How to Verify GST on Coaching Fees and Request a Corrected Invoice

By TheFinanceBase Team 14 min read

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check two separate things before disputing a coaching-fee invoice: whether the GSTIN belongs to the supplier named on the document, and whether the course is actually taxable or exempt. The GST Portal lets you verify the registration profile without logging in. That check confirms the identity details displayed by the portal; it does not decide the correct GST treatment for a particular coaching service.

Once you identify an error, ask the coaching provider in writing for the appropriate replacement document. An overstated taxable value or tax generally calls for a credit note, while an understated amount may require a debit note or supplementary invoice. Keep the original invoice, payment proof and the provider’s response together.

What a GSTIN check tells you—and what it does not

A GSTIN printed on an invoice is a 15-character registration identifier. Searching it on the official GST Portal can show the taxpayer’s legal name, trade name, effective registration date, constitution, principal place of business, cancellation date where applicable and return-filing details. Compare those fields with the coaching centre identified on your invoice, enrolment material and payment receipt.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A matching profile supports the conclusion that the GSTIN belongs to the registered entity shown by the portal. It does not prove that the supplier charged the right rate, that the course is taxable, or that an exemption applies. Identity verification and taxability are separate questions.

Use the GST Portal Search Taxpayer manual for the current screen labels and procedure. The manual states that a taxpayer can search details without logging in and also after logging in.

Before you search: preserve the original record

Download the invoice PDF or photograph the printed document before contacting the provider. Record the supplier’s exact legal or trade name as printed, the GSTIN or UIN, invoice serial number, invoice date, course or service description, fee or taxable value, stated tax rate and GST amount. Also note the date and method of payment. These details let you describe a discrepancy precisely and make it easier to match the portal profile with the transaction.

Do not rely only on an advertising brand. A coaching brand may be operated by a different legal entity, and the entity that accepted your payment may not be obvious from a classroom sign. Keep the enrolment form, fee schedule, receipt, bank or card confirmation and any email that explains GST. If you later receive a replacement document, retain the original so the change can be traced.

Step-by-step: verify the GST details on a coaching invoice

  1. Collect the invoice fields. Record the supplier’s printed legal or trade name, GSTIN or UIN, invoice number, invoice date, course or service description, taxable or fee value, stated tax rate and GST amount. Photograph or save the original PDF before asking for changes.
  2. Open Search Taxpayer. Go to the GST Portal’s taxpayer-search facility described in the official manual. You can use it without an account.
  3. Enter the GSTIN or UIN exactly. Avoid copying an extra space or mistaking a letter for a number. Submit the search and open the returned registration profile.
  4. Compare the names. Check the portal’s legal name and trade name against the supplier name on the invoice and the entity that accepted your payment. A brand used in advertising may differ from the legal entity; ask the provider to explain a material mismatch rather than assuming it is harmless.
  5. Compare registration status and address. Review the effective registration date, constitution and principal place of business. If the portal displays a cancellation date, ask how an invoice issued after that date was generated. An address can differ from a classroom location, but a completely unrelated entity or state is a warning sign.
  6. Review the profile’s dates and filing information. Note the effective registration date and any cancellation date shown. Return-filing information is part of the portal profile, but it does not establish whether your particular fee was classified correctly. Use it as context, not as a substitute for checking the invoice.
  7. Save evidence. Keep a copy or screenshot of the profile, the invoice, your enrolment or fee communication and payment confirmation. Record the date you performed the search because portal information can change.
  8. Run the taxability check separately. Even a valid, active profile does not establish that your particular coaching course is taxable at the rate shown. Examine the provider’s classification or exemption explanation before demanding a particular percentage.

If the portal returns no matching taxpayer, or the displayed entity is wholly different, do not alter the invoice yourself. Ask the provider to confirm the GSTIN in writing and explain which registered entity supplied the course. A mismatch may be a typing error, a group-company arrangement or a more serious documentation problem; the portal result alone does not tell you which.

What a registered provider’s document should show

The CBIC GST invoice rules set out particulars for tax invoices, bills of supply, credit notes and debit notes. For a taxable service, the invoice should identify the supplier and GSTIN, carry a unique serial number for the financial year and an issue date, describe the service, and show the value and tax rate and amount. Other particulars are required where applicable.

For taxable services, an invoice is generally due within 30 days after the service is supplied. The timing rule concerns issuance; it does not by itself determine whether your coaching fee is taxable. A late invoice can still contain a correct tax treatment, while an on-time invoice can still have the wrong GSTIN, rate or amount.

Document When it is used Particulars to look for
Tax invoice A registered supplier treats the service as taxable. Supplier identity and GSTIN; unique financial-year serial number; issue date; service description; value; applicable tax rate and tax amount; and other particulars required for the transaction.
Bill of supply The registered supplier says the supply is exempt or otherwise does not carry GST. Supplier details, unique serial number and date, recipient details where applicable, description of the service and its value. It should not show GST as tax charged.
Credit note The original taxable value or GST charged was higher than applicable, or the supply is returned or otherwise reduced under the rules. A reference to the original transaction and the reduction being made, with the corrected value or tax impact.
Debit note or supplementary invoice The original taxable value or GST charged was lower than applicable. A reference to the original transaction and the additional value or tax now being recorded.

