Track investment gains in two separate views: a lot-level transaction ledger for realized gains and losses, and a dated valuation record for unrealized changes in assets you still hold. For every acquisition, preserve the cost basis, adjustments, dates and documents; when you sell, match the disposition to the correct lot and reconcile the result with your broker’s Form 1099-B and the tax forms that follow it. This approach works across multiple brokerage accounts and keeps a current portfolio estimate from being mistaken for a taxable sale.
The tax discussion here is for U.S. federal reporting. State, local and non-U.S. rules, as well as rules for options, futures, digital assets, partnerships, restricted stock and other special assets, can differ.

What realized and unrealized gains mean
Realized gain or loss is tied to a disposition
A realized gain or loss occurs when you sell, exchange, redeem, abandon or otherwise dispose of an asset. The basic calculation is:

Amount realized − adjusted basis = realized gain or loss.

Amount realized is generally what you receive, reduced by selling expenses. Adjusted basis starts with your cost and incorporates changes required for the asset and the event. A gain is positive; a loss is negative. The result is the transaction-level amount that can feed federal tax reporting.
Unrealized gain or loss is a change in an open position
An unrealized gain or loss is the difference between an asset’s current estimated value and its basis while you still own it. It is a portfolio measurement, not a completed sale. Show it with an “as of” date, because the value can change every market day and may be based on a quoted price, a valuation statement or another estimate.
Do not label ordinary unsold stock appreciation as a realized gain. IRS Form 8949 is for sales and other dispositions. The Form 1099-B instructions use “unrealized profit or loss” for certain open contracts at year end; that specialized reporting should not be generalized to every unsold holding.

A position balance alone is not enough. Shares bought on different dates or at different prices can have different bases and holding periods. Create a separate record for each acquisition lot, even when the lots are in the same account or security.
Fields to capture for every acquisition
| Field | What to record | Why it matters |
|---|---|---|
| Security or asset | Name, ticker or other identifier, and asset class | Prevents transactions in similarly named assets from being combined. |
| Account and custodian | Brokerage account, retirement account or other custodian | Allows transfers and statements to be traced. |
| Acquisition date | The trade or acquisition date shown on the confirmation | Supports holding-period classification and lot matching. |
| Quantity | Units acquired, including fractional units from reinvestment | Establishes how much basis belongs to each unit. |
| Purchase amount | Price paid and total consideration | Forms the starting cost basis. |
| Acquisition costs | Commissions and other costs that belong in basis under the applicable rules | Small fees can change the gain or loss. |
| Source document | Confirmation, statement, transfer record or other supporting file | Lets you prove the entry and correct a broker discrepancy. |
Keep the original trade confirmations and account statements, not just a manually typed total. The Internal Revenue Service says basis is usually cost and expects records showing basis and, when applicable, adjusted basis. Its Instructions for Form 8949 state: “You must keep accurate records that show the basis and, if applicable, adjusted basis of your property.”
Use one row per lot, not one row per account
If you buy 50 shares in January and 50 in July, create two lots. If dividends buy 2.37 additional shares, create a new lot for the reinvestment with its own date, quantity and amount. A single blended average can be useful for a performance chart, but it is not a reliable substitute for the lot records needed when specific shares are sold.
Record basis adjustments as they happen
Basis is not always frozen at the purchase price. Add an adjustment entry with its effective date, amount, explanation and source document rather than overwriting the original cost.

