Night Nanny Tax Guide: How to Report Your Income and Track Expenses

Most night nannies who work in a family’s home are household employees, not independent contractors. The deciding issue is control: if the family can control what work you do and how you do it, the IRS generally treats you as its household employee. The family normally handles household-employment payroll taxes, files Schedule H when required, and gives you Form W-2. You report the W-2 wages on your individual federal return. A genuinely self-employed nanny—one who controls the work and operates an independent business—follows a different reporting path.

This guide explains the classification test, the forms each person normally handles, the 2026 filing deadline, and a recordkeeping system that keeps wages, reimbursements, and possible business expenses separate.

Start with the control test: employee or independent contractor?

Labels in a contract, the way you are paid, and whether you work overnight do not decide your federal tax status. The IRS Schedule H instructions use a control test: if you hired someone for household work and could control what work they did and how they did it, that person was a household employee. The same instruction specifically lists nannies as an example of household workers and says the test applies even when the worker has freedom of action.

What control looks like for a night nanny

Control can exist even when you are experienced and work without constant supervision. A family usually exercises control when it sets the children’s routine, bedtime and wake-up expectations, safety procedures, approved activities, overnight check-in rules, or required reports; decides which duties are part of the shift; and can change those instructions. The family may also set the schedule, pay rate, and location of the work. You can still be an employee while choosing the practical order in which you complete tasks.

When self-employment is more plausible

The IRS describes a genuinely self-employed worker as someone who controls how the work is done and operates an independent business. Evidence can include offering services to the public, setting your own methods and policies, accepting or rejecting assignments as a business decision, and bearing the risk of running that business. A contract calling you an “independent contractor” is not enough if the family actually controls the work.

Agency placements require a separate control analysis

Working through an agency does not automatically make the agency your employer or make you self-employed. IRS guidance says an agency worker may or may not be the household’s employee, depending on who controls the work. Identify who sets your duties, directs your overnight care, controls the schedule, pays you, and has the right to change the arrangement. Ask the agency and the family to state their respective roles in writing before tax forms are prepared.

Working arrangement Key federal question Likely tax treatment described by IRS guidance
Family hires and directs you directly Can the family control what you do and how you do it? Household employee when the answer is yes
Agency placement Who actually controls the household work? May be the family, the agency, or a genuinely self-employed worker; the facts control
Independent household-services business Do you control the work and operate an independent business? Self-employed rather than the family’s household employee

Do not accept a 1099 simply because someone prefers that label. Classification determines who is responsible for payroll taxes, which records you need, and which forms belong in your tax return.

If you are an employee, who files what?

The household employer normally handles payroll reporting

For a household employee, the family—not the nanny—normally manages household-employment payroll reporting. When the applicable conditions are met, the employer uses Schedule H (Form 1040) to report Social Security, Medicare, FUTA, and any federal income-tax amounts withheld from household wages. The employer also furnishes Form W-2 to the nanny.

Schedule H is attached to the employer’s federal individual income-tax return. The exact wage thresholds and other triggers are year-specific, so the employer should use the Publication 926 and Schedule H instructions for the relevant tax year rather than rely on an old threshold.

What your W-2 means

Your W-2 is the wage statement for employee work. Check that the employer’s copy matches your year-end pay ledger, including the total cash wages and any federal withholding shown. Use the W-2 information on your individual federal return. Keep the form and your supporting records with your tax files even after filing.

Federal income-tax withholding is optional by agreement

A household employer generally is not required to withhold federal income tax from a household employee’s wages. The employer and nanny may agree to withholding, however, and use Form W-4 to communicate the employee’s withholding instructions. If no federal income tax is withheld, the nanny should review the withholding on any other job and obtain current tax advice about avoiding an underpayment when filing.

Social Security and Medicare are shared

The IRS FAQ states that the combined Social Security and Medicare taxes are 15.3% of cash wages, with 7.65% paid by the employer and 7.65% paid by the employee. The applicable wage base, payment mechanics, and any household-employment threshold must be checked for the tax year involved. The percentage is not a reason to reclassify an employee as a contractor.