The exact fields on an electronic or printed document can vary with the transaction. If a field is missing, ask the provider which rule it relies on and request a corrected document rather than editing the PDF yourself.

Is GST charged on coaching fees?

Do not decide from the word “coaching” alone. The CBIC rate listing places Heading 9992, “Education services,” at 9% Central Tax plus 9% State Tax, an 18% combined rate entry. That listing is not proof that every coaching fee receives an 18% charge. A rate entry must be read together with the actual service classification and any applicable exemption.

The exemption analysis turns on the supplier’s status and the nature of the instruction. CBIC’s Circular No. 151/07/2021-GST dated 17 June 2021 discusses the notification definition of an “educational institution.” The definition covers:

  • an institution providing preschool education and education up to higher secondary school or equivalent;
  • education as part of a curriculum for obtaining a qualification recognised by law; or
  • education as part of an approved vocational education course.

The circular also explains exemptions for specified services supplied by an educational institution and for certain examination-related services supplied by central or state educational boards. Those categories depend on facts about the institution, course and service. A private coaching centre may or may not fit an exemption category, depending on its legal status, the course and the exact service supplied.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For example, a provider’s use of words such as “academy,” “institute” or “education” does not by itself establish that it is an educational institution under the exemption definition. Conversely, a course’s being called “coaching” does not by itself establish that GST must be charged. Ask the provider to identify the classification and the specific exemption provision, if any, on which it relies.

The available rules do not support a universal statement that coaching is exempt or that every coaching invoice must include 18% GST. For the rate entry itself, consult CBIC’s GST Goods and Services Rates page. If the provider’s position is unclear or the amount is material, a qualified Indian GST professional can assess facts that a portal lookup cannot.

How to compare two treatments offered by the provider

Sometimes a provider says the same fee could be documented in two ways—for example, as a taxable coaching service or as an exempt educational supply. Compare the underlying facts, not just the percentage printed on the invoice. Ask for the reasoning in writing so you can compare the provider’s identity, the course facts, the document type and the correction method together.

Question Taxable-service treatment Exemption treatment
Who is supplying? Confirm the legal or trade name and GSTIN in the portal profile match the invoice. Confirm the same identity; exemption does not excuse a GSTIN/name mismatch.
What course or service is supplied? Describe the actual coaching, materials or related service and the classification relied on. Test the course and institution against the defined educational-institution or other exemption conditions.
What document should be issued? Tax invoice showing value, rate and tax amount. Generally a bill of supply, without GST charged as tax.
What correction is needed? Credit note if value/tax was overstated; debit note or supplementary invoice if understated. Ask for the document that correctly reflects the exempt supply and reversal of any GST wrongly charged.

This comparison does not determine your provider’s liability. It gives you a structured way to ask for the legal and factual basis of its treatment. Do not compare rates in isolation: a lower percentage is not automatically correct, and an 18% line is not automatically wrong.

How to request a corrected invoice

1. Describe the exact discrepancy

Choose the issue precisely: the GSTIN and supplier name do not match; a required invoice field is missing; the displayed tax does not reconcile with the fee value and rate; or the provider may be treating an exempt supply as taxable. Avoid a general request such as “remove GST” unless you can explain the exemption or arithmetic concern.

2. Assemble the supporting record

  • Original invoice and any earlier versions.
  • GST Portal profile result, including the date searched.
  • Enrolment form, course or batch details and fee schedule.
  • Bank, card or UPI payment confirmation.
  • Emails, messages or receipts in which the provider described GST or an exemption.

3. Send a written request to the supplier

Use the provider’s billing or accounts contact and copy the centre’s official support address. Include your name, course and batch, invoice number and date, GSTIN, payment date and amount, the field or tax treatment you question, and the outcome you want. Ask the provider to confirm its position and issue the appropriate corrected document if an error is found. This is a practical customer request, not a prescribed government form.

You can adapt this structure:

Subject: Request to verify and correct GST invoice <invoice number>nnI paid <amount> for <course/batch> on <payment date>. The invoice dated <invoice date> shows GSTIN <GSTIN> and GST of <amount>.nnI found this issue: <name/GSTIN mismatch, missing field, calculation, or exemption question>.nnPlease confirm the supplier identity and the classification or exemption basis applied. If the document is incorrect, please issue the appropriate corrected invoice, bill of supply, credit note, or debit note/supplementary invoice and explain any refund or adjustment due.nnAttached are the invoice, payment proof and relevant enrolment or fee records.nnRegards,n<name and contact details>

4. Check the replacement document

When the provider responds, compare the new document with the original. Confirm that the supplier identity, serial number, date, service description, value and tax treatment now agree with the written explanation. If the supplier says the supply is exempt, check that the replacement is a bill of supply or another document appropriate to that treatment rather than a tax invoice still showing GST as tax charged.

