How to verify a GSTIN and check a supplier’s GST filing status in India

Verify a supplier through the Indian GST Portal’s pre-login Search Taxpayer service. Enter the supplier’s GSTIN or UIN, complete the captcha and compare the returned legal name, trade name, registration details, address and status with your onboarding records and invoice. Then open SHOW FILING TABLE, select the relevant financial year and review the periods shown for that supplier’s filing history.

This check is useful due diligence, but it is not transaction-level proof. A portal result tells you what the government record shows for that GSTIN and selected period; it does not by itself prove that a particular supply occurred, that every declaration is accurate or that a buyer qualifies for a specific tax treatment.

What you need before checking a supplier

Have the GSTIN or UIN printed on the supplier’s invoice, purchase order, onboarding form or registration certificate. Keep the supplier’s legal name, trade name, business address and the transaction’s invoice date and tax period available so you can compare the portal result rather than merely saving a search screen.

The check can be completed without signing in. The GST Portal’s official manual describes the feature this way: “The Search Taxpayer functionality allows you to view the profile of any other registered taxpayer at the GST Portal on entering the GSTIN/UIN.” Open the GST Portal Search Taxpayer manual if you need the portal’s current screen instructions. GSTN’s Welcome Kit for New Taxpayers also identifies taxpayer search as a way to verify GSTIN authenticity and avoid vendors using fake GSTINs.

Step-by-step: verify the GSTIN on the GST Portal

  1. Open the GST Portal and choose Search Taxpayer. Use the public, pre-login taxpayer-search function rather than relying on a supplier-provided screenshot or an unauthorised copy of the record.
  2. Enter the GSTIN or UIN and complete the captcha. Check every character against the invoice before selecting SEARCH. If your organisation has received a PAN rather than a GSTIN, the GSTN welcome kit lists PAN as another search input; for an invoice check, however, use the GSTIN or UIN that the supplier has actually quoted.
  3. Read the taxpayer profile. Compare the displayed legal name and trade name with the supplier’s onboarding file and invoice. Also compare the effective registration date, constitution of business and principal place of business. Note any displayed cancellation, suspension or auto-suspension status and its effective date.
  4. Open the filing history. Select SHOW FILING TABLE, choose the financial year and select SEARCH. Where the portal provides a filing-frequency control, select the applicable monthly or quarterly view and examine the periods relevant to your transaction.
  5. Record the result. Save the date of the check, the GSTIN searched, the financial year and periods reviewed, and the result or an appropriately dated export or screenshot. Recheck after a material supplier change or when the tax period of a significant transaction makes an updated check prudent.

Which identity and status fields to review

The pre-login profile can contain the following fields. Treat each as a reconciliation point, not as a substitute for your vendor-master controls.

Portal field What to compare or ask
GSTIN or UIN Does the number exactly match the invoice, purchase order and approved supplier record?
Legal name Is the registered legal entity the party named in your contract and tax invoice?
Trade name Does the trading name match the name your buyers know, or is the difference documented?
Effective registration date Was the registration effective on or before the relevant supply and invoice period?
Constitution of business Does the displayed constitution align with the legal entity and bank or onboarding documents?
Principal place of business Is the address consistent with the supplier’s records, invoice and expected operating location?
Cancellation date, if shown Was the registration cancelled before the transaction or invoice date?
Status and auto-suspension information Is the record active, suspended or auto-suspended, and what effective date does the portal display?
Return details Use the separate filing table to examine the financial year and periods that matter to the transaction.

The GSTN welcome kit lists additional search information such as jurisdiction, taxpayer type, status, cancellation date, nature of business activities and a return filing table. These labels may help you explain a result to procurement or accounts payable when a supplier’s commercial description differs from its registered profile.

Pre-login and post-login information are not identical

The basic identity and filing-table review is available before login. A post-login result may expose additional information, including proprietor, director or promoter names, e-way bill history, annual aggregate turnover and the percentage of tax paid in cash. Those extra fields are not necessary for the basic GSTIN-authenticity and filing-period check, so do not delay a routine control merely because you do not have access to them.

How to check the supplier’s filing status for the right period

Opening the filing table is a separate action from viewing the taxpayer profile. After the GSTIN resolves, select SHOW FILING TABLE, choose a financial year and select SEARCH. Review the periods that overlap the invoice or supply date. If the portal offers a filing-frequency selector, account for whether the supplier is shown on a monthly or quarterly cadence; a quarterly filer will not present the same sequence of periods as a monthly filer.

Write down the financial year and periods you actually inspected. “Supplier has filed returns” is too broad for a control record unless it identifies the year and periods shown. If the transaction spans more than one period, check each relevant period rather than relying on the latest row. If the portal displays a status or filing detail you do not understand, preserve the exact wording and ask the supplier for an explanation before approving the affected invoice.

What a filing table can and cannot establish

  • It can show filing details recorded by the portal for the selected taxpayer and financial year.
  • It can help you identify whether the periods relevant to an invoice appear in the portal’s filing view, taking the supplier’s monthly or quarterly frequency into account.
  • It does not prove that the invoiced supply occurred, that the invoice is genuine, that the supplier’s declarations are complete or accurate, or that input-tax-credit or another tax outcome is available to your business.
  • It is a point-in-time record. A later amendment, status change or portal update may alter what you see, which is why the check date belongs in your control record.

