How to transfer your EPF balance after changing jobs: UAN, Form 13 and the 2025 process

Keep the same Universal Account Number (UAN) when you join a new employer. After your first contribution appears in the new employment, EPFO may initiate a transfer automatically, but that outcome is conditional and must be checked. If no transfer claim appears, submit an online Form 13 request through the EPFO Member Portal.

A completed transfer can consolidate the previous provident-fund (PF) accumulation and pension service into the current employment account. The practical sequence is: confirm your UAN and prerequisites, look for an automatic claim, file Form 13 if necessary, then verify the credit and download or retain Annexure K.

What an EPF transfer does after you change jobs

Your employer-linked EPF account is identified by a member ID under your UAN. When you change jobs, the objective is not to create a second UAN or leave the old balance behind. It is to bring the previous member account’s PF accumulation and eligible pension service into the account associated with your current employment.

EPFO describes the transfer as a way to consolidate PF accumulations and pension service. Keeping one UAN gives you a continuous account identity even when each employer creates a different member ID. Use the UAN already associated with your earlier job unless EPFO specifically directs you to resolve a duplicate or identity problem.

What can move

  • The PF accumulation from the previous member account, including the balance handled under the applicable scheme rules.
  • Pension service details used for Employees’ Pension Scheme (EPS) benefit computation.
  • Employment information recorded in the transfer certificate issued after processing.

The exact treatment depends on whether the old and new establishments are exempted or unexempted under the relevant EPF and EPS arrangements. A standard EPFO-to-EPFO case is different from a case involving an employer-managed exempted trust.

Check these prerequisites before you file

EPFO’s transfer FAQ lists account, identity and employment checks that should be complete before an online claim. Resolve these items first; otherwise the portal may not accept the request or the claim may remain pending for employer or office action.

  1. Use an activated UAN. Sign in to the official EPFO Member Portal and confirm that the UAN you intend to use is active. The portal provides member login and UAN activation facilities.
  2. Keep the registered mobile active. The mobile number used for UAN activation must still be available because the transfer workflow can require a one-time password (OTP).
  3. Seed Aadhaar and bank details. Check that Aadhaar and your bank account are linked to the UAN as required by the portal. If either linkage is incomplete, finish the KYC process before attempting the transfer.
  4. Confirm the previous employer’s date of exit. The prior employment’s date of exit must be entered in the EPFO record. Ask the former employer to correct or submit it if it is missing or wrong.
  5. Check employer-approved e-KYC. KYC information may need employer approval before a transfer claim can proceed.
  6. Review your member profile. Verify your name and other profile details against your identity and employment records. Differences can block validation or require correction before filing.
  7. Check for an existing request. EPFO’s FAQ says only one transfer request against a previous member ID can be accepted. Do not submit multiple requests for the same previous account while an earlier claim is still being handled.

These checks are conditions for a smoother claim, not a guarantee that every case will follow the same path. Trust arrangements, identity corrections and service-history issues can require additional handling.

Will EPF transfer automatically after changing jobs?

Sometimes. EPFO’s circular dated 18 September 2025 says a transfer claim may auto-initiate after the first month’s contribution is received in the latest employment, subject to validations. The trigger is therefore not simply the act of joining a company: the new employer’s contribution must reach the system and the account data must pass the applicable checks.

Automatic initiation is conditional. Treat it as a possibility to verify, not as proof that your old balance has already moved. Sign in after contributions begin and look for the transfer claim or updated account information. If no claim is visible, proceed with the online Form 13 route when the portal permits it.

How to submit an online Form 13 transfer claim

Form 13 is EPFO’s transfer claim for a member who changes jobs. Portal labels and screens can change, so use the current prompts in the official Member Portal rather than relying on an old screenshot or a remembered menu name.

  1. Sign in with the existing UAN. Use the UAN tied to your previous employment and the registered mobile capable of receiving OTPs.
  2. Open the transfer-claim service. Select the online service for transferring a previous PF account to the present employment account. The service is identified as Form 13 in EPFO’s claim guidance.
  3. Review the employment accounts shown. Confirm that the previous member ID and the current member ID belong to you. If an account is missing, stop and resolve the underlying employment, exit-date or UAN issue instead of selecting an unrelated ID.
  4. Check the personal and KYC information. Make sure the profile, Aadhaar linkage, bank details and employer-approved e-KYC meet the portal’s validation requirements.
  5. Authenticate the request. Complete the OTP or other authentication step presented by the portal. The OTP is sent to the registered mobile associated with the UAN.
  6. Submit the claim and save the reference. Record the acknowledgement or claim number displayed after submission. Keep a copy of the submission details for status checks and any later query.
  7. Monitor the claim. Use the portal’s claim-status facility and check messages from EPFO or the relevant employer. A submission acknowledgement means the request was filed; it does not mean the balance has already been credited.

EPFO’s transfer guidance also describes cases in which the member must choose or coordinate the appropriate establishment or office. Follow the live portal instructions when they differ from an older Form 13 explanation.

Understand the employer and trust branches

The standard online path is easiest when both the previous and current accounts are handled directly through EPFO. It is not safe to assume that every employer uses that arrangement. EPFO’s Form 13 instructions distinguish exempted and unexempted establishments and identify combinations in which money and pension service follow separate routes.