Do not treat a verbal promise as a correction; request the formal document and retain it with your records. If the provider proposes a refund, credit against a future instalment or another adjustment, ask it to state the amount and how it relates to the credit note or other document.

Credit note versus debit note: which correction fits?

Section 34 of the Central Goods and Services Tax Act addresses these adjustments. Under the CBIC text of the CGST Act, a supplier may issue a credit note when the original taxable value or tax charged exceeded the applicable amount. Where the value or tax was lower than applicable, the supplier is to issue a debit note; the Act says “debit note” includes a supplementary invoice.

What happened on the original invoice? Document to ask about Typical result
GST or taxable value was overstated. Credit note, with a corrected invoice or other supporting record where needed. Taxable value and tax are reduced; any refund or account adjustment should be explained by the supplier.
GST or taxable value was understated. Debit note or supplementary invoice. Additional value or tax is recorded; ask why the change is required and how it will be collected.
Supply should have been exempt and GST was charged. Provider should explain the exemption and issue the document that correctly reflects the supply, often a bill of supply, plus the appropriate adjustment document. Any repayment or adjustment depends on the provider’s accounting and the applicable tax rules.

Do not select a document solely because it sounds favorable. The correct note depends on the actual accounting and tax error. A credit note is not a generic cancellation request, and a debit note is not evidence that the provider’s original classification was correct; each should be tied to the underlying transaction.

If the provider does not fix the invoice

  1. Send one follow-up that lists the unresolved points and attaches your original request.
  2. Ask for the provider’s written classification or exemption basis, not only a revised total.
  3. Keep the complete paper trail, including portal results and dates.
  4. For a material amount or a disputed exemption, obtain individualized advice from a qualified Indian GST practitioner or chartered accountant.

The rules and official materials do not establish one universal refund route or deadline for every student invoice dispute. The practical next step depends on whether the problem is identity, document content, arithmetic, classification or exemption. Avoid making accusations in the first message; a clear factual record usually gives the provider the best opportunity to correct a genuine data-entry mistake.

Common mistakes to avoid

  • Assuming a valid GSTIN proves the tax is correct. It verifies registration details, not the classification of your course.
  • Assuming every coaching fee is exempt. Exemption depends on the defined institution and course conditions.
  • Assuming every education service is automatically 18%. The 9% Central Tax plus 9% State Tax entry for Heading 9992 must be read with the applicable classification and exemptions.
  • Editing an invoice yourself. Only the supplier should issue the corrected invoice, bill of supply, credit note or debit note.
  • Relying on a brand name alone. Compare the legal entity and GSTIN shown on the portal with the supplier that contracted with you.
  • Ignoring the cancellation date. If the profile shows cancellation, ask the provider to explain an invoice issued afterward rather than assuming the document is valid.
  • Discarding the original. Keep the original and corrected documents together so the change can be traced.
  • Demanding a rate without facts. Ask first which classification or exemption the provider applied; the correct document depends on those facts.

Frequently Asked Questions

How do I check a coaching centre’s GST number?

Copy the GSTIN or UIN from the invoice into the GST Portal’s Search Taxpayer facility. The portal can be used without logging in. Compare the displayed legal name, trade name, registration dates, constitution and principal place of business with the invoice and payment records. Save the result and the date of your search.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does a matching GSTIN prove that GST was correctly charged?

No. A matching profile supports the supplier’s identity, but it does not decide whether the course is taxable, exempt or classified under the rate shown. Ask the provider for its classification or exemption basis.

Is GST always 18% on coaching fees?

No universal conclusion follows from the word “coaching.” CBIC lists Heading 9992 education services at 9% Central Tax plus 9% State Tax, but exemptions and the defined institution and course facts must also be considered.

Should an exempt coaching service have a tax invoice?

If a registered provider says the supply is exempt, it should generally issue a bill of supply rather than a tax invoice charging GST. The document should still identify the supplier, carry a unique serial number and date, describe the service and show its value.

What correction document applies when GST was overcharged?

Ask the supplier about a credit note when the original taxable value or tax charged exceeded the applicable amount. If the supply should have been exempt, the provider should also issue the document that correctly reflects the exempt treatment and explain any repayment or adjustment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What if the provider charged too little GST?

Section 34 provides for a debit note where the taxable value or tax was lower than applicable; the Act says a debit note includes a supplementary invoice. Ask the provider to explain the reason and how the additional amount will be recorded or collected.

Can I correct the PDF invoice myself?

No. Keep the original unchanged and request a formal corrected invoice, bill of supply, credit note or debit note from the supplier. Retain both documents and the written explanation.

What should I do if the provider refuses to explain the GST treatment?

Send a concise written follow-up listing the unresolved identity, document or taxability questions and keep the complete record. For a material amount or disputed exemption, obtain individualized advice from a qualified Indian GST practitioner or chartered accountant.

The Bottom Line

Verify the invoice GSTIN and supplier identity on the GST Portal, then assess taxability from the course and institution facts rather than the word “coaching” or the printed rate alone. Ask the provider in writing for the correct document; an overcharge generally points to a credit note, while an undercharge points to a debit note or supplementary invoice.
