Verify the supplier’s GSTIN on the official GST Portal’s Search Taxpayer service, then perform two separate checks: match the invoice and receipt to your books and GSTR-2B, and assess every statutory condition for input tax credit (ITC). A GSTIN that appears active confirms a taxpayer profile and registration status; it does not, by itself, approve your ITC claim.
The three checks you must keep separate
Input tax credit verification is not a single search. It is a sequence of checks that answer different questions. Treating them as interchangeable is a common reason for unsupported or duplicate claims.

| Check | What it answers | What it cannot establish |
|---|---|---|
| Taxpayer identity and registration | Does the GSTIN/UIN return an official taxpayer profile, and do the legal name, trade name, registration date, address and status fit the supplier you dealt with? | That the particular invoice is genuine, that the supply was received, or that ITC is legally available. |
| Invoice-to-books and GSTR-2B matching | Do the supplier’s invoice details and tax amounts agree with your purchase records and the corresponding auto-drafted statement? | That every credit shown is eligible under the law, or that an absent entry can automatically be claimed. |
| Substantive ITC eligibility | Do you possess prescribed documents, receive the goods or services, satisfy tax and return conditions, and avoid blocked or otherwise restricted credit? | That a portal status or matching result substitutes for your own legal assessment. |
Keep evidence for all three. The claimant carries the burden of proving an ITC claim under section 155 of the Central Goods and Services Tax (CGST) Act.

- Choose the GSTIN/UIN search option.
- Enter the number exactly as shown on the invoice and supplier documents.
- Enter the captcha displayed by the portal.
- Submit the search and save a dated record of the result for your files.
A result that does not load, shows an invalid number or displays a different taxpayer is a stop signal. Do not “correct” the number by guessing characters. Ask the supplier for the registration certificate or a corrected invoice and repeat the lookup.
Step 2: Compare the returned profile with the supplier and invoice
Read the complete taxpayer profile rather than relying on a number-only match. The portal manual identifies profile information such as the legal name, trade name, effective date of registration, constitution, principal place of business, cancellation date where applicable and return-filing details. Some additional fields are available after login.
Identity fields to compare
- Legal name: Compare it with the name on the tax invoice, purchase order, contract and supplier master record.
- Trade name: A trading name can differ from the legal name. Record the difference and ensure your accounts-payable file explains it.
- Effective registration date: Confirm that the registration covered the invoice date. An invoice dated before the effective date needs specific investigation.
- Constitution: Check whether the displayed constitution is consistent with the supplier documentation you hold.
- Principal place of business: Compare the address with contracts, delivery records and the supplier’s stated location. An address mismatch does not automatically invalidate credit, but it should be resolved.
- Status and cancellation date: Note whether the profile is active and whether a cancellation date is shown. A cancellation entry requires you to examine the dates and the transaction separately.
- Return-filing information: Use it as a risk indicator and follow up on unusual or missing filing information; it is not a legal certificate that your invoice qualifies for ITC.
When any profile detail conflicts with the invoice or underlying documents, pause the claim. Obtain clarification or corrected documentation from the supplier and keep the correspondence. Do not assume that a matching GSTIN proves the person named on the invoice made the supply.
How to check whether a GSTIN is active
The taxpayer-search result displays registration-related status information. Check the status shown by the portal, the effective registration date and any cancellation date. Also consider the invoice date: a status observed today does not automatically describe the taxpayer’s status on an earlier date.

