How to Verify a Supplier’s GST Registration and Filing Status Before Claiming ITC

Before claiming input tax credit (ITC), verify the supplier in two places: use the GST Portal’s Search Taxpayer service with the supplier’s GSTIN or UIN, then reconcile the specific invoice to your period-specific GSTR-2B. Compare the portal’s legal identity, registration status and return-filing information with your invoice and vendor records. Neither check, by itself, proves that the credit is legally claimable.

You must still test the transaction against Section 16 of the CGST Act, other restrictions, payment and record requirements, and your own books. The workflow below is designed for Indian GST compliance and reflects portal guidance available as of 13 October 2026.

What the two checks actually verify

Supplier verification has four separate outcomes. Treating them as one “verified” result is a common control failure.

Verification axis What you check What the evidence supports What it does not establish
Identity and registration GSTIN/UIN search results, legal name, trade name, registration date, constitution, principal place of business and cancellation information where shown That the GST Portal reports a matching taxpayer profile and status That every invoice is genuine, that tax was paid to the Government, or that ITC is automatically eligible
Return-filing history Return periods and statuses displayed in the taxpayer search Portal-reported filing information for the periods shown Proof of Government receipt of tax or satisfaction of all buyer-side conditions
Invoice-level reporting Supplier GSTIN, document number and date, taxable value and tax amounts in GSTR-2B compared with your invoice and books Whether the document appears in your static statement for that period and whether the reported values agree A complete legal opinion on eligibility or a guarantee that no later amendment will occur
Your statutory and transaction tests Invoice possession, receipt of supply, return filing, restrictions and payment-related requirements Your documented basis for claiming or withholding ITC That a portal flag can replace professional analysis of unusual facts

The GST Portal’s Search Taxpayer manual describes the public profile and filing information available through a GSTIN/UIN search. The portal’s GSTR-2B FAQ separately explains how the recipient should use and reconcile the statement.

Step 1: Start with the invoice, not the supplier’s screenshot

Record the supplier GSTIN exactly as printed on the tax invoice or debit note. Also capture the document number, document date, place-of-supply details where relevant to your process, taxable value, tax components and the supplier name shown on your records. Use the GSTIN on the document as the search key; a business name alone can match several entities or an outdated vendor record.

Check the document and vendor master together

  • Compare the GSTIN on the invoice with the GSTIN stored in your accounts-payable or vendor-master record.
  • Note whether the invoice identifies the supplier by legal name or trade name, because the portal can display both.
  • Flag altered, blurry or incomplete invoices before attempting reconciliation. A portal match cannot cure missing mandatory invoice information.
  • For a debit note or an amended document, retain the original document reference so the later GSTR-2B entry can be traced.

This first capture creates the reference set for every later check and prevents a staff member from validating a different GSTIN supplied in an email or image.

Step 2: Look up the GSTIN on the official GST Portal

Open gst.gov.in and use the pre-login Search Taxpayer service. The portal manual is available at Search Taxpayer — Manual for searching taxpayers using GSTIN/UIN.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. From the GST Portal home page, open Search Taxpayer.
  2. Select the search option for GSTIN/UIN.
  3. Enter the supplier’s GSTIN or UIN exactly as recorded from the invoice.
  4. Complete the CAPTCHA shown by the pre-login service.
  5. Submit the search and save the result with the date and time of the lookup.

Compare the profile fields

Review every field that the public result makes available. The manual says the result can include:

  • GSTIN or UIN;
  • legal name and trade name;
  • effective registration date;
  • business constitution;
  • principal place of business;
  • cancellation date, where applicable; and
  • return-filing details.

Match the legal or trade name to the invoice and vendor master, and investigate a principal-place or constitution mismatch rather than silently accepting it. A name that differs because the supplier uses a trade name may be explainable; a different legal entity or a cancelled registration requires escalation before credit is taken.

Record the status as a dated observation

Portal information is time-sensitive. Save a PDF or screenshot of the result only as supporting evidence, and record the lookup date in your reconciliation log. Do not describe the result as a permanent certificate: registration status, cancellation information and other fields can change, and a later reviewer needs to know when the check was performed.