Additional Medicare Tax at very high wages

According to the IRS FAQ, a household employer must withhold Additional Medicare Tax beginning in a pay period in which wages paid to an employee exceed $200,000. This is an employee-only tax and is separate from ordinary Social Security and Medicare withholding. The employer should apply the rule to the pay period in which the threshold is crossed and report the withholding on the required wage forms.

How a night nanny should report employee income

  1. Confirm the classification in writing. Save the employment agreement, the family’s written duties and schedule, and any agency agreement. Make sure the documents reflect who directs the work.
  2. Keep a pay-by-pay ledger. Record every pay date, shift or hours worked, gross cash wages, withholding, employer-paid amounts that appear on your pay statement, reimbursements, and noncash compensation. Record overnight shifts consistently, including the dates that the shift spans.
  3. Reconcile the ledger to the W-2. When the employer gives you Form W-2, compare its wage and withholding figures with your records. Ask about discrepancies before filing rather than changing the W-2 yourself.
  4. Enter the W-2 information on your individual return. Report the wages and withholding exactly as shown, while retaining your ledger and agreement as supporting records.
  5. Separate employee work from any business work. If you also provide independently operated services to other clients, maintain a second set of records for that business. Do not combine those receipts or expenses with the wages from the family that employs you.
  6. Save records for the required retention period. Keep W-2s, agreements, pay calculations, receipts, mileage logs, and communications in a secure digital folder and a backup location. Your tax professional can tell you how long to retain them for your circumstances.

A year-round expense and reimbursement ledger

A ledger is useful even when you are an employee and cannot claim a particular cost as a federal deduction. It proves what happened, helps the employer calculate payroll correctly, and lets you distinguish reimbursed amounts from costs you paid yourself.

Ledger field What to enter Why it matters
Pay date and shift date Date paid and the overnight period covered Prevents pay from being assigned to the wrong year
Hours or shift Start and end time, including an overnight shift identifier Supports the wage calculation and any overtime records required by applicable law
Gross cash wages Amount before withholding Lets you reconcile to payroll and Form W-2
Withholding Federal income tax, Social Security, Medicare, and any other amount shown by payroll Explains the difference between gross and net pay
Reimbursements Date, purpose, amount, and whether the family repaid you Keeps employer-paid costs distinct from wages and personal spending
Noncash amounts Description and fair-value information supplied by the employer Creates a record for questions about compensation reporting
Travel record Date, destination, business purpose, miles or transportation cost Provides contemporaneous support when travel is part of the job
Receipt reference File name or image for each receipt Makes an audit trail without relying on memory

How to record reimbursements

Enter a reimbursement on the date it is received and attach the receipt or other proof of the underlying purchase. Identify who paid the original cost, what the purchase was for, and whether the family instructed you to make it. Do not assume that a reimbursement is automatically taxable or automatically excluded; the treatment depends on the facts and the current rules.

How to record travel

When travel is part of the job, keep a contemporaneous mileage or transportation record rather than reconstructing trips at year-end. Note the route or destination, date, purpose, and who requested the travel. Ordinary commuting and job-related travel can have different treatment, so preserve the facts and check the rules that apply to your classification.

Which night-nanny expenses are deductible?

Federal guidance on household employment establishes the wage and employment-tax framework, but it does not provide a universal deduction list for an employee nanny. Do not promise yourself a deduction for an ordinary personal cost, commuting, meals, clothing, a phone, or equipment merely because it helped you work.

  • Employee costs: Keep records, but verify current federal law before claiming any unreimbursed expense. Employee deductions can be restricted or unavailable depending on the year and the worker’s circumstances.
  • Employer-reimbursed costs: Document the request, business purpose, amount, and payment. Ask the employer how the reimbursement is being handled in payroll.
  • Independent-business costs: If you are genuinely self-employed, maintain a separate business ledger and receipts. Whether a cost is deductible depends on its business purpose, substantiation, and the rules for the applicable tax year.
  • Mixed-use items: Allocate only the portion connected to the independent business, and retain a method showing how you calculated that portion. Do not shift a personal cost into the employee ledger.

The safest practice is to track first and decide deductibility when preparing the return. A record is not a deduction by itself; classification, business purpose, reimbursement, and current law all matter.