An active status means the GSTIN is represented as registered in the portal’s taxpayer profile. It does not establish that:
- the supplier actually supplied the goods or services;
- the invoice is correctly issued or has not been duplicated;
- the supplier reported the document in the relevant return;
- the tax was paid or all return obligations were met;
- you used the purchase for an eligible business purpose;
- the credit is not blocked or restricted by another provision; or
- you satisfied timing, payment, reversal and other conditions applicable to your claim.
Use the status check as an identity and registration control, not as an ITC approval screen.
Step 3: Verify the invoice and the actual supply
Section 16 of the CGST Act, as reflected in the CBIC-hosted Act text, includes possession of a tax invoice, debit note or another prescribed tax-paying document and receipt of the goods or services among the conditions for credit. Build an evidence trail that connects the document to the real transaction.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteInvoice review
- Match the supplier GSTIN and name to the taxpayer-search result.
- Check the invoice number, invoice date, taxable value, tax rate and tax amounts against your purchase register and accounting entry.
- Check that the description, quantity or service scope agrees with the purchase order, contract or work record.
- Identify credit notes, debit notes, amendments or replacement invoices and ensure the original and revised records are not both claimed.
- Confirm that the document is the type required for the transaction and that it is retained in an accessible form.
Receipt evidence
Preserve delivery challans, goods-received notes, transport records, service-acceptance records, completion certificates, timesheets or other evidence appropriate to the supply. A portal match cannot prove receipt. For services, document what was performed, when it was accepted and how it was used in the business.

Payment and accounting trail
Retain the purchase-register entry, payment record, bank reference where relevant and any adjustment or reversal calculation. Your records should allow an auditor to move from the ledger entry to the invoice, the receipt evidence, the portal statement and the GSTIN lookup.
Step 4: Reconcile the invoice with GSTR-2B
The GST Portal describes GSTR-2B as a “read-only static auto-drafted ITC statement.” It is generated from specified supplier-reported and other data, including certain import and input-service-distributor information, and is intended to help a recipient prepare GSTR-3B.
Use it as a matching and compliance input:
- Identify the GSTR-2B period that should contain the supplier’s document.
- Compare the invoice number, date, supplier GSTIN, taxable value and tax amounts in your purchase register with the corresponding entry.
- Investigate differences caused by supplier reporting, amendments, credit notes, period selection or data-entry errors.
- Check your books for duplicate invoices or duplicate claims, including an original document and its amendment.
- Review items marked as unavailable and determine whether a separate statutory restriction applies.
- Record the treatment in your reconciliation file before preparing the relevant GSTR-3B.
GSTR-2B is static for its generated period and can be viewed or downloaded after generation. Retain the statement used for your filing together with the reconciliation and supporting documents.

What GSTR-2B can and cannot establish
A document appearing in GSTR-2B is evidence that specified data reached the statement; it is not a blanket legal clearance. The portal itself cautions that the system’s “not available” indicators cover only stated scenarios and that other statutory reasons can make a credit unavailable.

Conversely, an absent document is a reconciliation problem, not an automatic finding that no supply occurred or that every remedy is closed. Check the period, invoice details, supplier GSTIN and your own records first. Then contact the supplier to investigate whether the document was omitted, reported in another period, amended or reported with incorrect details.
What to do when an invoice is missing from GSTR-2B
- Recheck your own data. Confirm the invoice number, date, supplier GSTIN and tax amounts in the purchase register and source document. Make sure you are reviewing the correct GSTR-2B period.
- Check for an amendment or credit note. A changed invoice may appear under a revised reference rather than the original details.
- Ask the supplier to investigate. Request confirmation of the return period and the reported document details. Keep the request and response in your file.
- Document receipt and payment. Preserve delivery or service evidence and the accounting and payment trail while the mismatch is being resolved.
- Determine the treatment under current rules. Consider the law and applicable filing conditions for the period of the claim; do not treat a missing entry as automatically claimable or automatically disallowed without that assessment.
- Monitor the next statement. Reconcile subsequent GSTR-2B periods for a late or corrected report and prevent a duplicate claim when it appears.
Do not generalize Circular 183/15/2022-GST into a standing permission for every mismatch. That CBIC circular, dated 26 December 2022, addresses specified GSTR-2A mismatch cases for financial years 2017–18 and 2018–19. Its scope does not automatically govern a later period or a different fact pattern.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Step 5: Apply the legal ITC test yourself
After the GSTIN, invoice and GSTR-2B checks, assess the claim under the rules applicable to the relevant tax period. Core section 16 conditions reflected in the CBIC-hosted CGST Act text include prescribed documentary evidence and receipt of the goods or services. Other conditions and exceptions can affect the result.
Eligibility questions to answer
- Do you possess the required tax invoice, debit note or prescribed document?
- Did you actually receive the goods or services?
- Was the purchase made for, or in the course or furtherance of, the business as required by the applicable law?
- Were the relevant tax and return conditions satisfied?
- Is the credit subject to a blocked-credit rule, apportionment, restriction or transaction-specific exception?
- Have you considered payment, reversal and time-limit requirements in force for the claim period?
- Could a credit note, amendment, return or change in use require a reduction or reversal?
GSTR-2B cannot answer all of these questions. The recipient must make the eligibility determination and be able to prove it. For an unusual transaction, a disputed mismatch or a material credit amount, obtain advice based on the current Act, rules, notifications and amendments.