Step 3: Review return-filing details for the relevant period

The same taxpayer search can show return-filing details. Identify the tax period covered by your invoice and note the period and status displayed for the supplier. A filing entry is evidence of what the portal reports as filed; it is not proof that the supplier’s tax payment reached the Government or that your ITC conditions are all met.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use the period, not a vague “active filer” label

  • Write down the specific return period and filing status shown.
  • Compare that period with the invoice date and the period in which you intend to claim ITC.
  • Keep the result even when the supplier appears compliant in other months; a current-looking profile does not answer whether the document for your period was reported.
  • If no filing detail is displayed, treat the absence as an item to investigate, not as conclusive proof that no return was filed.

When the filing history and your invoice tell different stories, move to the invoice-level GSTR-2B test rather than approving the credit based on the supplier’s assurance.

Step 4: Reconcile the invoice to your GSTR-2B

Log in to the recipient’s GST Portal account and open the Returns Dashboard. Select the GSTR-2B tile for the tax period relevant to the purchase. GSTR-2B is a read-only, static, auto-drafted statement generated from supplier-furnished information and other specified sources.

Match the four core fields

  1. Locate the supplier GSTIN in the statement.
  2. Match the document number and document date to the purchase register and the source invoice.
  3. Compare the taxable value.
  4. Compare each applicable tax amount, including the total tax used in your ITC calculation.

Reconcile line by line or document by document, depending on your accounting system. The official FAQ says recipients should use GSTR-2B when taking ITC into GSTR-3B, reconcile it with their own books and ensure that credit is not claimed twice. Read the FAQ at FAQs: Viewing Form GSTR-2B.

Understand the “available” indication

The portal describes GSTR-2B as: “It is only a read-only static auto-drafted ITC statement which indicates the availability of Input Tax Credit to you against each document filed by your suppliers and ITC received through ISD.” The word “indicates” matters. The statement’s limited “ITC not available” flags do not cover every legal restriction or transaction-specific issue, so your books and legal checks remain decisive.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Prevent duplicate credit

Mark each invoice with a unique internal reconciliation status. If the same document appears in more than one internal import or is recorded twice in the purchase register, resolve the duplicate before preparing GSTR-3B. GSTR-2B itself is read-only; the recipient cannot edit the statement to remove a duplicate or correct a supplier’s error.

Step 5: Investigate a missing or incorrect invoice

A missing or mismatched document can have several explanations: the supplier may have filed after the applicable cut-off, may not have reported the document, or may have reported an incorrect GSTIN, number, date, value or tax amount. Do not treat every absence as fraud, but do not claim the credit without documenting the reason and resolution path.

Use a controlled discrepancy process

  1. Compare the invoice with your purchase register and confirm that the GSTIN and document number were entered correctly.
  2. Check the supplier’s filing information and the next relevant GSTR-2B when timing could explain the absence.
  3. Send the supplier the exact discrepancy, document reference and period; ask it to review its filing and correct the record where appropriate.
  4. Retain the supplier’s response and any amended invoice or filing evidence.
  5. Reassess the ITC decision after the correction appears in the appropriate statement or after your tax adviser documents another legally supportable basis.

The GSTR-2B FAQ explains that supplier-filed details can flow into the next open statement. Therefore, the cut-off applicable to the supplier’s filing and the generation date of your statement matter. Check the portal advisory for the specific period because filing frequencies, cut-offs and portal features can change.

What you cannot do

You cannot edit GSTR-2B yourself. Correcting your purchase register does not alter the Government statement, and asking your accounts team to “force match” a document creates an audit trail problem rather than a valid correction.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 6: Apply Section 16 and other eligibility conditions

Only after identity, filing and GSTR-2B reconciliation should you make the legal eligibility decision. Section 16 of the CGST Act includes conditions concerning possession of an appropriate tax invoice or debit note, receipt of the goods or services, supplier-furnished invoice details being communicated to the recipient, and furnishing the recipient’s return. The current text is available through the CBIC Tax Information Portal’s CGST Act, Section 16.

Build a transaction-level checklist

  • Document: Do you possess a valid tax invoice or debit note that supports the claimed amount?
  • Receipt: Can your delivery records, service acceptance, stock records or other business evidence show that the goods or services were received?
  • Supplier communication: Does the supplier-furnished information correspond to the document and recipient details in your records?
  • Recipient return: Has your business furnished the applicable return required for the claim?
  • Restrictions: Is any blocked, restricted or otherwise ineligible category relevant to the transaction?
  • Accounting: Is the credit recorded once, in the correct period and for the correct tax component?

GSTR-2B may help with the supplier-reporting element, but it does not answer whether the supply was received, whether a restriction applies, or whether your return and records satisfy every statutory condition. A green-looking portal entry is not a substitute for this checklist.

