost, then expand only when the follow-up process and attribution work at the smaller scale.