Keep a verification packet for every material purchase
A practical file should let another reviewer reproduce your conclusion without relying on memory. Keep the following together:
- the original invoice, debit note or prescribed document;
- the GST Portal taxpayer-search result or a dated verification record;
- purchase order, contract and supplier correspondence;
- delivery, receipt, acceptance or service-performance evidence;
- payment and ledger records;
- the relevant GSTR-2B download or view record;
- the purchase-register-to-GSTR-2B reconciliation;
- notes on discrepancies, supplier follow-up and final resolution; and
- the eligibility review, including any reversal or restriction calculation.
Use consistent file names and preserve the period to which each document relates. If your accounting system imports portal data, retain the source statement as well as the imported record so a later system change does not erase the evidence used for the return.
Common failure modes and the right response
| Symptom | Likely issue | Action |
|---|---|---|
| GSTIN search returns no matching profile | Transcription error, unregistered supplier or incorrect number on the invoice | Re-enter the number, request supplier documentation and hold the ITC review until identity is resolved. |
| GSTIN profile name differs from invoice | Trade name versus legal name, wrong supplier master data or incorrect invoice | Compare both names, obtain clarification or a corrected document and retain the explanation. |
| Registration date does not cover invoice date | Invoice may predate effective registration or contain a date error | Verify the transaction date and seek professional advice before claiming credit. |
| Profile shows a cancellation date | Registration status changed at some point | Compare cancellation and supply dates and examine the transaction under the rules for that period. |
| Invoice is absent from GSTR-2B | Supplier filing delay, wrong period, amendment or data mismatch | Recheck details, contact the supplier, document receipt and payment, and determine treatment under current rules. |
| Invoice appears twice | Duplicate supplier report, amendment plus original or duplicate bookkeeping | Trace both entries to source documents and prevent a duplicate claim. |
| Invoice appears in GSTR-2B but purchase was not received | Data presence without an actual supply | Do not claim until receipt and the other statutory conditions are established. |
| Invoice matches but credit is restricted | Blocked credit, business-use issue, reversal requirement or another legal exception | Apply the relevant law independently; do not rely on the matching status. |
A repeatable month-end control
For recurring purchases, assign ownership rather than treating verification as an ad hoc search. Accounts payable can perform the GSTIN and document checks; the tax team can review GSTR-2B differences and legal restrictions; the business owner can confirm receipt and use. Set a status for each invoice such as “identity verified,” “receipt evidenced,” “matched,” “exception under review” or “eligible after review.” Keep the supporting record behind the status rather than marking an item complete solely because the supplier’s GSTIN is active.

Version and legal-update caution
The CBIC-hosted CGST Act PDF cited for the core section 16 and section 155 principles is identified as updated through 1 August 2021. It is useful for understanding those provisions, but it is not a consolidated statement of law through 2026. Amendments, rules, notifications and later procedural changes may affect a current claim. For an actual filing decision, assessment or dispute, check the law applicable to the relevant period and obtain qualified tax advice where necessary.
Bottom line
Search the supplier’s GSTIN on the GST Portal, compare the returned profile with the invoice, prove that the goods or services were received, reconcile the document with your books and GSTR-2B, and then apply the current legal ITC conditions. An active GSTIN and a matching GSTR-2B entry are important controls, but neither one alone establishes that input tax credit is available.