Match the result to the invoice and supplier record

Use the portal output alongside—not instead of—your normal three-way or four-way payment checks. Confirm the following before releasing an invoice when GST status is a required control:

  • The GSTIN on the invoice is the same GSTIN you searched.
  • The portal’s legal or trade name corresponds to the contracting supplier and the bank-account owner, with any legitimate trading-name difference documented.
  • The principal place of business and business constitution do not reveal an unexplained mismatch with onboarding information.
  • The registration was effective for the transaction date, and no cancellation, suspension or auto-suspension status conflicts with your approval policy.
  • The financial year and filing periods reviewed cover the invoice or supply period, using the displayed monthly or quarterly frequency.
  • The invoice’s supplier identity, address and tax details are consistent with the approved vendor master and purchase documentation.

A matching profile does not remove the need to validate the goods or services, purchase approval, invoice arithmetic, duplicate-invoice controls and payment destination. It simply verifies that the GST registration and the filing information you inspected correspond to the party and period you are paying.

What to do when the GSTIN does not resolve or the details differ

No result or an apparent invalid GSTIN

Stop the affected onboarding or invoice approval and copy the GSTIN again directly from the source document. Check for transposed characters, hidden spaces and a GSTIN copied from a different branch or legal entity. Ask the supplier to confirm the number and provide an explanation; then repeat the search on the official portal. Do not treat an unresolved number as verified merely because the supplier has sent a screenshot.

Name or address mismatch

Ask whether the invoice uses a trade name while the portal displays the legal entity, or whether the supplier has changed its registered details. Obtain supporting documentation and update your vendor-master record only through your organisation’s approval process. If the supplier cannot reconcile the discrepancy, keep the invoice on hold under your tax and procurement policy.

Suspended, auto-suspended or cancelled status

Capture the status and effective date shown by the portal and compare that date with the invoice and supply period. Escalate to tax or finance before payment or credit is taken. A later explanation from the supplier does not replace a fresh official search; recheck the record after the issue is resolved.

Filing periods do not match the transaction

Confirm that you selected the correct financial year and, where available, the correct monthly or quarterly frequency. Check every period relevant to the invoice. If the filing view still does not answer the question, record what the portal did show and seek tax-team guidance rather than inferring a filing result from a single unrelated period.

GST Portal versus a secondary GSTIN lookup

The GST Portal should be your primary reference when the question is whether a supplier’s filing details appear for a particular financial year. IRIS IRP separately documents a GSTIN Status lookup that returns identity details such as legal name, trade name and address. Its tools help page states that changes made on the GST Portal are reflected within one hour.

Check GST Portal Search Taxpayer IRIS IRP GSTIN Status lookup
Primary use Official taxpayer profile and filing-table review. Secondary GSTIN identity/status lookup.
Identity fields Legal name, trade name, registration date, constitution, principal place of business and status information may be shown. Legal name, trade name and address are documented on the cited help page.
Exact financial-year filing table Documented: open SHOW FILING TABLE, select a year and search. Not stated on the cited IRIS page.
Update timing Use the record displayed when you perform the search. IRIS states that GST Portal changes are reflected within one hour.
Role in an approval control Primary evidence for the filing-history question. Useful corroboration when the primary portal is unavailable or an identity detail needs a second check; it should not replace the GST Portal filing table.

Build a repeatable supplier-check control

For one-off checks, a dated entry in the supplier-onboarding or accounts-payable record is usually enough for your internal workflow. For material or high-volume suppliers, use a short standard form containing:

  • Supplier name, GSTIN/UIN and the employee who performed the search.
  • Search date and the exact portal result, including any cancellation, suspension or auto-suspension date.
  • Financial year, filing frequency if displayed and periods reviewed.
  • Invoice or transaction references covered by the check.
  • Any discrepancy, supplier explanation, escalation owner and final disposition.

Repeat the check when a supplier changes its legal entity, trade name, address or GSTIN, when onboarding a new branch, or when a material invoice falls in a new tax period. Saving the date and result is prudent workflow guidance; the portal manual does not prescribe a universal retention period for your internal record.

When software or a GSP may be appropriate

The public lookup is sufficient for basic supplier verification. If your organisation needs recurring invoice-data handling, matching, return preparation or other connected GST workflows, GSTN describes GST Suvidha Providers (GSPs) as paid third-party platforms that connect users to the GST system. Evaluate that category against your access controls, audit trail, data-handling requirements and tax team’s process. A GSP can streamline repeated work, but it does not change the need to verify the supplier identity and the relevant filing periods against the official record.

Keep the tax conclusion proportionate to the evidence

A successful search means that the GST Portal returned a taxpayer record for the GSTIN or UIN you entered. A filing-table entry means the portal displayed filing information for the selected year and periods. Neither result guarantees the commercial reality of the supply or the correctness of every tax position. Your final payment or tax decision should therefore combine the lookup with invoice validation, receipt of goods or services, contract and purchase-order evidence, and your organisation’s tax adviser or policy where a discrepancy affects credit or liability.