What the family must do when the nanny is an employee

  1. Apply the control test. Document who directs the work, even if an agency introduced the nanny.
  2. Set up payroll records. Track each pay date, gross cash wages, employee withholding, the employer’s tax share, reimbursements, and any noncash compensation.
  3. Discuss Form W-4. Federal income-tax withholding is generally optional for a household employer. If both parties agree, obtain the nanny’s Form W-4 and apply the instructions.
  4. Calculate household employment taxes. Use the current year’s IRS instructions for Social Security, Medicare, FUTA, withholding, wage thresholds, and any Additional Medicare Tax requirement.
  5. Provide Form W-2. Give the nanny a wage statement and retain the employer copy and payroll calculations.
  6. File Schedule H when required. Attach Schedule H (Form 1040) to the federal individual return and report the applicable household-employment taxes.
  7. Check state and local obligations. Registration, unemployment insurance, paid leave, wage notices, and payment deadlines can add requirements beyond the federal return.

Schedule H deadline for 2026 wages

IRS Publication 926 (2026) states: “File Schedule H (Form 1040) with your 2026 federal income tax return by April 15, 2027.” An extension of the federal income-tax return also extends Schedule H. The extension does not erase payroll-tax obligations or change the need to give the nanny accurate wage information.

State and local rules can change the checklist

Federal treatment is only one layer of household employment. Your state or city may require employer registration, unemployment-insurance contributions, paid sick leave, wage notices, workers’ compensation coverage, electronic filings, or different pay-frequency rules. Those requirements depend on the employer’s jurisdiction and the year. Use the state labor and tax agencies for the family’s location, and do not assume that satisfying Schedule H satisfies every local obligation.

Common mistakes and how to fix them

“We paid cash, so there is no tax form.”

Cash payment does not decide classification. If the family controlled the household work, maintain payroll records and follow household-employment reporting rules even when no check was written.

“The agency sent a 1099, so I must be a contractor.”

Review who controlled the work. Agency involvement can produce different outcomes. Ask the agency and family to explain their roles, preserve the contracts and pay records, and obtain professional advice if the forms do not match the facts.

“The family can call me a contractor because I choose how to comfort the baby.”

Freedom to make day-to-day choices does not by itself defeat employee status. The IRS control test expressly applies even when a worker has freedom of action.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“I will reconstruct expenses next April.”

Reconstructed estimates are weaker than contemporaneous records. Enter each pay date, receipt, reimbursement, and trip when it occurs, and back up the files.

“Every overnight purchase is deductible.”

Track the purchase and its purpose, but do not claim it automatically. Employee deductions, reimbursements, commuting, meals, and equipment can have different treatment under current law.

“The 15.3% figure is all mine.”

The IRS FAQ describes 15.3% as the combined Social Security and Medicare taxes, split 7.65% for the employer and 7.65% for the employee. Keep the shares separate in payroll records.

“The federal deadline is the only deadline.”

Schedule H has the federal deadline stated above, while state and local registrations, payroll deposits, unemployment filings, and leave rules may have their own dates.

A practical file system for each tax year

Create one folder for employee records and, if applicable, a separate folder for independent-business records. In the employee folder, keep the agreement, W-4, pay ledger, payroll calculations, W-2, reimbursement receipts, travel log, and correspondence about duties or rates. In the business folder, keep client invoices, business receipts, mileage records, and the method used to divide mixed-use costs. Name files with the date and a short description so a pay-period question can be answered without searching through personal spending.

At year-end, perform three checks: the ledger total agrees with the W-2; reimbursements and noncash amounts have been identified for discussion with the employer; and no independent-business receipt has been mixed into employee wages. If any check fails, resolve it before filing rather than relying on an estimate.

Bottom line for a night nanny

If the family controls your overnight duties, you are commonly a household employee. The family generally handles household payroll, Schedule H, and Form W-2; Form W-4 is used only when you and the family agree to federal income-tax withholding. Keep a detailed, contemporaneous ledger and do not assume that a work-related cost is deductible. For 2026 wages, the employer’s Schedule H deadline is April 15, 2027, subject to any federal-return extension. A different result is possible when you truly control the work and operate an independent business, or when an agency—not the family—controls the employment relationship.
