You update EPFO information through different approval paths, depending on what is wrong. An Aadhaar-validated UAN can usually use the member self-service profile process; an Aadhaar that is missing, mismatched or incorrectly linked follows a Joint Declaration process; and bank-account seeding no longer requires employer approval under EPFO’s April 2025 change. Start only at the official EPFO Member e-Sewa portal, and follow the prompts shown for your account.
This guide explains which route applies, the current steps, when an employer or regional office is involved, what the published 2025 changes mean, and how to handle a failed or stalled request.

Choose the correct EPFO update route first
Do not treat every correction as a single “KYC update.” EPFO separates ordinary profile data, Aadhaar seeding or correction, and bank-account seeding. Your UAN’s Aadhaar and e-KYC status determines whether you can submit a change yourself.
| What you need to change | Likely route | Who may need to act |
|---|---|---|
| Profile information such as name, date of birth or date of joining | Member profile update when the UAN is Aadhaar-validated | Usually the member; employer certification can still apply to older or incomplete-e-KYC cases |
| Aadhaar has not been seeded, details do not match, or the wrong Aadhaar is linked | Aadhaar KYC and the applicable Joint Declaration workflow | Member and/or employer; a wrongly linked Aadhaar is forwarded to the concerned regional office |
| Bank account seeding or replacement | Manage the request through the portal’s KYC facility | Employer approval was removed effective April 2025 |
EPFO’s current rules and menus can change. If the labels in your account differ from an older instruction, use the live portal’s instructions rather than forcing an outdated menu sequence.

Before you sign in
Use only the official member portal
Open the EPFO Member e-Sewa portal directly. Do not give your UAN, password, Aadhaar, PAN, bank information or one-time password to an agent who offers to “process” a correction. EPFO says its online services are free and warns members against unauthorized intermediaries.
Have the information ready
- Your UAN and the mobile number used for account authentication.
- The exact personal particulars shown on your Aadhaar and employment records, where they are relevant to the requested correction.
- For bank seeding, the account information requested by the live KYC form.
- Access to the phone or authentication method required by the portal or UMANG.
Secure the device and session
Use an updated device and licensed anti-virus or anti-malware, as the portal advises. Sign out when finished, and never save credentials on a shared computer. EPFO’s warning is explicit: “EPFO or its staff never ask for these details over Messages,Calls,WhatsApp, Social Media.” That wording appears in its June 16, 2025 release, EPFO Urges Members to Avoid Approaching Unauthorized Agents.
Activate or access your UAN under the current process
The member portal currently directs users to UMANG face authentication to activate an existing UAN or generate a new one. Portal-based UAN activation has been discontinued. Follow the activation option displayed on the official portal and complete the UMANG authentication flow before attempting profile or KYC changes.
- Go to the official Member e-Sewa address and select the current UAN activation or login option.
- If the portal sends you to UMANG, install or open the official UMANG service and choose the face-authentication process shown for UAN activation.
- Complete the identity checks and any OTP or face-authentication prompts.
- Return to the member account and sign in using the credentials created or confirmed by the activation process.
If an unofficial website offers a separate “UAN activation” form or asks for a fee, close it. Use the portal’s own redirect and help information instead.

Update ordinary profile details when your UAN is Aadhaar-validated
EPFO’s January 19, 2025 procedure allows a member with an Aadhaar-validated UAN to self-update specified profile fields without uploading supporting documents. The procedure is described in EPFO Simplifies Online Process for Member Profile Updation.
Fields covered by the 2025 self-service procedure
The listed fields are:
- Name
- Date of birth
- Gender
- Nationality
- Father’s or mother’s name
- Marital status
- Spouse’s name
- Date of joining
- Date of leaving
Enter each value exactly as it should appear in the relevant identity or employment record. A typo in one field can create a mismatch with Aadhaar or the employer’s records and send the request into a different approval path.
Important eligibility exceptions
UANs obtained before October 1, 2017 are an identified exception: employer certification is required for those cases. A member whose e-KYC is not complete may also need employer action. Aadhaar validation therefore does not guarantee that every profile change will be self-approved; the portal will determine which path is available for your account.
Member-portal procedure
- Sign in at the official Member e-Sewa portal.
- Open the profile or basic-details area identified by the current portal instructions. Older EPFO guidance illustrates the route as Manage > Modify Basic Details, but labels may have changed.
- Select the field that needs correction and enter the new value carefully.
- Review the spelling, dates and sequence of digits before submitting.
- Complete the Aadhaar or OTP authentication requested on screen.
- Save the acknowledgement or reference number and check the request status in the same account.
Do not upload documents merely because an old guide says to do so. Under the January 2025 self-service procedure, eligible Aadhaar-validated members do not need supporting-document uploads for the listed fields. If your account asks for employer certification or another document, that is an indication that your case falls outside the simplified route.

Seed or correct Aadhaar in UAN
Aadhaar work is separate from ordinary profile editing. EPFO’s August 13, 2025 circular, Seeding/Correcting Aadhaar in UAN, describes different treatments for an unseeded Aadhaar, a mismatch and a wrongly linked Aadhaar.
When the UAN and Aadhaar data match exactly
For employer-portal KYC seeding, the UAN and Aadhaar name, gender and date of birth must match exactly. If they do, the employer can seed Aadhaar through the employer portal’s KYC function. Exact matching matters: an extra space, different spelling, or different date format can prevent the match even when the records refer to the same person.
When name, gender or date of birth does not match
Where the identifying fields do not match, the employer can submit rectification through Joint Declaration. The Joint Declaration route is intended to document the correction rather than bypass the mismatch. A member-portal Joint Declaration facility is also described for first-time Aadhaar seeding or correction; select the option the live account presents.
When the wrong Aadhaar is linked
The employer enters the correct Aadhaar through online Joint Declaration and forwards the case to the concerned regional office for approval. This is not the same as simply replacing a bank account in KYC: regional-office review is specifically described for a wrongly linked Aadhaar.