Account arrangement How the transfer is handled What to verify
Unexempted EPFO account to unexempted EPFO account The member generally uses the online Form 13 process, subject to the portal’s validations and office workflow UAN, member IDs, date of exit, KYC and claim status
Case involving an exempted employer trust The trust arrangement can require a distinct process for transferring PF money, while EPFO handles or records pension-service details as applicable Whether the old or new establishment is exempted and which body must receive each request
Exempted-to-exempted combination EPFO’s instructions indicate that the PF trust may need to coordinate the money transfer and EPFO may need to handle the service-details leg The trust’s instructions, EPFO service record and confirmation for both components

Ask the former and current payroll or provident-fund teams which arrangement applies before assuming that one online claim will move every component. A trust can have its own forms, contact point and confirmation process. Keep written acknowledgements for the money transfer and for pension-service updating.

What changed in the 2025 Form 13 workflow

EPFO’s circular of 25 April 2025 describes a revamped Form 13 process. Once the transferor, or source, office approves the claim in the revised functionality, the PF accumulation and pension service from the previous account are automatically added to the present account at the transferee, or destination, office. The circular says this occurs without additional destination-office processing.

This change removes a separate destination-office step in the revised workflow, but it does not remove the need to satisfy validations or to check that the source office has approved the claim. A pending or rejected source-office claim still needs attention.

The same change introduced bifurcation of taxable and non-taxable PF components to support tax deducted at source (TDS) calculations on taxable PF interest. Keep the transfer record and account statements so that you can explain the components if a tax question arises.

The Ministry of Labour & Employment said in its 25 April 2025 release that the change was expected to benefit more than 1.25 crore members and transfer around Rs. 90,000 crores annually. These are government estimates for the expected scale of the revised process, not a guaranteed amount for an individual member or a measured outcome for every claim.

How to check your EPF transfer status

Use the EPFO Member Portal’s claim-status and account views after filing Form 13 or after the first contribution in a new job. The exact screen names can change, so look for the current transfer-claim status linked to your UAN and member IDs.

  1. Open the claim-status view. Sign in with the same UAN used for the request and locate the transfer claim associated with the previous member ID.
  2. Read the stage, not just the reference number. A submitted or initiated status shows that a request exists. It does not establish that the source office has approved it or that the amount has been credited.
  3. Check for source-office approval. Under the revised workflow, this approval is the key event before the PF accumulation and pension service are added to the present account without further destination-office processing.
  4. Review the current member account after processing. Look for the transferred balance, service information and updated employment details in the present account.
  5. Obtain Annexure K. A processed transfer generates Annexure K, the transfer certificate. Retain it with your PF records.

What Annexure K contains

EPFO says Annexure K includes the PF balance with interest, complete service history used for EPS benefit computation and employment details. It is the clearest post-completion record that the transfer has been processed. Compare those details with your previous employment records and report a discrepancy through the appropriate EPFO or employer channel.

Troubleshoot the most common transfer problems

No automatic claim appears

Wait until the first contribution from the new employment is reflected, then check the portal. If the contribution is present but no transfer claim appears, review the UAN, date of exit, Aadhaar and bank seeding, e-KYC approval and profile information. File Form 13 if the portal allows it. Automatic initiation is conditional, so a missing claim does not by itself prove that your balance was lost.

The previous member ID is missing

Do not select a different account merely to complete the form. Confirm that the old employment is linked to the same UAN and that the former employer has reported the date of exit. Ask the former employer or EPFO to correct the record before filing.

OTP cannot be received

Verify that the mobile number registered when the UAN was activated is still active and belongs to you. Update or correct the registered mobile through the portal’s available account process before attempting authentication again.

Aadhaar, bank or e-KYC validation fails

Compare the details in your UAN profile with the identity and bank records, complete missing seeding and obtain employer approval for e-KYC where required. A mismatch should be corrected at its source; repeatedly submitting the same claim will not cure an incorrect profile.

The claim is pending after submission

Check which office or employer action is shown in the status. The revised workflow still depends on source-office approval. Keep the acknowledgement and contact the responsible employer or EPFO channel with the claim reference rather than filing a duplicate request against the same previous member ID.

The employer uses an exempted trust

Ask the trust whether it handles the PF money transfer directly and ask EPFO how pension service will be updated. Obtain confirmation for each leg. A Form 13 submission alone may not complete a trust-managed money transfer.

Annexure K or the credited service is wrong

Compare the certificate with your payslips, employment dates and prior PF statements. Raise the discrepancy with the office or trust responsible for the incorrect component and preserve the original certificate, claim reference and correspondence.

How long does an EPF transfer take?

There is no universal guaranteed completion period for an individual transfer in the reviewed EPFO material. The 2025 redesign is intended to simplify processing after source-office approval, but the time for validations, employer action, office approval and account updating can vary.

EPFO Member Portal notices have referred at times to phased processing and longer-than-usual processing during system stabilisation. Such notices are time-bound. Check the live portal for a current notice rather than treating an old notice as a permanent processing rule.

Because no fixed period is guaranteed, use the claim status and the final account credit as your evidence of progress. If a claim remains unchanged, escalate with the reference number and the specific pending stage.

Records to keep after the transfer

  • The UAN and both old and current member IDs.
  • Form 13 acknowledgement or transfer-claim reference.
  • Screenshots or downloaded statements showing the status and final credit.
  • Annexure K, including its balance, interest, service-history and employment details.
  • Correspondence with the former employer, current employer, EPFO office or exempted trust.

These records help establish continuity of service, explain the transferred components and support a correction request if the account later shows an incorrect balance or employment period.
