How to transfer files, photos, and passwords from macOS to Windows (2026 guide)

There is no single Apple tool that moves an entire Mac to a Windows PC. The dependable approach is to treat files, photos, and passwords as three separate transfers: use iCloud for Windows for supported syncing and downloads, then make independent Windows copies where you need offline access or a second backup. Passwords require a separate, temporary CSV export and careful deletion.

What you need before starting

Prepare both computers and decide whether the Windows copy should remain linked to iCloud or become an independent archive. The documented Apple workflow uses iCloud Drive, iCloud Photos, and iCloud Passwords rather than a direct cable migration utility.

Requirement Why it matters
Same Apple Account on both systems iCloud for Windows must access the account that contains the Mac’s synced data.
Windows 11 or later Apple’s current iCloud for Windows instructions target Windows 11 or later; available features can vary by region and system requirements.
Reliable internet connection Cloud-only files and photos must download before Windows can use them locally.
Enough iCloud storage Apple provides 5 GB of free iCloud storage per account. When it is full, new photos and videos stop uploading and iCloud Drive and other iCloud apps stop staying current across devices.
Enough Windows disk space Pinning or copying cloud data creates local files and can consume substantially more space than placeholders.
A temporary, controlled location for the password CSV The export is readable text, not an encrypted backup.

Choose between sync and an independent copy

A synced setup keeps supported data available on the Mac, Windows PC, and other connected devices. An independent copy is separate from iCloud, so it remains available if you later sign out or remove an item from the synced folder, but you must include it in your own Windows backup plan.

Choice Best for Trade-off
Leave data in iCloud folders Keeping the same working files and photo library current on multiple devices Items may remain cloud-only and require an internet connection until downloaded.
Pin selected items Offline access to frequently used files without downloading everything Pinned items use local disk space and still belong to the iCloud-synced set.
Copy downloaded data outside iCloud A separate Windows archive or a handoff to another storage system The copy will not update automatically; it needs its own backup and versioning.

Transfer files with iCloud Drive

1. Turn on iCloud Drive on the Mac

  1. Open System Settings on the Mac.
  2. Select your name, then iCloud, then Drive.
  3. Turn on Sync this Mac.
  4. Turn on Desktop & Documents Folders only if those folders should be included in iCloud. This setting can add a large amount of data to the sync.
  5. Wait for the Mac to finish uploading. A file that has not finished syncing will not be available to Windows through iCloud.

Keep the originals on the Mac while the upload completes. Do not use a move operation as a shortcut for migration; moving an item out of iCloud Drive removes it from iCloud Drive and from connected devices.

2. Install and configure iCloud for Windows

  1. On the Windows PC, install iCloud for Windows from the Microsoft Store.
  2. Sign in with the same Apple Account used on the Mac.
  3. Enable iCloud Drive in the app and allow the setup to finish.
  4. Open File Explorer and select iCloud Drive in the navigation pane.

The iCloud Drive folder may show placeholders instead of complete local files. Apple’s guidance is explicit: you must download a file before you can open it.

3. Download only what you need or make everything local

  • Open a file from iCloud Drive to trigger its download. Large files may take time before an application can open them.
  • For a file or folder that must work offline, use its context menu and choose Always keep on this device. Leave the PC running until the download finishes.
  • For a complete local archive, select the required folders, choose the same option, and check that the files have finished downloading before copying them elsewhere.

Pinning is a local-availability setting, not a second backup. A pinned file remains part of the iCloud set and can still be affected by later actions in iCloud.

4. Create an independent Windows copy safely

  1. After the files are downloaded, create a destination folder outside iCloud Drive, such as a folder on a separate internal volume or removable storage.
  2. Copy the files into that destination. Do not drag them as a move if the Mac or another Apple device should retain the iCloud version.
  3. Open a sample of documents, images, and archives from the new folder to verify that they are complete.
  4. Add the destination folder to the Windows backup routine you use for other important data.

Apple states that moving an item out of iCloud Drive removes it from iCloud and connected devices. Copying first preserves the cloud copy while giving Windows its own version.

Transfer photos and videos

1. Confirm the Mac library has finished syncing

Open the Mac’s Photos setup and confirm that iCloud Photos is enabled. Wait for the library to finish syncing before beginning a large download. If the Mac still reports that items are uploading, Windows cannot be used as a complete copy yet.

2. Choose a Windows download route

Route How to use it When it is useful
iCloud Photos folder Enable Photos in iCloud for Windows, open the iCloud Photos folder in File Explorer, and select the items to download. Repeated access and downloading within Windows.
iCloud.com/photos Sign in through a browser, select photos or videos, and download them. One-time or selective downloads without configuring a full folder workflow.

Apple describes iCloud for Windows as a way to access photos and videos stored in iCloud and keep them up to date on the PC and other devices. That is synchronization, not proof that every item is already stored on the Windows disk.

3. Make the photo transfer an independent archive

  1. Download the selected items through File Explorer or iCloud.com/photos.
  2. Wait for each download to complete before disconnecting or closing the browser.
  3. Copy the downloaded files into a separate local folder outside iCloud Photos.
  4. Open several photos and videos, including the largest files, to check that they play or display correctly.
  5. Include the separate folder in the PC’s backup system.

Apple’s archive guidance recommends choosing Always keep on this device, waiting for the download, and then copying items to another folder. This produces a Windows copy that is not dependent on the iCloud Photos folder remaining connected.

Shared Albums are not a full-fidelity archive

Do not use Shared Album downloads as a replacement for the original iCloud Photos library when quality or metadata matters. Apple says photos and videos copied from Shared Albums are not full resolution and do not include comments or likes. Download originals from the owner’s iCloud Photos library whenever preserving the highest available quality and associated information is important.