Step 7: Check payment-related reversal requirements

Where the tax and value of a supply remain unpaid to the supplier beyond the prescribed period, CBIC’s Input Tax Credit Rules describe reversal-related requirements connected with the 180-day rule, subject to the current statutory text, exceptions and the facts of the transaction.

Track supplier balances after booking the invoice. If the prescribed period is approaching or has passed, route the item to the person responsible for GST compliance rather than relying on the invoice’s appearance in GSTR-2B. A later payment and any permitted re-availment should be handled under the current rule and documented separately.

How GSTR-2B timing affects your conclusion

GSTR-2B is static for a generated period, not a live view that continuously rewrites itself. The GST Portal FAQ describes monthly generation on the 14th of the succeeding month and quarterly generation on the 14th of the succeeding month after the quarter. Documents are included according to the applicable filing cut-off windows.

For example, a supplier filing after a cut-off may not appear in the statement you first download and may instead be reflected in a later statement. The exact treatment depends on the filing frequency, cut-off and portal advisory for the period. Record which statement period you reviewed and do not substitute a later statement for the original evidence without explaining the change.

Decision branches for common outcomes

GSTIN, names and invoice all match; document appears in GSTR-2B

Proceed to the Section 16 and transaction checks, duplicate review, payment tracking and any other applicable restriction. The matching result supports the supplier-reporting portion of your file but does not eliminate those remaining tests.

GSTIN is valid, but the document is absent from GSTR-2B

Check data-entry accuracy, filing cut-off timing and the next relevant statement. Ask the supplier to review its filing. Keep the invoice on a pending-exception list until the legal basis for the claim is resolved and approved under your compliance policy.

Document appears, but value or tax differs

Do not overwrite either record to make them agree. Identify whether the difference is an amendment, debit note, credit note, rounding issue or supplier reporting error. Reconcile the corrected document and tax amount to the portal record before finalising the claim.

Portal profile shows cancellation information

Record the effective dates and escalate the invoice for period-specific analysis. A cancellation entry and the invoice date must be considered together; the public lookup alone does not decide the treatment of a particular supply.

Supplier says the invoice was filed, but your statement has not updated

Ask for the filing period and document reference, then compare that information with the portal’s cut-off and the next open statement. You cannot edit the recipient statement, so retain the communication and revisit the reconciliation after the relevant generation date.

What evidence to retain

Use one evidence folder or electronic record for each supplier-period review. At minimum, retain:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • the original invoice or debit note;
  • the GSTIN/UIN lookup result and lookup date;
  • the return-filing details observed for the relevant period;
  • the downloaded GSTR-2B or the portal record used for the reconciliation;
  • the purchase-register line and matching notes;
  • delivery, service-receipt or acceptance evidence;
  • supplier emails, correction requests and responses;
  • any amended document or later-period appearance; and
  • the written reason for claiming, deferring, reversing or excluding the ITC.

Preserving the evidence makes the decision reproducible: another reviewer should be able to see which GSTIN, document, statement period and legal conditions were considered without relying on an employee’s memory.

A practical control schedule

When Control Owner’s output
When onboarding a supplier Search the GSTIN/UIN and compare identity fields with the vendor master Dated profile record and resolved name or address exceptions
When recording an invoice Capture GSTIN, document particulars, taxable value and tax amounts Complete purchase-register entry linked to the source document
When the period’s GSTR-2B is generated Reconcile every relevant document and mark duplicates or mismatches Invoice-level reconciliation status
When a mismatch is found Check cut-off timing, contact the supplier and monitor the next statement Exception log with correspondence and follow-up date
Before GSTR-3B preparation Apply Section 16, restrictions, receipt evidence and payment-related checks Approved ITC amount and documented exclusions
After the claim Monitor unpaid invoices and later amendments Reversal or re-availment action where the current rules require it

Bottom line: “verified” is a chain of evidence, not a portal badge

The reliable sequence is: identify the GSTIN from the invoice, search it on the GST Portal, compare the returned identity and status fields, review filing information for the relevant period, reconcile the invoice to your GSTR-2B, resolve timing or reporting discrepancies, and then apply Section 16 and all other transaction-specific checks. Keep the dated lookup, statement, reconciliation and decision record together. This approach answers both practical questions—“How do I check a supplier’s GST number?” and “How do I check whether my supplier’s invoice is in GSTR-2B?”—without treating either answer as automatic permission to claim ITC.