Member route for first-time seeding or correction
- Sign in to the official member account.
- Open the Aadhaar or KYC section and look for the member Joint Declaration or Aadhaar-seeding option available to your profile.
- Enter the Aadhaar information exactly as shown on the Aadhaar record and complete the requested authentication.
- Submit the declaration and retain its acknowledgement number.
- Monitor the status. If the portal routes the case to the employer or regional office, wait for that action rather than filing duplicate requests.
The older Joint Declaration SOP illustrates a member navigation path of Manage > Modify Basic Details. That 2024 illustration remains useful for orientation, but EPFO’s 2025 profile and Aadhaar procedures can produce different menus. The live account is authoritative.
Update bank details through KYC
EPFO announced that employer approval for bank-account seeding was removed effective April 2025. Use the KYC facility in your member account and follow the current prompts; do not rely on older instructions saying that every bank change must wait for an employer’s approval. The change and the related fraud warning are in EPFO’s June 16, 2025 release, EPFO Urges Members to Avoid Approaching Unauthorized Agents.
Bank-seeding steps
- Log in through the official Member e-Sewa portal.
- Open the KYC facility using the menu currently displayed for your account.
- Choose the bank-account option and enter the account details requested by the form.
- Check every digit and the bank information before submitting.
- Complete the authentication prompt and save the acknowledgement or transaction reference.
- Return to the KYC page later to confirm whether the bank entry is pending, accepted or rejected.
Employer approval being removed does not mean every request is guaranteed to succeed immediately. A data-entry error, an account-status issue or a portal validation failure can still stop the request. Correct the reason shown in the portal and resubmit only when necessary; repeated duplicate entries can make status tracking harder.

When do you need your employer?
| Situation | Expected involvement | Why |
|---|---|---|
| Aadhaar-validated UAN, ordinary profile field listed in the January 2025 procedure | Usually no employer certification | The revised process permits eligible member self-service without supporting-document uploads |
| UAN obtained before October 1, 2017 | Employer certification | EPFO identifies older UANs as an exception to the simplified route |
| UAN lacks full e-KYC | Employer action may be required | The self-service eligibility condition is not fully met |
| Aadhaar name, gender or date of birth mismatch | Employer Joint Declaration or the member route shown by the portal | The mismatch must be formally rectified |
| Wrong Aadhaar linked | Employer submits online Joint Declaration; regional office approves | EPFO’s August 2025 circular specifies regional-office forwarding |
| Bank-account seeding | No routine employer approval under the April 2025 change | Submit through the member KYC facility |
If the portal requests employer action, give the employer the acknowledgement number and the exact correction requested. Avoid submitting a second request with slightly different data while the first is pending.

How long can an EPFO correction take?
EPFO reported that it received about 8 lakh correction requests through employers in financial year 2024–25. It said almost 45% of change requests could be self-approved under the revised process and estimated that nearly 28 days of average employer-approval delay could be eliminated for eligible cases. These are organization-wide figures and an estimate, not a promised turnaround for an individual account.
There is no single published processing time that applies to every profile, Aadhaar or bank request. The time depends on the type of correction, whether employer certification is triggered, whether a regional office must review it, and whether the submitted data matches the validating record. Check the status and messages in your own official account.
Troubleshoot a rejected, pending or missing request
The edit option is not available
- Confirm that you are in the member account, not an employer login.
- Check whether the UAN is Aadhaar-validated and whether e-KYC is complete.
- Review whether the UAN predates October 1, 2017; that can trigger employer certification.
- Use the current portal labels rather than an old screenshot or menu path.
Aadhaar will not seed
- Compare the Aadhaar name, gender and date of birth with the UAN record character by character.
- If any identifying field differs, use the Joint Declaration route instead of repeatedly attempting ordinary KYC seeding.
- If a wrong Aadhaar is already linked, expect employer submission and regional-office approval under the August 2025 procedure.
Bank KYC remains pending
- Open the KYC status page and read the exact validation message.
- Confirm the account information entered in the request.
- Remember that employer approval was removed in April 2025; do not pay an intermediary to obtain an approval that is no longer part of the standard route.
The employer does not act
Give the employer the portal acknowledgement and ask for confirmation that the request was received. Keep copies of the submitted details and dates. If the issue remains unresolved, use the official grievance or help channels linked from the EPFO website or member portal. Do not send your password, OTP or full financial details to a caller claiming to escalate the case.

EPFO’s portal and June 2025 advisory warn against sharing UAN credentials, passwords, Aadhaar, PAN, bank details or OTPs with callers, message senders, social-media accounts or unauthorized agents. EPFO does not request personal information over the phone. A genuine correction can be completed through the official online services without paying an agent.
- Type the official portal address yourself or use a saved bookmark.
- Check the domain before entering credentials.
- Never disclose an OTP, even if the caller knows your name or UAN.
- Use a strong, unique password and keep your device and security software updated.
- Save acknowledgements, but store them securely because they contain account-related information.
Which official guidance should you trust if instructions conflict?
Use the current member portal for the actual button labels and eligibility message. The January 2025 profile procedure controls the simplified self-service rules; the August 2025 Aadhaar circular controls the newer seeding and correction treatment; and the June 2025 release records the April bank-approval change and security warning. The older Joint Declaration SOP is useful as a navigation illustration, but it should not override a newer instruction shown in your account.