Events that can increase or decrease basis
- Capitalized costs or other additions that the applicable tax rules treat as part of the asset’s cost.
- Depreciation or other deductions that reduce basis for assets to which those rules apply.
- Nondividend distributions or return-of-capital amounts that reduce basis when reported as such.
- Stock splits and similar corporate actions that change the number of units and the per-unit basis.
- Transfers, mergers, exchanges or other reorganizations that require a new quantity, date or carryover basis calculation.
The correct treatment depends on the asset and event. Do not apply a generic “add every fee” or “divide every split” rule without checking the relevant instructions and the issuer or custodian documentation. Preserve both the pre-event and post-event records so the calculation can be reconstructed.
Calculate a realized gain when a lot is sold
Use proceeds, allocated basis and costs
For each disposition, record the sale date, quantity, gross proceeds, selling costs and the basis allocated to the units sold. A practical worksheet can show the calculation in one line:
Realized result = (gross proceeds − selling costs) − allocated adjusted basis.
Illustrative lot calculation
Suppose an investor buys 100 shares for $2,000 and pays a $10 acquisition commission. The lot’s initial basis is $2,010, or $20.10 per share. Later, the investor sells 40 shares for $1,200 and pays a $6 selling fee. Net proceeds are $1,194. If no adjustment changed the lot, the basis allocated to 40 shares is $804 (40 × $20.10). The realized gain is $390 ($1,194 − $804). The remaining 60 shares retain $1,206 of basis in the open lot.
Recommended Free Tools
This example is illustrative; the treatment of particular fees and adjustments depends on the asset and applicable tax rules. Keep the underlying confirmations with the calculation.
Keep holding-period dates with the result
For federal purposes, short-term treatment generally applies when the holding period is one year or less, and long-term treatment generally applies when it is more than one year. Special rules can change the result. Store both the acquisition date and disposition date, then let the dates drive the classification rather than typing “short” or “long” from memory.
Match a sale to the correct lot
When shares were acquired on different dates or at different prices, the lot selected for a sale changes the reported basis and holding period. Decide how the lot will be identified before submitting the order when your custodian permits a choice.

Specific identification
IRS Publication 550 explains that the basis is generally that of the particular shares if they are adequately identified. Follow the broker’s procedure for identifying the shares, and retain the instruction and confirmation showing that the request was made in time. A spreadsheet note made after the fact is not equivalent evidence of timely identification.
When identification is not documented
If you cannot establish which shares were sold, the broker’s default method and the applicable tax rules may determine the result. Do not silently choose the lot that produces the most favorable number. Mark the transaction for review, obtain the broker’s lot detail and preserve any transfer or order records.
Track unrealized changes without turning them into tax entries
Value every open lot at a stated date
At a regular interval, record the quantity still held, the valuation price or statement value, the resulting market value and the valuation date. For an exchange-traded security, a simple calculation is:
Unrealized result = current market value − current adjusted basis.
Use the current basis of the remaining units after any partial sales, splits or other adjustments. Present the result separately from realized transactions in your dashboard or report. An “as of” date prevents an old estimate from being mistaken for today’s value.
Keep tax status separate from performance reporting
A portfolio report can show total return, open-position appreciation and realized results, but those labels answer different questions. Unrealized appreciation on an ordinary unsold holding is not, by itself, a Form 8949 sale. Conversely, a realized loss can exist even if the account’s overall value later recovers. Keep the tax ledger and the performance view linked by lot identifiers, not merged into one number.
Reconcile multiple accounts and broker records
Start with covered and noncovered securities
Form 1099-B may report acquisition date, holding-period classification, basis and certain adjustments for covered securities. For noncovered securities, older holdings and some transferred assets, basis may not be reported. Your own ledger must fill those gaps.