Transfer saved passwords

Password migration is deliberately separate from files and photos. The supported route is a CSV export from the Mac’s Passwords app, followed by an import into iCloud Passwords on Windows.

1. Export eligible passwords on the Mac

  1. Open the Passwords app on the Mac.
  2. Choose File, then Export All Passwords to File.
  3. Save the CSV only in a controlled location that other people and untrusted applications cannot access.
  4. If you need only a subset, select the relevant passwords and use the option to export the selected passwords instead.

The CSV is plaintext. Apple warns: “Passwords you export are not encrypted and are visible to anyone who has access to the file.” Treat it as exposed credentials while it exists.

2. Import the CSV on Windows

  1. Open iCloud for Windows and sign in to the same Apple Account.
  2. Enable Passwords or iCloud Passwords, then open the iCloud Passwords app.
  3. Choose Add Password, then Import Passwords.
  4. Select the CSV file.
  5. Review the app’s list of entries it could not import. Resolve those accounts manually rather than assuming the import was complete.

The Windows import adds eligible entries to iCloud Passwords; it does not replace existing entries. If the same login already exists, check the resulting list and resolve duplicates deliberately.

3. Know what the Mac export does not contain

Category What to expect
Wi-Fi passwords Not included in the Mac password export.
Passwords shared with a group Excluded unless you created that group.
Sign in with Apple accounts The export does not provide access to these accounts.
Eligible saved website and app passwords These are the primary contents of the CSV and can be imported through iCloud Passwords.

4. Delete the export after verification

  1. Sign in to several important accounts on Windows or inspect their imported entries to confirm that the intended credentials are present.
  2. Check the failed-import list and manually handle any account it names.
  3. Delete the CSV from the Mac, Windows PC, browser download folder, and any temporary location where it was copied.
  4. Empty the relevant trash or recycle location and confirm that no duplicate export remains on removable storage or in a cloud-synced folder.

Do not put the password CSV on a USB drive as a substitute for the password migration. A removable drive can carry downloaded files and photos, but it does not encrypt the credential export.

How storage limits affect the transfer

Apple provides 5 GB of free iCloud storage per account. That allowance is shared by the iCloud data covered by the account, not reserved separately for files, photos, and passwords. When storage is full, Apple says new photos and videos will not upload and iCloud Drive and other iCloud apps will not stay current across devices.

  • If the Mac’s newest photos are missing in Windows, check whether the Mac completed syncing and whether the account has available storage.
  • If a recently created document is absent, verify that it is inside iCloud Drive and that the Mac has finished uploading it.
  • If you need a full local archive but the account cannot hold all source data, download completed items in batches and copy each batch outside the iCloud folders.

The 5 GB figure is storage capacity, not a transfer-speed promise or a guarantee of completion time. Apple’s support material does not provide a universal transfer benchmark or success rate for this workflow.

Troubleshooting common failures

A file appears in File Explorer but will not open

It is probably a cloud-only placeholder. Select the file and choose Always keep on this device, or open it to request a download, then wait for completion before launching the associated application.

A folder was copied, but the Mac version disappeared

The original may have been moved out of iCloud Drive rather than copied. Check iCloud Drive and the Mac’s trash, then restore the item if necessary. For future transfers, copy to the destination outside iCloud Drive and leave the source in place until verification is complete.

Photos are visible but the local folder is incomplete

Check the Mac’s iCloud Photos sync status, Windows’ iCloud Photos settings, and available iCloud storage. Download again after syncing finishes. For an archive, use a separate folder and verify representative files rather than relying on thumbnails.

Shared Album downloads look smaller or lack discussion

That is expected under Apple’s stated limitations: Shared Album copies are not full resolution and omit comments and likes. Obtain originals from the main iCloud Photos library for an archival copy.

Some passwords are missing after import

Read the import report first. The missing entry may belong to an excluded category such as Wi-Fi credentials, a group-shared password you did not create, or a Sign in with Apple account. The importer also does not replace existing iCloud Passwords entries, so inspect existing records for duplicates or conflicts.

Windows is not receiving new iCloud changes

Check that both systems use the same Apple Account, iCloud features remain enabled, and the account has free storage. A full account prevents new photos and videos from uploading and stops iCloud apps from staying current.

Recommended handoff checklist

  • Confirm the Apple Account and Windows account are the intended ones.
  • Check iCloud storage before starting a large upload or download.
  • Wait for iCloud Drive and iCloud Photos to finish syncing on the Mac.
  • Download or pin files before trying to open or copy them on Windows.
  • Copy files and photos outside iCloud folders when you need an independent archive.
  • Do not move iCloud Drive items unless removing them from every connected device is intentional.
  • Use the Passwords app’s CSV export only for eligible credentials.
  • Review failed password imports and remember that existing entries are not replaced.
  • Delete every password CSV after verification.
  • Open sample documents, photos, videos, and password entries from the Windows side before treating the transfer as complete.
  • Back up the independent Windows folders using a separate backup method.

Which route should you use?

Your goal Recommended procedure
Continue working on the same files from both computers Enable iCloud Drive on the Mac and Windows, then leave working items in iCloud Drive.
Keep selected files available without internet Use Always keep on this device for those items.
Finish with a separate Windows archive Download first, then copy files and photos into folders outside iCloud and back them up independently.
Move saved website and app passwords Export a Mac Passwords CSV, import it through iCloud Passwords on Windows, review failures, and delete the CSV.
Preserve original-quality photos and metadata Download from iCloud Photos, not Shared Albums.

This process gives Windows access to the three data types without pretending they are one migration. iCloud handles synchronization where Apple supports it; explicit downloads and separate folders create the local copies you can verify and back up.