Run a transaction-by-transaction reconciliation
- Export or enter each sale and other disposition from the broker statement for the tax year.
- Match the security, account, date and quantity to a lot in your ledger.
- Compare gross proceeds, fees, basis, adjustments and holding-period classification with Form 1099-B.
- Investigate differences using confirmations, reinvestment records, transfer statements and corporate-action notices.
- Document the correction and retain the broker figure and your supporting evidence rather than deleting the original.
Transfers between brokers are a common break point. A new custodian may receive the shares but not the complete historical basis, or may display a different acquisition date. Record the transfer date and both account identifiers, then attach the outgoing statement and the incoming asset record to the same lot history.
Understand how Forms 1099-B, 8949 and Schedule D fit together
Form 1099-B is a broker information statement. It can supply data that you compare with your records, but it is not a replacement for your permanent ledger. Form 8949 is used for many sales and other dispositions and helps reconcile amounts reported to you and the Internal Revenue Service. Its subtotals generally carry to Schedule D, where gains and losses are summarized.
Keep the transaction-level details that support the Form 8949 entries: lot identification, dates, quantity, proceeds, basis, adjustments, codes when applicable and the documents behind each correction. If you adjust a broker-reported figure on your tax return, retain the reason and evidence for the adjustment.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Choose a tracking method that fits your accounts
The right method is the one that preserves the records you will need when a position is sold, not merely the one that displays a current account balance.
| Method | Strengths | Questions to test before relying on it |
|---|---|---|
| Broker-only records | Automatic trades, current lots and statements in one account. | Can it retain historical basis after a transfer? Does it cover every account and noncovered security? Can you export confirmations and lot-identification evidence? |
| Spreadsheet or ledger | Flexible fields, custom adjustments, document links and consolidation across custodians. | Are formulas protected? Is every lot uniquely identified? Do you back up versions and record who made an adjustment? |
| Investment tax software | May import trades from many brokerage firms, consolidate accounts and help prepare Form 8949 and Schedule D workflows. | Does it handle transfers, reinvested distributions, corporate actions, basis adjustments and specific-lot evidence? Can you inspect and correct imported data? Does it retain source documents? |
The Internal Revenue Service notes that it partners with companies offering Form 8949 software that can import trades from many brokerage firms and help track adjusted basis. That describes a useful software category, not an endorsement of any particular vendor or a guarantee of current features. Whether you use software or a spreadsheet, keep an exportable copy of the underlying lot records.
Set a review schedule and exception checklist
After each transaction
- Save the confirmation and assign a unique lot or disposition identifier.
- Record quantity, price, fees, date and account.
- Note the lot selected for a sale and preserve the broker’s confirmation of that selection.
After a statement cycle
- Compare ending quantities with your ledger.
- Check reinvested dividends, return-of-capital notices and corporate actions.
- Verify that transfers have both an outgoing and incoming record.
- Update market values and label the valuation date.
Before preparing a tax return
- Flag missing basis, noncovered securities and older holdings.
- Compare every Form 1099-B line with your disposition ledger.
- Review holding periods from the stored dates.
- Reconcile Form 8949 subtotals to Schedule D and retain the supporting detail.
Fix common tracking failures
Missing basis
Search archived statements, original confirmations, transfer records and reinvestment histories. Ask the former custodian for historical documents if available. If the evidence remains incomplete, mark the amount as unresolved and obtain tax advice rather than inventing a purchase price.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Reinvested distributions omitted
Each reinvestment generally creates a new acquisition event in the ledger. Enter the date, shares and amount shown on the statement, then include those lots in later sale matching. Omitting them can overstate the basis of other shares and distort both realized and unrealized results.

Corporate action changed the quantity
Record the event date, old quantity, new quantity and the issuer or custodian notice. Allocate the prior basis according to the event’s instructions; do not simply copy the old per-share figure into the new quantity.
Broker statement conflicts with your records
Do not overwrite either number. Save the statement, identify the exact field that differs and trace it to a confirmation, adjustment notice or transfer record. Enter a dated reconciliation note explaining which figure you use and why.
Current value looks like a tax bill
Separate the valuation report from the disposition ledger. Label the open-position column “unrealized” and include the valuation date. Only record a realized result when a sale or other disposition has occurred, subject to special rules for certain assets.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsHandle special assets and situations cautiously
Options, futures, short positions, digital assets, partnership interests, restricted securities and contracts with year-end mark-to-market rules can require records or tax treatment that differ from ordinary long stock. The Form 1099-B reference to unrealized profit or loss for specified open contracts is an example of why asset class matters. Identify the asset before applying the ordinary-stock workflow, and consult the relevant IRS guidance or a qualified tax professional when the rules are not clear.
Retirement accounts may have different tax reporting mechanics from taxable brokerage accounts, but you still need accurate internal records for portfolio decisions and transfers. Keep account type in the ledger so a transaction is not accidentally included in the wrong tax workflow.
Protect and preserve the record
Store confirmations, statements, basis notices and reconciliation notes in a secure, searchable location. Use a consistent file name that includes the account, security, date and document type. Back up the ledger and source documents, and keep a read-only copy of each year’s final reconciliation. Restrict access because account numbers and tax documents are sensitive personal information.
A durable record should let you answer five questions years later: What was acquired? When and in which account? What was the original and adjusted basis? Which units were disposed of? Which document supports each number? If the answer to any question is missing, flag that lot for review before a sale creates a filing deadline.
A practical year-end process
- Freeze a copy of the ledger at the end of the tax year and record the date.
- Import or enter all dispositions and compare them with broker Forms 1099-B when issued.
- Resolve missing basis, transfer breaks, reinvestments and corporate actions.
- Calculate realized gains and losses by lot and retain the holding-period evidence.
- Update the market value of every open lot in a separate unrealized report.
- Prepare or review Form 8949 and carry the appropriate subtotals to Schedule D, retaining the transaction-level support.
This process gives you a current picture of what your holdings are worth while preserving the evidence needed to report what you actually sold. It also makes the next year easier: each remaining lot already has a documented quantity, date, basis and source record.
